How To Write A Speech Report Like A Rockstar-Part 1

Learn how to write defensible speech reports with a solid background information section.

Every speech report I wrote flashes through my mind (especially in those early days). Would they hold up in a court of law? The realization that I may have written a speech and language assessment report that could one day be discussed in a courtroom where people could pick apart my skills, sends me into a state of panic.

Does anyone else feel a sense of panic?

This is me when I get an email or sit in a presentation about “legal” practices with IEPs and reports.

Collecting Background Information For Speech Assessments

Today, I wanted to share why including a thorough background information section in your speech and language assessment reports is important as well as a key component of writing a “legally defensive” report. I will also share what I include in my background information section and some of my tips on “how” to get that information in a timely manner!

Why do SLPs need to collect detailed background information?

It’s the law folks. Not only do we need to follow the eligibility educational code when doing assessments, but we also need to document that we tried interventions and considered all background information when determining eligibility.

We are showing the IEP team that we did our homework. It is important to gather information from many sources (i.e. parents, teachers, doctors) to show that we got to know our students and any important factors that could be impacting their scores on formal and informal measures.

These is also the areas where we discuss suspected areas of need. As we gather information from parents, the intervention team, medical information, etc. we can document those areas that may need to be assessed. This helps the SLP determine where they need to spend the bulk of their assessment. If teachers and parents share that people have a difficult time understanding the student, this means that a major portion of our assessment should be dedicated to looking at articulation and phonology development.

What should you include in your background information section

  • Include the student’s name, age, classroom grade level and level of support, and where they go to school.
  • Primary language- Documenting the languages the student speaks at home and in the classroom. This is where I include CELDT scores, years of English exposure, and how often and with whom they speak their primary and secondary languages. I may also include information regarding English Language Development and interventions used in the classroom.
  • Previous assessments, diagnoses, and therapy the child may have received from outside agencies or from previous assessments.
  • Documenting general education interventions- Student receiving Response To Intervention, and the outcomes of the interventions.
  • Stating how the student was referred to the speech therapist (i.e. parent, teacher, student study team, etc).
  • Reason for the assessment- is it an initial or triennial assessment and the purpose for conducting the assessment.

How can SLPs collect background information from families?

In California and specifically where I work, many school districts use a Student Assistance Plan (SAP) to document general education interventions.  A student study team meeting is held after tier 1 and tier 2 interventions have been implemented. I have trained my support staff and teachers to always invite me if there are speech and language concerns. This way, I can be there at the meeting to ask appropriate developmental questions, inquire about classroom interventions and find out about the family history of speech and language delays.

Why you should invest the time to get good background information

Already, I can hear people saying “I don’t have time to go to more meetings.” This my friends are very true, but I look at this additional time spent as a way to save time later. I find that if I do not make time to showcase my expertise as a speech and language pathologist, I get many referrals that have not considered the educational code for eligibility (7th percentile), teachers who have not completed general education interventions (which legally we need to do to show least restrictive environment) or have not considered a child’s background and primary language development. Going to these meetings helps me to gather good background information as well as determine if an assessment is warranted.

I try and have parents fill out a health and development questionnaire.  In the event that the parent hasn’t returned the forms, I rely on my teachers to help me because they sometimes see the parent during drop-off and pick up. My teachers are so awesome, they will make the parent fill it out right there at the moment, so we can get the information. In some cultures, I found that they are more transparent and upfront with medical professionals about health and family history. In those cases, I will ask my nurses to call parents to get that valuable information.

I would add that, if it’s a initial, I put the date of my informed consent and with whom (which parent:guardian) and if it was via phone or in person. We get a signed consent with our referrals but we follow up with an informed consent phone call because you can’t know if they really read the consent form or understood it. Also a great time to get more background and parent perspective on their child. Sometimes you cannot get the parent despite multiple attempts, but I usually do.

Great points! Question for the speechies: We have a student due for his three year re-eval. We have received written permission to test on Nov 6. The IEP meeting is planned to take place Dec 7 because his IEP (last year’s) is due. If written permission to test was received, do we still have the 60 day timeline? I am in IL and we use school days, not calendar days, so we have had 16 days of school between written permission and day of meeting. This is often not enough time for the school social worker and myself to get everything done. The psychologist does the academic testing and has no caseload so time is ok for her. I checked the isbe website but I couldn’t find information that said if written permisson to test is received can we use the 60 day timeline OR do we have to have it completed prior to the end date of last year’s IEP. Does anyone know?

I am in Illinois as well, and this problem comes up all the time. I’ve been told that the 60 day timeline trumps the IEP date. It’s ideal to get it done before the annual review, but the main place you will get “dinged” so to speak if you were to be audited is meeting the 60 days.

Please update me, what is the “educational code for eligibility” (7th percentile)? Is that state specific, ASHA, or federal guidelines? I would love any references to help me update my knowledge base about it.

Felice is referring to Ed Code, the federal regulations that guide how we can determine eligibility for special education services ( http://www.casponline.org/pdfs/pdfs/Title%205%20Regs,%20CCR%20update.pdf ). Specifically, she’s referencing Ed Code § 3030 section 56333, outlining eligibility criteria for a Speech or Language Disorder. Typically a student must score at least 1.5 standard deviations below the mean, or below the 7th percentile, for his or her chronological age or developmental level on two or more standardized tests to qualify as SLI for language concerns unless you are also using a language sample or alternative assessments.

What this handout is about

This handout will help you create an effective speech by establishing the purpose of your speech and making it easily understandable. It will also help you to analyze your audience and keep the audience interested.

What’s different about a speech?

Writing for public speaking isn’t so different from other types of writing. You want to engage your audience’s attention, convey your ideas in a logical manner and use reliable evidence to support your point. But the conditions for public speaking favor some writing qualities over others. When you write a speech, your audience is made up of listeners. They have only one chance to comprehend the information as you read it, so your speech must be well-organized and easily understood. In addition, the content of the speech and your delivery must fit the audience.

What’s your purpose?

People have gathered to hear you speak on a specific issue, and they expect to get something out of it immediately. And you, the speaker, hope to have an immediate effect on your audience. The purpose of your speech is to get the response you want. Most speeches invite audiences to react in one of three ways: feeling, thinking, or acting. For example, eulogies encourage emotional response from the audience; college lectures stimulate listeners to think about a topic from a different perspective; protest speeches in the Pit recommend actions the audience can take.

As you establish your purpose, ask yourself these questions:

  • What do you want the audience to learn or do?
  • If you are making an argument, why do you want them to agree with you?
  • If they already agree with you, why are you giving the speech?
  • How can your audience benefit from what you have to say?

Audience analysis

If your purpose is to get a certain response from your audience, you must consider who they are (or who you’re pretending they are). If you can identify ways to connect with your listeners, you can make your speech interesting and useful.

As you think of ways to appeal to your audience, ask yourself:

  • What do they have in common? Age? Interests? Ethnicity? Gender?
  • Do they know as much about your topic as you, or will you be introducing them to new ideas?
  • Why are these people listening to you? What are they looking for?
  • What level of detail will be effective for them?
  • What tone will be most effective in conveying your message?
  • What might offend or alienate them?

Creating an effective introduction

Get their attention, otherwise known as “the hook”.

Think about how you can relate to these listeners and get them to relate to you or your topic. Appealing to your audience on a personal level captures their attention and concern, increasing the chances of a successful speech. Speakers often begin with anecdotes to hook their audience’s attention. Other methods include presenting shocking statistics, asking direct questions of the audience, or enlisting audience participation.

Establish context and/or motive

Explain why your topic is important. Consider your purpose and how you came to speak to this audience. You may also want to connect the material to related or larger issues as well, especially those that may be important to your audience.

Get to the point

Tell your listeners your thesis right away and explain how you will support it. Don’t spend as much time developing your introductory paragraph and leading up to the thesis statement as you would in a research paper for a course. Moving from the intro into the body of the speech quickly will help keep your audience interested. You may be tempted to create suspense by keeping the audience guessing about your thesis until the end, then springing the implications of your discussion on them. But if you do so, they will most likely become bored or confused.

Making your speech easy to understand

Repeat crucial points and buzzwords.

Especially in longer speeches, it’s a good idea to keep reminding your audience of the main points you’ve made. For example, you could link an earlier main point or key term as you transition into or wrap up a new point. You could also address the relationship between earlier points and new points through discussion within a body paragraph. Using buzzwords or key terms throughout your paper is also a good idea. If your thesis says you’re going to expose unethical behavior of medical insurance companies, make sure the use of “ethics” recurs instead of switching to “immoral” or simply “wrong.” Repetition of key terms makes it easier for your audience to take in and connect information.

Incorporate previews and summaries into the speech

For example:

“I’m here today to talk to you about three issues that threaten our educational system: First, … Second, … Third,”

“I’ve talked to you today about such and such.”

These kinds of verbal cues permit the people in the audience to put together the pieces of your speech without thinking too hard, so they can spend more time paying attention to its content.

Use especially strong transitions

This will help your listeners see how new information relates to what they’ve heard so far. If you set up a counterargument in one paragraph so you can demolish it in the next, begin the demolition by saying something like,

“But this argument makes no sense when you consider that . . . .”

If you’re providing additional information to support your main point, you could say,

“Another fact that supports my main point is . . . .”

Helping your audience listen

Rely on shorter, simpler sentence structures.

Don’t get too complicated when you’re asking an audience to remember everything you say. Avoid using too many subordinate clauses, and place subjects and verbs close together.

Too complicated:

The product, which was invented in 1908 by Orville Z. McGillicuddy in Des Moines, Iowa, and which was on store shelves approximately one year later, still sells well.

Easier to understand:

Orville Z. McGillicuddy invented the product in 1908 and introduced it into stores shortly afterward. Almost a century later, the product still sells well.

Limit pronoun use

Listeners may have a hard time remembering or figuring out what “it,” “they,” or “this” refers to. Be specific by using a key noun instead of unclear pronouns.

Pronoun problem:

The U.S. government has failed to protect us from the scourge of so-called reality television, which exploits sex, violence, and petty conflict, and calls it human nature. This cannot continue.

Why the last sentence is unclear: “This” what? The government’s failure? Reality TV? Human nature?

More specific:

The U.S. government has failed to protect us from the scourge of so-called reality television, which exploits sex, violence, and petty conflict, and calls it human nature. This failure cannot continue.

Keeping audience interest

Incorporate the rhetorical strategies of ethos, pathos, and logos.

When arguing a point, using ethos, pathos, and logos can help convince your audience to believe you and make your argument stronger. Ethos refers to an appeal to your audience by establishing your authenticity and trustworthiness as a speaker. If you employ pathos, you appeal to your audience’s emotions. Using logos includes the support of hard facts, statistics, and logical argumentation. The most effective speeches usually present a combination these rhetorical strategies.

Use statistics and quotations sparingly

Include only the most striking factual material to support your perspective, things that would likely stick in the listeners’ minds long after you’ve finished speaking. Otherwise, you run the risk of overwhelming your listeners with too much information.

Watch your tone

Be careful not to talk over the heads of your audience. On the other hand, don’t be condescending either. And as for grabbing their attention, yelling, cursing, using inappropriate humor, or brandishing a potentially offensive prop (say, autopsy photos) will only make the audience tune you out.

Creating an effective conclusion

Restate your main points, but don’t repeat them.

“I asked earlier why we should care about the rain forest. Now I hope it’s clear that . . .” “Remember how Mrs. Smith couldn’t afford her prescriptions? Under our plan, . . .”

Call to action

Speeches often close with an appeal to the audience to take action based on their new knowledge or understanding. If you do this, be sure the action you recommend is specific and realistic. For example, although your audience may not be able to affect foreign policy directly, they can vote or work for candidates whose foreign policy views they support. Relating the purpose of your speech to their lives not only creates a connection with your audience, but also reiterates the importance of your topic to them in particular or “the bigger picture.”

Practicing for effective presentation

Once you’ve completed a draft, read your speech to a friend or in front of a mirror. When you’ve finished reading, ask the following questions:

  • Which pieces of information are clearest?
  • Where did I connect with the audience?
  • Where might listeners lose the thread of my argument or description?
  • Where might listeners become bored?
  • Where did I have trouble speaking clearly and/or emphatically?
  • Did I stay within my time limit?

1. Who is your audience?

An essential aspect of report writing is to know who is going to read it. Just as important, is to identify or anticipate the background knowledge of the people who are going to read the report.  For me, most of my reports are not read by other SLPs.  They are read by parents.  For many, English is not their first language. Most don’t have the background or haven’t yet been immersed in all the jargon us SLPs love to use. My reports are also read by doctors, who may or may not be as well versed in speech and language development as we would like.  Finally, reports are often read by people who determine the types of funding and services a child will receive.  In my case, these people are typically not SLPs.  Knowing when to include technical jargon and when to back off relies heavily on who is reading your report(s).

2. Why are you writing this report?

This is closely tied to the question, “Who is your audience?” What is the purpose of the report?  Is this to make a referral to a clinic (e.g. get a swallow study done)?  Is it to help the family receive additional services?  Is it to re-qualify for services?  Each type of report can sound very different. What I include in a report for children who will definitely qualify for services next year can look very different from a child who may not qualify or from a child who is moving on to his neighbourhood school.  The vocabulary I use can be very different.  What I include and don’t include can also be very different.

3. What kind of vocabulary are you going to use?

This is a big one for me.  It always amazes me, but really it shouldn’t, that what language we SLPs use and consider basic really isn’t.  In one of my first years as an SLP, I had a parent come up to me and asked me to “decode” and “translate” her son’s speech and language report from another agency.  At that point, her son had had speech services for about four years.  She was struggling to understand some “basic” terminology such as receptive language .  I have also had some very highly educated parents ask me what a preposition was, and what are visuals ?

Move away from the jargon as much as you can.  If you are going to use more technical language then back it up with definitions and examples.  This will help those non-SLPs reading the report understand what we are trying to say.  So include more words such as comprehension along with receptive language and pictures along with visuals. This can be challenging, using technical vocabulary can feel like a warm blanket in the winter. It’s warm and comforting. It can sometimes be challenging to describe terms that are clear and easily understood by people with little or no background.

4. Did you include the necessary information or sentences that are required for this type of report?

There are certain sentences or phrases that I need to include in a report in order to have a child qualify for services.  I have to talk about how a child’s deficits will negatively impact their education.   If I don’t include this part, it could affect whether they get approved or not. If I’m writing this report to help a family get more comprehensive home services, I need to talk about how the parents and child are struggling in the home. When I write letters recommending a Video Fluoroscopy Swallow Study (VFSS) for a little one, I have to write out Video Fluoroscopy Swallow Study.  If I’m not explicit they might not get their VFSS, or it may not be deemed a priority, and they are put further down the waitlist. Lastly, what are your licensing body, school or program requirements? It can be a lot to remember. When I first started my job, I had a checklist on what I needed to have in each report.  That way I knew I had all necessary information.

I am not a master report writer by any stretch of the imagination. In fact, when I first started my career, my reports were atrocious.  I worked very hard at improving them, and these are the parts of report writing that I am very conscious about and are areas that I often see as needing to improve in others reports. Preparing to Write a Speech

Quick links, understanding the speech genre.

As you begin writing your speech, you must understand the speech genre , conduct research , and develop an outline .

Understanding the type of speech you’re giving is the first step in the speech writing process.

If you already know the genre of your speech, then feel free to move on towards the next step. If not, start with the prompt. The prompt often identifies the genre of speech. Does your prompt give the speech genre?

If not, here are a few principles to help you figure out the speech genre:

  • Highlight keywords. Words such as analyze , explain , and argue tell you something about the nature of the speech. Look up the keywords in a dictionary to be precise.
  • Look for goals laid out in the prompt. Does the prompt tell you to “ Update the classroom on the political events in Syria,” “ Report your research on the Epstein–Barr virus,”or “ Explain how to do something you do well”? These prompts exemplify informative goals. “ Persuade the audience of what you think is the best way to succeed on a mission trip” is explicitly a prompt for a persuasive/argumentative speech.
  • If you’re completely lost, ask your professor or visit the Rhetoric Center—and bring your prompt!

The two most common types of speeches are informative and argumentative.

However, because more speaking genres exist (stories, tributes, eulogies, etc.) it’s imperative to highlight keywords , look for goals in the prompt , and seek help when needed .

After understanding the assignment you’ll know better what you need to research. At this stage it’s important to remember principles and goals of information literacy. Ensuring credibility of the resources used is a primary goal of information literacy.

It’s important that when researching, you consider the credibility of the resources you’re using. Unreliable sources will send your audience a message that you are unreliable. This Tedx Talk breaks down how to identify a fake news article; the principles can be applied to any research.

Ask yourself the following questions:

  • Who is this publication and are they credible?
  • Who is the author? Do they have accessible information about them and are they a credible source?
  • With both of these in mind, is this article/journal/website credible? If you have any doubt, then err on the safe side.

In addition, you’ll need to find enough sources with enough varying perspectives that you can build your own expertise and credibility.

For most speech classes, the outline is the closest thing to a full script you will have. Some speeches are read from a printed text; some are memorized. But most academic speeches are extemporaneous: the speaker knows the speech well enough to deliver it without reading it, and an outline makes this possible.

(Please note: we’re talking about the final structure of the full-bodied speech, not the keyword notecards you deliver the speech from.)

The outline is a version of the complete speech and is your most important planning document. It is your draft of the full speech, just like a full draft of a paper. For papers an outline simply guides the writer in the writing process. For speeches the outline is reasonably identical with the speech (with slight wording changes).

A speech outline includes the general wording of every sentence, including transitions, and is written in complete sentences (the exact format may different from one teacher to another). If you’re turning the speech in to an instructor, the instructor will usually ask you to include a “specific purpose” and “thesis” before the introduction.

You don’t use the speech outline during the speech. For information regarding the version of the outline used during the speech itself, please see the notecard section on Delivery.

This is an informative speech on the differences between Roman Catholicism and Eastern Orthodoxy. This outline isn’t perfect: it should include more transition sentences, and the introduction and conclusion are too short. But overall, it displays the content and structure.

This next outline , on the medicinal and culinary properties of dandelions, was put together by the Calvin CAS department as an example outline. Notice how this outline identifies the transition sentences and provides further information for the supporting points.

Your outline doesn’t have to look exactly like either of these examples as long as it accomplishes the main function of an outline: to set out a full written version of your speech.

Reported Speech - Definition, Rules and Usage with Examples

Reported speech or indirect speech is the form of speech used to convey what was said by someone at some point of time. This article will help you with all that you need to know about reported speech, its meaning, definition, how and when to use them along with examples. Furthermore, try out the practice questions given to check how far you have understood the topic.

Reported speech is the form in which one can convey a message said by oneself or someone else, mostly in the past. It can also be said to be the third person view of what someone has said. In this form of speech, you need not use quotation marks as you are not quoting the exact words spoken by the speaker, but just conveying the message.

Now, take a look at the following dictionary definitions for a clearer idea of what it is.

Reported speech, according to the Oxford Learner’s Dictionary, is defined as “a report of what somebody has said that does not use their exact words.” The Collins Dictionary defines reported speech as “speech which tells you what someone said, but does not use the person’s actual words.” According to the Cambridge Dictionary, reported speech is defined as “the act of reporting something that was said, but not using exactly the same words.” The Macmillan Dictionary defines reported speech as “the words that you use to report what someone else has said.”

Reported speech is a little different from direct speech . As it has been discussed already, reported speech is used to tell what someone said and does not use the exact words of the speaker. Take a look at the following rules so that you can make use of reported speech effectively.

  • The first thing you have to keep in mind is that you need not use any quotation marks as you are not using the exact words of the speaker.
  • You can use the following formula to construct a sentence in the reported speech.
  • You can use verbs like said, asked, requested, ordered, complained, exclaimed, screamed, told, etc. If you are just reporting a declarative sentence , you can use verbs like told, said, etc. followed by ‘that’ and end the sentence with a full stop . When you are reporting interrogative sentences, you can use the verbs – enquired, inquired, asked, etc. and remove the question mark . In case you are reporting imperative sentences , you can use verbs like requested, commanded, pleaded, ordered, etc. If you are reporting exclamatory sentences , you can use the verb exclaimed and remove the exclamation mark . Remember that the structure of the sentences also changes accordingly.
  • Furthermore, keep in mind that the sentence structure , tense , pronouns , modal verbs , some specific adverbs of place and adverbs of time change when a sentence is transformed into indirect/reported speech.

Transforming Direct Speech into Reported Speech

As discussed earlier, when transforming a sentence from direct speech into reported speech, you will have to change the pronouns, tense and adverbs of time and place used by the speaker. Let us look at the following tables to see how they work.

Here are some tips you can follow to become a pro in using reported speech.

  • Select a play, a drama or a short story with dialogues and try transforming the sentences in direct speech into reported speech.
  • Write about an incident or speak about a day in your life using reported speech.
  • Develop a story by following prompts or on your own using reported speech.

  • Blaine requested us to help him with the algebraic equations.
  • Karishma asked me if I knew where her car keys were.
  • The judges announced that the Warblers were the winners of the annual acapella competition.
  • Binsha assured that she would reach Bangalore by 8 p.m.
  • Kumar said that he had gone to the doctor the previous day.
  • Lakshmi asked Teena if she would accompany her to the railway station.
  • Jibin told me that he would help me out after lunch.
  • The police ordered everyone to leave from the bus stop immediately.
  • Rahul said that he was drawing a caricature.

Transform the following sentences into reported speech by making the necessary changes.

1. Rachel said, “I have an interview tomorrow.”

2. Mahesh said, “What is he doing?”

3. Sherly said, “My daughter is playing the lead role in the skit.”

4. Dinesh said, “It is a wonderful movie!”

5. Suresh said, “My son is getting married next month.”

6. Preetha said, “Can you please help me with the invitations?”

7. Anna said, “I look forward to meeting you.”

8. The teacher said, “Make sure you complete the homework before tomorrow.”

9. Sylvester said, “I am not going to cry anymore.”

Some academic assignments ask for a ‘report’, rather than an essay, and students are often confused about what that really means.

Likewise, in business, confronted with a request for a ‘report’ to a senior manager, many people struggle to know what to write.

Confusion often arises about the writing style, what to include, the language to use, the length of the document and other factors.

This page aims to disentangle some of these elements, and provide you with some advice designed to help you to write a good report.

What is a Report?

In academia there is some overlap between reports and essays, and the two words are sometimes used interchangeably, but reports are more likely to be needed for business, scientific and technical subjects, and in the workplace.

Whereas an essay presents arguments and reasoning, a report concentrates on facts.

Essentially, a report is a short, sharp, concise document which is written for a particular purpose and audience. It generally sets outs and analyses a situation or problem, often making recommendations for future action. It is a factual paper, and needs to be clear and well-structured.

Requirements for the precise form and content of a report will vary between organisation and departments and in study between courses, from tutor to tutor, as well as between subjects, so it’s worth finding out if there are any specific guidelines before you start.

Reports may contain some or all of the following elements:

  • A description of a sequence of events or a situation;
  • Some interpretation of the significance of these events or situation, whether solely your own analysis or informed by the views of others, always carefully referenced of course (see our page on Academic Referencing for more information);
  • An evaluation of the facts or the results of your research;
  • Discussion of the likely outcomes of future courses of action;
  • Your recommendations as to a course of action; and
  • Conclusions.

Not all of these elements will be essential in every report.

If you’re writing a report in the workplace, check whether there are any standard guidelines or structure that you need to use.

For example, in the UK many government departments have outline structures for reports to ministers that must be followed exactly.

Sections and Numbering

A report is designed to lead people through the information in a structured way, but also to enable them to find the information that they want quickly and easily.

Reports usually, therefore, have numbered sections and subsections, and a clear and full contents page listing each heading. It follows that page numbering is important.

Modern word processors have features to add tables of contents (ToC) and page numbers as well as styled headings; you should take advantage of these as they update automatically as you edit your report, moving, adding or deleting sections.

Report Writing

Getting started: prior preparation and planning.

The structure of a report is very important to lead the reader through your thinking to a course of action and/or decision. It’s worth taking a bit of time to plan it out beforehand.

Step 1: Know your brief

You will usually receive a clear brief for a report, including what you are studying and for whom the report should be prepared.

First of all, consider your brief very carefully and make sure that you are clear who the report is for (if you're a student then not just your tutor, but who it is supposed to be written for), and why you are writing it, as well as what you want the reader to do at the end of reading: make a decision or agree a recommendation, perhaps.

Step 2: Keep your brief in mind at all times

During your planning and writing, make sure that you keep your brief in mind: who are you writing for, and why are you writing?

All your thinking needs to be focused on that, which may require you to be ruthless in your reading and thinking. Anything irrelevant should be discarded.

As you read and research, try to organise your work into sections by theme, a bit like writing a Literature Review .

Make sure that you keep track of your references, especially for academic work. Although referencing is perhaps less important in the workplace, it’s also important that you can substantiate any assertions that you make so it’s helpful to keep track of your sources of information.

The Structure of a Report

Like the precise content, requirements for structure vary, so do check what’s set out in any guidance.

However, as a rough guide, you should plan to include at the very least an executive summary, introduction, the main body of your report, and a section containing your conclusions and any recommendations.

Executive Summary

The executive summary or abstract , for a scientific report, is a brief summary of the contents. It’s worth writing this last, when you know the key points to draw out. It should be no more than half a page to a page in length.

Remember the executive summary is designed to give busy 'executives' a quick summary of the contents of the report.

Introduction

The introduction sets out what you plan to say and provides a brief summary of the problem under discussion. It should also touch briefly on your conclusions.

Report Main Body

The main body of the report should be carefully structured in a way that leads the reader through the issue.

You should split it into sections using numbered sub-headings relating to themes or areas for consideration. For each theme, you should aim to set out clearly and concisely the main issue under discussion and any areas of difficulty or disagreement. It may also include experimental results. All the information that you present should be related back to the brief and the precise subject under discussion.

If it’s not relevant, leave it out.

Conclusions and Recommendations

The conclusion sets out what inferences you draw from the information, including any experimental results. It may include recommendations, or these may be included in a separate section.

Recommendations suggest how you think the situation could be improved, and should be specific, achievable and measurable. If your recommendations have financial implications, you should set these out clearly, with estimated costs if possible.

A Word on Writing Style

When writing a report, your aim should be to be absolutely clear. Above all, it should be easy to read and understand, even to someone with little knowledge of the subject area.

You should therefore aim for crisp, precise text, using plain English, and shorter words rather than longer, with short sentences.

You should also avoid jargon. If you have to use specialist language, you should explain each word as you use it. If you find that you’ve had to explain more than about five words, you’re probably using too much jargon, and need to replace some of it with simpler words.

Consider your audience. If the report is designed to be written for a particular person, check whether you should be writing it to ‘you’ or perhaps in the third person to a job role: ‘The Chief Executive may like to consider…’, or ‘The minister is recommended to agree…’, for example.

A Final Warning

As with any academic assignment or formal piece of writing, your work will benefit from being read over again and edited ruthlessly for sense and style.

Pay particular attention to whether all the information that you have included is relevant. Also remember to check tenses, which person you have written in, grammar and spelling. It’s also worth one last check against any requirements on structure.

For an academic assignment, make sure that you have referenced fully and correctly. As always, check that you have not inadvertently or deliberately plagiarised or copied anything without acknowledging it.

Finally, ask yourself:

“Does my report fulfil its purpose?”

Only if the answer is a resounding ‘yes’ should you send it off to its intended recipient.

Reporting and summarising

When we want to report what people say, we don't usually try to report their exact words. We usually give a  summary , for example:

Direct speech (exact words) :

Mary :  Oh dear. We've been walking for hours! I'm exhausted. I don't think I can go any further. I really need to stop for a rest. Peter :  Don't worry. I'm not surprised you're tired. I'm tired too. I'll tell you what, let's see if we can find a place to sit down, and then we can stop and have our picnic.

Reported speech (summary) :

When Mary complained that she was tired out after walking so far, Peter said they could stop for a picnic.

Reporting verbs

When we want to report what people say, we use reporting verbs . Different reporting verbs have different patterns, for example:

Mary complained (that) she was tired . (verb + that clause) She asked if they could stop for a rest . (verb + if clause) Peter told her not to worry . (verb + to -infinitive) He suggested stopping and having a picnic . (verb + - ing form) 

See reporting verbs with that , wh-  and if clauses , verbs followed by the infinitive , verbs followed by the -ing form .

Tenses in reported speech

When reporting what people say or think in English, we need to remember that the rules for tense forms in reported speech are exactly the same as in the rest of the language.

If we wanted to report what Andrew said in his letter, we might say something like this: 

Andrew said that when he  was  22, he was an engineering student in his last month at university. He wanted  to travel abroad after he  had finished  his course at the university, but he would need to earn some money while he was abroad so he wanted  to learn to teach English as a foreign language. A friend  had recommended  a course but Andrew needed more information, so he wrote to the school and asked them when their courses started  and how much they were . He also wanted to know if there was  an examination at the end of the course.

We would naturally use past tense forms to talk about things which happened ten years ago. So, tenses in reports and summaries in English are the same as in the rest of the language.

Sometimes we can choose between a past tense form and a  present tense  form. If we're talking about the past but we mention something that's still true , we can use the present tense:

John said he'd stayed at the Shangri-la because it' s the best hotel in town. Mary said she enjoyed the film because Robert de Niro is her favourite actor. Helen said she  loves visiting New York.

or the past tense:

John said he'd stayed at the Shangri-la because it was the best hotel in town. Mary said she enjoyed the film because Robert de Niro was her favourite actor. Helen said she  loved visiting New York.

If we're talking about something that  everybody knows is true , we normally use the present tense :

Michael said he'd always wanted to climb Everest because it' s the highest mountain in the world. Mary said she loved visiting New York because it' s such an exciting city.

Hi! I found the following paragraph from a grammar site while I was studying the reported speech. Can you help me? It says; --> We can use a perfect form with have + -ed form after modal verbs, especially where the report looks back to a hypothetical event in the past: He said the noise might have been the postman delivering letters. (original statement: ‘The noise might be the postman delivering letters.’)

And my question is: How do we understand if it is a hypothetical event in the past or not? We normally don't change 'might' in reported speech. (e.g. ‘It might snow tonight,’ he warned. --> He warned that it might snow that night.) But why do we say 'He said the noise might have been the postman delivering letters.' instead of 'He said that the noise might be the postman delivering letters.’ What's the difference between these two indirect reported speeches? Could you please explain the difference? And I also found this example which is about the same rule above: --> He said he would have helped us if we’d needed a volunteer. (original statement: a) ‘I’ll help you if you need a volunteer’ or b) ‘I’d help you if you needed a volunteer.’) Can you also explain why we report this sentence like that. 1. He said the noise might have been the postman delivering letters. 2. He said that the noise might be the postman delivering letters.

In sentence 1 it is clear that the noise has ended; it is a noise that 'he' could hear but it is not a noise that you can hear now. In sentence 2 the noise could have ended or it could be a noise that you can still hear now. For example, if the noise is one which is constant, such as a noise that comes from your car engine that you are still trying to identify, then you would use sentence 2. In other words, sentence 2 allows for a wider range of time possibilities - both past (ended) and present (still current).

Your second question is similar:

He said he would have helped us if we needed a volunteer - you no longer need a volunteer

He said he would help us if we needed a volunteer - this could still be relevant; you may still need a volunteer.

You can but it is unusual. If you say  I was eating an apple  (past continuous), it means that it was in the past. You already finished eating the apple and you are not eating it now. But if your friend asked you just a moment ago, I guess you are still eating the apple when she/he asks the second question, so I would say  I'm eating an apple  (because you are still doing it).

Alternatively, you can use a past tense reporting verb e.g. I said I was eating an apple  (referring to the time of the first question), or  I said I 'm eating an apple  (to show that you are still eating it now, at the moment of speaking).

The verb may or may not be backshifted, depending on whether the original speaker's point of view and the reporter's point of view are the same or not. For example:

  • She said it had been quite a while since she last saw me . (it seems relatively recent, for both the original speaker and the reporter)
  • She said it had been quite a while since she had last seen us . (a lot of time has passed between speaking and reporting this, or the situation has changed a lot since then e.g. they have met frequently since then)
  • She said she had met her grandfather before he died . (seems quite recent)
  • She said she had met her grandfather before he'd died . (a lot of time has passed between speaking and reporting this)

First of all, the sentence is not grammatically correct. The phrase is 'no such thing' (singular), not 'things'.

How you report it depends. Using 'said' as the reporting verb we have two possibilities:

1. They said (that) there's no such thing as good news in America. 2. They said (that) there was no such thing as good news in America.

Sentence 2 tells that only about the time when 'they' said it. It does not tell us if it is still true or not.

Sentence 1 tells us that what 'they' said is still relevant today. In other words there was no good news (in their opinion) when they spoke, and there is still no good news now.

Hi, I am translating a fiction novel into English and need your help regarding the reporting speech as for few things I am not getting any clear understanding over the internet. As you know in fiction, we need to write in non-ordinary way to create unique impressions of the word and academic writing is different than speaking. Will be grateful if you could give your insight below, especially considering in the context of fiction/academic writing.

1) Let’s say If someone is giving a speech or presentation, I want to mix their speech, indirect-direct and past tense- present tense. Below are three examples:

-He said, their company makes excellent profit every year OR their company made excellent profit every year ( can both be correct? As the sentence)

- Roger had given his speech yesterday. He said, their company makes excellent profit every year and your company will sustain for next hundred years.(Can YOUR be used in the sentence)

- Roger said people wants to feel important OR Roger said people wanted to feel important (which will be correct as this is a trait which is true in past and present)

2) He thought why he is talking to her OR He thought why he was talking to her (are both write? As usually I see in novels the second example with WAS)

3) Gia was sitting with Jake and she told him she had met with her last year. Her mother had taken her to the dinner. Her mother had told her about her future plans. Her mother also had paid the bill for the dinner. (Do I need to use every time past perfect in this example though it doesn’t feel natural? As a rule of thumb I think past perfect needs to be used when we talk about another past event in the past )

We're happy to help with a few specific grammar questions, but I'm afraid we can't help you with your translation -- I'd suggest you find an editor for that.

1) In the second clause, you can use present or past. We often use the present when it's still true now, but the past is not wrong. FYI we don't normally use a comma after 'said' in reported speech.

2) 'Why was he talking to her?' he thought.

3) This is really more of a question of style than grammar. Here I would suggest doing something like combining the four sentences into two and then leaving out 'had' in the second verb in each sentence. Even if it isn't written, it's understood to be past perfect.

The verb form remains the same when we want to make it clear that the situation described by the verb is still true, and this works in the same way as indirect speech. For example:

She said she loves me. [she loved me then and she loves me still] She said she loved me. [she loved me then; no information on how she feels now]

Other than this rule, the choice is really contextual and stylistic (up to the speaker). Sometimes a choice implies something. For example, the saying 'time is money' is a general statement, so if you choose to backshift here the listener will know it is an intentional choice and suspect that something has changed (you no longer believe it).

Both sentences are grammatically possible.

The first sentence is only possible if when the person asks the original question the woman is no longer there (she has already gone). The second sentence can be used in this situation too, or in a situation in which the woman was still there when the original question was asked. As the past tense is used in the original question ( Who was... ), both sentences are possible.

When the situation is still true at the time of reporting, we can leave the verb form unchanged. For example:

1. She told me she loved me.
2. She told me she loves me.

In sentence 1 we know she loved me when she told me but we don't know whether or not she loves me now. In sentence 2, we know she loved me when she told me and we know that she loves me now.

In your example, if the supermarket is still in the same place then we can use either form. If the supermarket has been closed down or moved to another location then we need to use was .

As for which is 'safer', you'll need to make your own mind up! Keeping the verb in the same form carries more specific information and that may be appropriate or even important.

The first two sentences are possible and they can both mean that he is still Mary's boyfriend now. The first one makes this more clear, but the second one doesn't only refer to the past.

Regarding your first question, the most common way of saying it is the second one. In some very specific situation, perhaps the first option would be possible.

This also answers your second question. It is not necessary to always backshift using the tenses you mention.

As for your third question, no, it is not necessary. In fact, it is probably more common to use the past simple in the reported speech as well.

Both forms are possible. If you use  had been  then we understand that he was there earlier but not when he said it - in other words, when he said it he had already left. If you use was then he may have left at the time of speaking, or he may have still been there.

I would recommend using answer a) because this is the general pattern used in reported speech. Sometimes the verb in the reported clause can be in the present tense when we are speaking about a situation that is still true, but the reported verb in the past tense can also have the same meaning. Since here the time referred to could be either past or present, I'd recommend using the past form.

This is an example of an indirect question. An indirect question reports a question, but is not a question itself, which is why we do not use a question mark at the end. Since it is not a question, we use the normal word order without inversion or auxiliary verbs. For example:

Indicative: He lives in Rome. Interrogative: Does he live in Rome? (Where does he live?) Reported: She asked if he lives in Rome. (She asked where he lives.)

There are different styles of punctuating direct speech -- in other words, you might find other sources that will disagree with me -- but what I would use here is something different: "The boss is dead!" said the doctor.

The form that comes after the auxiliary verb 'do' (or 'does' or 'did') is not the plural present simple verb, but rather the bare infinitive (also known as 'base form' or 'first form') of the verb. Does that make sense?

The difference is quite logical. If we use 'said' then we are talking about a claim by Peter in the past which he may or may not still maintain. If we use 'says' then we are talking about an opinion expressed by Peter which he still holds.

The reported information (whether or not Rooney is in good shape) can refer to only the past or to the present as well and the statement (what Peter thinks) can separately refer to only the past or the present as well. Of course, all of this is from the point of view of the person reporting Peter's opinion, and whether or not they think that Peter still thinks now what he thought then.

Both are possible. If you use the present tense then it is clear that the statement is still true (i.e. the business was not growing when Mary spoke and is still not growing now). If you use the past tense then no information is given regarding the present (i.e. the business was growing when Mary spoke and may or may not be growing now).

There are two basic ways: direct speech and indirect speech. Direct speech is an exact account of what someone said or wrote. To include direct speech in your writing, enclose the words in “quotation marks.” Indirect speech is a restatement of what someone said or wrote. Indirect speech does not use the person’s exact words. You do not need to use quotation marks for indirect quotations.

Direct speech (quoting)

One way to report what a person said or wrote is to repeat their exact words. This is called direct speech. The person’s words are called a quotation.

To use direct speech, you must repeat the person’s words exactly. You use a verb of attribution and specific punctuation. Quotation marks show readers another person’s exact words. Often, you will want to identify who is speaking. You can do this at the beginning, middle, or end of the quote. Notice the use of commas and capitalized words.

Look at these examples:

  • “I’m no prophet. My job is making windows where there were once walls,” said philosopher Michel Foucault.
  • Michel Foucault said, “I’m no prophet. My job is making windows where there were once walls.”
  • “I’m no prophet,” said philosopher Michel Foucault. “My job is making windows where there were once walls.”

They all mean exactly the same thing. The difference between these three options is merely a matter of style. What is important, however, is the punctuation. Pay attention to quotation marks, commas, periods, and spaces.

Use single quotation marks to enclose a quote within a quote. For example: “He said, ‘The futurist told me to buy stock in plastics.'”

  • A quotation must be exactly the same as the original text.
  • A quotation must use “quotation marks” surrounding the exact text.
  • A quotation must give credit to the original author or speaker.
  • According to  Sports Illustrated , “Eliminating drug use from Olympic Sports would be no small challenge.”
  • “ Eliminating drug use from Olympic Sports would be no small challenge,” according to  Sports Illustrated .

Indirect speech (paraphrasing)

Another way to report what a person says is indirect speech. Here, you don’t need to use the other person’s exact words. In informal situations, you may change only a word or two (such as the verb tense). Other times, such as in formal academic research writing, you paraphrase, or say the same thing using different words or a different word order. When you paraphrase, you usually use a verb of attribution followed by a noun clause, often introduced by the relative pronoun  that . Here’s how you can paraphrase the example from above:

  • Philosopher Michel Foucault says he doesn’t see the future, but instead helps people find ways to put windows in walls.
  • Michel Foucault says he’s not a philosopher; rather, he helps people see beyond what is immediately in front of them.

The 4 Rs of paraphrasing

According to the Virtual Library, here are four steps to paraphrase:

  • Reword  the text by using synonyms or different parts of speech; change verb tense or change active verbs to passive and vice versa.
  • Rearrange  by moving words to make new sentences or reorganize the sentences in a passage.
  • Realize  that not all words or phrases can be changed; you won’t be able to replace names, dates, titles, or technical words.
  • Recheck  your work to make sure it carries the same meaning as the original; a paraphrase does not add or omit any information, and it does not include your personal opinion.

NOTE: In formal academic writing, we often use a reporting verb in the present simple tense. Example:  The author of this book suggests that the real reason for the wildfires was human carelessness.

Let’s look at another example:

Using quotation :  Many people believe they can get more done if they do several things at the same time. However, Steven Pinker disagrees. In his article “Mind Over Mass Media” in  The New York Times (2010), Pinker says, “Genuine multitasking, too, has been exposed as a myth, not just by laboratory studies but by the familiar sight of an S.U.V. undulating between lanes as the driver cuts deals on his cellphone” (A31). Pinker goes on to explain that there are better ways to be more effective and efficient …

Using paraphrase :  Many people believe they can get more done if they do several things at the same time. However, Steven Pinker disagrees. Note the three steps we took in making this paraphrase:

  • We defined the key term. (“Genuine multitasking” = “do more than one thing at a time”)
  • We used different vocabulary. (“laboratory studies” = “scientific research projects”; “an S.U.V. undulating between lanes” = “a car moving unpredictably down the highway”)
  • We used different grammar. (“has been exposed” = “one can see”; “by the familiar sight” = “from just watching”)
  • A paraphrase has the same meaning (all main ideas included; no new ideas added).
  • A paraphrase is different enough to be considered your own words (uses no more than a few words in a row from the original source; changes vocabulary and grammar as much as possible)
  • A paraphrase refers to (cites) the original source.

Use the following exercise to check your understanding. This exercise is for practice; it is not graded, and you may complete it as many times as you wish.

1.  Which of the options below describes this sentence best? The artist said the studio smelled like “paint and possibility.”

  • The sentence uses a quotation to explain what the artist said.
  • There is no paraphrase (because there are “quotation marks”), but there is also no direct speech because the quote is not a full sentence.
  • The sentence uses a quotation, but the whole sentence is incomplete and therefore only a fragment.
  • The sentence paraphrases what the artist said.

2. Paraphrasing, which is also called “indirect speech,” uses the exact same words as the original source.

3. Here is a sentence from an article by Mary Lynch:  The value of education is more than knowledge. How would I report this as indirect speech (paraphrase)?

  • The value of education is more than knowledge, believes Mary Lynch.
  • In Mary Lynch’s opinion, “The value of education is more than knowledge.”
  • Mary Lynch suggests that knowledge is not the only important thing about learning.
  • Mary Lynch says education and training are very important.

4. Here is a sentence from an article by Doug Drial: Oregon became a state on February 14, 1859. How would I report this as direct speech (quotation)?

  • Doug Drial writes Oregon as a state in 1859.
  • According to Doug Drial, February 14, 1859 was the date when Oregon became a state.
  • Doug Drial says Oregon became a state on February 14, 1859.
  • Doug Drial says, “Oregon became a state on February 14, 1859.”

It should also be written in a professional and accessible style, with appropriate use of headings, subheadings, tables, graphs, and other visual aids.

Direct speech refers to the exact words that a person says. You can “report” direct speech in a few different ways.

To see how this works, let’s pretend that I (Elisabeth) told some people that I liked green onions.

Here are some different ways that those people could explain what I said:

Direct speech: “I like green onions,” Elisabeth said.

Direct speech: “I like green onions,” she told me. — In this sentence, we replace my name (Elisabeth) with the pronoun she.

In all of these examples, the part that was said is between quotation marks and is followed by a noun (“she” or “Elisabeth”) and a verb. Each of these verbs (“to say,” “to tell [someone],” “to explain”) are ways to describe someone talking. You can use any verb that refers to speech in this way.

You can also put the noun and verb before what was said.

Direct speech: Elisabeth said, “I like spaghetti.”

The example above would be much more likely to be said out loud than the first set of examples.

Here’s a conversation that might happen between two people:

1: Did you ask her if she liked coffee?

2: Yeah, I asked her.

1: What did she say?

2. She said, “Yeah, I like coffee.” ( Direct speech )

Usually, reporting of direct speech is something you see in writing. It doesn’t happen as often when people are talking to each other. 

Direct reported speech often happens in the past. However, there are all kinds of stories, including journalism pieces, profiles and fiction, where you might see speech reported in the present as well.

This is sometimes done when the author of the piece wants you to feel that you’re experiencing events in the present moment.

For example, a profile of Kristen Stewart in Vanity Fair  has a funny moment that describes how the actress isn’t a very good swimmer:

Direct speech: “I don’t want to enter the water, ever,” she says. “If everyone’s going in the ocean, I’m like, no.”

Here, the speech is reported as though it’s in the present tense (“she says”) instead of in the past (“she said”).

In writing of all kinds, direct reported speech is often split into two or more parts, as it is above.

Here’s an example from Lewis Carroll’s “ Alice’s Adventures in Wonderland ,” where the speech is even more split up:

Direct speech: “I won’t indeed!” said Alice, in a great hurry to change the subject of conversation. “Are you—are you fond—of—of dogs?” The Mouse did not answer, so Alice went on eagerly: “There is such a nice little dog near our house I should like to show you!”

Reporting indirect speech is what happens when you explain what someone said without using their exact words.

Let’s start with an example of direct reported speech like those used above.

Direct speech: Elisabeth said, “I like coffee.”

As indirect reported speech, it looks like this:

Indirect speech: Elisabeth said she liked coffee.

You can see that the subject (“I”) has been changed to “she,” to show who is being spoken about. If I’m reporting the direct speech of someone else, and this person says “I,” I’d repeat their sentence exactly as they said it. If I’m reporting this person’s speech indirectly to someone else, however, I’d speak about them in the third person—using “she,” “he” or “they.”

You may also notice that the tense changes here: If “I like coffee” is what she said, this can become “She liked coffee” in indirect speech.

However, you might just as often hear someone say something like, “She said she likes coffee.” Since people’s likes and preferences tend to change over time and not right away, it makes sense to keep them in the present tense.

Indirect speech often uses the word “that” before what was said:

Indirect speech: She said that she liked coffee.

There’s no real difference between “She said she liked coffee” and “She said that she liked coffee.” However, using “that” can help make the different parts of the sentence clearer.

Let’s look at a few other examples:

Indirect speech: I said I was going outside today.

Indirect speech: They told me that they wanted to order pizza.

Indirect speech: He mentioned it was raining.

Indirect speech: She said that her father was coming over for dinner.

You can see an example of reporting indirect speech in the funny video “ Cell Phone Crashing .” In this video, a traveler in an airport sits down next to another traveler talking on his cell phone. The first traveler pretends to be talking to someone on his phone, but he appears to be responding to the second traveler’s conversation, which leads to this exchange:

When reporting questions in indirect speech, you can use words like “whether” or “if” with verbs that show questioning, such as “to ask” or “to wonder.”

Direct speech: She asked, “Is that a new restaurant?”

Indirect speech: She asked if that was a new restaurant. 

In any case where you’re reporting a question, you can say that someone was “wondering” or “wanted to know” something. Notice that these verbs don’t directly show that someone asked a question. They don’t describe an action that happened at a single point in time. But you can usually assume that someone was wondering or wanted to know what they asked.

Indirect speech: She was wondering if that was a new restaurant.

Indirect speech: She wanted to know whether that was a new restaurant.

It can be tricky to know how to use tenses when reporting indirect speech. Let’s break it down, tense by tense.

Sometimes, indirect speech “ backshifts ,” or moves one tense further back into the past. We already saw this in the example from above:

Direct speech: She said, “I like coffee.”

Indirect speech: She said she liked coffee.

Also as mentioned above, backshifting doesn’t always happen. This might seem confusing, but it isn’t that difficult to understand once you start using reported speech regularly.

What tense you use in indirect reported speech often just depends on when what you’re reporting happened or was true.

Let’s look at some examples of how direct speech in certain tenses commonly changes (or doesn’t) when it’s reported as indirect speech.

Direct speech: I said, “I play video games.”

Indirect speech: I said that I played video games (simple past) or I said that I play video games  (simple present).

Backshifting into the past or staying in the present here can change the meaning slightly. If you use the first example, it’s unclear whether or not you still play video games; all we know is that you said you played them in the past.

If you use the second example, though, you probably still play video games (unless you were lying for some reason).

However, the difference in meaning is so small, you can use either one and you won’t have a problem.

Direct speech: I said, “I’m playing video games.”

Indirect speech: I said that I was playing video games (past continuous) or I said that I’m playing video games (present continuous).

In this case, you’d likely use the first example if you were telling a story about something that happened in the past.

You could use the second example to repeat or stress what you just said. For example:

Hey, want to go for a walk?

Direct speech: No, I’m playing video games.

But it’s such a nice day!

Indirect speech: I said that I’m playing video games!

Direct speech: Marie said, “I have read that book.”

Indirect speech: Marie said that she had read that book (past perfect) or Marie said that she has read that book (present perfect).

The past perfect is used a lot in writing and other kinds of narration. This is because it helps point out an exact moment in time when something was true.

The past perfect isn’t quite as useful in conversation, where people are usually more interested in what’s true now. So, in a lot of cases, people would use the second example above when speaking.

Direct speech: She said, “I have been watching that show.”

Indirect speech: She said that she had been watching that show (past perfect continuous) or She said that she has been watching that show (present perfect continuous).

These examples are similar to the others above. You could use the first example whether or not this person was still watching the show, but if you used the second example, it’d probably seem like you either knew or guessed that she was still watching it.

Direct speech: You told me, “I charged my phone.”

Indirect speech: You told me that you had charged your phone (past perfect) or You told me that you charged your phone (simple past).

Here, most people would probably just use the second example, because it’s simpler, and gets across the same meaning.

Direct speech: You told me, “I was charging my phone.”

Indirect speech: You told me that you had been charging your phone (past perfect continuous) or You told me that you were charging your phone (past continuous).

Here, the difference is between whether you had been charging your phone before or were charging your phone at the time. However, a lot of people would still use the second example in either situation.

Direct speech: They explained, “We had bathed the cat on Wednesday.”

Indirect speech: They explained that they had bathed the cat on Wednesday. (past perfect)

Once we start reporting the past perfect tenses, we don’t backshift because there are no tenses to backshift to.

So in this case, it’s simple. The tense stays exactly as is. However, many people might simplify even more and use the simple past, saying, “They explained that they bathed the cat on Wednesday.”

Direct speech: They said, “The cat had been going outside and getting dirty for a long time!”

Indirect speech: They said that the cat had been going outside and getting dirty for a long time. (past perfect continuous)

Again, we don’t shift the tense back here; we leave it like it is. And again, a lot of people would report this speech as, “They said the cat was going outside and getting dirty for a long time.” It’s just a simpler way to say almost the same thing.

Direct speech: I told you, “I will be here no matter what.”

Indirect speech: I told you that I would be here no matter what. (present conditional)

At this point, we don’t just have to think about tenses, but grammatical mood, too. However, the idea is still pretty simple. We use the conditional (with “would”) to show that at the time the words were spoken, the future was uncertain.

In this case, you could also say, “I told you that I will be here no matter what,” but only if you “being here” is still something that you expect to happen in the future.

What matters here is what’s intended. Since this example shows a person reporting their own speech, it’s more likely that they’d want to stress the truth of their own intention, and so they might be more likely to use “will” than “would.”

But if you were reporting someone else’s words, you might be more likely to say something like, “She told me that she would be here no matter what.”

Direct speech: I said, “I’ll be waiting for your call.”

Indirect speech: I said that I would be waiting for your call. (conditional continuous)

These are similar to the above examples, but apply to a continuous or ongoing action.

Direct speech: She said, “I will have learned a lot about myself.”

Indirect speech: She said that she would have learned a lot about herself (conditional perfect) or She said that she will have learned a lot about herself (future perfect).

In this case, using the conditional (as in the first example) suggests that maybe a certain event didn’t happen, or something didn’t turn out as expected.

However, that might not always be the case, especially if this was a sentence that was written in an article or a work of fiction. The second example, however, suggests that the future that’s being talked about still hasn’t happened yet.

Direct speech: She said, “By next Tuesday, I will have been staying inside every day for the past month.”

Indirect speech: She said that by next Tuesday, she would have been staying inside every day for the past month (perfect continuous conditional) or She said that by next Tuesday, she will have been staying inside every day for the past month (past perfect continuous).

Again, in this case, the first example might suggest that the event didn’t happen. Maybe the person didn’t stay inside until next Tuesday! However, this could also just be a way of explaining that at the time she said this in the past, it was uncertain whether she really would stay inside for as long as she thought.

The second example, on the other hand, would only be used if next Tuesday hadn’t happened yet.

One of the most common uses for reported speech is in fiction. You’ll find plenty of reported speech in novels and short stories . Look for books that have long sections of text with dialogue marked by quotation marks (“…”). Once you understand the different kinds of reported speech, you can look for it in your reading and use it in your own writing.

Writing your own stories is a great way to get even better at understanding reported speech.

One of the best ways to practice any aspect of English is to watch native English videos. By watching English speakers use the language, you can understand how reported speech is used in real world situations.

Direct Speech and Reported Speech

There are two ways to report what someone says or thinks:

Direct Speech

Direct speech shows a person's exact words. Quotation marks ("....") are a sign that the words are the exact words that a person used.

Hai asked, "Where are you going?"

Manny replied, "I'm going home."

Reported Speech

Reported speech puts the speaker's words or ideas into a sentence without quotation marks. Noun clauses are usually used. In reported speech, the reader does not assume that the words are the speaker's exact words; often, they are a paraphrase of the speaker's words.

Hai asked Manny where he was going.

Manny said he was going home.

Note: Use of the word "that" is optional in reported speech. Both of the following sentences are correct:

  • The child said that they were lost.
  • The child said they were lost.

Verb Tense in Reported Speech

When you report what someone said in the past, you usually shift back a verb tense from the tense the speaker used. These are some examples of verb shifts:

  • simple present to simple past
  • past to past perfect
  • present perfect to past perfect

*If the reported information is still true, you may use the same tense.

Questions in Reported Speech

Word order: The word order in a reported question is the same as in a statement. The subject comes before the verb.

  • Question: Are you ready?
  • Statement: I am ready.
  • Question in reported speech: She wanted to know if I was ready.

Punctuation: If the sentence is a statement, end it with a period even if it contains a reported question.

  • Statement containing a reported question: She asked me what I thought of the book.
  • Question containing a reported question: Did she ask what you thought of the book?

Yes or No Questions

To change a yes/no question to a noun clause in reported speech, introduce the noun clause "if" or "whether." "Whether or not" may also be used.

Information Questions

To change an information question to a noun clause in reported speech, begin the noun clause with the question word and remember to use sentence word order.

The person who is reporting what someone said is usually different from the person who made the original statement. As a result, pronouns in reported speech often change.

Place and Time

Changes in the situation between direct and reported speech can result in changes to words indicating place and time.

Recommend and Suggest

The subjunctive, or base, form of the verb (no tense, without "to") is used in reported speech when the main verb is "recommend" or "suggest."

Infinitives

Infinitives (to + the simple form of the verb) may sometimes be used instead of noun clauses, especially in commands and in requests for action or permission.

Commands can be reported two ways:

  • A noun clause with a modal (usually "should")
  • An infinitive

Requests for action or permission can be reported two ways:

In this chapter, we turn our attention to the presentation of speech, thought and writing in a text—or Discourse Presentation as it is also known. The presentation of what characters or other people said, wrote or thought is an essential component of both fiction and non-fiction. The model of Discourse Presentation we describe in this chapter is based on Short ( Language and Literature 21:18–32, 2012), which is a development of the original model introduced by Leech and Short ( Style in Fiction: A Linguistic Introduction to English Fictional Prose. Longman, 2007 [1981]). In this chapter, we first explain what is meant by Discourse Presentation and then describe the model using examples mainly drawn from the HUM19UK corpus of nineteenth-century novels. We then demonstrate one way in which corpus methods can be used in the analysis of speech, writing and thought in prose fiction.

Former President Donald Trump is bringing together church and state in a gilded package for his latest venture, a $60 "God Bless The USA" Bible complete with copies of the nation's founding documents.

Trump announced the launch of the leather-bound, large-print, King James Bible in a post on Truth Social on Tuesday — a day after the social media company surged in its trading debut and two days after a New York appeals court extended his bond deadline to comply with a ruling in a civil fraud case and slashed the bond amount by 61%.

"Happy Holy Week! Let's Make America Pray Again," Trump wrote. "As we lead into Good Friday and Easter, I encourage you to get a copy of the God Bless The USA Bible."

The Bible is inspired by "God Bless the USA," the patriotic Lee Greenwood anthem that has been a fixture at many a Trump rally (and has a long political history dating back to Ronald Reagan). It is the only Bible endorsed by Trump as well as Greenwood, according to its promotional website .

The Bible is only available online and sells for $59.99 (considerably more expensive than the traditional Bibles sold at major retailers, or those available for free at many churches and hotels). It includes Greenwood's handwritten chorus of its titular song as well as copies of historical documents including the U.S. Constitution, Declaration of Independence and Pledge of Allegiance.

"Many of you have never read them and don't know the liberties and rights you have as Americans, and how you are being threatened to lose those rights," Trump said in a three-minute video advertisement.

"Religion and Christianity are the biggest things missing from this country, and I truly believe that we need to bring them back and we have to bring them back fast."

Trump critics on both sides of the aisle quickly criticized the product, characterizing it as self-serving and hypocritical.

Conservative political commentator Charlie Sykes slammed him for "commodifying the Bible during Holy Week," while Democratic Sen. Amy Klobuchar of Minnesota critiqued him for "literally taking a holy book and selling it, and putting it out there in order to make money for his campaign."

Trump says the money isn't going to his campaign, but more on that below.

Klobuchar added that Trump's public attacks on others are "not consistent with the teachings of the Bible," calling this "one more moment of hypocrisy." Tara Setmayer, a senior adviser for anti-Trump Republican PAC the Lincoln Project, called it "blasphemous ."

And former Rep. Liz Cheney, a Republican from Wyoming, trolled Trump with a social media post alluding to his alleged extramarital affairs.

"Happy Holy Week, Donald," she wrote. "Instead of selling Bibles, you should probably buy one. And read it, including Exodus 20:14 ."

Christianity is an increasingly prominent part of his campaign

Trump has made a point of cultivating Christian supporters since his 2016 presidential campaign and remains popular with white evangelicals despite his multiple divorces, insults toward marginalized groups and allegations of extramarital affairs and sexual assault.

And his narrative of being persecuted — including in the courts — appears to resonate with his many Christian supporters.

Trump has increasingly embraced Christian nationalist ideas in public. He promised a convention of religious broadcasters last month that he would use a second term to defend Christian values from the "radical left," swearing that "no one will be touching the cross of Christ under the Trump administration."

He made similar comments in the Bible promotional video, in which he warned that "Christians are under siege" and the country is "going haywire" because it lost religion.

"We must defend God in the public square and not allow the media or the left-wing groups to silence, censor or discriminate against us," he said. "We have to bring Christianity back into our lives and back into what will be again a great nation."

Trump himself is not known to be particularly religious or a regular churchgoer. He long identified as Presbyterian but announced in 2020 that he identified as nondenominational .

A Pew Research Center survey released earlier this month found that most people with positive views of Trump don't see him as especially religious, but think he stands up for people with religious beliefs like their own.

Trump said in the promotional video that he has many Bibles at home.

"It's my favorite book," he said, echoing a comment he's made in previous years. "It's a lot of people's favorite book."

Trump's relationship to the Bible has been a point of discussion and sometimes controversy over the years.

In 2020, amid protests over George Floyd's murder, he posed with a Bible outside a Washington, D.C., church, for which he was widely criticized. U.S. Park Police and National Guard troops had tear-gassed peaceful protesters in the area beforehand, seemingly to make way for the photo-op, though a watchdog report the following year determined otherwise .

That same year, a clip of a 2015 Bloomberg interview, in which Trump declines to name his favorite — or any — Bible verse resurfaced on social media and went viral.

An FAQ section on the Bible website says no profits will go to Trump's reelection campaign.

"GodBlessTheUSABible.com is not political and has nothing to do with any political campaign," it says.

However, the site adds that it uses Trump's name, likeness and image "under paid license from CIC Ventures LLC."

Trump is listed as the manager, president, secretary and treasurer of CIC Ventures LLC in a financial disclosure from last year.

Trump's sales pitch focuses on bringing religion back to America.

"I want to have a lot of people have it," he said at one point in the video. "You have to have it for your heart and for your soul."

But many are wondering whether Trump has something else to gain from Bible sales while facing under mounting financial pressure.

There's his presidential reelection campaign, which has raised only about half of what Biden's has so far this cycle. Trump acknowledged Monday that he "might" spend his own money on his campaign, something he hasn't done since 2016.

There's also his mounting legal expenses, as he faces four criminal indictments and numerous civil cases. Trump posted bond to support a $83.3 million jury award granted to writer E. Jean Carroll in a defamation case earlier this month, and was due to put up another $454 million in a civil fraud case this past Monday.

On Monday, the appeals court reduced the bond amount to $175 million and gave Trump another 10 days to post it.

Trump has evidently been trying to raise money in other ways.

The day after the civil fraud judgment was announced, he debuted a line of $399 golden, high-top sneakers , which sold out in hours . The company behind his social media app, Truth Social, started trading on the Nasdaq exchange on Tuesday, which could deliver him a windfall of more than $3 billion — though he can't sell his shares for another six months.

University of California Could Bar Political Speech on Some Web Pages

With anger rising over pro-Palestinian protests, the university’s regents are set to vote on a proposal that would draw tighter boundaries around speech.

Israel’s bombing of Gaza is “genocidal,” according to the home page of the critical race and ethnic studies department at the University of California, Santa Cruz.

Such a statement would be considered political and would be prohibited, according to a new proposal by the regents of the University of California.

Under the proposal, academic departments would be barred from posting political statements on their home pages. And any political statement issued by a department — in any venue — would need to meet stricter guidelines.

The regents are considering the plan, which would apply to the U.C. system’s 10 schools, including Santa Cruz, U.C.L.A. and Berkeley.

Higher education abounds in opinions on current events, from Black Lives Matter to Russia’s invasion of Ukraine. But since the Oct. 7 Hamas attacks on Israel, and Israel’s military campaign in Gaza, universities have been under pressure to draw tighter boundaries around speech, sometimes in ways that have alarmed supporters of academic freedom.

The state’s progressive politics have generally insulated the University of California from some of the conservative attacks on colleges. But the regents’ proposal, some faculty and students worry, could represent a turnabout, at a moment when the very language used to describe the Israeli-Palestinian conflict is deeply contested.

Many Jewish students, faculty and alumni have accused some pro-Palestinian protesters and faculty of veering into antisemitic speech. At Berkeley last month, an event featuring an Israeli speaker was canceled after a crowd of protesters broke down doors, which the chancellor, Carol Christ, described as “an attack on the fundamental values of the university.”

A political science professor at Berkeley, Ron Hassner, has organized a sit-in at his office, to protest what he says is inaction by the administration on campus antisemitism. And more than 400 professors signed a letter decrying how the university system’s ethnic studies departments posted material on their home pages that “vilifies Israel, rejects the characterization of the Hamas massacre as terrorism, and calls on the U.C. administration to ‘endorse the call for Boycott, Divestment, and Sanctions.’”

On Tuesday, Rep. Virginia Foxx, chair of the House Committee on Education and the Workforce, sent a letter to university officials requesting documents and information about Berkeley’s response to antisemitism on campus.

To Jay Sures, the regent who developed the proposal, prohibiting such statements on a department’s home page does not limit academic freedom. Professors and students have many other forums to express themselves, he said, but their opinions on department home pages could be misinterpreted as representing the University of California.

“The faculty can have their Twitter accounts,” Mr. Sures said at a January regents meeting. “They can do social media. They can publish peer studies. There are so many other ways.”

Some universities have already tightened their rules.

Universities have canceled or postponed speakers , tried to censor “Israelism,” a documentary critical of Israel, and suspended student groups like Students for Justice in Palestine. Last fall, Barnard College, after overhauling its website policy, removed a pro-Palestinian statement posted by its gender studies department.

There has also been an intense debate about whether universities should adopt the University of Chicago’s famous policy of “institutional neutrality,” which means that the university takes no stance on issues that are not central to the university’s functions.

The debate at the University of California isn’t quite that. The president, board chair and others speaking as the official voice of the university would not be affected by the regents’ proposal.

In fact, a university statement sparked the tussle between Mr. Sures and the ethnic studies faculty.

On Oct. 9, Michael V. Drake, the president of University of California, and Richard Leib, the board chair, issued a statement condemning the Hamas attack as “terrorism” and “sickening and incomprehensible.”

A week later, the university’s ethnic studies council, which represents hundreds of the discipline’s faculty members across the system, objected , writing in a letter that the official statement lacked “a full understanding of this historical moment” and contributed to anti-Muslim and anti-Palestinian sentiments.

“We call on the U.C. administrative leadership to retract its charges of terrorism, to uplift the Palestinian freedom struggle, and to stand against Israel’s war crimes against and ethnic cleansing and genocide of the Palestinian people,” the council said.

Mr. Sures called the letter “appalling and repugnant.”

He responded that he would do everything in his power “to protect our Jewish students, and for that matter, everyone in our extended community from your inflammatory and out of touch rhetoric.”

The U.C. system had already considered the issue of political statements. In 2022, an academic freedom committee argued against the prohibition of department political statements.

Departments, the report said, should instead create guidelines about when to issue statements, be transparent about whose views are represented, and also consider whether they could chill the speech of those who disagree.

For now, political statements are allowed so long as they don’t veer into electoral politics.

But the regents' proposal would limit department home pages to day-to-day operations, which include course descriptions, upcoming events and the release of new publications.

Opinions would be allowed on other university websites. But any political declaration would need a disclaimer, stating that the views are not necessarily that of the university’s.

The regents’ proposal adopts other recommendations of the 2022 academic freedom report. It would mandate that department members vote before issuing a political statement, with ballots collected anonymously to protect dissenting opinions. Departments would need to create and post guidelines about the process.

The proposal did not assuage the concerns of many faculty members, who say it was politically motivated.

The regents proposal “delegitimizes the work that we do in ethnic studies,” said Felicity Amaya Schaeffer, the department chair at Santa Cruz.

The ethnic studies department’s statements, she said, are “based on the academic expertise of almost all of us at the department and especially our faculty who work on Palestine.”

James Steintrager, the chair of the university’s academic senate, worried that the proposal is an invitation for outsiders to police academia.

“It’s not only about straightforwardly political statements about some world events,” he said in an interview, “but also about things like climate change, vaccine science, things like that.”

But Ty Alper, a Berkeley law professor who led the academic freedom committee in 2022, was pleased that the proposal adopted its recommendations. Mr. Alper said he was less focused on rules about department home pages.

“I’m more concerned,” he said, “with ensuring that faculty have the individual and collective right to issue statements on matters of interest.”

On Wednesday, GLAAD , a leading advocacy group on LGBTQ representation in media, released a report detailing numerous instances of anti-trans sentiment via Meta’s top social platforms, including Facebook, Instagram, and Threads. The report was generated through GLAAD’s Social Media Safety program which focuses on the comprehensive study, surveillance, and documentation of issues affecting LGBTQ users on social media— while prioritizing their safety, privacy, and the right to express themselves.

From June 2023 to March 2024, the organization utilized Meta’s standard reporting mechanisms to flag content that breached its platform policies . Reported instances of policy violations included several categories:

- The use of severe anti-trans slurs

- The excessive propagation of dehumanizing stereotypes: labeling trans, nonbinary, and gender non-conforming individuals as ‘satanic,’ ‘sexual predators,’ ‘terrorists,’ ‘mentally ill,’ and ‘perverts’

- Deliberate misgendering

- The promotion of “conversion therapy”

- Targeted harassment and incitement to violence

- The use of violent language aimed at LGBTQ individuals

- And explicit, coded calls for the ‘eradication’ of trans people

The report also reveals that most of the perpetrators of anti-trans hate are well-known political figures and media personalities with significant followings. Although such content is strictly prohibited, violations flagged for review are often inaccurately ruled to be in compliance with the company’s guidelines and policies. Yet, as Meta's earnings reach the trillion-dollar mark , the colossal conglomerate continues cutting back on essential trust and safety personnel—relying solely on ineffective AI-driven systems for content moderation.

For years, GLAAD has staunchly advocated for the implementation of stronger protections for LGBTQ communities online, particularly trans users, who face disproportionate harm from anti-LGBTQ accounts with massive audiences. Unfortunately, Meta has done little to quell the proliferation of anti-trans discourse across its platforms; in stark contrast to the company’s own admissions about the harmful impacts of online hate speech.

GLAAD isn’t the only group raising concerns over Meta’s disregard of user safety. Facebook's Oversight Board has also openly critiqued the company’s perpetual enforcement lapses since its inception. Despite joint grievances and Meta's own admission of missteps along the way, the company’s response to mounting calls for improved policy enforcement remains tepid.

An open letter from GLAAD, the Human Rights Campaign , and over 250 LGBTQ+ celebrities and allies previously demanded stronger action from Meta against anti-trans hate. Regardless of those efforts, GLAAD asserts that Meta has yet to take adequate action, leaving numerous reported violations unaddressed or outright dismissed.

One egregious example cited by the advocacy group highlights an Instagram post that depicts a disturbing image: a trans person’s mangled corpse sprawled on the ground, appearing to have been fatally assaulted with stones, symbolically replaced by laughing emojis. Accompanying this graphic portrayal, the caption labels trans people as ‘devils.’

A GLAAD spokesperson shared the following statement with ForbesBLK via email Wednesday afternoon:

“This is not just a matter of taking down a few specific posts, this is a systemic issue. Both that Meta’s content moderation systems are unable to, or refuse to, recognize extreme anti-trans hate content as violative; and that Meta decision-makers and executives personally are unable to, or refuse to, characterize extreme anti-trans hate content as being sufficient to cross their lines into being removed or mitigated. It is up to Meta to decide how they want to enforce their own policies. Do they believe in platforming extreme anti-trans hate or will they decide it goes against their values as a company?”

The organization says it will continue taking Meta to task over the platform’s purported commitment to enforcing its anti-hate speech policies, ensuring safety for trans users— as well as other protected classes of people.

Thursday, in a subsequent interview, writer and trans activist Raquel Willis stressed the need for accountability paired with expert advice, in order to effectively tackle the dangers of misinformation. “The anti-trans hate experienced on social media is a reflection of the ignorant rhetoric spewed by conservative politicians and elevated by mainstream media,” she explained. “Platforms like Meta should prioritize developing better mechanisms that hold those that habitually contribute to hate-driven content and culture, directly accountable.”

Willis believes the company must also encourage its users to become better fact-checkers, in addition to amplifying accounts considered to be verified sources. Her final piece of advice not only presents a solution to combating misinformation; it also forges a path towards equity and opportunity: “Hire trans experts to enhance existing standards, update language models, and help guide the work.”

In the June 2023 open letter that Willis and over 250 others signed onto, the call to action was made abundantly clear. Meta must promptly devise and publish an effective strategy that addresses several issues, including but not limited to:

  • The circulation of dangerous falsehoods and disinformation about healthcare for transgender youth
  • The presence of accounts and content that spread anti-LGBTQ extremist messages and dangerous tropes, including ‘groomer’ and ‘pedophile’ narratives that breach the platform’s rules
  • The deployment of demeaning, hateful, and abusive campaigns that directly target trans public-figures and influencers
  • Anti-trans hate speech that encompasses deliberate deadnaming, misgendering, and dog-whistles intended to incite violence

These clear and concise steps alone could reduce the impact of harmful content, counteract hate groups that exploit social media platforms for political and financial gain, and protect not only LGBTQ users—but improve the safety and wellbeing of the broader public as well.
