Transition into your specific achievements and accomplishments in previous positions. As discussed above, align your skills with the strengths and qualities that hiring managers are looking for.

Quantify your achievements and detail specific examples of what you’ve done. Did you hit your sales goals for three consecutive years? Were you awarded the top inside sales rep for two quarters? Allude to the themes in the job description in your final paragraph. This shows that you:

Here, the applicant uses personalization to highlight their company-knowledge, work experience and future goals. They clearly state how they’ll contribute to the company’s growth and help them scale meaningfully. It’s obvious that they’re passionate about what the company does and are ready to take the next step in their career.

Here’s a template for the CTA with easily accessible contact information, which will make it easy for the hiring manager to reach out immediately without wasting valuable time:

Make sure to end your cover letter with a professional signoff. Match your voice and tone with the company’s style, which you can find in the job description and throughout your research.

  • Yours sincerely (if you know the name of the recipient and you open with their name)

Your cover letter has two important roles: (1) it's a marketing document designed to sell a product (you), and (2): it's a business document that, while giving a glimpse of your personality, needs to remain professional. It therefore stands to reason that lessons from those who sell, and those who write for business, can teach us a little something about composing an effective letter.

What are you really selling?

Yes, you're selling yourself and all that you have to offer: your skills, your experience, your attitude, and your personality. But think about it for a moment. Is that what you're  really  selling? Take the example of a health club membership. What is it that members are buying when they join the club? Access to classes and a large variety of strength training and cardio equipment? Sure, at the outset this is what it looks like you're buying when you sign that one-year contract. But in reality, health clubs are selling desire : the desire to be in shape, the desire to be muscular, the desire to be healthier.

When you're selling yourself to an employer, think about what the employer is really buying. An employee who shows up to work, does the job, and leaves? Or a person who can come to work and identify and solve problems, make money, serve customers, and be a positive asset? Likely the latter. And to find people to do all that, the company needs employees who can save or generate profits, save time, enhance service, and represent the company … qualities that help propel the company forward.

In your cover letter, identify a need and offer a solution. Who can find hidden costs and eliminate them? Who is great at sales? Does this company need someone efficient? When you identify a specific need and show how you can meet that need, you become someone who will be a benefit to the company, not merely just another employee.

Think about how you can sell technical skills, for example. You can list all the technical skills that you have, such as software, hardware, and computer networking. Or you can convey that your knowledge of accounting software allowed you to introduce a better program at your summer position as an intern, thereby reducing the time creating reports by 40 percent. The first method is simply a list of features. The second method demonstrates the benefit gained from putting those features (your knowledge) to work.

What sets you apart? Refer to everything you learned about yourself from your assessments. Pull accomplishments from your résumé, and show in your cover letter why you're a benefit to the company—because you can accomplish X, Y, and Z. Go beyond simply stating your features.

Select the most impressive quantifiable achievements, reword them—or, better yet, present them differently, such as converting information to percentages—and highlight them in the cover letter. If some of your accomplishments are dated, this is a great place to emphasize that information without drawing attention to the timeframe.

Know your audience

Who will be reading your letter? Someone in human resources? Or the head of a certain department? If you're writing to human resources, for example, be sure to write in "plain" English rather than using a lot of technical jargon. But if you're writing to a senior scientist, demonstrate your knowledge of the terminology used in your field or you may come off looking inept. Write a personalized letter every time, keeping your audience in mind.

What's the atmosphere in the company? Is it corporate or a small, family-owned business? How you would address a hiring manager of a Fortune 500 company is very different from how you would address the CEO of a mid-sized private company.

Support your claims

You say you're skilled at obtaining contracts. Great. Now prove it. When writing your letters, don't simply state what you're good at. Show it. Give examples. Mine your past and come up with every possible example you can think of where you used the skills you claim to have. Make a list, and then choose the best ones to include in your letter. If you have a lot to choose from, keep the list so you can use different examples with each subsequent letter you send to a company.

Write professionally

Remember that your letters are much different from your résumé. You will not use the telegraphic style that you did in your résumé. Write complete sentences; even bullet lists are generally an extension of a lead-in phrase, with each line of the bullet list creating a complete sentence as "add on" information. Use words instead of abbreviations. Use the active voice and sprinkle your letters with action verbs. Keep your correspondence brief and to the point. Don't include irrelevant information. Use a tone that exudes professionalism, not amateurism. Avoid using clichés and slang, and avoid any references to political or religious beliefs, or other unnecessary, unrelated information.

Opening paragraph:  Like your greeting, your opening paragraph is where the recruiter will glean their first impression of you. State your interest in the job and mention one or two relevant credentials. Don’t be generic here, like:

This doesn’t tell the recruiter anything they don’t already know, and if you’re trying to get a sale on the street with this introduction, they’ll walk past you without a second glance. Instead, try:

For each paragraph, discuss one clear and relevant accomplishment relevant to the job description requirements. Be detailed and specific, and quantify your results whenever possible like this:

Closing paragraph:  You’ve done well introducing yourself and selling your capabilities as a competent candidate for the job; now, finish it with a sentence summarizing how your values and qualifications align with the company’s needs. Add a call to action at the end for some extra polish. This is bad:

It doesn’t exactly inspire confidence, and as a salesperson, one of the key personality traits is confidence, both in your product and in yourself. Instead, try something like:

Signature:  This is the time to say “thank you” if you didn’t do so in the closing paragraph. Use a professional close like “sincerely,” or “best regards,” along with your real name. 

  • Formatting : If you’re sending any hard copies of your cover letter by mail or in person, make sure to quadruple-space, so you have room to sign your name in blue or black ink. 

Enclosure(s):  The sale isn’t final until all documents are complete. State “Enclosure(s)” at the end of your cover letter to let the reader know there’s more to come. When employers read your cover letter they need to be certain that your skills and experiences are relevant to your future career. To convince recruiters that you’re right for a role, follow these top tips for writing your cover letter:

Match yourself to the company’s requirements…

Identify the competencies they are seeking and think about how you match those. You can do this by reading the literature on their website. Think about the tasks and activities you could be involved in on a daily basis in the role and the skills they require.

Also consider your colleagues, the range of clients and other organisations you could be working with. If the job description has an extensive list of essential skills, try not to refer to each and every single one. This will make your cover letter overly long. Instead, focus on a few of the required skills which demonstrate your major strengths.

Furthermore, try to anticipate which skills are the most important to the job and make sure you address these concisely, but with sufficient detail.

Market yourself…

No one is going to do this for you. It’s a good idea to draw on a range of recent experiences and activities that demonstrate you have got the competencies the company is looking for. Think about the different areas of your life, such as your studies, your work experience, your leisure interests and the voluntary activities that you’ve done.

Consider the tasks and activities that you have been involved in, especially if they are linked to the industry. How did you contribute? What was the end result? What did you learn? This will provide you with a ‘skills bank’ of examples which you can use.

Promote your interpersonal skills…

Most companies place huge emphasis on working in teams, developing relationships and collaborating with colleagues. Your statement needs to reflect your excellent interpersonal skills. Relevant experiences to highlight are: involvement with clubs, societies and sporting activities at university and part-time jobs, internships or placements; especially if they have been in the relevant industry sector.

Even working in groups for projects whilst at university or college are relevant. These activities will highlight to a recruiter that you are a team player and will enable you to demonstrate that you have developed valuable skills such as leadership, teamwork, negotiation, communication and persuasion.

Demonstrate your industry awareness…

You need to make it clear to a recruiter that you have a genuine interest in the area of work you are applying for and that you understand how the particular company and industry sector operates as a whole. One way that you can develop this knowledge and begin to demonstrate this in your cover letter is to keep up-to-date by reading relevant industry websites, journals, publications and newspapers.

Create the right impression…

Make a positive impact by keeping your writing concise and to the point. Check for spelling and grammatical errors. This will show that you have effective written communication skills, an eye-for-detail and accuracy. These are all key skills in most career paths.

Don’t cut & paste…

When you’re actively seeking a new role, it’s all too easy to copy and paste sentences from previous cover letters into others. After all, nobody wants to put the wrong company’s name on their cover letter. It might well end up in the bin pretty quickly. It’s important that each cover letter is specifically targeted at the individual company.

This will instantly make your writing more genuine, honest and interesting for the recruiter. Furthermore, as the roles and competencies sought vary for each job, it is basically impossible to make your cover letter completely relevant to the individual job if you are copying and pasting big chunks of text.

You need to attach a cover letter to every resume you send out, whether you mail, e-mail, fax or personally deliver it. However, your best not to send out the same cover letter to every employer. Customize each one to the company you’re applying to and the job you’re applying for. Yes, this means a little more work on your part, but think of it this way: The cover letter gives you a chance to point out exactly why you are perfect for this particular job.

Cover letters usually have three parts.

Opening – states your interest in the company and the job. Tells how you found out about the job opening or the company and why you are interested.

Middle – tells the employer what you have to offer the company by highlighting one or two qualifications you think would be of greatest interest. Points out special training or experience you have. Demonstrates that you know something about the company and/or industry.

Closing – expresses your appreciation for the employer’s time and asks him/her to contact you or states that you will follow- up with them.

Traditional cover letter wisdom might tell you to begin with something like, “Dear Hiring Manager, I am writing to apply for the marketing manager position with the Thomas Company.” But we say: A cookie cutter cover letter intro feels as outdated as a Hotmail address.

A cover letter is your chance to introduce yourself to a hiring manager—who you are, what you have to offer, and why you want the job—but you have an extremely limited amount of space to do it. If you really want to get noticed, you’ve got to start right off the bat with something that grabs your reader’s attention.

5 tips on how to start off a cover letter

Here are a few pointers to guide you as you use our example cover letter openings—we’re getting there, we promise!—to craft your own:

1. Avoid boring or overused openers

Recruiters have read cover letters that start with lines like “I’m excited to apply for the front-end engineering position,” or “Your job posting on The Muse prompted me to…” so often they could wallpaper their homes with them. While those are OK and still acceptable, you'll have a better shot at impressing potential employers with a less cliché opening line.

2. Be lively and personable

People like reading interesting, engaging stuff—the kind that paints a picture, tells a story, and maybe even makes them smile. People like it when you’re human, genuine, and memorable. So figure out something about yourself and your background that relates to the company or position you're interested in, and use that to build a connection.

3. Show what you bring the company

You’ll get more into the details after your opening paragraph, of course. But your cover letter opener should still tell the reader, “This person can do something for us,” rather than, “This job would really help them.”

4. Stick to the point

Your opener, while creative, should still be relevant to the job. Don’t begin by highlighting an unrelated accomplishment or recounting an anecdote that never connects back to why you’re applying for the job. Part of writing an effective cover letter is curating key information that relates to that specific job opportunity and shows the reader that you're a good fit for the role.

5. Don't start with “To Whom It May Concern”

Find an alternative to “ To Whom It May Concern .” Seriously, banish those five words from your cover letter vocabulary forever. Nowadays, this phrase is seen as outdated, overused, and even rude—especially when better options exist.

Start with passion

Employers want to hire people who care about what they’re doing. If you start your cover letter off talking about your passions and how they relate to the job, you’re telling the reader that you’ll be an engaged and motivated employee who’s likely to stick around. Plus, it’s a good way to tell the company a bit about who you are as a person right off the bat. Just be honest and realistic.

If truly loving data is wrong, I don’t want to be right. It seems like the rest of the folks at [Analytics Company] feel the same way—and that’s just one of the reasons why I think I’d be the perfect next hire for your sales team.

I’ve been giving my friends and family free style advice since I was 10, and recently decided it’s time I get paid for it. That’s why I couldn’t believe it when I found an open personal stylist position at [Company].

Start with admiration

Start with accomplishments

For any given job, you’re going to be competing with a lot of other job seekers—presumably, a lot of other similarly qualified people. A great way to stand out in your cover letter is to highlight something about yourself—a character trait, an accomplishment, a really impressive skill—that’ll quickly show how you stand out.

My last boss once told me that my phone manner could probably defuse an international hostage situation. I’ve always had a knack for communicating with people—the easygoing and the difficult alike—and I’d love to bring that skill to your open office manager position.

Start with humor and creativity

OK, before you read any of these, we have to stamp them with a big, blaring disclaimer: Do your homework before trying anything like this—learn everything you can about the company and the hiring manager to gauge whether or not they’d appreciate some comedic relief or a bit of snark. If it seems like they would, it’s a great way to make them smile (then call you). If they don’t? Try a different approach.

A covering letter highlights your relevant strengths and motivation for the job and organisation you are applying to, and markets you effectively by complementing your CV.

While there isn’t one way to write a covering letter there are some key things to consider to ensure you follow a logical structure and engage the employer in reading your letter. 

Top tips for success

Make sure that your letter is clear, informative and professional-looking, so that the recruiter will want to go on and read your CV.

  • Keep to  one page
  • If possible, address it to a  named person : just call the organisation and ask, if it's not clear elsewhere
  • Set it out like a business letter, with  addresses and date at the top
  • Check your  spelling and grammar
  • Use the  same font  as your CV so that they look consistent
  • Consider addressing gaps in your CV or other areas you think might need explaining, for example, a retaken year or a health problem. Try to be brief and positive and if in doubt book an appointment with a careers consultant
  • Tailor your letter  to each application and try to highlight skills and experience that are relevant to that specific job and employer (it’s obvious it’s a generic letter if you just change the organisation name!)
  • Give evidence for claims you make
  • Try not to start every sentence with ‘I’
  • Keep it  concise and focused  to encourage further reading of your letter and CV
  • Be  professional  rather than overly humorous or informal 
  • Sell yourself : don’t underplay your skills or make negative comments about yourself
  • If you are sending your application by  email , attach the CV and covering letter rather than typing it into the email body. The format of an email can change drastically depending on the system used by the employer.

Write in clear, concise English with a professional yet conversational tone. While you will need to support your claims with evidence, try not to drown the reader with details and avoid jargon they may not understand.

The exact content will depend on you and the job or course but it should include the content outlined below. Remember, you can vary the order of information to suit your style of writing, but make sure it reads logically.

Introduction

Introduce yourself (subject, year and where are you are studying) and explain why you are writing. If you are making a speculative enquiry about the possibility of a job, be clear about the type of work or opportunity you are asking for. If you are responding to an advert, say where you saw it.

Why this role, why this employer

The covering letter is where you should explain your interest and enthusiasm for an organisation and role. Say what attracts you to the kind of work involved, based on your knowledge of the duties and likely satisfactions. This will demonstrate your understanding of the opportunity and your motivation.

Show you’ve done your research into the organisation. Mention what you have done to find out more, e.g. online research or speaking with their staff at careers events, and explain how your skills and interests match the organisation’s values and culture. If possible, back this up by referring to relevant activities where you have demonstrated these interests.

When describing what attracts you to the organisation, make it specific and original, rather than repeating facts stated on their website.  Note: If you could say the exact same things about a different organisation, then you have not been specific enough, and the employer will spot this.

Sometimes you won’t know who the employer is, e.g. if you are applying via a recruitment agency. In this case concentrate on the attractions of the role.

Why you are perfect for the job

Using the job description or person specification, describe your most relevant experiences as evidence of the employer’s requirements. This will help convince the employer you are the ideal candidate for this job. If there is no detailed job description, use careers information/job profiles which describe typical features of the work.

You can also use this careers information for a speculative application, as you can describe abilities and experience that you would expect them to be looking for given the nature of the opportunity that you are seeking.

While the CV is a brief summary of facts and your selling points, the covering letter is where you show exactly how and why you fit the opportunity and organisation you are applying to. So when describing your key examples don't repeat the information already in your CV. Instead, add more detail to make a stronger and compelling case.

Reiterate your enthusiasm to join the organisation and end with ‘I look forward to hearing from you’ or a similar statement. If appropriate, say when you are/are not available for interview. Ensure you sign off ‘Yours sincerely’ if writing to a named individual, and ‘Yours faithfully’ if you have not been able to find a named contact. Type your name, but also sign the letter if you are printing it out.

Dealing with 'difficult' issues / disclosing a disability

Covering letters also give you the chance to say more about any ‘difficult’ issues, for example weaker grades, lack of relevant experience, time gaps and health issues/disability. Use the letter to explain how you have coped with any setbacks and be sure to emphasise positive qualities that you have developed as a result, such as determination and persistence. Write positively about the experience, for example what you learnt from it, and what you have done to address the issue since then, if applicable.
