A research paper can be made stronger through the use of quotations. You may use quotes when you need to cite a key piece of primary source material, strengthen your argument through another writer's work, or highlight a term of art. It is important to both use quotations effectively and cite them properly to write an effective paper and avoid plagiarizing.

Using Different Types of Quotes

Step 1 Understand how to use dropped quotes.

  • Use a complete sentence to incorporate a dropped quote. Ex: As Rembrandt’s skill developed, he began painting landscapes that are “romantic and visionary” (Wallace 96).
  • Use a short phrase to incorporate a dropped quote: Rembrandt’s landscapes are “romantic and visionary” (Wallace 96).

Step 2 Understand how to use full sentence quotes.

  • Use a complete sentence to introduce a full sentence quote. Ex: Over the course of time Rembrandt’s work began to change and focus on different themes, but as Wallace points out: "Rembrandt’s great gift as an etcher lay in preserving a sense of spontaneity while scrupulously attending to close detail” (142).
  • Use a signal phrase to introduce your full sentence quote. Ex: As Wallace states, “Rembrandt’s great gift as an etcher lay in preserving a sense of spontaneity while scrupulously attending to close detail” (142).

Step 3 Understand how to use block quotes.

  • Introduce your block quote with a colon. Ex: According to Wallace: (add a line break here, and then indent the entire quote).
  • Block quotes do not use quotation marks. You have already stated who the author is/what is being referred to in the introduction sentence. Add the in-text parenthetical citation after the period at the end of the quote, though.
  • If your block quote is inside a paragraph, you don’t have to start a new paragraph at the end of it. Simply add another line break and begin writing along the left margin (with no indent). Step 4 Understand how to use indirect quotes.

  • Change the structure of the sentence by moving clauses around. Aim to change at least half of the sentence into a new structure, but also make sure that the grammar is correct and the meaning of the sentence is still clear. You can use a thesaurus to exchange words with synonyms.
  • Paraphrasing should only be done if you are certain that you understand the content you are copying. If you are unclear as to the meaning of the quote, you won’t be able to put it adequately into your own words.
  • When you write your paraphrase, don’t look at the quote. Keep the meaning in your head and create a new sentence to match. [7] X Research source

Step 1 Know where to place commas and periods.

  • To use a comma, you might structure the quote with in sentence like this: “Yogurt provides beneficial bacteria to your gut,” so it is good to include 1 serving per day in your diet.
  • To use a period, you might structure the quote like this: “Carrots are a valuable source of vitamin A.”

Step 2 Know where to place exclamation points and question marks.

  • Example of a quotation that comes with a question mark: Alice said “but where will I go?” (24).
  • Example of asking a question about a quotation: With so much contention, will literary scholars ever agree on “the dream-like quality of Alice’s adventure” (39)?
  • Example of a question about a quoted question: At this point in the story, readers communally ask “but where will I go?” (24).

Step 3 Use ellipses correctly.

  • Ellipses can be used in the center of a quote to leave out words that you feel add unnecessary length to the statement without adding value. For example: As the man stated, “reading the book was...enlightening and life-changing.” This is done rather than: As the man stated, “reading the book over the last few weeks was not only incredibly enjoyable, but also enlightening and life-changing.”
  • Ellipses should be used only before or after a quote, not both. If you are only use a part of a quote from the center of a selection, it is just a partial or dropped quote. However, keep in mind that ellipses rarely come at the beginning of a quotation. [11] X Research source

Step 4 Use brackets correctly.

  • For example: As scholars have noted, “Rembrandt’s portrait of her [Henrickje, his mistress] was both accurate and emotion-filled” (Wallace 49).

Step 5 Use colons and semicolons correctly.

  • Ex: As Dormer has noted, “his work is much more valuable now then [sic] it was at the time of its creation.”

You are contributing to a scholarly conversation with scholars who are experts on your topic with your writing. This is the difference between a scholarly research paper and any other paper: you must include your own voice in your analysis and ideas alongside scholars or experts.

All your sources must relate to your thesis, or central argument, whether they are in agreement or not. It is a good idea to address all sides of the argument or thesis to make your stance stronger. There are two main ways to incorporate sources into your research paper.

Quoting is when you use the exact words from a source. You will need to put quotation marks around the words that are not your own and cite where they came from. For example:

“It wasn’t really a tune, but from the first note the beast’s eyes began to droop . . . Slowly the dog’s growls ceased – it tottered on its paws and fell to its knees, then it slumped to the ground, fast asleep” (Rowling 275).

A summary is similar to paraphrasing, but used in cases where you are trying to give an overview of many ideas. As in paraphrasing, quotation marks are not used, but a citation is still necessary. For example:

Quoting means copying a passage of someone else’s words and crediting the source. To quote a source, you must ensure:

  • The quoted text is enclosed in quotation marks (usually single quotation marks in UK English, though double is acceptable as long as you’re consistent) or formatted as a block quote
  • The original author is correctly cited
  • The text is identical to the original

The exact format of a quote depends on its length and on which citation style you are using. Quoting and citing correctly is essential to avoid plagiarism , which is easy to detect with a good plagiarism checker .

When you include a quote in Harvard style, you must add a Harvard in-text citation giving the author’s last name, the year of publication, and a page number if available. Any full stop or comma appears after the citation, not within the quotation marks.

To cite a direct quote in APA , you must include the author’s last name, the year, and a page number, all separated by commas. If the quote appears on a single page, use ‘p.’; if it spans a page range, use ‘pp.’

An APA in-text citation can be parenthetical or narrative. In a parenthetical citation , you place all the information in parentheses after the quote. In a narrative citation , you name the author in your sentence (followed by the year), and place the page number after the quote.

Punctuation marks such as full stops and commas are placed after the citation, not within the quotation marks.

Make sure you integrate quotes properly into your text by introducing them in your own words, showing the reader why you’re including the quote and providing any context necessary to understand it.  Don’t  present quotations as stand-alone sentences.

There are three main strategies you can use to introduce quotes in a grammatically correct way:

  • Add an introductory sentence
  • Use an introductory signal phrase
  • Integrate the quote into your own sentence

The following examples use APA Style citations, but these strategies can be used in all styles.

Introductory sentence

Introduce the quote with a full sentence ending in a colon . Don’t use a colon if the text before the quote isn’t a full sentence.

If you name the author in your sentence, you may use present-tense verbs, such as “states’, ‘argues’, ‘explains’, ‘writes’, or ‘reports’, to describe the content of the quote.

  • In Denmark, a recent poll shows that: ‘A membership referendum held today would be backed by 55 percent of Danish voters’ (Levring, 2018, p. 3).
  • In Denmark, a recent poll shows that support for the EU has grown since the Brexit vote: ‘A membership referendum held today would be backed by 55 percent of Danish voters’ (Levring, 2018, p. 3).

Introductory signal phrase

You can also use a signal phrase that mentions the author or source but doesn’t form a full sentence. In this case, you follow the phrase with a comma instead of a colon.

  • According to a recent poll, ‘A membership referendum held today would be backed by 55 percent of Danish voters’ (Levring, 2018, p. 3).
  • As Levring (2018) explains, ‘A membership referendum held today would be backed by 55 percent of Danish voters’ (p. 3).

Integrated into your own sentence

To quote a phrase that doesn’t form a full sentence, you can also integrate it as part of your sentence, without any extra punctuation.

  • A recent poll suggests that EU membership ‘would be backed by 55 percent of Danish voters’ in a referendum (Levring, 2018, p. 3).
  • Levring (2018) reports that EU membership ‘would be backed by 55 percent of Danish voters’ in a referendum (p. 3).

When you quote text that itself contains another quote, this is called a nested quotation or a quote within a quote. It may occur, for example, when quoting dialogue from a novel.

To distinguish this quote from the surrounding quote, you enclose it in double (instead of single) quotation marks (even if this involves changing the punctuation from the original text). Make sure to close both sets of quotation marks at the appropriate moments.

Note that if you only quote the nested quotation itself, and not the surrounding text, you can just use single quotation marks.

  • Carraway introduces his narrative by quoting his father: ‘ ‘ Whenever you feel like criticizing anyone, ‘ he told me, ‘ just remember that all the people in this world haven’t had the advantages that you’ve had ‘ ‘ (Fitzgerald 1).
  • Carraway introduces his narrative by quoting his father: ‘”Whenever you feel like criticizing anyone,” he told me, “just remember that all the people in this world haven’t had the advantages that you’ve had “  (Fitzgerald 1).
  • Carraway introduces his narrative by quoting his father: ‘“Whenever you feel like criticizing anyone,” he told me, “just remember that all the people in this world haven’t had the advantages that you’ve had”’ (Fitzgerald 1).
  • Carraway begins by quoting his father’s invocation to ‘remember that all the people in this world haven’t had the advantages that you’ve had’ (Fitzgerald 1).

Note:  When the quoted text in the source comes from another source, it’s best to just find that original source in order to quote it directly. If you can’t find the original source, you can instead cite it indirectly .

Often, incorporating a quote smoothly into your text requires you to make some changes to the original text. It’s fine to do this, as long as you clearly mark the changes you’ve made to the quote.

Shortening a quote

If some parts of a passage are redundant or irrelevant, you can shorten the quote by removing words, phrases, or sentences and replacing them with an ellipsis (…). Put a space before and after the ellipsis.

Be careful that removing the words doesn’t change the meaning. The ellipsis indicates that some text has been removed, but the shortened quote should still accurately represent the author’s point.

Altering a quote

You can add or replace words in a quote when necessary. This might be because the original text doesn’t fit grammatically with your sentence (e.g., it’s in a different tense), or because extra information is needed to clarify the quote’s meaning.

Use brackets to distinguish words that you have added from words that were present in the original text.

The Latin term ‘ sic ‘ is used to indicate a (factual or grammatical) mistake in a quotation. It shows the reader that the mistake is from the quoted material, not a typo of your own.

In some cases, it can be useful to italicise part of a quotation to add emphasis, showing the reader that this is the key part to pay attention to. Use the phrase ’emphasis added’ to show that the italics were not part of the original text.

You usually don’t need to use brackets to indicate minor changes to punctuation or capitalisation made to ensure the quote fits the style of your text.

If you quote more than a few lines from a source, you must format it as a block quote . Instead of using quotation marks, you set the quote on a new line and indent it so that it forms a separate block of text.

Block quotes are cited just like regular quotes, except that if the quote ends with a full stop, the citation appears after the full stop.

To the end of his days Bilbo could never remember how he found himself outside, without a hat, a walking-stick or any money, or anything that he usually took when he went out; leaving his second breakfast half-finished and quite unwashed-up, pushing his keys into Gandalf’s hands, and running as fast as his furry feet could carry him down the lane, past the great Mill, across The Water, and then on for a mile or more. (16)

Avoid relying too heavily on quotes in academic writing . To integrate a source , it’s often best to paraphrase , which means putting the passage into your own words. This helps you integrate information smoothly and keeps your own voice dominant.

However, there are some situations in which quotes are more appropriate.

When focusing on language

If you want to comment on how the author uses language (for example, in literary analysis ), it’s necessary to quote so that the reader can see the exact passage you are referring to.

When giving evidence

To convince the reader of your argument, interpretation or position on a topic, it’s often helpful to include quotes that support your point. Quotes from primary sources (for example, interview transcripts or historical documents) are especially credible as evidence.

When presenting an author’s position or definition

When you’re referring to secondary sources such as scholarly books and journal articles, try to put others’ ideas in your own words when possible.

But if a passage does a great job at expressing, explaining, or defining something, and it would be very difficult to paraphrase without changing the meaning or losing the weakening the idea’s impact, it’s worth quoting directly.

A quote is an exact copy of someone else’s words, usually enclosed in quotation marks and credited to the original author or speaker.

To present information from other sources in academic writing , it’s best to paraphrase in most cases. This shows that you’ve understood the ideas you’re discussing and incorporates them into your text smoothly.

It’s appropriate to quote when:

  • Changing the phrasing would distort the meaning of the original text
  • You want to discuss the author’s language choices (e.g., in literary analysis )
  • You’re presenting a precise definition
  • You’re looking in depth at a specific claim

Every time you quote a source , you must include a correctly formatted in-text citation . This looks slightly different depending on the citation style .

For example, a direct quote in APA is cited like this: ‘This is a quote’ (Streefkerk, 2020, p. 5).

Every in-text citation should also correspond to a full reference at the end of your paper.

In scientific subjects, the information itself is more important than how it was expressed, so quoting should generally be kept to a minimum. In the arts and humanities, however, well-chosen quotes are often essential to a good paper.

In social sciences, it varies. If your research is mainly quantitative , you won’t include many quotes, but if it’s more qualitative , you may need to quote from the data you collected .

As a general guideline, quotes should take up no more than 5–10% of your paper. If in doubt, check with your instructor or supervisor how much quoting is appropriate in your field.

If you’re quoting from a text that paraphrases or summarises other sources and cites them in parentheses , APA  recommends retaining the citations as part of the quote:

  • Smith states that ‘the literature on this topic (Jones, 2015; Sill, 2019; Paulson, 2020) shows no clear consensus’ (Smith, 2019, p. 4).

Footnote or endnote numbers that appear within quoted text should be omitted.

If you want to cite an indirect source (one you’ve only seen quoted in another source), either locate the original source or use the phrase ‘as cited in’ in your citation.

A block quote is a long quote formatted as a separate ‘block’ of text. Instead of using quotation marks , you place the quote on a new line, and indent the entire quote to mark it apart from your own words.

APA uses block quotes for quotes that are 40 words or longer.

The American Psychological Association created the APA citation style in 1929 as a way to help psychologists, anthropologists, and even business managers establish one common way to cite sources and present content.

APA is used when citing sources for academic articles such as journals, and is intended to help readers better comprehend content, and to avoid language bias wherever possible. The APA style (or APA format ) is now in its 7th edition, and provides citation style guides for virtually any type of resource.

Chicago Style Citation Examples

The Chicago/Turabian style of citing sources is generally used when citing sources for humanities papers, and is best known for its requirement that writers place bibliographic citations at the bottom of a page (in Chicago-format footnotes ) or at the end of a paper (endnotes).

The Turabian and Chicago citation styles are almost identical, but the Turabian style is geared towards student published papers such as theses and dissertations, while the Chicago style provides guidelines for all types of publications. This is why you’ll commonly see Chicago style and Turabian style presented together. The Chicago Manual of Style is currently in its 17th edition, and Turabian’s A Manual for Writers of Research Papers, Theses, and Dissertations is in its 8th edition.

6 Interesting Citation Facts

The world of citations may seem cut and dry, but there’s more to them than just specific capitalization rules, MLA in-text citations , and other formatting specifications. Citations have been helping researches document their sources for hundreds of years, and are a great way to learn more about a particular subject area.

Ever wonder what sets all the different styles apart, or how they came to be in the first place? Read on for some interesting facts about citations!

1. There are Over 7,000 Different Citation Styles

You may be familiar with MLA and APA citation styles, but there are actually thousands of citation styles used for all different academic disciplines all across the world. Deciding which one to use can be difficult, so be sure to ask you instructor which one you should be using for your next paper.

2. Some Citation Styles are Named After People

While a majority of citation styles are named for the specific organizations that publish them (i.e. APA is published by the American Psychological Association, and MLA format is named for the Modern Language Association), some are actually named after individuals. The most well-known example of this is perhaps Turabian style, named for Kate L. Turabian, an American educator and writer. She developed this style as a condensed version of the Chicago Manual of Style in order to present a more concise set of rules to students.

3. There are Some Really Specific and Uniquely Named Citation Styles

How specific can citation styles get? The answer is very. For example, the “Flavour and Fragrance Journal” style is based on a bimonthly, peer-reviewed scientific journal published since 1985 by John Wiley & Sons. It publishes original research articles, reviews and special reports on all aspects of flavor and fragrance. Another example is “Nordic Pulp and Paper Research,” a style used by an international scientific magazine covering science and technology for the areas of wood or bio-mass constituents.

They Provide Hard Evidence of Ideas

Having many citations from a wide variety of sources related to their idea means that the student is working on a well-researched and respected subject. Citing sources that back up their claim creates room for fact-checking and further research . And, if they can cite a few sources that have the converse opinion or idea, and then demonstrate to the reader why they believe that that viewpoint is wrong by again citing credible sources, the student is well on their way to winning over the reader and cementing their point of view.

They Promote Originality and Prevent Plagiarism

The point of research projects is not to regurgitate information that can already be found elsewhere. We have Google for that! What the student’s project should aim to do is promote an original idea or a spin on an existing idea, and use reliable sources to promote that idea. Copying or directly referencing a source without proper citation can lead to not only a poor grade, but accusations of academic dishonesty. By citing their sources regularly and accurately, students can easily avoid the trap of plagiarism , and promote further research on their topic.

They Create Better Researchers

By researching sources to back up and promote their ideas, students are becoming better researchers without even knowing it! Each time a new source is read or researched, the student is becoming more engaged with the project and is developing a deeper understanding of the subject area. Proper citations demonstrate a breadth of the student’s reading and dedication to the project itself. By creating citations, students are compelled to make connections between their sources and discern research patterns. Each time they complete this process, they are helping themselves become better researchers and writers overall.

When is the Right Time to Start Making Citations?

Make in-text/parenthetical citations as you need them.

As you are writing your paper, be sure to include references within the text that correspond with references in a works cited or bibliography. These are usually called in-text citations or parenthetical citations in MLA and APA formats. The most effective time to complete these is directly after you have made your reference to another source. For instance, after writing the line from Charles Dickens’ A Tale of Two Cities : “It was the best of times, it was the worst of times…,” you would include a citation like this (depending on your chosen citation style):

(Dickens 11).

This signals to the reader that you have referenced an outside source. What’s great about this system is that the in-text citations serve as a natural list for all of the citations you have made in your paper, which will make completing the works cited page a whole lot easier. After you are done writing, all that will be left for you to do is scan your paper for these references, and then build a works cited page that includes a citation for each one.

2. Understand the General Formatting Rules of Your Citation Style Before You Start Writing

While reading up on paper formatting may not sound exciting, being aware of how your paper should look early on in the paper writing process is super important. Citation styles can dictate more than just the appearance of the citations themselves, but rather can impact the layout of your paper as a whole, with specific guidelines concerning margin width, title treatment, and even font size and spacing. Knowing how to organize your paper before you start writing will ensure that you do not receive a low grade for something as trivial as forgetting a hanging indent.

3. Double-check All of Your Outside Sources for Relevance and Trustworthiness First

Collecting outside sources that support your research and specific topic is a critical step in writing an effective paper. But before you run to the library and grab the first 20 books you can lay your hands on, keep in mind that selecting a source to include in your paper should not be taken lightly. Before you proceed with using it to backup your ideas, run a quick Internet search for it and see if other scholars in your field have written about it as well. Check to see if there are book reviews about it or peer accolades. If you spot something that seems off to you, you may want to consider leaving it out of your work. Doing this before your start making citations can save you a ton of time in the long run.

When you directly quote the works of others in your paper, you will format quotations differently depending on their length. Below are some basic guidelines for incorporating quotations into your paper. Please note that all pages in MLA should be double-spaced .

Short quotations

To indicate short quotations (four typed lines or fewer of prose or three lines of verse) in your text, enclose the quotation within double quotation marks. Provide the author and specific page number (in the case of verse, provide line numbers) in the in-text citation, and include a complete reference on the Works Cited page. Punctuation marks such as periods, commas, and semicolons should appear after the parenthetical citation.

Question marks and exclamation points should appear within the quotation marks if they are a part of the quoted passage, but after the parenthetical citation if they are a part of your text.

For example, when quoting short passages of prose, use the following examples:

When using short (fewer than three lines of verse) quotations from poetry, mark breaks in verse with a slash, ( / ), at the end of each line of verse (a space should precede and follow the slash). If a stanza break occurs during the quotation, use a double slash ( // ).

Long quotations

For quotations that are more than four lines of prose or three lines of verse, place quotations in a free-standing block of text and omit quotation marks. Start the quotation on a new line, with the entire quote indented 1/2   inch  from the left margin while maintaining double-spacing. Your parenthetical citation should come  after the closing punctuation mark . When quoting verse, maintain original line breaks. (You should maintain double-spacing throughout your essay.)

For example, when citing more than four lines of prose, use the following examples :

Nelly Dean treats Heathcliff poorly and dehumanizes him throughout her narration: They entirely refused to have it in bed with them, or even in their room, and I had no more sense, so, I put it on the landing of the stairs, hoping it would be gone on the morrow. By chance, or else attracted by hearing his voice, it crept to Mr. Earnshaw's door, and there he found it on quitting his chamber. Inquiries were made as to how it got there; I was obliged to confess, and in recompense for my cowardice and inhumanity was sent out of the house. (Bronte 78)

When citing long sections of poetry (four lines of verse or more), keep formatting as close to the original as possible.

In his poem "My Papa's Waltz," Theodore Roethke explores his childhood with his father:

The whiskey on your breath Could make a small boy dizzy; But I hung on like death: Such waltzing was not easy. We Romped until the pans Slid from the kitchen shelf; My mother's countenance Could not unfrown itself. (qtd. in Shrodes, Finestone, Shugrue 202)

When citing two or more paragraphs, use block quotation format, even if the passage from the paragraphs is less than four lines. If you cite more than one paragraph, the first line of the second paragraph should be indented an extra 1/4 inch to denote a new paragraph:

In "American Origins of the Writing-across-the-Curriculum Movement," David Russell argues,

Writing has been an issue in American secondary and higher education since papers and examinations came into wide use in the 1870s, eventually driving out formal recitation and oral examination. . . .

From its birth in the late nineteenth century, progressive education has wrestled with the conflict within industrial society between pressure to increase specialization of knowledge and of professional work (upholding disciplinary standards) and pressure to integrate more fully an ever-widening number of citizens into intellectually meaningful activity within mass society (promoting social equity). . . . (3)

Adding or omitting words in quotations

If you add a word or words in a quotation, you should put brackets around the words to indicate that they are not part of the original text:

If you omit a word or words from a quotation, you should indicate the deleted word or words by using ellipses, which are three periods ( . . . ) preceded and followed by a space. For example:

Please note that brackets are not needed around ellipses unless they would add clarity.

When omitting words from poetry quotations, use a standard three-period ellipses; however, when omitting one or more full lines of poetry, space several periods to about the length of a complete line in the poem:

APA follows an author and date of publication model for citing sources in your research paper and are presented as either narrative or parenthetical citations.  The formatting does not vary due to format type, however it may deviate from the norm due to factors such as: number of authors, organization instead of individual author, lack of author, or lack of date.  By providing the standard author and date within your paper, the reader will be able to link the information presented easily to the full citation provided in the reference list.

APA encourages paraphrasing over using direct quotes.  Use direct quotes when:

  • Reproducing an exact definition
  • Author has said something memorably or succinctly
  • When you want to respond to exact wording

When creating a citation for a direct quote, provide author, year and page number for both narrative and parenthetical citations.

Ex.  University of Southern California (2020) "direct quote from author" (p. 4)  OR  "direct quote from author" (University of Southern California, 2020, p. 4).

How to cite specific parts of a source:

Author named in text:

Social historian Richard Sennett (1980) names the tendency to come to terms with difficult experiences a "purification process" whereby "threatening or painful dissonances are warded off to preserve intact a clear and articulated image of oneself and one's place in the world" (p. 11).

Author named in parentheses:

One work, multiple authors

When a work has two authors, always cite both authors' names in your text:

        Significant findings in a study of Los Angeles (McCroskey & O'Keefe, 2000)

When a citation has 3 or more authors, include the last name of the first author, followed by et al. (not italicized), and the year.

        (Nishimoto et al., 1998)

For narrative citations, use the word "and" to separate authors, for parenthetical citations, use an ampersand:

         McCroskey and O'Keefe (2000) studied Los Angeles...          (McCroskey & O'Keefe, 2000)

Groups as authors

First narrative citation: National Association of Social Workers (NASW, 1987)

Subsequent narrative citation: NASW (1987)

First text citation: (National Association of Social Workers [NASW], 1987)

Works with no authors

Cite the work in your text using the first few words of the reference list entry (usually the title). Put double quotation marks around the title of an article or chapter, and italicize the title of a periodical, book, brochure or report:

The policy stated in the article (“Services for Disabled Children,” 1992)

The policy stated in the book Access to Services for Children (1995)

Specific parts of a source

Indicate the page, chapter, figure, table, or equation at the appropriate point in your text. Give page numbers for quotations, and use the abbreviations for the words page and chapter:

(Aranda & Knight, 1997, p. 344)

(Ell & Castaneda, 1998, chap. 5)

Personal communications

This format applies to emails, messages from nonarchived discussion groups, electronic bulletin boards, personal interviews, telephone conversations, etc. Do not list personal communications in your reference list as they are not recoverable by your reader. In your text, provide initials and surname of communicator and as exact a date as possible.

Sometimes you'll have multiple works by the same author in the same year. For instance, you may reference a number of tax documents from the same year, which would all be cited with (Internal Revenue Service, 2012).  So how do you differentiate?

In those instances, differentiate sources with a letter after the year. From the example above, the 990 form might be (Internal Revenue Service, 2012a) and the 1040 form would be (Internal Revenue Service, 2012b).  Just make sure the letters stay consistent in your reference list!

Sometimes, you will use a source that you didn't yourself read.  In those cases, the original source came from a secondary source you did read.  APA states that you should use secondary sources sparingly and may occur when "the original work is out of print, unavailable, or available only in a language that you do not understand."

When using secondary sources, indicate it by included "as cited in" as part of your in-text citation

What is a Citation?

A citation identifies for the reader the original source for an idea, information, or image that is referred to in a work.

  • In the body of a paper, the  in-text citation  acknowledges the source of information used.
  • At the end of a paper, the citations are compiled on a  References  or  Works Cited  list. A basic citation includes the author, title, and publication information of the source.

Why Should You Cite?

Quoting Are you quoting two or more consecutive words from a source? Then the original source should be cited and the words or phrase placed in quotes. 

Paraphrasing If an idea or information comes from another source,  even if you put it in your own words , you still need to credit the source.  General vs. Unfamiliar Knowledge You do not need to cite material which is accepted common knowledge. If in doubt whether your information is common knowledge or not, cite it. Formats We usually think of books and articles. However, if you use material from web sites, films, music, graphs, tables, etc. you'll also need to cite these as well.

Plagiarism is presenting the words or ideas of someone else as your own without proper acknowledgment of the source. When you work on a research paper and use supporting material from works by others, it's okay to quote people and use their ideas, but you do need to correctly credit them. Even when you summarize or paraphrase information found in books, articles, or Web pages, you must acknowledge the original author.

Do your best to avoid google stitching!

What is google stitching you ask? It is something your instructors all know about (and don’t really like). It is copying half of one sentence and pasting it with half of another sentence. Instead, in academic writing, you should try to quote, paraphrase, or summarize (from University of Connecticut). We recommend checking out our Academic Integrity Canvas page if you want to know more.

What about EasyBib? ‘Cause I love EasyBib! 

Tools like EasyBib are good but the UMN Libraries online databases (or tools like Google Scholar) will do it for you (#EvenEasier). After you find a source, look for quotes or a link that says “cite.” Here are a couple of screenshot examples:

Best Practices for Reusing Work

  • During your studies at Walden, you may write on the same topic for a second, third, or fourth time; regardless, your writing should reflect new approaches and insights into that topic to demonstrate intellectual growth.
  • Your writing submitted for previous Walden courses will show up in the Turnitin Similarity Report when reused. Walden Students’ Use of Their Own Scholarly Work

  • Students may reuse their work without an expectation that previously awarded grades or credit will attach to the new assignment. Any work previously published by the student must be appropriately cited if reused. 
  • Field Experience Exception: Any assignments or documentation submitted related to field experience (work, hours, client or patient logs, etc) must be new, current, accurate, and relate to clients or patients seen during the term and in direct reference to the assignment.

How to Cite Your Unpublished Work

Although not required in the policy above, in rare instances, you may need to or want to cite your unpublished Walden coursework.

If you cite or quote your previous work, treat yourself as the author and your own written document as the source. For example, if Marie Briggs wanted to cite a paper she wrote at Walden in 2022, her citation might look like this:

Briggs (2022) asserted that previous literature on the psychology of tightrope walkers was faulty in that it "presumed that risk-taking behaviors align neatly with certain personality traits or disorders" (p. 4).

And in the reference list:

Briggs, M. (2022). An analysis of personality theory [Unpublished manuscript]. Walden University.

How To Quote Sources In Research Papers The idea behind using the exact words of another person or other people in academic or scientific writing is that those words contribute to your argument. They may support or contradict your methods, results or conclusions; they may be selected from a text or texts that you analyse in detail; they may be exemplary, pithy or perfect expressions of ideas you introduce and discuss. Whatever your reasons for quoting the words of others in your own writing are, you need to quote them with the utmost accurately and observe with precision and consistency the appropriate scholarly techniques for quoting sources.

Accuracy while quoting the words of another author or speaker is a matter of care and attention when initially adding the information to your own writing and again when checking it against the original, which should be done more than once with more than one set of eyes if possible. Errors creep into quoted material with alarming frequency, so it is wise never to assume that quotations are correct. If you make errors, you are not only compromising your work, but also misrepresenting the author you are quoting. Whether you agree or not with what he or she wrote or said is irrelevant, but recording quotations inaccurately and arguing your case on the basis of erroneous information is unethical and unprofessional and it can certainly undermine the very argument you intend to support.

Whenever material is directly quoted from a source, the text must be formatted in such a way that it is clear to the reader exactly which words are borrowed. When quotations are short and embedded in your main text, they should appear in the font size you are using for your own prose and must be enclosed in quotation marks. Single (‘’) or double (“”) quotation marks will work, with the guidelines you are following or your personal preference the determining factor, but the same type must be used for every direct quotation. The other type can then be used for any quotations that appear within quoted material – double marks within single ones and single within double – and these, too, must be used consistently in every relevant instance.

Longer prose quotations or quotations from poetry are usually set off as block quotations, generally with indentation, at least on the left margin, and often in a slighter smaller font than the main text of a document. In such cases, no quotation marks are necessary because the block format indicates which words are borrowed. Whether you are using quotation marks or block quotation, remember that italic font is not a correct format for indicating quoted material in academic and scientific writing in the English language. Italics should therefore only be used when and where the author you are quoting used them or when you wish to emphasise certain words within a quotation, in which case the italics should be acknowledged as added by the quoting author.

Finally, every quotation should be accompanied by a reference to the source, usually in the style indicated by the author instructions of the anticipated publisher. Whether that reference is parenthetical, numerical or included in a footnote or endnote, a page number indicating exactly where the reader can find the quotation should be included.

Looking for a book, article, database or something else for your research, what is plagiarism.

Plagiarism is defined as "a piece of writing that has been copied from someone else and is presented as being your own work" or "taking someone's words or ideas as if they were your own"  [ 1 ]

Plagiarism is a serious issue in the academic community. While plagiarism sometimes does occur intentionally, it also occurs because the writer doesn’t understand or does not know how to avoid it. Plagiarism occurs when you use someone else’s ideas and PRETEND they are your own. Avoiding plagiarism doesn’t mean that you can never use other people’s ideas. It’s a widely known secret that in fact you CAN use other peoples’ ideas and even their words. For many research papers you NEED to do this in order to prove your own points. So use their ideas! Use their words! Professors expect to see in your writing that you’ve done your research and understand what the experts think when you formed your own opinions. The trick is to acknowledge who these expert ideas really belong to by CITING them!

So let’s assume you don’t want to plagiarize, you’ve given yourself enough time to do it right, but you’re still not sure about “putting things in your own words,” judging when to cite work, or how to cite it. Read on for more information and examples.

Why acknowledge sources?

Doing research for a paper is an exploration and learning process. By acknowledging our sources we show our reader the path we took to come to our conclusions. Citing the authors we read shows how we tied others’ research and ideas together and how we came to learn about and develop our own ideas and opinions.

Why should you cite your sources?

1. Citations reflect the careful and thorough work you have put into locating and exploring your sources.

2. Citations help readers understand the context of your argument and are a courtesy to the reader, who may share your interest in a particular area of study.

3. Citations allow you to acknowledge those authors who contributed to your learning and your work.

4. Citations, by illustrating your own learning process, also draw attention to the originality and legitimacy of your own ideas.

5. By citing sources you demonstrate your integrity and skill as a responsible student and participant in your field of study.  [2]

When to cite sources

While professors and scholars may have specific requirements based on the needs of their discipline, there are cases where you should  always  cite your sources.

1. Direct quotes of more than one word.  If the author’s words are powerful or you need to be specific for your argument, the authors’ words can be used as a direct quote.

2. Paraphrasing or summarizing.  If you want to use someone else’s idea to help you make your point or to support your own ideas, in this case you would “translate” the ideas into your own words.

3. Information which may be common knowledge  but still unfamiliar to your reader. This would also include statistical information which may be familiar information but still requires confirmation.

4. Not just books or articles  should be cited. Any source that you use for information can and should be cited including interviews, websites, TV programs, etc.

5. Whenever you are not sure  if something should be cited, err on the side of caution and cite sources.

Let’s look at some examples…

Direct quotes

How much you quote will determine how it appears in the body of your paper but whether it is one word or an entire paragraph, direct quotes need to be cited.

Lappe’s explanation of a "thin democracy"  [3]  addresses a number of basic flaws within our American society.

Global warming is being recognized as a major issue throughout the world and as Al Gore instructs, "it is time to make peace with our planet."  [4]

Paraphrasing or Summarizing

This involves translating what you have read (or heard) and putting it into your own words. Paraphrasing typically refers to putting an idea or passage into your own words. Summarizing involves capturing the main idea or reducing a detailed piece to a shorter and more general synopsis.

Here's an example:

"Instructors usually allow students to find their own topics for a major writing assignment; thus choose something of interest to you so you won’t get bored after a few days. At the same time, your chosen topic will need a scholarly perspective." [5]

Paraphrase : When students are permitted to select their own topic to write about they should choose one that is interesting to them. The topic should also be scholarly in nature so that students will be able to find appropriate research and resources on the topic.  [5]

Summary : Students should select writing topics that are interesting and also lend themselves to academic research.  [5]

A summary generally addresses the overall theme of a passage, article, opinion, etc. while a paraphrase generally restates a more specific thought or idea. The difference between summarizing and paraphrasing is sometimes obvious and sometimes subtle — do you see the difference?

Common Knowledge? Or Not?

Some basic facts are common knowledge and easily confirmed from a variety of sources. Statistics should always be cited, as well as opinions and less familiar facts. Information that is considered well-known within your field of study will also help determine if it is considered common or not. However, if you are not sure, cite it!

This is common knowledge and easily confirmed in a multitude of sources.

The State University of New York was officially established in February of 1948 and currently consists of 64 institutions. The University at Albany is one of ten University Centers that are part of the SUNY system.  [6]

While the SUNY system is well known and these facts are easily confirmed, specific historical information or statistics should be cited.

How to cite?

We’ve talked about plagiarism as well as why and when to cite. The next question is "How?"

There are  two things you need to know  from your professor.

The FIRST is how you will reference your sources within your paper. Generally you will use one of the following options:

  • IN TEXT  citation is when your source author is included within the body of your paper. This acts as a reference to your 'Works Cited' page.
  • END NOTES  format is used in this document. The cited idea or quote is noted with a number and the source is listed at the end of the paper.
  • FOOT NOTES  format is similar to end notes however the citations are listed at the bottom of each page.

The SECOND thing you need to know is what Format and Style Guide to use. There are very specific rules about how to do this that are not included in this document. Your professor will tell you which s/he wants you to follow. The choices will typically be one of the following:

  • MLA  Format and Style Guide (Modern Language Association)
  • APA  Format and Style Guide (American Psychological Association)
  • CHICAGO  Manual of Style

Please visit the University Libraries' Citation Basics research guide  for information and instructions on these style guides. Once you know what your professor wants you will need to follow the rules of that format accordingly.

Students Are Likely Writing Millions of Papers With AI

Students have submitted more than 22 million papers that may have used generative AI in the past year, new data released by plagiarism detection company Turnitin shows.

A year ago, Turnitin rolled out an AI writing detection tool that was trained on its trove of papers written by students as well as other AI-generated texts. Since then, more than 200 million papers have been reviewed by the detector, predominantly written by high school and college students. Turnitin found that 11 percent may contain AI-written language in 20 percent of its content, with 3 percent of the total papers reviewed getting flagged for having 80 percent or more AI writing. (Turnitin is owned by Advance, which also owns Condé Nast, publisher of WIRED.) Turnitin says its detector has a false positive rate of less than 1 percent when analyzing full documents.

ChatGPT’s launch was met with knee-jerk fears that the English class essay would die . The chatbot can synthesize information and distill it near-instantly—but that doesn’t mean it always gets it right. Generative AI has been known to hallucinate , creating its own facts and citing academic references that don’t actually exist. Generative AI chatbots have also been caught spitting out biased text on gender and race . Despite those flaws, students have used chatbots for research, organizing ideas, and as a ghostwriter . Traces of chatbots have even been found in peer-reviewed, published academic writing .

Teachers understandably want to hold students accountable for using generative AI without permission or disclosure. But that requires a reliable way to prove AI was used in a given assignment. Instructors have tried at times to find their own solutions to detecting AI in writing, using messy, untested methods to enforce rules , and distressing students. Further complicating the issue, some teachers are even using generative AI in their grading processes.

Detecting the use of gen AI is tricky. It’s not as easy as flagging plagiarism, because generated text is still original text. Plus, there’s nuance to how students use gen AI; some may ask chatbots to write their papers for them in large chunks or in full, while others may use the tools as an aid or a brainstorm partner.

Students also aren't tempted by only ChatGPT and similar large language models. So-called word spinners are another type of AI software that rewrites text, and may make it less obvious to a teacher that work was plagiarized or generated by AI. Turnitin’s AI detector has also been updated to detect word spinners, says Annie Chechitelli, the company’s chief product officer. It can also flag work that was rewritten by services like spell checker Grammarly, which now has its own generative AI tool . As familiar software increasingly adds generative AI components, what students can and can’t use becomes more muddled.

Detection tools themselves have a risk of bias. English language learners may be more likely to set them off; a 2023 study found a 61.3 percent false positive rate when evaluating Test of English as a Foreign Language (TOEFL) exams with seven different AI detectors. The study did not examine Turnitin’s version. The company says it has trained its detector on writing from English language learners as well as native English speakers. A study published in October found that Turnitin was among the most accurate of 16 AI language detectors in a test that had the tool examine undergraduate papers and AI-generated papers.

Schools that use Turnitin had access to the AI detection software for a free pilot period, which ended at the start of this year. Chechitelli says a majority of the service’s clients have opted to purchase the AI detection. But the risks of false positives and bias against English learners have led some universities to ditch the tools for now. Montclair State University in New Jersey announced in November that it would pause use of Turnitin’s AI detector. Vanderbilt University and Northwestern University did the same last summer.

“This is hard. I understand why people want a tool,” says Emily Isaacs, executive director of the Office of Faculty Excellence at Montclair State. But Isaacs says the university is concerned about potentially biased results from AI detectors, as well as the fact that the tools can’t provide confirmation the way they can with plagiarism. Plus, Montclair State doesn’t want to put a blanket ban on AI, which will have some place in academia. With time and more trust in the tools, the policies could change. “It’s not a forever decision, it’s a now decision,” Isaacs says.

Chechitelli says the Turnitin tool shouldn’t be the only consideration in passing or failing a student. Instead, it’s a chance for teachers to start conversations with students that touch on all of the nuance in using generative AI. “People don’t really know where that line should be,” she says.

Paraphrasing means putting someone else’s ideas into your own words. Paraphrasing a source involves changing the wording while preserving the original meaning.

Paraphrasing is an alternative to  quoting (copying someone’s exact words and putting them in quotation marks ). In academic writing, it’s usually better to integrate sources by paraphrasing instead of quoting. It shows that you have understood the source, reads more smoothly, and keeps your own voice front and center.

Every time you paraphrase, it’s important to cite the source . Also take care not to use wording that is too similar to the original. Otherwise, you could be at risk of committing plagiarism .

Putting an idea into your own words can be easier said than done. Let’s say you want to paraphrase the text below, about population decline in a particular species of sea snails.

Incorrect paraphrasing

You might make a first attempt to paraphrase it by swapping out a few words for  synonyms .

Like other sea creatures inhabiting the vicinity of highly populated coasts, horse conchs have lost substantial territory to advancement and contamination , including preferred breeding grounds along mud flats and seagrass beds. Their Gulf home is also heating up due to global warming , which scientists think further puts pressure on the creatures , predicated upon the harmful effects extra warmth has on other large mollusks (Barnett, 2022).

This attempt at paraphrasing doesn’t change the sentence structure or order of information, only some of the word choices. And the synonyms chosen are poor:

  • “Advancement and contamination” doesn’t really convey the same meaning as “development and pollution.”
  • Sometimes the changes make the tone less academic: “home” for “habitat” and “sea creatures” for “marine animals.”
  • Adding phrases like “inhabiting the vicinity of” and “puts pressure on” makes the text needlessly long-winded.
  • Global warming is related to climate change, but they don’t mean exactly the same thing.

Because of this, the text reads awkwardly, is longer than it needs to be, and remains too close to the original phrasing. This means you risk being accused of plagiarism .

Correct paraphrasing

Let’s look at a more effective way of paraphrasing the same text.

Here, we’ve:

  • Only included the information that’s relevant to our argument (note that the paraphrase is shorter than the original)
  • Introduced the information with the signal phrase “Scientists believe that …”
  • Retained key terms like “development and pollution,” since changing them could alter the meaning
  • Structured sentences in our own way instead of copying the structure of the original
  • Started from a different point, presenting information in a different order

Because of this, we’re able to clearly convey the relevant information from the source without sticking too close to the original phrasing.

Once you have your perfectly paraphrased text, you need to ensure you credit the original author. You’ll always paraphrase sources in the same way, but you’ll have to use a different type of in-text citation depending on what citation style you follow.

It’s a good idea to paraphrase instead of quoting in most cases because:

  • Paraphrasing shows that you fully understand the meaning of a text
  • Your own voice remains dominant throughout your paper
  • Quotes reduce the readability of your text

But that doesn’t mean you should never quote. Quotes are appropriate when:

  • Giving a precise definition
  • Saying something about the author’s language or style (e.g., in a literary analysis paper)
  • Providing evidence in support of an argument
  • Critiquing or analyzing a specific claim

A paraphrase puts a specific passage into your own words. It’s typically a similar length to the original text, or slightly shorter.

When you boil a longer piece of writing down to the key points, so that the result is a lot shorter than the original, this is called summarizing .

Paraphrasing and quoting are important tools for presenting specific information from sources. But if the information you want to include is more general (e.g., the overarching argument of a whole article), summarizing is more appropriate.

When paraphrasing, you have to be careful to avoid accidental plagiarism .

This can happen if the paraphrase is too similar to the original quote, with phrases or whole sentences that are identical (and should therefore be in quotation marks). It can also happen if you fail to properly cite the source.

Paraphrasing tools are widely used by students, and can be especially useful for non-native speakers who may find academic writing particularly challenging. While these can be helpful for a bit of extra inspiration, use these tools sparingly, keeping academic integrity in mind.

To make sure you’ve properly paraphrased and cited all your sources, you could elect to run a plagiarism check before submitting your paper. And of course, always be sure to read your source material yourself and take the first stab at paraphrasing on your own.

To paraphrase effectively, don’t just take the original sentence and swap out some of the words for synonyms. Instead, try:

  • Reformulating the sentence (e.g., change active to passive , or start from a different point)
  • Combining information from multiple sentences into one
  • Leaving out information from the original that isn’t relevant to your point
  • Using synonyms where they don’t distort the meaning

The main point is to ensure you don’t just copy the structure of the original text, but instead reformulate the idea in your own words.

Paraphrasing without crediting the original author is a form of plagiarism , because you’re presenting someone else’s ideas as if they were your own.

However, paraphrasing is not plagiarism if you correctly cite the source . This means including an in-text citation and a full reference, formatted according to your required citation style .

Plagiarism means using someone else’s words or ideas and passing them off as your own. Paraphrasing means putting someone else’s ideas in your own words.

So when does paraphrasing count as plagiarism?

  • Paraphrasing is plagiarism if you don’t properly credit the original author.
  • Paraphrasing is plagiarism if your text is too close to the original wording (even if you cite the source). If you directly copy a sentence or phrase, you should quote it instead.
  • Paraphrasing  is not plagiarism if you put the author’s ideas completely in your own words and properly cite the source .
