Quotations have the power to elevate your written work when used correctly. But in order to use a quote properly, you must give full credit to the original source.

Before you can learn how to properly include quoted material, you need to have a firm understanding of what a quotation is, the purpose for using one, and the difference between quoting and paraphrasing.

What is a quotation in writing?

Quotations serve multiple purposes in writing. Students and professionals alike can benefit from using quotations in their work. Whether you’re writing a research paper or a blog article, you’ll likely find yourself needing to use them at some point. Quoting can add perspective, validation, and evidence to your piece.

What do you mean by quoting?

Quoting is a technique that allows you to include an original passage from a source in your work as a direct quote. You do this by framing or surrounding the quote in quotation marks like this, “This is an example of a sentence framed by quotation marks.” 

However, you can’t just add quotation marks and call it a day. You also need proper attribution for your source. 

Keep in mind that there is a difference between direct quoting and indirect quoting. With direct quoting, you include the source’s exact words framed within quotation marks. 

With indirect quoting, you can paraphrase what the person or text said in your own words instead of copying it verbatim. Indirect quoting, also known as indirect speech or discourse, is mostly used to summarize what someone said in a talk or interview. Indirect quotations are never placed within quotation marks.

How do you properly quote? 

To properly quote someone, you’ll need to follow some general quoting rules along with properly citing your source using your preferred MLA, APA, or Chicago style guide. 

For example, many people incorrectly use punctuation with quotation marks. Do you know whether or not to include punctuation inside the quotation marks?

Here’s how to handle punctuation marks with quotes, as well as a few more rules to consider when including quotations in your work:

Punctuation

As a good rule of thumb, periods and commas should go inside quotation marks. On the other hand, colons, semicolons, and dashes go outside of the quotation marks. 

However, exclamation points and question marks aren’t set in stone. While these tend to go on the inside of quotation marks, in some instances, you might place them outside of the marks. 

Here are a few examples to illustrate how this would work in practice:

“ You should keep commas inside the quotation marks, ” he explained.

She wanted to help, so she said, “ I’m happy to explain it ” ; they needed a thorough explanation, and she loved to teach her students.

It gets a little trickier with exclamation marks and question marks when quoting. These can be either inside the quotation marks or outside of them, depending on the situation. Keep question and exclamation marks inside the quotations if they apply to the quoted passage. If they apply to your sentence instead of the quote, you’ll want to keep them outside. Here’s an example:

He asked the students, “ Do you know how to use quotation marks? ”

Did the students hear the teacher when he said, “ I will show you how to use quotation marks ”?

Closing quotations

Once you start using a quotation mark, you have to close it. This means that you can’t leave a quote open like the example below because the reader wouldn’t know when the quote is over.

Capitalization

The rule of capitalization changes depending on the context. 

For example, if you quote a complete sentence, then you should capitalize the first word in the sentence. However, if you are quoting a piece of a sentence or phrase, then you wouldn’t need to start with capitalization, like this:

She said, “ Here’s an example of a sentence that should start with a capital letter. ”

He said it was “ a good example of a sentence where capitalization isn’t necessary. ”

Sometimes, you’ll want to split a quote. You don’t need to capitalize the second half of the quote that’s divided by a parenthetical. Here’s an example to show you what that would look like:

“ Here is an example of a quote, ” she told her students, “ that doesn’t need capitalization in the second part . ”

What is the purpose of quoting? 

As stated above, quotations can serve multiple purposes in a written piece. Quotes can signify direct passages or titles of works. Here are a few of the reasons to include a quote within your written work:

To establish credibility with the words of an authority on the topic. To share a particularly powerful, meaningful, elegant, or memorable message. To expand on the point or analyze it further. To argue the position of the source material.

These intentions can apply whether you’ve interviewed your source or are taking a quote from an existing, published piece. 

However, before you use a quote, you’ll want to understand how it can strengthen your work and when you should use one. We’ll discuss when you should use quotes and how to properly cite them using different style guides in the next section.

When you should use quotes

Quotations should be used strategically, no matter what type of writing you’re doing. For instance, if you’re a professional copywriter crafting a white paper or a student writing a research paper, you’ll likely want to include as much proof as possible in your work. However, stuffing your paper with a ton of quotations can do more harm than good because the piece needs to represent your ideas and interpretations of the source, not just good quotes.

That being said, quoting reputable sources in your work is an excellent way to prove your points and add credibility to the piece. Use quotations in your work when you want to share accurate ideas and passages from source materials.

You should also use quotes when you want to add emphasis to a source on the topic you’re covering. 

For example, if you’re writing a research paper, then it would be beneficial to add quotes from a professor involved in the study you’re referring to in your piece.

How to cite a quote in MLA, APA, and Chicago 

MLA, APA, and Chicago are three of the most common citation styles. It’s a standardized way of crediting the sources that you quote. Depending on your assignment, you may need to use a specific one when citing your sources.

This section shares how to cite your quotes in these three popular citation styles, along with several examples of each.

Modern Language Association (MLA) is most often associated with academics in English or philosophic fields. With this style of citation, you’ll need to include quotes word-for-word. It’s fine to use only phrases or pieces from a specific quote, but you’ll need to keep the spelling and punctuation the same.

Here are some other criteria to keep in mind when citing using MLA style:

• If the quote goes longer than four lines, you must use a blockquote. Do not indent at the start of the quote block.

• Start quotes on the next line, ½ inch from the left margin of the paper.

• Quotes must be double spaced like the rest of the paper.

• Only use quotations when quotation marks are a part of the source.

• Include in-text citations next to the blockquote.

• If a blockquote is longer than a paragraph, you must start the next paragraph with the same indent.

• Don’t include a number in the parenthetical quotation if the source doesn’t use page numbers.

Here’s an example of a short, direct quote with MLA using a website resource without page numbers:

She always wanted to be a writer. “ I knew from a young age that I wanted to write a novel . ” (Smith)

And an example of a blockquote from page 2 of the source:

John Doe shares his experience getting his book published in the prologue:

I never expected so many people to be willing to help me publish this book. I had a lot of support along the way. My friends and colleagues always encouraged me to keep going. Some helped me edit, and others reminded me why I started in the first place. One of my good friends even brought me dinner when she knew I was going to be working late. (2)

With MLA, the reader can reference the full sources at the end in the Work Cited section. For this example, it could look like this:

Works Cited

Smith, J. (2021). Example Blog Post. Retrieved 2021, from www.example.com

Doe, J. (2021). Book Title One (1st ed., Vol. 1). Example, TX: Example Publishing.

American Psychological Association (APA) is used often in psychology, education, and criminal justice fields. It often requires a cover page and abstract.

Here are a few points to consider when using APA style to cite your sources:

• Citation pages should be double spaced.

• All citations in a paper must have a full reference in the reference list.

• All references must have a hanging indent.

• Sources must be listed in alphabetical order, typically by the last name.

Using the same source examples as we did with MLA above, here is how they would be cited in APA:

Chicago Manual of Style (CMS) is commonly used in history and humanities fields. It was created to help researchers. Here are a few points to keep in mind for Chicago Style:

• There are 2 types of referencing styles:

    → Notes and Bibliography

    → Author-Date

• The list of bibliography must be single-spaced.

• The text should be double spaced, except for block quotations, tables, notes, and bibliographies.

• The second line should be indented for sources.

•Author last names must be arranged alphabetically.

Here’s how the same example sources used above would be cited using Chicago style:

Types of quotes and examples

There are two main types of quotes: direct and indirect.

Whenever you want to use someone’s statement word-for-word in your text, you’ll need to include properly cited, direct quotations. However, if you want to paraphrase someone’s words then indirect quotes could be more appropriate.

For example, say that you’re writing a press release for a company. You could interview different people within the company’s staff and paraphrase their quotes. This is particularly useful if the direct quote wouldn’t work well within your piece. For instance, you could change this direct quote example into an indirect quote that would more succinctly represent the speech:

Direct quote:

“I just found out we’ll be publishing some new textbooks on quotations. That’s so exciting because we’ve wanted to do that for a while now. I really can’t wait. It’s great news for the company, and I’m looking forward to it,” said Becky.

Indirect quote:

Becky says she’s excited about the company’s new opportunity to publish textbooks on quotations.

Keep in mind when using quotations that you should aim for using as few words as necessary. You don’t want to quote an entire paragraph when only one sentence contains the key information you want to share. If you need to add context, do so in your words. It’ll make for a much more interesting piece if you’re using quotes to support your stance alongside your interpretation instead of just repeating what’s already been said.

Make sure you integrate quotes properly into your text by introducing them in your own words, showing the reader why you’re including the quote and providing any context necessary to understand it.  Don’t  present quotations as stand-alone sentences.

There are three main strategies you can use to introduce quotes in a grammatically correct way:

  • Add an introductory sentence
  • Use an introductory signal phrase

Introductory sentence

Introduce the quote with a full sentence ending in a colon . Don’t use a colon if the text before the quote isn’t a full sentence.

If you name the author in your sentence, you may use present-tense verbs, such as “states’, ‘argues’, ‘explains’, ‘writes’, or ‘reports’, to describe the content of the quote.

Introductory signal phrase

You can also use a signal phrase that mentions the author or source but doesn’t form a full sentence. In this case, you follow the phrase with a comma instead of a colon.

  • According to a recent poll, ‘A membership referendum held today would be backed by 55 percent of Danish voters’ (Levring, 2018, p. 3).
  • As Levring (2018) explains, ‘A membership referendum held today would be backed by 55 percent of Danish voters’ (p. 3).

Integrated into your own sentence

To quote a phrase that doesn’t form a full sentence, you can also integrate it as part of your sentence, without any extra punctuation.

  • A recent poll suggests that EU membership ‘would be backed by 55 percent of Danish voters’ in a referendum (Levring, 2018, p. 3).
  • Levring (2018) reports that EU membership ‘would be backed by 55 percent of Danish voters’ in a referendum (p. 3).

When you quote text that itself contains another quote, this is called a nested quotation or a quote within a quote. It may occur, for example, when quoting dialogue from a novel.

To distinguish this quote from the surrounding quote, you enclose it in double (instead of single) quotation marks (even if this involves changing the punctuation from the original text). Make sure to close both sets of quotation marks at the appropriate moments.

Note that if you only quote the nested quotation itself, and not the surrounding text, you can just use single quotation marks.

  • Carraway introduces his narrative by quoting his father: ‘ ‘ Whenever you feel like criticizing anyone, ‘ he told me, ‘ just remember that all the people in this world haven’t had the advantages that you’ve had ‘ ‘ (Fitzgerald 1).
  • Carraway introduces his narrative by quoting his father: ‘”Whenever you feel like criticizing anyone,” he told me, “just remember that all the people in this world haven’t had the advantages that you’ve had “  (Fitzgerald 1).
  • Carraway introduces his narrative by quoting his father: ‘“Whenever you feel like criticizing anyone,” he told me, “just remember that all the people in this world haven’t had the advantages that you’ve had”’ (Fitzgerald 1).
  • Carraway begins by quoting his father’s invocation to ‘remember that all the people in this world haven’t had the advantages that you’ve had’ (Fitzgerald 1).

Note:  When the quoted text in the source comes from another source, it’s best to just find that original source in order to quote it directly. If you can’t find the original source, you can instead cite it indirectly .

Often, incorporating a quote smoothly into your text requires you to make some changes to the original text. It’s fine to do this, as long as you clearly mark the changes you’ve made to the quote.

Shortening a quote

If some parts of a passage are redundant or irrelevant, you can shorten the quote by removing words, phrases, or sentences and replacing them with an ellipsis (…). Put a space before and after the ellipsis.

Be careful that removing the words doesn’t change the meaning. The ellipsis indicates that some text has been removed, but the shortened quote should still accurately represent the author’s point.

Altering a quote

You can add or replace words in a quote when necessary. This might be because the original text doesn’t fit grammatically with your sentence (e.g., it’s in a different tense), or because extra information is needed to clarify the quote’s meaning.

Use brackets to distinguish words that you have added from words that were present in the original text.

The Latin term ‘ sic ‘ is used to indicate a (factual or grammatical) mistake in a quotation. It shows the reader that the mistake is from the quoted material, not a typo of your own.

In some cases, it can be useful to italicise part of a quotation to add emphasis, showing the reader that this is the key part to pay attention to. Use the phrase ’emphasis added’ to show that the italics were not part of the original text.

You usually don’t need to use brackets to indicate minor changes to punctuation or capitalisation made to ensure the quote fits the style of your text.

If you quote more than a few lines from a source, you must format it as a block quote . Instead of using quotation marks, you set the quote on a new line and indent it so that it forms a separate block of text.

Block quotes are cited just like regular quotes, except that if the quote ends with a full stop, the citation appears after the full stop.

To the end of his days Bilbo could never remember how he found himself outside, without a hat, a walking-stick or any money, or anything that he usually took when he went out; leaving his second breakfast half-finished and quite unwashed-up, pushing his keys into Gandalf’s hands, and running as fast as his furry feet could carry him down the lane, past the great Mill, across The Water, and then on for a mile or more. (16)

Avoid relying too heavily on quotes in academic writing . To integrate a source , it’s often best to paraphrase , which means putting the passage into your own words. This helps you integrate information smoothly and keeps your own voice dominant.

However, there are some situations in which quotes are more appropriate.

When focusing on language

If you want to comment on how the author uses language (for example, in literary analysis ), it’s necessary to quote so that the reader can see the exact passage you are referring to.

When giving evidence

To convince the reader of your argument, interpretation or position on a topic, it’s often helpful to include quotes that support your point. Quotes from primary sources (for example, interview transcripts or historical documents) are especially credible as evidence.

When presenting an author’s position or definition

When you’re referring to secondary sources such as scholarly books and journal articles, try to put others’ ideas in your own words when possible.

But if a passage does a great job at expressing, explaining, or defining something, and it would be very difficult to paraphrase without changing the meaning or losing the weakening the idea’s impact, it’s worth quoting directly.

A quote is an exact copy of someone else’s words, usually enclosed in quotation marks and credited to the original author or speaker.

To present information from other sources in academic writing , it’s best to paraphrase in most cases. This shows that you’ve understood the ideas you’re discussing and incorporates them into your text smoothly.

It’s appropriate to quote when:

  • Changing the phrasing would distort the meaning of the original text
  • You want to discuss the author’s language choices (e.g., in literary analysis )
  • You’re presenting a precise definition
  • You’re looking in depth at a specific claim

Every time you quote a source , you must include a correctly formatted in-text citation . This looks slightly different depending on the citation style .

For example, a direct quote in APA is cited like this: ‘This is a quote’ (Streefkerk, 2020, p. 5).

Every in-text citation should also correspond to a full reference at the end of your paper.

In scientific subjects, the information itself is more important than how it was expressed, so quoting should generally be kept to a minimum. In the arts and humanities, however, well-chosen quotes are often essential to a good paper.

In social sciences, it varies. If your research is mainly quantitative , you won’t include many quotes, but if it’s more qualitative , you may need to quote from the data you collected .

As a general guideline, quotes should take up no more than 5–10% of your paper. If in doubt, check with your instructor or supervisor how much quoting is appropriate in your field.

If you’re quoting from a text that paraphrases or summarises other sources and cites them in parentheses , APA  recommends retaining the citations as part of the quote:

  • Smith states that ‘the literature on this topic (Jones, 2015; Sill, 2019; Paulson, 2020) shows no clear consensus’ (Smith, 2019, p. 4).

Footnote or endnote numbers that appear within quoted text should be omitted.

If you want to cite an indirect source (one you’ve only seen quoted in another source), either locate the original source or use the phrase ‘as cited in’ in your citation.

A block quote is a long quote formatted as a separate ‘block’ of text. Instead of using quotation marks , you place the quote on a new line, and indent the entire quote to mark it apart from your own words.

APA uses block quotes for quotes that are 40 words or longer.

Crediting and Citing Your Sources

Now that you’ve just summarized or paraphrased or directly quoted a source, is there anything else you need to do with that source? Well, it turns out there is. There are some standard ways of using sources that let your readers know this material is from other texts rather than original ideas from your own brain. Following these guidelines also allows us, your readers, to locate those sources if we are interested in the topic and would like to know more about what they say.

Giving credit to the sources you used creating a text is important (and useful!) for several reasons.

  • It adds to your own credibility as an author by showing you have done appropriate research on your topic and approached your work ethically.
  • It gives credit to the original author and their work for the ideas you found to be useful, and in giving them credit it helps you avoid unintentionally plagiarizing their work.
  • It gives your readers additional resources (already curated by you in your research process!) that they can go to if they want to read further your topic.

What Does It Mean to Credit or Cite Your Sources?

For college-level work, this generally means two things: in-text or parenthetical citation and a “Works Cited” or “References” page. What these two things look like will be a little different for different types of classes (for example, it’s likely your writing class will use MLA—Modern Language Association—format, while a psychology class is more likely to use APA—American Psychological Association—format). The specific details required and the order in which they appear changes a little between different formats, but practicing one of them will give you a general idea of what most of them are looking for. All of the information we are looking at here is specific to MLA, which is the format you will use for your writing classes (and some other humanities classes).

Citing: Identifying In-Text Sources

Once you have brought source material into your writing (via quotation, summary, or paraphrase), your next task is to cite or identify it. This is essential because giving credit to the creator of the source material helps you avoid plagiarism. Identifying your sources also helps your reader understand which written content is from a source and which represents your ideas.

When you cite or identify source materials, you make it absolutely clear that the material was taken from a source. Note that if you don’t do that, your reader is left to assume the words are yours—and since that isn’t true, you will have committed plagiarism.

In-Text Citation

Every time you use an idea or language from a source in your text (so every time you summarize, paraphrase, or directly quote material from a source), you will want to add an in-text citation. Sometimes you can accomplish this simply by mentioning the author or title of a source in the body of your writing, but other times you’ll handle in-text citation differently, with a parenthetical citation. Parenthetical means that the citation appears in parentheses in the text of your essay.

A starting point for parenthetical citations is that they include the author’s last name and the page number where the borrowed information came from. For example, let’s say I’m using material from an article written by Lisa Smith. It’s in a physical magazine and spans pages 38-42. If, on page 41, she says something like, “While most studies have shown that Expo dry erase markers have superior lasting power, erasability, and color saturation than other brands on the market, their higher cost is a concern for some consumers,” I might incorporate that into a paper like this:

By most measurable standards, Expo markers are clearly the favored option (Smith 41).

However, you don’t always need both components (last name and page number) in the parenthetical citation. If I introduced the source material in the sentence above a little differently, introducing the author before delivering the material, I wouldn’t need to repeat the author’s name in that same sentence in the parenthetical citation. In that case, my sentence would look something like this: According to Lisa Smith, Expo markers are clearly the favored option by most measurable standards (41).

In this section, we’ll discuss three ways to cite or identify written source materials in your own writing.

1. Introduce the Author and/or the Title of the Source

By introducing the author or the material, you make it clear to the reader that what you’re talking about is from a source. Here’s an example of a quotation that is identified by introducing the author and the title of source (which are highlighted):

In the article, “Grooming Poodles for Fun and Profit,” Jonas Fogbottom explains , “Poodle grooming is a labor of love. It takes years of practice to be good at it, but once learned, it’s a fun and worthwhile career.”

Here’s an example of a paraphrase that is identified in the same way:

In the article, “Grooming Poodles for Fun and Profit,” Jonas Fogbottom says that although it takes a long time to become a skilled poodle groomer, it’s well worth the effort and leads to a good career.

Note that, in the example above, (1) if there are no page numbers to cite and (2) if the name of the author is signaled in the phrase that introduces the bit of source material, then there is no need for the parenthetical citation. This is an example of a situation where mentioning the author by name is the only in-text citation you’ll need. And sometimes, if the name of the author is unknown, then you might just mention the title of the article instead. It will be up to you, as a writer, to choose which method works best for your given situation.

The first time that you mention a source in your writing, you should always introduce the speaker and, if possible, the title of the source as well. Note that the speaker is the person responsible for stating the information that you’re citing and that this is not always the author of the text. For example, an author of an article might quote someone else, and you might quote or paraphrase that person.

Use the speaker’s full name (e.g. “According to Jonas Fogbottom . . .”) the first time you introduce them; if you mention them again in the paper, use their last name only (e.g. “Fogbottom goes on to discuss . . .”).

2. Use Linking or Attributive Language

Using linking language (sometimes called attributive language or signal phrases) simply means using words that show the reader you are still talking about a source that you just mentioned.

For example, you might use linking language that looks something like this:

  • The author also explains . . .
  • Fogbottom continues . . .
  • The article goes on to say . . .
  • The data set also demonstrates . . .

By using this kind of language, you make it clear to the reader that you’re still talking about a source. And while you’ll use this type of language throughout any researched essay whether you’re also using parenthetical citations or not, as we mentioned above, sometimes this linking language will be all you need for in-text citation.

Let’s look back at the last Fogbottom example from above, and imagine you wanted to add two more sentences from the same source. The linking language is highlighted :

In the article, “Grooming Poodles for Fun and Profit,” Jonas Fogbottom says that although it takes a long time to become a skilled poodle groomer, it’s well worth the effort and leads to a good career. Fogbottom goes on to explain how one is trained in the art of dog and poodle grooming. The article also gives a set of resources for people who want to know more about a dog grooming career.

Using the linking language makes it absolutely clear to your reader that you are still talking about a source.

3. Use a Parenthetical Citation

A parenthetical citation is a citation enclosed within parentheses.

The classic parenthetical citation includes the author’s name and, if there is one, a page number. To learn more about parenthetical citation and see some examples, see the Purdue OWL article on “ MLA In-Text Citations: The Basics ” (available from owl.english.purdue.edu).

Here’s an example :

If there are two authors , list both (with a page number, if available):

(Smith and Jones 24)

If there are three or more authors , list the first author only and add “et al.”* (with a page number, if available):

(Smith et al. 62)

* et al means “and others.” If a text or source has three or more authors, MLA style has us just list the first one with et al .

But my source doesn’t have page numbers!

If you are using an electronic source or another kind of source with no page numbers, just leave the page number out:

(Fogbottom)

If you’re quoting or paraphrasing someone who was cited by the author of one of your sources , then that’s handled a bit differently. For example, what if you quote Smith, but you found that quote in the article by Fogbottom. In this case, you should introduce the speaker (Smith) as described above, and then cite the source for the quote, like this:

(qtd. in Fogbottom)

But my source doesn’t have an author!

This happens sometimes. Many useful documents, like government publications, organizational reports, and surveys, don’t list their authors. On the other hand, sometimes no clearly listed author can be a red flag that a source is not entirely trustworthy or is not researched well enough to be a reliable source for you.

If you encounter a source with no author, do look for other indicators that it is a good (or poor) source—who published it, does it have an appropriate list of references, is it current information, is it unbiased?

If you determine that this source is an appropriate source to use, then, when you create your in-text citation for it, you will simply use the title of the source (article, chapter, graph, film, etc.) in the place where you would have used the author’s name. If the title is long, you should abbreviate by listing the first one or two words of it (with a page number, if available).

Let’s imagine you’re working with a newspaper article entitled, “What’s New in Technology,” enclosed in quotation marks to indicate that this is an article title, and with no known author . Here’s what that would look in a parenthetical citation:

(“What’s New” B6)

If there is no author and you’re working with an electronic article, use the first one or two words in your parenthetical citation, again, enclosed in quotation marks. Let’s imagine you’re working with a web article entitled, “Pie Baking for Fun and Profit” and with no author. Here’s what that would look in a parenthetical citation:

(“Pie Baking”)

The parenthetical citation should be added at the end of the sentence that contains the source material. Let’s go back to the Fogbottom example and see how a parenthetical citation would work:

“Poodle grooming is a labor of love. It takes years of practice to be good at it, but once learned, it’s a fun and worthwhile career” (Fogbottom).

Here’s what it would look like if we used it with a paraphrase instead of a quotation:

Although it takes a long time to become a skilled poodle groomer, it’s well worth the effort and leads to a good career (Fogbottom).

Note that the citation is placed at the end of the sentence; the period comes after the parentheses. Misplacing the period is one of the most common formatting errors made by students.

Using parenthetical citation makes it crystal clear that a sentence comes from source material. This is, by far, the easiest way to cite or identify your source materials, too.

If using parenthetical citations is easy, why would we bother with using introduction or linking language to identify sources?

Good question! There would be nothing wrong with only using parenthetical citations all the way through your writing—it would absolutely do the job of citing the material. But, it wouldn’t read smoothly and would feel somewhat rough because every time a parenthetical citation popped up, the reader would be “stopped” in place for a moment. Using a combination of introduction, linking language, and parenthetical citation, as needed, makes the writing smoother and easier to read. It also integrates the source material with the writer’s ideas. We call this synthesis, and it’s part of the craft of writing.

Works Cited Entries

At the end of texts that have drawn from existing sources, you will often find a Works Cited page. This page gives more information than the parenthetical citations do about what kinds of sources were referenced in this work and where they can be found if the reader would like to know more about them. These entries all follow a specific and consistent format so that it is easy for readers to find the information they are looking for and so the shape and type of that information is consistent no matter who is writing the entries.

Until recently, the MLA required a slightly different format for every type of source—an entry for a Youtube video required certain information that was different from an entry for a book that was different from an entry for an online article. The most recent version of MLA, though—MLA 8—has simplified this so there is just one format rather than many.

Credit/Cite Your Sources

For academic work, this generally means two things: in-text (or parenthetical) citation PLUS a “Works Cited” or “References” page. These two things may look different for different types of classes. For example, it’s likely your writing class will use Modern Language Association (MLA) format, while a psychology class is more likely to use American Psychological Association (APA) format.

The specific details required and the order in which they appear changes between different formats, but practicing one of them will give you a general idea of what most of them are looking for and will get you accustomed to following a strict, detail-oriented procedure. All of the information we look at here is specific to MLA—the format you will use for your writing and some other humanities classes.

In-Text Citation/Parenthetical Citation

Both in-text and parenthetical citations include the author’s last name and the page number—or place in the source—the information came from (if applicable). Sometimes you can accomplish in-text citation by mentioning the author or title of a source inside the language of your sentence, but other times you’ll use a parenthetical citation. Parenthetical means that the citation appears in parentheses within your sentence or at the end of it, before the period.

  • By most measurable standards, Expo markers are clearly the favored option (Smith 41).

Three Ways to Cite or Identify Written Source Materials

1. introduce the author and/or the title of the source—framing.

By introducing the author or the material, you make it clear to the reader that what you’re talking about is from a source. Here’s an example of a quotation that is identified by introducing the author and the title of source (which are underlined and are the first parts of the sentences).

In the article, “Grooming Poodles for Fun and Profit,” Jonas Fogbottom explains , “Poodle grooming is a labour of love. It takes years of practice to be good at it, but once learned, it’s a fun and worthwhile career.”

Here’s an example of a paraphrase that is identified in the same way:

In the article, “Grooming Poodles for Fun and Profit,” Jonas Fogbottom says that although it takes a long time to become a skilled poodle groomer, it’s well worth the effort and leads to a good career.

CAUTION: Make sure you use strong and respectful attributive language (signal phrases).

  • What does Smith actually argue ? (Also, if it is a written source, “talk” is not accurate.)
  • Johnson probably put a lot of thought into their material; they do not simply “mention” evidence.
  • Sure, we can write “about” anything, but what are we arguing about the topic? If I say that I write “about” racial profiling, you still don’t know what I’m arguing about that.
  • Unless you are writing a critique or response, and your point is that Lake truly does not actually achieve their purpose, don’t say that authors simply “try” to argue but do not accomplish it.
  • DO USE strong, respectful language, such as in the four linking language examples above this textbox.

Let’s look back at the last Fogbottom example from above the textbox, and imagine you wanted to add two more sentences from the same source. The linking language is underlined:

In the article, “Grooming Poodles for Fun and Profit,” Jonas Fogbottom tells us that, although it takes a long time to become a skilled poodle groomer, it’s well worth the effort and leads to a good career. Fogbottom explains that one undergoes a great deal of training in the art of dog and poodle grooming. The article points out that   there are many resources for people who want to know more about a dog grooming career.

Using the linking language makes it absolutely clear to your reader that you are still talking about a source.

Whatever comes first in the Works Cited citation is what will go into the parentheses in a parenthetical citation. Most often that item is an author’s last name, but sometimes it’s a title or abbreviated title of an article or other type of text. This is another good reason for starting by creating a Works Cited entry the moment you begin working with a source.

3. Parenthetical Citations

The parenthetical citation should be added at the end of the sentence that contains the source material. Let’s go back to the Fogbottom example and see how a parenthetical citation would work:

“Poodle grooming is a labor of love. It takes years of practice to be good at it, but once learned, it’s a fun and worthwhile career” (Fogbottom).

Here’s what it would look like if we used it with a paraphrase instead of a quotation:

Although it takes a long time to become a skilled poodle groomer, it’s well worth the effort and leads to a good career (Fogbottom).

Note that the citation is placed at the end of the sentence; the period comes after the parentheses. Misplacing the period is one of the most common formatting errors made by students.

Using parenthetical citation makes it clear that a sentence comes from source material. This is the easiest way to cite or identify your source materials.

Good question! Only using parenthetical citations all the way through your writing would do the job of citing the material, but it wouldn’t read smoothly and would feel somewhat rough because every time a parenthetical citation popped up, the reader would be “stopped” in place for a moment. Using a combination of framing, signal phrases, and parenthetical citations makes the writing smoother and easier to read. It also integrates the source material with the writer’s ideas. We call this synthesis, and it’s part of the craft of writing.

Works Cited Entries

At the end of texts that have drawn from existing sources, you will find a Works Cited page, which gives more information than the parenthetical citations do about the sources referenced in the work. The entries all follow a specific and consistent format so that it is easy for readers to find the information they are looking for and so that the shape and type of that information is consistent no matter who is writing the entries.

Until recently, the MLA required a slightly different format for every type of source—an entry for a Youtube video required certain information that was different from an entry for a book that was different from an entry for an online article. The most recent version of MLA, though—MLA 8—has simplified this so there is just one format rather than many.

Quoting and integrating sources into your paper

In any study of a subject, people engage in a “conversation” of sorts, where they read or listen to others’ ideas, consider them with their own viewpoints, and then develop their own stance. It is important in this “conversation” to acknowledge when we use someone else’s words or ideas. If we didn’t come up with it ourselves, we need to tell our readers who did come up with it.

It is important to draw on the work of experts to formulate your own ideas. Quoting and paraphrasing the work of authors engaged in writing about your topic adds expert support to your argument and thesis statement. You are contributing to a scholarly conversation with scholars who are experts on your topic with your writing. This is the difference between a scholarly research paper and any other paper: you must include your own voice in your analysis and ideas alongside scholars or experts.

All your sources must relate to your thesis, or central argument, whether they are in agreement or not. It is a good idea to address all sides of the argument or thesis to make your stance stronger. There are two main ways to incorporate sources into your research paper.

Quoting is when you use the exact words from a source. You will need to put quotation marks around the words that are not your own and cite where they came from. For example:

“It wasn’t really a tune, but from the first note the beast’s eyes began to droop . . . Slowly the dog’s growls ceased – it tottered on its paws and fell to its knees, then it slumped to the ground, fast asleep” (Rowling 275).

Follow these guidelines when opting to cite a passage:

  • Choose to quote passages that seem especially well phrased or are unique to the author or subject matter.
  • Be selective in your quotations. Avoid over-quoting. You also don’t have to quote an entire passage. Use ellipses (. . .) to indicate omitted words. Check with your professor for their ideal length of quotations – some professors place word limits on how much of a sentence or paragraph you should quote.
  • Before or after quoting a passage, include an explanation in which you interpret the significance of the quote for the reader. Avoid “hanging quotes” that have no context or introduction. It is better to err on the side of your reader not understanding your point until you spell it out for them, rather than assume readers will follow your thought process exactly.
  • If you are having trouble paraphrasing (putting something into your own words), that may be a sign that you should quote it.
  • Shorter quotes are generally incorporated into the flow of a sentence while longer quotes may be set off in “blocks.” Check your citation handbook for quoting guidelines.

Paraphrasing is when you state the ideas from another source in your own words . Even when you use your own words, if the ideas or facts came from another source, you need to cite where they came from. Quotation marks are not used. For example:

With the simple music of the flute, Harry lulled the dog to sleep (Rowling 275).

Follow these guidelines when opting to paraphrase a passage:

  • Don’t take a passage and change a word here or there. You must write out the idea in your own words. Simply changing a few words from the original source or restating the information exactly using different words is considered plagiarism .
  • Read the passage, reflect upon it, and restate it in a way that is meaningful to you within the context of your paper . You are using this to back up a point you are making, so your paraphrased content should be tailored to that point specifically.
  • After reading the passage that you want to paraphrase, look away from it, and imagine explaining the main point to another person.
  • After paraphrasing the passage, go back and compare it to the original. Are there any phrases that have come directly from the original source? If so, you should rephrase it or put the original in quotation marks. If you cannot state an idea in your own words, you should use the direct quotation.

A summary is similar to paraphrasing, but used in cases where you are trying to give an overview of many ideas. As in paraphrasing, quotation marks are not used, but a citation is still necessary. For example:

Through a combination of skill and their invisibility cloak, Harry, Ron, and Hermione slipped through Hogwarts to the dog’s room and down through the trapdoor within (Rowling 271-77).

Important guidelines

When integrating a source into your paper, remember to use these three important components:

  • Introductory phrase to the source material : mention the author, date, or any other relevant information when introducing a quote or paraphrase.
  • Source material : a direct quote, paraphrase, or summary with proper citation.
  • Analysis of source material : your response, interpretations, or arguments regarding the source material should introduce or follow it. When incorporating source material into your paper, relate your source and analysis back to your original thesis.

Ideally, papers will contain a good balance of direct quotations, paraphrasing and your own thoughts. Too much reliance on quotations and paraphrasing can make it seem like you are only using the work of others and have no original thoughts on the topic.

Acknowledging, Paraphrasing, and Quoting Sources

When you write at the college level, you often need to integrate material from published sources into your own writing. This means you need to be careful not to plagiarize: “to use and pass off (the ideas or writings of another) as one’s own” ( American Heritage Dictionary ) or, in the words of the University of Wisconsin’s Academic Misconduct guide, to present “the words or ideas of others without giving credit” (“Plagiarism,” ¶ 1). The University takes plagiarism seriously, and the penalties can be severe.

This handout is intended to help you use source materials responsibly and avoid plagiarizing by (a) describing the kinds of material you must document; (b) illustrating unsuccessful and successful paraphrases; (c) offering advice on how to paraphrase; and (d) providing guidelines for using direct quotations.

What You Must Document

If you use an author’s specific word or words, you must place those words within quotation marks and you must credit the source.

Even if you use your own words, if you obtained the information or ideas you are presenting from a source, you must document the source.

 

: If a piece of information isn’t common knowledge (see #3 below), you need to provide a source.

 

: An author’s ideas may include not only points made and conclusions drawn, but, for instance, a specific method or theory, the arrangement of material, or a list of steps in a process or characteristics of a medical condition. If a source provided any of these, you need to acknowledge the source.

You do not need to cite a source for material considered common knowledge.

 

is factual information considered to be in the public domain, such as birth and death dates of well-known figures, and generally accepted dates of military, political, literary, and other historical events. In general, factual information contained in multiple standard reference works can usually be considered to be in the public domain.

 

is “common” only within a particular field or specialty. It may include facts, theories, or methods that are familiar to readers within that discipline. For instance, you may not need to cite a reference to Piaget’s developmental stages in a paper for an education class or give a source for your description of a commonly used method in a biology report–but you must be sure that this information is so widely known within that field that it will be shared by your readers.

The way that you credit your source depends on the documentation system you’re using. If you’re not sure which documentation system to use, ask the course instructor who assigned your paper. You can pick up a Writing Center handout or check our Web site (www.wisc.edu/writing) for the basics of several commonly used styles (American Political Science Association, APSA; American Psychological Association, APA; Chicago/Turabian; Council of Biology Editors, CBE; Modern Language Association, MLA; and Numbered References).

Sample Paraphrases—Unsuccessful and Successful

Paraphrasing is often defined as putting a passage from an author into “your own words.” But what are your own words? How different must your paraphrase be from the original? The paragraphs below provide an example by showing a passage as it appears in the source (A), two paraphrases that follow the source too closely (B and C), and a legitimate paraphrase (D). The student’s intention was to incorporate the material in the original passage A into a section of a paper on the concept of “experts” that compared the functions of experts and nonexperts in several professions.

A. The Passage as It Appears in the Source (indented to indicate a lengthy direct quotation)

Critical care nurses function in a hierarchy of roles. In this open heart surgery unit, the nurse manager hires and fires the nursing personnel. The nurse manager does not directly care for patients but follows the progress of unusual or long-term patients. On each shift a nurse assumes the role of resource nurse. This person oversees the hour-by-hour functioning of the unit as a whole, such as considering expected admissions and discharges of patients, ascertaining that beds are available for patients in the operating room, and covering sick calls. Resource nurses also take a patient assignment. They are the most experienced of all the staff nurses. The nurse clinician has a separate job description and provides for quality of care by orienting new staff, developing unit policies, and providing direct support where needed, such as assisting in emergency situations. The clinical nurse specialist in this unit is mostly involved with formal teaching in orienting new staff. The nurse manager, nurse clinician, and clinical nurse specialist are the designated experts. They do not take patient assignments. The resource nurse is seen as both a caregiver and a resource to other caregivers. . . . Staff nurses have a hierarchy of seniority. . . . Staff nurses are assigned to patients to provide all their nursing care. (Chase, 1995, p. 156)

B. Word-for-Word Plagiarism

Critical care nurses have a hierarchy of roles. The nurse manager hires and fires nurses. S/he does not directly care for patients but does follow unusual or long-term cases. On each shift a resource nurse attends to the functioning of the unit as a whole, such as making sure beds are available in the operating room, and also has a patient assignment. The nurse clinician orients new staff, develops policies, and provides support where needed. The clinical nurse specialist also orients new staff, mostly by formal teaching. The nurse manager, nurse clinician, and clinical nurse specialist, as the designated experts, do not take patient assignments. The resource nurse is not only a caregiver but a resource to the other caregivers. Within the staff nurses there is also a hierarchy of seniority. Their job is to give assigned patients all their nursing care.

Notice that the writer has not only “borrowed” Chase’s material (the results of her research) with no acknowledgment, but has also largely maintained the author’s method of expression and sentence structure. The underlined phrases are directly copied from the source or changed only slightly in form. Even if the student-writer had acknowledged Chase as the source of the content, the language of the passage would be considered plagiarized because no quotation marks indicate the phrases that come directly from Chase. And if quotation marks did appear around all these phrases, this paragraph would be so cluttered that it would be unreadable.

C. A Patchwork Paraphrase

Chase (1995) described how nurses in a critical care unit function in a hierarchy that places designated experts at the top and the least senior staff nurses at the bottom. The experts–the nurse manager, nurse clinician, and clinical nurse specialist–are not involved directly in patient care. The staff nurses, in contrast, are assigned to patients and provide all their nursing care . Within the staff nurses is a hierarchy of seniority in which the most senior can become resource nurses: they are assigned a patient but also serve as a resource to other caregivers . The experts have administrative and teaching tasks such as selecting and orienting new staff, developing unit policies , and giving hands-on support where needed .

This paraphrase is a patchwork composed of pieces in the original author’s language (underlined) and pieces in the student-writer’s words, all rearranged into a new pattern, but with none of the borrowed pieces in quotation marks. Thus, even though the writer acknowledges the source of the material, the underlined phrases are falsely presented as the student’s own.

D. A Legitimate Paraphrase

In her study of the roles of nurses in a critical care unit, Chase (1995) also found a hierarchy that distinguished the roles of experts and others. Just as the educational experts described above do not directly teach students, the experts in this unit do not directly attend to patients. That is the role of the staff nurses, who, like teachers, have their own “hierarchy of seniority” (p. 156). The roles of the experts include employing unit nurses and overseeing the care of special patients (nurse manager), teaching and otherwise integrating new personnel into the unit (clinical nurse specialist and nurse clinician), and policy-making (nurse clinician). In an intermediate position in the hierarchy is the resource nurse, a staff nurse with more experience than the others, who assumes direct care of patients as the other staff nurses do, but also takes on tasks to ensure the smooth operation of the entire facility.

The writer has documented Chase’s material and specific language (by direct reference to the author and by quotation marks around language taken directly from the source). Notice too that the writer has modified Chase’s language and structure and has added material to fit the new context and purpose—to present the distinctive functions of experts and nonexperts in several professions.

Perhaps you’ve noticed that a number of phrases from the original passage appear in the legitimate paraphrase in D above: critical care , staff nurses , nurse manager , clinical nurse specialist , nurse clinician , resource nurse . If all these were underlined, the paraphrase would look much like the “patchwork” in example C. The difference is that the phrases in D are all precise, economical, and conventional designations that are part of the shared language within the nursing discipline (in B and C, they’re underlined only when used within a longer borrowed phrase). In every discipline and in certain genres (such as the empirical research report), some phrases are so specialized or conventional that you can’t paraphrase them except by wordy and awkward circumlocutions that would be less familiar (and thus less readable) to the audience. When you repeat such phrases, you’re not stealing the unique phrasing of an individual writer, but using a common vocabulary shared by a community of scholars.

Conventional designations: e.g., physician’s assistant, chronic low-back pain

Preferred bias-free language: e.g., persons with disabilities

Technical terms and phrases of a discipline or genre: e.g., reduplication, cognitive domain, material culture, sexual harassment

How to Paraphrase

General Advice

  • When reading a passage, try first to understand it as a whole, rather than pausing to write down specific ideas or phrases.
  • Be selective. Unless your assignment is to do a formal or “literal” paraphrase,* you usually don’t need to paraphrase an entire passage; instead, choose and summarize the material that helps you make a point in your paper.
  • Think of what “your own words” would be if you were telling someone who’s unfamiliar with your subject (your mother, your brother, a friend) what the original source said.
  • Remember that you can use direct quotations of phrases from the original within your paraphrase and that you don’t need to change or put quotation marks around shared language (see box above).

*See Spatt (1999), pp. 99-103; paraphrase is used in this handout in the more common sense of a summary-paraphrase or what Spatt calls a “free paraphrase” (p. 103).

Methods of Paraphrasing

  • Look away from the source; then write. Read the text you want to paraphrase several times—until you feel that you understand it and can use your own words to restate it to someone else. Then, look away from the original and rewrite the text in your own words.
  • Take notes.

Take abbreviated notes; set the notes aside; then paraphrase from the notes a day or so later, or when you draft.

If you find that you can’t do 1 or 2, this may mean that you don’t understand the passage completely or that you need to use a more structured process until you have more experience in paraphrasing. The method below is not only a way to create a paraphrase but also a way to understand a difficult text.

  • While looking at the source, first change the structure, then the words .

For example, consider the following passage from Love and Toil (a book on motherhood in London from 1870 to 1918), in which the author, Ellen Ross, puts forth one of her major arguments:

Love and Toil maintains that family survival was the mother’s main charge among the large majority of London’s population who were poor or working class; the emotional and intellectual nurture of her child or children and even their actual comfort were forced into the background. To mother was to work for and organize household subsistence. (p. 9)

      a.  Change the structure.

Begin by starting at a different place in the passage and/or sentence(s), basing your choice on the focus of your paper. This will lead naturally to some changes in wording. Some places you might start in the passage above are “The mother’s main charge,” “Among the . . . poor or working class,” “Working for and organizing household subsistence,” or “The emotional and intellectual nurture.” Or you could begin with one of the people the passage is about: “Mothers,” “A mother,” “Children,” “A child.” Focusing on specific people rather than abstractions will make your paraphrase more readable.           

At this stage, you might also break up long sentences, combine short ones, expand phrases for clarity, or shorten them for conciseness, or you might do this in an additional step. In this process, you’ll naturally eliminate some words and change others.

Here’s one of the many ways you might get started with a paraphrase of the passage above by changing its structure. In this case, the focus of the paper is the effect of economic status on children at the turn of the century, so the writer begins with children :

Children of the poor at the turn of the century received little if any emotional or intellectual nurturing from their mothers, whose main charge was family survival. Working for and organizing household subsistence were what defined mothering. Next to this, even the children’s basic comfort was forced into the background (Ross, 1995).

Now you’ve succeeded in changing the structure, but the passage still contains many direct quotations, so you need to go on to the second step.

     b. Change the words.

Use synonyms or a phrase that expresses the same meaning.

Leave shared language (box, p. 3) unchanged.

It’s important to start by changing the structure, not the words, but you might find that as you change the words, you see ways to change the structure further. The final paraphrase might look like this:

According to Ross (1993), poor children at the turn of the century received little mothering in our sense of the term. Mothering was defined by economic status, and among the poor, a mother’s foremost responsibility was not to stimulate her children’s minds or foster their emotional growth but to provide food and shelter to meet the basic requirements for physical survival. Given the magnitude of this task, children were deprived of even the “actual comfort” (p. 9) we expect mothers to provide today.

You may need to go through this process several times to create a satisfactory paraphrase.

Using Direct Quotations

Use direct quotations only if you have a good reason. Most of your paper should be in your own words.

Reasons for Quoting

·       To show that an authority supports your point

·       To present a position or argument to critique or comment on

·       To include especially moving or historically significant language

·       To present a particularly well-stated passage

·       whose meaning would be lost or changed if paraphrased or summarized

Introducing Quotations

One of your jobs as a writer is to guide your reader through your text. Don’t simply drop quotations into your paper and leave it to the reader to make connections. Integrating a quotation into your text usually involves two elements:

  • A signal that a quotation is coming—generally the author’s name and/or a reference to the work
  • An assertion that indicates the relationship of the quotation to your text

Often both the signal and the assertion appear in a single introductory statement, as in the example below. Notice how a transitional phrase also serves to connect the quotation smoothly to the introductory statement.

Ross (1993), in her study of poor and working-class mothers in London from 1870-1918 [ signal ], makes it clear that economic status to a large extent determined the meaning of motherhood [ assertion ]. Among this population [ connection ], “To mother was to work for and organize household subsistence” (p. 9).

The signal can also come after the assertion, again with a connecting word or phrase:

Illness was rarely a routine matter in the nineteenth century [ assertion ]. As [ connection ] Ross observes [ signal ], “Maternal thinking about children’s health revolved around the possibility of a child’s maiming or death” (p. 166).

Formatting Quotations

Incorporate short direct prose quotations into the text of your paper and enclose them in double quotation marks, as in the examples above. Begin longer quotations (for instance, in the APA system, 40 words or more) on a new line and indent the entire quotation (i.e., put in block form), with no quotation marks at beginning or end , as in the quoted passage from Chase on p. 2, A. Rules about the minimum length of block quotations, how many spaces to indent, and whether to single- or double-space extended quotations vary with different documentation systems; check the guidelines for the system you’re using.

Punctuation with Quotation Marks

1.   Parenthetical citations. With short quotations, place citations outside of closing quotation marks, followed by sentence punctuation (period, question mark, comma, semi-colon, colon):

Menand (2002) characterizes language as “a social weapon” (p. 115).

With block quotations, check the guidelines for the documentation system you are using. For APA, used in this handout, see sample A on p. 2, and sample C (the quotation from Ross) on p. 4.

2.  Commas and periods. Place inside closing quotation marks when no parenthetical citation follows:

Hertzberg (2002) notes that “treating the Constitution as imperfect is not new,” but because of Dahl’s credentials, his “apostasy merits attention” (p. 85).

3.  Semi-colons and colons. Place outside of closing quotation marks (or after a parenthetical citation).

4.     Question marks and exclamation points.

Place inside closing quotation marks if the quotation is a question/exclamation:

Menand (2001) acknowledges that H. W. Fowler’s Modern English Usage is “a classic of the language,” but he asks, “Is it a dead classic?” (p. 114). [Note that a period still follows the closing parenthesis.]

Place outside of closing quotation marks if the entire sentence containing the quotation is a question or exclamation:

How many students actually read the guide to find out what is meant by “academic misconduct”?

5.  Quotations within quotations. Use single quotation marks for the embedded quotation:

According to Hertzberg (2002), Dahl gives the U. S. Constitution “bad marks in ‘democratic fairness’ and ‘encouraging consensus’” (p. 90). [The phrases “democratic fairness” and “encouraging consensus” are already in quotation marks in Dahl’s sentence.]

Indicating Changes in Quotations

Use ellipsis points (. . .) to indicate an omission within a quotation–but not at the beginning or end unless it’s not obvious that you’re quoting only a portion of the whole.

Within quotations, use square brackets [ ] (not parentheses) to add your own clarification, comment, or correction. Use [sic] (meaning “so” or “thus”) to indicate that a mistake is in the source you’re quoting and is not your own.

What it is, how to avoid it

The difference between quoting and paraphrasing When you write a paper, you read a lot of material about the topic. This helps you to examine the various aspects of a topic to understand it. By the time you have thoroughly researched what has been written, you will start to form ideas of your own, see patterns, and be able to think about the topic in your own words.

Along the way, you probably took a lot of notes, copied articles, and searched the Web looking for information. The material you find and include in your paper is what you have to list (or reference) in your bibliography.

Quoting What is quoting? To state what someone else has written, word for word, using their words.

Sometimes something you read is exactly the point you want to make, and is written so well you want to use it directly. You can do so legally by quoting. Anything you directly quote must be put in quotation marks and referenced.

Paraphrasing What is paraphrasing? To paraphrase is to say the same thing, but in your own words.

Sometimes you like the content of a paragraph or section of something you read, and want to paraphrase, or restate it in your own words for your paper. Although it is not illegal, paraphrasing in scholarly papers must be cited as a professional courtesy. You need not use quotation marks unless the statement is word-for-word as it appears in your source, but if you paraphrase in papers required for school, you must acknowledge you are doing so with a footnote/endnote or parenthetical (see page 8 of this unit for more information on how to do these).

How do you avoid plagiarizing?

  • Give the author of the material credit by " documenting" or " citing" your sources (terms which mean you credit your source).
  • Give credit whenever you use a direct quote by placing it in quotation marks and giving the author credit.
  • Give credit whenever you paraphrase (state/write in a different way) a thought, idea, or words within the research paper and at the end of the paper in the bibliography
  • Give credit within a research paper through footnotes or parenthetical remarks.
  • Give credit at the end of a research paper in the bibliography.

Paraphrasing in MLA

Paraphrasing is a valuable skill. It allows you to seamlessly integrate another person’s ideas into your work, and it is the preferred way to integrate most research information into a paper.

In addition to writing a good paraphrase, you must also include a citation with the paraphrase. One effective way to do this is by using MLA in-text citations .

But first, let’s define paraphrasing.

What is a paraphrase? Why is it beneficial?

  • A paraphrase is a piece of information written in a new way after reading and analyzing a source.
  • A paraphrase translates the main ideas of a passage into a new passage that uses your own words and perspective.
  • A paraphrase lets you control what point or information is highlighted.
  • A paraphrase allows you turn a long passage into a condensed, focused passage.
  • Direct quotes are helpful, but paraphrasing allows you show that you truly understand a work. Think about it: Is it easier to quote a source or paraphrase?

What does MLA have to do with it?

Academic integrity is extremely important, and a paraphrase allows you to use someone’s ideas efficiently in your work…but that is only part of the work. In order to stay ethical, you’ll also need include an in-text citation. That’s where MLA style comes in.

An MLA in-text citation gives appropriate credit to the original source. By following the guidelines of the MLA style and including an accurate citation, you can avoid accusations of plagiarism.

MLA stands for the Modern Language Association, which is a scholarly association dedicated to the study and advancement of languages. The MLA style comes from their published MLA Handbook , which provides rules and guidelines on research and writing. The latest update to the MLA style occurred in 2021, and careful consideration needs to be paid to these guidelines.

Although there are other styles of research and writing, MLA is the primary style guide for humanities, language, and literature in the United States.

How to paraphrase

Steps in paraphrasing.

  • Read the original source material carefully. It is always a good idea to read it more than once so you can paraphrase accurately.
  • Consider why the source was written, when it was written, who it was written by, and who the target audience was.
  • What were the key ideas or points communicated?
  • What is the key point you want to highlight from the source?
  • What other contextual facts about the source do you think are important to include?
  • Based on your notes, put together a paraphrase.
  • Next, take a minute to double check your paraphrase against the original to ensure that you have used your own writing style.
  • Finally, add an MLA in-text citation.

How to add an MLA in-text citation

In order to give credit for ideas that are not yours, citing is key. According the MLA, after you create a paraphrase, you should include an in-text citation with the paraphrase. In addition to the short, in-text citation, a full reference of the source should be included on your Works Cited page. This article will focus only on the in-text citation, but see this guide for more information on MLA works cited citations.

An MLA in-text citation can be done in two ways:

  • Parenthetical

Both approaches require you to know the following:

  • Last name of the author
  • Page number

Parenthetical citation

One way to cite in the text is to use a parenthetical citation after the paraphrase. This includes putting the author’s last name and page number where you found the information at the end of the sentence, before the final period.

Using a website as a source? Note that if a source does not have page numbers, you do not have to include the page number in your parenthetical citation.

Parenthetical in-text citation structure:

Parenthetical example:

I kept pounding on the doors ’til my hands hurt and I woke up the dogs (Bronte 12).

Place that end punctuation carefully! Note that there is no period at the end of the sentence, but the period is outside the parentheses. Also, there is no comma between the author’s last name and the page number.

Citation in prose

A citation in prose means that you include the author’s last name within the page text and the page number at the end of the sentence in parentheses. A citation in prose would look like this:

Bronte explains how Lockwood kept pounding on the doors until his hands began to hurt and he woke up the dogs (12).

Example of how to paraphrase

Here is a piece of text taken from the novel Pride and Prejudice by Jane Austen:

“In vain I have struggled. It will not do. My feelings will not be repressed. You must allow me to tell you how ardently I admire and love you.”

Elizabeth’s astonishment was beyond expression. She stared, coloured, doubted, and was silent. This he considered sufficient encouragement; and the avowal of all that he felt, and had long felt for her, immediately followed. He spoke well; but there were feelings besides those of the heart to be detailed; and he was not more eloquent on the subject of tenderness than of pride. His sense of her inferiority—of its being a degradation—of the family obstacles which had always opposed to inclination, were dwelt on with a warmth which seemed due to the consequence he was wounding, but was very unlikely to recommend his suit.

A paraphrase of the above would go something like this:

Mr. Darcy had meant to communicate that he loved Elizabeth, but in the end all he managed to do was communicate all the reasons he had fought against his feelings for her (Austen 390).

Notice the benefits of paraphrasing here?

  • The paraphrase is (thankfully) much shorter than the full excerpt.
  • The paraphrase writer could have mentioned several different ideas and points. Instead, paraphrasing allowed the writer to focus on the main point they wanted to highlight.
  • The paraphrase demonstrates the writer’s deep understanding of what was communicated in the original passage.

Also, as mentioned previously, every in-text citation needs to have a matching, full citation in the Works Cited page. Here is the full citation for the above example:

How NOT to paraphrase

When you paraphrase, do not do the follow:

  • Use most of the same words and switch out a few words for synonyms.
  • Use most of the same words and change the sentence order a little.
  • Take key phrases from the sentences and put them into a new paragraph without quoting them.
  • Create a good paraphrase but forget to include an in-text citation.
  • Create a good paraphrase but cite the wrong source.

Other MLA considerations

The Modern Language Association advises that summaries, paraphrases, and direct quotations can all be used to back up your argument. However, direct quotations should be used infrequently. Try to save them for experts who are speaking on the topic.

Although you are putting a paraphrase into your own words, you still need to cite it because the ideas are not your own. MLA style asks for the author’s last name and the page number where you found the information.

When writing essays in fields like music education, psychology, sociology, or other disciplines that may analyze song lyrics, you’ll often need to incorporate direct quotations or paraphrases to support your arguments and deepen your analysis. Understanding how to properly attribute these sources is essential to both academic integrity and effectively guiding your reader back to the original work. The American Psychological Association (APA) style provides the framework for formatting these citations while ensuring you give credit where credit is due.

While there’s no single section in the APA manual devoted entirely to musical sources, you can intelligently adapt the principles for citing various source formats to fit this particular purpose. In-Text Citations

Short Quotations : Integrate shorter lyrical excerpts directly into your text using quotation marks, providing a seamless flow within your writing and allowing the lyrics to speak directly to the reader. Separate line breaks with a single forward slash ( / ) and stanza breaks with two ( // ).

Joni Mitchell explores themes of freedom and constraint in her song “Big Yellow Taxi,” where she poignantly sings, “They paved paradise / And put up a parking lot” (Mitchell, 1970, track 4). 

This technique lets the song’s imagery resonate clearly, strengthening your argument by using the artist’s own words as direct evidence. Furthermore, short quotations can be particularly impactful when they capture a powerful metaphor or a striking turn of phrase unique to the songwriter. 

The bitter irony of “Don’t it always seem to go / That you don’t know what you’ve got ’til it’s gone” (Mitchell, 1970, track 4) underscores the song’s larger message about the fleeting nature of what we take for granted.

Block Quotations : For lengthier lyrical segments (typically four lines or more), set them apart as block quotations to emphasize their significance, help with visual clarity, and signify a deeper level of analysis. Indent the entire block from your main text. Consider this example:

They took all the trees

Put ’em in a tree museum

And they charged the people

A dollar and a half just to see ’em

(Mitchell, 1970, track 4)

By using a block quotation, you invite the reader to pause and carefully consider the extended lyrical passage, potentially uncovering deeper meanings, nuances, or its connection to the larger themes of your work. Block quotations can also highlight shifts in tone within a song or reveal the development of an idea across several verses. In Mitchell’s case, the block quote emphasizes the absurdity and commercialization of a world where nature is commodified, adding a layer of social commentary to the environmental focus of “Big Yellow Taxi.”

Citation Components : An in-text citation for song lyrics generally includes the songwriter(s) last name, copyright year, and either track number (for recordings) or page/line number (for printed scores). For example, a direct quotation from “Big Yellow Taxi” would be cited as (Mitchell, 1970, track 4). Paraphrases follow the regular APA pattern of (Author, Year), allowing you to rephrase the song’s message in your own words while still giving credit to the original idea. Reference List Entries

Your reference list, found at the end of your essay, provides a comprehensive and detailed guide to all the sources you’ve used. For song lyrics, this is where you meticulously list full publication information, allowing a reader to easily locate the exact music you analyzed. Here’s the basic structure, with examples and additional considerations:

Recorded Music : Start with the songwriter(s), copyright year, song title, and recording artist. Then, specify the album title, medium of the recording (vinyl, CD, digital, etc.), location of the record label, and the label itself.

If the songwriter and recording artist are the same, you can omit the bracketed “[Recorded by…]” portion. Sometimes, you might need to differentiate between various editions or re-releases of an album, especially if bonus tracks or alternate versions are involved. Since different versions could contain lyrical changes, it’s important to be detailed to ensure a reader can locate the precise source you used. Also, be aware that original publication dates and recent re-releases can differ, so make sure to list the date relevant to the version you’re citing.

Printed Scores : For printed sheet music, whether it’s a full score or a simplified arrangement, focus on the publication details. List the songwriter(s), year of publication, song title, the type of score (vocal, instrumental, choral, etc. – if relevant), the city and state where the publisher is located, and the publisher’s name.

Printed scores can vary widely, from simple piano-and-vocal arrangements to comprehensive orchestral scores. Specifying the score type clarifies the exact version you used for analysis and can be particularly helpful if your arguments focus on instrumentation, harmonies, or other musical elements beyond just the lyrics themselves. Additionally, some scores include notes on historical context or performance practice relevant to specific genres or time periods, giving you additional insights for your analysis.

Paraphrasing is one way to use a text in your own writing without directly quoting source material. Anytime you are taking information from a source that is not your own, you need to specify where you got that information.

A paraphrase is...

  • Your own rendition of essential information and ideas expressed by someone else, presented in a new form.
  • One legitimate way (when accompanied by accurate documentation) to borrow from a source.
  • A more detailed restatement than a summary, which focuses concisely on a single main idea.

Paraphrasing is a valuable skill because...

  • It is better than quoting information from an undistinguished passage.
  • It helps you control the temptation to quote too much.
  • The mental process required for successful paraphrasing helps you to grasp the full meaning of the original.

6 Steps to Effective Paraphrasing

  • Reread the original passage until you understand its full meaning.
  • Set the original aside, and write your paraphrase on a note card.
  • Jot down a few words below your paraphrase to remind you later how you envision using this material. At the top of the note card, write a key word or phrase to indicate the subject of your paraphrase.
  • Check your rendition with the original to make sure that your version accurately expresses all the essential information in a new form.
  • Use quotation marks to identify any unique term or phraseology you have borrowed exactly from the source.
  • Record the source (including the page) on your note card so that you can credit it easily if you decide to incorporate the material into your paper.

Some examples to compare

Note that the examples in this section use MLA style for in-text citation.

The original passage:

Students frequently overuse direct quotation in taking notes, and as a result they overuse quotations in the final [research] paper. Probably only about 10% of your final manuscript should appear as directly quoted matter. Therefore, you should strive to limit the amount of exact transcribing of source materials while taking notes. Lester, James D. Writing Research Papers . 2nd ed., 1976, pp. 46-47.

A legitimate paraphrase:

In research papers, students often quote excessively, failing to keep quoted material down to a desirable level. Since the problem usually originates during note taking, it is essential to minimize the material recorded verbatim (Lester 46-47).

An acceptable summary:

Students should take just a few notes in direct quotation from sources to help minimize the amount of quoted material in a research paper (Lester 46-47).

A plagiarized version:

Students often use too many direct quotations when they take notes, resulting in too many of them in the final research paper. In fact, probably only about 10% of the final copy should consist of directly quoted material. So it is important to limit the amount of source material copied while taking notes.

A note about plagiarism: This example has been classed as plagiarism, in part, because of its failure to deploy any citation. Plagiarism is a serious offense in the academic world. However, we acknowledge that plagiarism is a difficult term to define; that its definition may be contextually sensitive; and that not all instances of plagiarism are created equal—that is, there are varying “degrees of egregiousness” for different cases of plagiarism.

How to Paraphrase | Step-by-Step Guide & Examples

Paraphrasing means putting someone else’s ideas into your own words. Paraphrasing a source involves changing the wording while preserving the original meaning.

Paraphrasing is an alternative to  quoting (copying someone’s exact words and putting them in quotation marks ). In academic writing, it’s usually better to integrate sources by paraphrasing instead of quoting. It shows that you have understood the source, reads more smoothly, and keeps your own voice front and center.

Every time you paraphrase, it’s important to cite the source . Also take care not to use wording that is too similar to the original. Otherwise, you could be at risk of committing plagiarism .

Putting an idea into your own words can be easier said than done. Let’s say you want to paraphrase the text below, about population decline in a particular species of sea snails.

Incorrect paraphrasing

You might make a first attempt to paraphrase it by swapping out a few words for  synonyms .

Like other sea creatures inhabiting the vicinity of highly populated coasts, horse conchs have lost substantial territory to advancement and contamination , including preferred breeding grounds along mud flats and seagrass beds. Their Gulf home is also heating up due to global warming , which scientists think further puts pressure on the creatures , predicated upon the harmful effects extra warmth has on other large mollusks (Barnett, 2022).

This attempt at paraphrasing doesn’t change the sentence structure or order of information, only some of the word choices. And the synonyms chosen are poor:

  • “Advancement and contamination” doesn’t really convey the same meaning as “development and pollution.”
  • Sometimes the changes make the tone less academic: “home” for “habitat” and “sea creatures” for “marine animals.”
  • Adding phrases like “inhabiting the vicinity of” and “puts pressure on” makes the text needlessly long-winded.
  • Global warming is related to climate change, but they don’t mean exactly the same thing.

Because of this, the text reads awkwardly, is longer than it needs to be, and remains too close to the original phrasing. This means you risk being accused of plagiarism .

Correct paraphrasing

Let’s look at a more effective way of paraphrasing the same text.

Here, we’ve:

  • Only included the information that’s relevant to our argument (note that the paraphrase is shorter than the original)
  • Introduced the information with the signal phrase “Scientists believe that …”
  • Retained key terms like “development and pollution,” since changing them could alter the meaning
  • Structured sentences in our own way instead of copying the structure of the original
  • Started from a different point, presenting information in a different order

Because of this, we’re able to clearly convey the relevant information from the source without sticking too close to the original phrasing.

Chrysotile asbestos, which is used to manufacture chlorine, sheet gaskets, and braking systems, may soon be banned by the Environmental Protection Agency. The proposed ban would prevent it from being imported into, manufactured in, or processed in the United States (Phillips, 2022).

“The concept of secrecy might evoke an image of two people in conversation, with one person actively concealing from the other. Yet, such concealment is actually uncommon. It is far more common to ruminate on our secrets. It is our tendency to mind-wander to our secrets that seems most harmful to well-being. Simply thinking about a secret can make us feel inauthentic. Having a secret return to mind, time and time again, can be tiring. When we think of a secret, it can make us feel isolated and alone” ( ). Research suggests that, while keeping secrets from others is indeed stressful, this may have little to do with the act of hiding information itself. Rather, the act of ruminating on one’s secrets is what leads to feelings of fatigue, inauthenticity, and isolation (Slepian, 2019).

Once you have your perfectly paraphrased text, you need to ensure you credit the original author. You’ll always paraphrase sources in the same way, but you’ll have to use a different type of in-text citation depending on what citation style you follow.

It’s a good idea to paraphrase instead of quoting in most cases because:

  • Paraphrasing shows that you fully understand the meaning of a text
  • Your own voice remains dominant throughout your paper
  • Quotes reduce the readability of your text

But that doesn’t mean you should never quote. Quotes are appropriate when:

  • Giving a precise definition
  • Saying something about the author’s language or style (e.g., in a literary analysis paper)
  • Providing evidence in support of an argument
  • Critiquing or analyzing a specific claim

A paraphrase puts a specific passage into your own words. It’s typically a similar length to the original text, or slightly shorter.

When you boil a longer piece of writing down to the key points, so that the result is a lot shorter than the original, this is called summarizing .

Paraphrasing and quoting are important tools for presenting specific information from sources. But if the information you want to include is more general (e.g., the overarching argument of a whole article), summarizing is more appropriate.

When paraphrasing, you have to be careful to avoid accidental plagiarism .

This can happen if the paraphrase is too similar to the original quote, with phrases or whole sentences that are identical (and should therefore be in quotation marks). It can also happen if you fail to properly cite the source.

Paraphrasing tools are widely used by students, and can be especially useful for non-native speakers who may find academic writing particularly challenging. While these can be helpful for a bit of extra inspiration, use these tools sparingly, keeping academic integrity in mind.

To make sure you’ve properly paraphrased and cited all your sources, you could elect to run a plagiarism check before submitting your paper. And of course, always be sure to read your source material yourself and take the first stab at paraphrasing on your own.

To paraphrase effectively, don’t just take the original sentence and swap out some of the words for synonyms. Instead, try:

  • Reformulating the sentence (e.g., change active to passive , or start from a different point)
  • Combining information from multiple sentences into one
  • Leaving out information from the original that isn’t relevant to your point
  • Using synonyms where they don’t distort the meaning

The main point is to ensure you don’t just copy the structure of the original text, but instead reformulate the idea in your own words.

Paraphrasing without crediting the original author is a form of plagiarism , because you’re presenting someone else’s ideas as if they were your own.

However, paraphrasing is not plagiarism if you correctly cite the source . This means including an in-text citation and a full reference, formatted according to your required citation style .

As well as citing, make sure that any paraphrased text is completely rewritten in your own words.

Plagiarism means using someone else’s words or ideas and passing them off as your own. Paraphrasing means putting someone else’s ideas in your own words.

So when does paraphrasing count as plagiarism?

  • Paraphrasing is plagiarism if you don’t properly credit the original author.
  • Paraphrasing is plagiarism if your text is too close to the original wording (even if you cite the source). If you directly copy a sentence or phrase, you should quote it instead.
  • Paraphrasing  is not plagiarism if you put the author’s ideas completely in your own words and properly cite the source .
