Customized Ticket Assignment Rules in Zoho Desk

Traditionally, Zoho Desk could not automatically assign tickets to agents in a round-robin format based solely on their online status. The primary issue was Zoho Desk's inability to assign tickets in a round-robin format among online agents. This limitation led to uneven distribution of workloads, with some agents being overloaded with tickets while others had idle time. The Solution
To address this challenge, a custom script was developed. The core functionality of this script was to fetch the list of online agents at any given time and then assign incoming tickets to these agents in a round-robin format. This approach ensured that each online agent received an equal number of tickets, thereby optimizing workload distribution. The script was integrated into the Zoho Desk environment, enabling seamless operation without disrupting existing workflows.
Implementation
The custom script was developed using Deluge and Zoho Desk's API, which provided the necessary endpoints to fetch online agents and update ticket assignments. The script operated in real-time, constantly monitoring the online status of agents and the incoming ticket queue. Upon the arrival of a new ticket, the script calculated the next agent in the round-robin sequence and automatically assigned the ticket to that agent.

How to Set Up (a Simple Version of) Zoho Desk
Set up your first assignment rule.
Assignment rules are fairly straightforward. In principle, these exist everywhere. Math classes are taught by math teachers, English classes by English teachers, etc. Heart surgeons treat cardiac patients while dermatologists treat skin diseases. Each is assigned work based on his or her ability.
Assignment rules for Desk tickets work much the same way. When creating one, you set what are called ‘Targets’, where, according to some criteria, you assign the ticket either to a Team or to a specific Agent.
You can create up to 5 targets per rule
Assignment Rule Help
The order matters! If a desk ticket fits the criteria in two separate assignment rules, it will be assigned according to the first rule in the order. After it meets one criterium, it doesn’t check any other rules.
ALSO, if a ticket meets no rules and is “unassigned”, the first agent to respond to the ticket will be assigned by default.
Last, note the difference between workflow rules and assignment rules. You can actually assign tickets via workflow rules. However, remember that multiple workflow rules can be triggered at the same time while only one assignment rule triggers for any one ticket. Also, you can only route tickets to a department via assignment rules.
Round Robin Assignment
An alternative to assigning tickets to an individual or entire team is to alternate assignment between a group of agents. Set these up in much the same way as assignment rules. Choose your entry criteria and then select which users/teams will participate in the round robin.
Know that if a ticket fits an assignment rule though, it will be assigned via that rule and not be considered by the round robin assignment.

How to Make a Round Robin in Zoho CRM
Andrew Simpson of Aether Automation shows how to automatically assign leads to a sales team using Zoho Deluge. He starts by going to the Users section in Zoho CRM and checking the "Types of Leads" field for each user. The goal is to split the lead assignment between two users based on the lead type (e.g. special or end user). He then creates a new workflow rule called "Assign Lead to Sales Person" that will automatically assign leads based on a set of rules. The rules will be established in a function that will be written in Deluge. The function will get the lead and the list of users that could be assigned the lead.
