Create a calendar by using a template

Many calendar templates are available for use in Excel. A template provides a basic calendar layout that you can easily adapt for your needs.

You can download calendar templates with useful and creative themes when you click File > New in Excel.

Click on a template that you are interested in and then click Create .

On the File menu, click New from Template .

On the rightmost side, in the Search All Templates search box, type Calendar .

Pick a calendar template you want and click Create .

You can easily apply your own look to a calendar. Calendar templates are formatted by using themes that enable you to apply fonts, colors, and graphic formatting effects throughout the workbook with just a click. On the Page Layout tab, under Themes , select from dozens of built-in themes available in the Themes gallery or find options to change just the theme fonts or theme colors.

Important:  Formulas exist in all cells that display a date, as well as in those cells in the date rows that appear blank. These formulas enable the calendar to update automatically. If you manually change the data in those cells, the calendar will no longer be able to update automatically.

Making a calendar like this while you're online is quick and easy.

Choose one of our calendar templates , and open it in an Office for the web program to make it yours (some calendars are for editing in Excel for the web, some in Word for the web, and others work in PowerPoint for the web).

As you work on the calendar, you'll probably want to rename it.

Share your calendar

When you're finished, print it out or share it online. You can do this with the calendar still open in Excel for the web. No need to save it first (that's already done for you).

To print it, press Ctrl+P, and click Print to see a preview. Click Print again to print the worksheet.

Tip:  To print all the sheets in the template, click on each sheet tab and print them one at a time.

To share it online, send a link:

Near the top of the screen, click Share .

Under Share , click Get a Link .

Under Choose an option , click View only .

Click Create Link .

Click on the web address to select it, and then copy and paste it into an email, message, or post.

Tip:  If you have a blog or website, you can embed a view of your calendar there.

What Is a Project Calendar?

A project calendar is a planning tool that shows the start date and end date for project activities. It’s a simple way to display the project’s tasks and assign them to team members. It can be viewed as a differently formatted to-do list with tasks laid out on the grid of a monthly calendar.

But project calendars are more than a means to collect important project dates. They can be used for an overview of project work to foster better task management , team collaboration and to communicate changes in workflow.

You can also use a project calendar to show the availability of your project team. Holidays can be blacked out while working days and the PTO of various team members can be indicated to help when making assignments.

Why You Need a Project Calendar Template

We’ve already touched on some of the reasons a project calendar template is important. Project managers use them for a variety of tasks. For example, as noted, they can chart the regular hours of their team members to make it easier for project managers to see the availability of those team members when making assignments.

Company holidays can also be indicated to avoid scheduling work on those days. The same is true for the vacations of team members. But there are also scheduling tasks . The project calendar gives you a monthly overview of the project timeline and you can see all the tasks that are to be completed over that time.

Teams are resources, but they also need equipment, materials and other resources to execute their work. Therefore, scheduling resources can also be done on the project calendar template to ensure you have what the team members need when they need it. A project calendar can also make sure everyone on the project team is aware of upcoming meetings, deadlines and milestones .

How to Use This Project Calendar Template

If you download our free project calendar template for Excel, you’ll see it’s been divided into 12 sheets, one for each month. The first sheet has a sample project to give you an idea of how you’d use the project calendar template. Simply merge cells together to show the duration of each task and color-code them to indicate their project phase. This creates a bar that goes from the start date of the task to the end date with the name of the task and any description added to that bar.

Full-size Excel calendar template

The calendar templates shown and explained below, are the large versions that have one tab for each month of the year, and provide a big place for you to fill in your schedule/events.

See below for a breakdown of the different versions that are available in full-size.

There are two different types of the full-size calendar:

Normal Squares version

The normal version of the calendar template has one big square that can be filled in for each day, just like you would expect on an ordinary calendar that you buy from the store.

Note: While typing in a single spreadsheet cell, if you hold the "Ctrl" key and then press "Enter", your cursor will go to a new line within the same cell.

Lined Squares Version

There is also a version of the calendar template that is "Lined", and has 5 rows that can be typed in for each day. This will help you record multiple events/tasks easily, and in a very structured way.

In this section you will find the single sheet version of the Excel calendar template. This template displays an entire year on one single sheet… and contains three tabs / three full years (currently 2023, 2024, and 2025).

These templates are great for showing seasonal trends and color coding specified days/weeks.

Miniature Excel calendar (2023, 2024, & 2025)

Automatic Calendar Templates (Monthly and Yearly)

There are also automatic calendar templates that you can use, so that you can select any year that you want. There is an automatic temp[late for the full-size calendar, as well as the mini-calendar.

When using the automatic templates, start by setting the "Start Date" on the top right of the sheet . This will determine the month that the calendar starts with (January 1st is the default, but you can start your calendar with other months as well if you want).

If you want, you can also set the "End Date". No matter what the end date is, the calendar will always display an entire year of dates… however, the "end date" does control the highlighting / conditional formatting in the calendar. So all of the days that fall within the date range between the start date and the end date, will be highlighted in yellow color, for both the full-size version as well as the mini-calendar.

Yearly automatic mini-calendar

This calendar template will allow you to see an entire year on a single sheet, and will let you set the date range / year. The template will automatically fill in the dates, and it will highlight the dates that fall within the date range that you set.

Full-Size monthly automatic calendar

This calendar template has an entire year, with one month displayed on each tab. You can set the date / range / desired year, and the template will automatically fill in the dates and will also highlight the days that fall within the date range that you specify.

Monthly Calendar list templates (calendar / planner templates)

If you prefer to keep track of you plans / events in the format of a list, then the calendar list template will make the perfect calendar / planner for Excel. Personally I really like this format.

In this template there is one tab for each month, for each entire year. The monthly tabs will show the individual weeks… and the days of the weekend are automatically highlighted.

Each day has its own row that you can easily record your plans / notes for. There is one expanded column to record your notes / plans for each day, and there are additional columns to enter more information & events for each day.

Excel Template-Student Assignment Planner

I am using the "Student Assignment Planner1" template to create a calendar of events. I love the template but would like for the calendar to list the description of the assignment on the calendar instead of just saying "Assignment Due!", but I'm not sure how to accurately look up and return the assignment description.

Here is the formula that I'm looking to update on the "Month View" Worksheet:

=IF(LEN(B6)=0,"",IF(COUNTIF(Assignments[DUE DATE],DATE(MoYear,@MoMonthNum,B6))>0, "Assignment due!" ,""))

I understand you wanted to change the formula, so it shows more details than just showing “ Assignment due!”.
