Know How to Structure Your PhD Thesis

In your academic career, few projects are more important than your PhD thesis. Unfortunately, many university professors and advisors assume that their students know how to structure a PhD. Books have literally been written on the subject, but there’s no need to read a book in order to know about PhD thesis paper format and structure. With that said, however, it’s important to understand that your PhD thesis format requirement may not be the same as another student’s. The bottom line is that how to structure a PhD thesis often depends on your university and department guidelines.
But, let’s take a look at a general PhD thesis format. We’ll look at the main sections, and how to connect them to each other. We’ll also examine different hints and tips for each of the sections. As you read through this toolkit, compare it to published PhD theses in your area of study to see how a real-life example looks.
Main Sections of a PhD Thesis
In almost every PhD thesis or dissertation, there are standard sections. Of course, some of these may differ, depending on your university or department requirements, as well as your topic of study, but this will give you a good idea of the basic components of a PhD thesis format.
- Abstract : The abstract is a brief summary that quickly outlines your research, touches on each of the main sections of your thesis, and clearly outlines your contribution to the field by way of your PhD thesis. Even though the abstract is very short, similar to what you’ve seen in published research articles, its impact shouldn’t be underestimated. The abstract is there to answer the most important question to the reviewer. “Why is this important?”
- Introduction : In this section, you help the reviewer understand your entire dissertation, including what your paper is about, why it’s important to the field, a brief description of your methodology, and how your research and the thesis are laid out. Think of your introduction as an expansion of your abstract.
- Literature Review : Within the literature review, you are making a case for your new research by telling the story of the work that’s already been done. You’ll cover a bit about the history of the topic at hand, and how your study fits into the present and future.
- Theory Framework : Here, you explain assumptions related to your study. Here you’re explaining to the review what theoretical concepts you might have used in your research, how it relates to existing knowledge and ideas.
- Methods : This section of a PhD thesis is typically the most detailed and descriptive, depending of course on your research design. Here you’ll discuss the specific techniques you used to get the information you were looking for, in addition to how those methods are relevant and appropriate, as well as how you specifically used each method described.
- Results : Here you present your empirical findings. This section is sometimes also called the “empiracles” chapter. This section is usually pretty straightforward and technical, and full of details. Don’t shortcut this chapter.
- Discussion : This can be a tricky chapter, because it’s where you want to show the reviewer that you know what you’re talking about. You need to speak as a PhD versus a student. The discussion chapter is similar to the empirical/results chapter, but you’re building on those results to push the new information that you learned, prior to making your conclusion.
- Conclusion : Here, you take a step back and reflect on what your original goals and intentions for the research were. You’ll outline them in context of your new findings and expertise.
Tips for your PhD Thesis Format
As you put together your PhD thesis, it’s easy to get a little overwhelmed. Here are some tips that might keep you on track.
- Don’t try to write your PhD as a first-draft. Every great masterwork has typically been edited, and edited, and…edited.
- Work with your thesis supervisor to plan the structure and format of your PhD thesis. Be prepared to rewrite each section, as you work out rough drafts. Don’t get discouraged by this process. It’s typical.
- Make your writing interesting. Academic writing has a reputation of being very dry.
- You don’t have to necessarily work on the chapters and sections outlined above in chronological order. Work on each section as things come up, and while your work on that section is relevant to what you’re doing.
- Don’t rush things. Write a first draft, and leave it for a few days, so you can come back to it with a more critical take. Look at it objectively and carefully grammatical errors, clarity, logic and flow.
- Know what style your references need to be in, and utilize tools out there to organize them in the required format.
- It’s easier to accidentally plagiarize than you think. Make sure you’re referencing appropriately, and check your document for inadvertent plagiarism throughout your writing process.

Congratulations; you’ve finished your research! Time to write your PhD thesis . This resource will take you through an eight-step plan for drafting your chapters and your thesis as a whole.
Organise your material
Before you start, it’s important to get organised. Take a step back and look at the data you have, then reorganise your research. Which parts of it are central to your thesis and which bits need putting to one side? Label and organise everything using logical folders – make it easy for yourself! Academic and blogger Pat Thomson calls this “Clean up to get clearer” . Thomson suggests these questions to ask yourself before you start writing:
- What data do you have? You might find it useful to write out a list of types of data (your supervisor will find this list useful too.) This list is also an audit document that can go in your thesis. Do you have any for the “cutting room floor”? Take a deep breath and put it in a separate non-thesis file. You can easily retrieve it if it turns out you need it.
- What do you have already written? What chunks of material have you written so far that could form the basis of pieces of the thesis text? They will most likely need to be revised but they are useful starting points. Do you have any holding text? That is material you already know has to be rewritten but contains information that will be the basis of a new piece of text.
- What have you read and what do you still need to read? Are there new texts that you need to consult now after your analysis? What readings can you now put to one side, knowing that they aren’t useful for this thesis – although they might be useful at another time?
- What goes with what? Can you create chunks or themes of materials that are going to form the basis of some chunks of your text, perhaps even chapters?
Once you have assessed and sorted what you have collected and generated you will be in much better shape to approach the big task of composing the dissertation.
Decide on a key message
A key message is a summary of new information communicated in your thesis. You should have started to map this out already in the section on argument and contribution – an overarching argument with building blocks that you will flesh out in individual chapters.
You have already mapped your argument visually, now you need to begin writing it in prose. Following another of Pat Thomson’s exercises, write a “tiny text” thesis abstract. This doesn’t have to be elegant, or indeed the finished product, but it will help you articulate the argument you want your thesis to make. You create a tiny text using a five-paragraph structure:
- The first sentence addresses the broad context. This locates the study in a policy, practice or research field.
- The second sentence establishes a problem related to the broad context you have set out. It often starts with “But”, “Yet” or “However”.
- The third sentence says what specific research has been done. This often starts with “This research” or “I report…”
- The fourth sentence reports the results. Don’t try to be too tricky here, just start with something like: “This study shows,” or “Analysis of the data suggests that…”
- The fifth and final sentence addresses the “So What?” question and makes clear the claim to contribution.
Here’s an example that Thomson provides:
Secondary school arts are in trouble, as the fall in enrolments in arts subjects dramatically attests. However, there is patchy evidence about the benefits of studying arts subjects at school and this makes it hard to argue why the drop in arts enrolments matters. This thesis reports on research which attempts to provide some answers to this problem – a longitudinal study which followed two groups of senior secondary students, one group enrolled in arts subjects and the other not, for three years. The results of the study demonstrate the benefits of young people’s engagement in arts activities, both in and out of school, as well as the connections between the two. The study not only adds to what is known about the benefits of both formal and informal arts education but also provides robust evidence for policymakers and practitioners arguing for the benefits of the arts. Write a plan
You might not be a planner when it comes to writing. You might prefer to sit, type and think through ideas as you go. That’s OK. Everybody works differently. But one of the benefits of planning your writing is that your plan can help you when you get stuck. It can help with writer’s block (more on this shortly!) but also maintain clarity of intention and purpose in your writing.
You can do this by creating a thesis skeleton or storyboard , planning the order of your chapters, thinking of potential titles (which may change at a later stage), noting down what each chapter/section will cover and considering how many words you will dedicate to each chapter (make sure the total doesn’t exceed the maximum word limit allowed).
Use your plan to help prompt your writing when you get stuck and to develop clarity in your writing.
Some starting points include:
- This chapter will argue that…
- This section illustrates that…
- This paragraph provides evidence that…
Of course, we wish it werethat easy. But you need to approach your first draft as exactly that: a draft. It isn’t a perfect, finished product; it is your opportunity to start getting words down on paper. Start with whichever chapter you feel you want to write first; you don’t necessarily have to write the introduction first. Depending on your research, you may find it easier to begin with your empirical/data chapters.

This page will explain what a PhD thesis is and offer advice on how to write a good thesis, from outlining the typical structure to guiding you through the referencing. A summary of this page is as follows:
- A PhD thesis is a concentrated piece of original research which must be carried out by all PhD students in order to successfully earn their doctoral degree.
- The fundamental purpose of a thesis is to explain the conclusion that has been reached as a result of undertaking the research project.
- The typical PhD thesis structure will contain four chapters of original work sandwiched between a literature review chapter and a concluding chapter.
- There is no universal rule for the length of a thesis, but general guidelines set the word count between 70,000 to 100,000 words .
What Is a Thesis?
A thesis is the main output of a PhD as it explains your workflow in reaching the conclusions you have come to in undertaking the research project. As a result, much of the content of your thesis will be based around your chapters of original work.
For your thesis to be successful, it needs to adequately defend your argument and provide a unique or increased insight into your field that was not previously available. As such, you can’t rely on other ideas or results to produce your thesis; it needs to be an original piece of text that belongs to you and you alone.
What Should a Thesis Include?
Although each thesis will be unique, they will all follow the same general format. To demonstrate this, we’ve put together an example structure of a PhD thesis and explained what you should include in each section below.
Acknowledgements
This is a personal section which you may or may not choose to include. The vast majority of students include it, giving both gratitude and recognition to their supervisor, university, sponsor/funder and anyone else who has supported them along the way.
1. Introduction
Provide a brief overview of your reason for carrying out your research project and what you hope to achieve by undertaking it. Following this, explain the structure of your thesis to give the reader context for what he or she is about to read.
2. Literature Review
Set the context of your research by explaining the foundation of what is currently known within your field of research, what recent developments have occurred, and where the gaps in knowledge are. You should conclude the literature review by outlining the overarching aims and objectives of the research project.
3. Main Body
This section focuses on explaining all aspects of your original research and so will form the bulk of your thesis. Typically, this section will contain four chapters covering the below:
- your research/data collection methodologies,
- your results,
- a comprehensive analysis of your results,
- a detailed discussion of your findings.
Depending on your project, each of your chapters may independently contain the structure listed above or in some projects, each chapter could be focussed entirely on one aspect (e.g. a standalone results chapter). Ideally, each of these chapters should be formatted such that they could be translated into papers for submission to peer-reviewed journals. Therefore, following your PhD, you should be able to submit papers for peer-review by reusing content you have already produced.
4. Conclusion
The conclusion will be a summary of your key findings with emphasis placed on the new contributions you have made to your field.
When producing your conclusion, it’s imperative that you relate it back to your original research aims, objectives and hypotheses. Make sure you have answered your original question.

How Many Words Is a PhD Thesis?
A common question we receive from students is – “how long should my thesis be?“.
Every university has different guidelines on this matter, therefore, consult with your university to get an understanding of their full requirements. Generally speaking, most supervisors will suggest somewhere between 70,000 and 100,000 words . This usually corresponds to somewhere between 250 – 350 pages .
We must stress that this is flexible, and it is important not to focus solely on the length of your thesis, but rather the quality.
How Do I Format My Thesis?
Although the exact formatting requirements will vary depending on the university, the typical formatting policies adopted by most universities are:

What Happens When I Finish My Thesis?
After you have submitted your thesis, you will attend a viva . A viva is an interview-style examination during which you are required to defend your thesis and answer questions on it. The aim of the viva is to convince your examiners that your work is of the level required for a doctoral degree. It is one of the last steps in the PhD process and arguably one of the most daunting!

How Do I Publish My Thesis?
Unfortunately, you can’t publish your thesis in its entirety in a journal. However, universities can make it available for others to read through their library system.
If you want to submit your work in a journal, you will need to develop it into one or more peer-reviewed papers. This will largely involve reformatting, condensing and tailoring it to meet the standards of the journal you are targeting.

Each student and their supervisory committee should work together to determine the scholarly scope and most appropriate structure of the thesis, keeping in mind scholarly standards within their fields and professional objectives of the student.
As forms of scholarship continue to evolve, so do the possibilities for how a body of scholarly work can be expressed. Theses at UBC can include many forms of knowledge production and scholarly representation. Some examples are:
- a fully unified textual volume, similar to a scholarly book
- a series of published or publication-ready manuscripts with synthesis
- inclusion of scholarly professional artefacts such as policy papers or curriculum plans, for example, along with description and analysis
- a compendium of multimedia works with written description and analysis
Within this flexibility of structure, there remain several elements that must be included in each thesis or dissertation, and specifications to be followed, in order to enable consistent standards and proper archiving.
In addition to the preliminary materials described below, all theses should include an introduction to the subject, a critical analysis of the relevant prior scholarly work, a description of the scholarly methods, a presentation of the results, and a discussion and summary of the results and their implications. Knowledge dissemination products or modes can be incorporated as appropriate.
As appropriate, representation of the research results or methodologies may take a variety of forms, including scholarly publications or submissions (manuscripts), scholarly text, creative text, graphics, audio/visual products, or web pages, Additional knowledge translation or dissemination products or descriptions of activities can be incorporated, such as policy briefs, lay or professional publications, syllabi, or outlines of workshops or exhibits.
Every thesis will have a PDF component that includes at least the following elements:
- Committee page
- Lay summary
- Table of contents, and/or a List of all submitted files (if there are files in addition to the PDF)

The committee page:
- is the second page of the thesis and is numbered ii
- lists all examining committee members and supervisory committee members, along with their titles, departments, and universities or organizations
- does not include signatures
- is not listed in the table of contents

Doctoral students: Please include this page in the copy for the External Examiner, with your supervisory committee entered. If you know which members of the committee will be on the Examining Committee you can include them there; otherwise, they can go under Additional Supervisory Committee Members.
Doctoral students post-defence: Please remember to update the committee page before final post-defence submission if necessary.
3. Abstract (required - maximum 350 words)
The abstract is a concise and accurate summary of the scholarly work described in the document. It states the problem, the methods of investigation, and the general conclusions, and should not contain tables, graphs, complex equations, or illustrations. There is a single scholarly abstract for the entire work, and it must not exceed 350 words in length.
4. Lay Summary (required - maximum 150 words)
The lay or public summary is a simplified version of the abstract that explains the key goals and contributions of the research/scholarly work in terms that can be understood by the general public. it does not use technical terms and discipline-specific language. It must not exceed 150 words in length.
5. Preface (required)
Sample Prefaces
The Preface includes a statement indicating the student's contribution to the following:
- Identification of the research question(s)
- Design of the research work
- Performance of the research
- Analysis of the research results
- Writing of the thesis
If any of the work was collaborative , the above statement must also detail the relative contributions of all collaborators, including the approximate proportion of the research, analysis, and writing/representation conducted by the student.
If generative artificial intelligence (AI) such as ChatGPT was used in the research described, the drafting of, and/or the preparation of the thesis or dissertation, the Preface must include a concise description of how it was used. If generative AI was not used in any way, a clear statement that generative AI was not used for any aspects of this work must be included. For a clear description of what constitutes generative AI, visit the UBC Generative AI website .
If any of the work has led to any publications, submissions, or other dissemination modes , all must be listed in the Preface. For publications, the title of the article, the names and order of all co-authors, and the journal details (if accepted or published) must be included, and linked to the related chapter or portion of the thesis. For further details, see “Including Published Material in a Thesis or Dissertation”.
If any of the work is intended for publication but has not yet been published, you must say whether or not it has been submitted. Do not say where it has been submitted, as if it is not accepted for publication that information will be misleading.
If the work includes other scholarly artifacts (such as film and other audio, visual, and graphic representations, and application-oriented documents such as policy briefs, curricula, business plans, computer and web tools, pages, and applications, etc.) that have been published or otherwise publicly disseminated or that have co-authors, they must be listed in the Preface (with bibliographical information, including information on co-creators, if applicable).
If ethics approval was required for the research, the Preface must list the Certificate Number(s) of the Ethics Certificate(s) applicable to the project.
In a thesis where the research was not subject to ethics review, produced no publications, and was designed, carried out, and analyzed by the student alone, the text of the Preface may be very brief. Samples are available on this website and in the University Library's online repository of accepted theses.
The content of the Preface must be verified by the student's supervisor, whose endorsement must appear on the final Thesis/Dissertation Approval form.
Acknowledgements, introductory material, and a list of publications do not belong in the Preface. Please put them respectively in the Acknowledgements section, the first section of the thesis, and the appendices.
6. Table of contents (required)
7. list of tables (required if document has tables), 8. list of figures (required if document has figures), 9. list of submitted files (required if additional files are submitted with the pdf), 10. list of illustrations (advisable if applicable).
If you remove copyrighted tables, figures, or illustrations from your thesis you must insert the following at the spot where the table, figure, or illustration previously appeared:
- A statement that the material has been removed because of copyright restrictions
- A description of the material and the information it contained, plus a link to an online source if one is available
- A full citation of the original source of the material

11. Lists of symbols, abbreviations or other (advisable if applicable)
12. glossary (optional), 13. acknowledgements (optional).
This may include statements acknowledging support and contributions from various sources, including the student’s research supervisor and committee, research participants, colleagues, friends, and family members. IMPORTANT : Please ensure that everyone you mention in your Acknowledgements understands and accepts that their name will be appearing online in an open-access document.
Any funding for the research should be listed here.
14. Dedication (optional)
15-17. thesis body: introduction, research chapters, conclusion (usually required unless the thesis consists only of multimedia).
This contains the comprehensive contextualization, methods, findings, analysis and implications of the scholarly work. These components can be organized and expressed in a manner that the student and their supervisory committee deems to be most appropriate to the work, to the student and their objectives, and to the relevant disciplines.
In many cases the thesis will be organized in chapters, while for others (especially those including creative and/or other modes of expression) it may take different forms. The different elements should be divided appropriately (and indicated as such in the Table of Contents) to enable ease of review. The thesis should be presented in a manner that enables a cohesive understanding of the work and which is credible within the field. In all cases, certain elements are required:
Introductory content. This must clearly state its theme, topics, hypotheses and/or goals and provide sufficient background information to enable a non-specialist in the subject matter to understand them. It must contextualize the topic and questions within a thorough review of relevant literature and/or other foundational scholarship
Research/Scholarship methodologies, findings, products. The account and products of the scholarly work should be complete and sufficiently detailed to enable a reader to understand how the work was carried out and analyzed, and how to apply similar methods in another study.
Analysis and summary content. This should include a reflective analysis of the scholarly findings and/or products, integrated into the context of the thesis subject to demonstrate how the thesis leads to new understandings and contributions. The work’s potential (or actual) impact, its limitations, and its significance should be outlined.
18. Bibliography (mandatory except for MFA and MMUS)
There must be only one Bibliography or References section for the whole thesis.
19. Appendices (Optional)
These consist of supporting material that is not integral to the understanding of the work and/or easily incorporated into the thesis body, potentially including additional methodological details or data, copies of surveys used, etc. They must be referred to in the document.

How To Write A Dissertation Introduction

If you’re reading this, you’re probably at the daunting early phases of writing up the introduction chapter of your dissertation or thesis. It can be intimidating, I know.
In this post, we’ll look at the 7 essential ingredients of a strong dissertation or thesis introduction chapter, as well as the essential things you need to keep in mind as you craft each section. We’ll also share some useful tips to help you optimize your approach.
Overview: Writing An Introduction Chapter
- The purpose and function of the intro chapter
- Craft an enticing and engaging opening section
- Provide a background and context to the study
- Clearly define the research problem
- State your research aims, objectives and questions
- Explain the significance of your study
- Identify the limitations of your research

A quick sidenote:
You’ll notice that I’ve used the words dissertation and thesis interchangeably. While these terms reflect different levels of research – for example, Masters vs PhD-level research – the introduction chapter generally contains the same 7 essential ingredients regardless of level. So, in this post, dissertation introduction equals thesis introduction.
Start with why.
To craft a high-quality dissertation or thesis introduction chapter, you need to understand exactly what this chapter needs to achieve. In other words, what’s its purpose ? As the name suggests, the introduction chapter needs to introduce the reader to your research so that they understand what you’re trying to figure out, or what problem you’re trying to solve. More specifically, you need to answer four important questions in your introduction chapter.
These questions are:
- What will you be researching? (in other words, your research topic)
- Why is that worthwhile? (in other words, your justification)
- What will the scope of your research be? (in other words, what will you cover and what won’t you cover)
- What will the limitations of your research be? (in other words, what will the potential shortcomings of your research be?)
Simply put, your dissertation’s introduction chapter needs to provide an overview of your planned research , as well as a clear rationale for it. In other words, this chapter has to explain the “what” and the “why” of your research – what’s it all about and why’s that important.
Simple enough, right?
Well, the trick is finding the appropriate depth of information. As the researcher, you’ll be extremely close to your topic and this makes it easy to get caught up in the minor details. While these intricate details might be interesting, you need to write your introduction chapter on more of a “need-to-know” type basis, or it will end up way too lengthy and dense. You need to balance painting a clear picture with keeping things concise. Don’t worry though – you’ll be able to explore all the intricate details in later chapters.
Now that you understand what you need to achieve from your introduction chapter, we can get into the details. While the exact requirements for this chapter can vary from university to university, there are seven core components that most universities will require. We call these the seven essential ingredients .
The 7 Essential Ingredients
- The opening section – where you’ll introduce the reader to your research in high-level terms
- The background to the study – where you’ll explain the context of your project
- The research problem – where you’ll explain the “gap” that exists in the current research
- The research aims , objectives and questions – where you’ll clearly state what your research will aim to achieve
- The significance (or justification) – where you’ll explain why your research is worth doing and the value it will provide to the world
- The limitations – where you’ll acknowledge the potential limitations of your project and approach
- The structure – where you’ll briefly outline the structure of your dissertation or thesis to help orient the reader
By incorporating these seven essential ingredients into your introduction chapter, you’ll comprehensively cover both the “ what ” and the “ why ” I mentioned earlier – in other words, you’ll achieve the purpose of the chapter.
Side note – you can also use these 7 ingredients in this order as the structure for your chapter to ensure a smooth, logical flow. This isn’t essential, but, generally speaking, it helps create an engaging narrative that’s easy for your reader to understand. Alright – let’s look at each of the ingredients now.
#1 – The Opening Section
The very first essential ingredient for your dissertation introduction is, well, an introduction or opening section. Just like every other chapter, your introduction chapter needs to start by providing a brief overview of what you’ll be covering in the chapter.
This section needs to engage the reader with clear, concise language that can be easily understood and digested. If the reader (your marker!) has to struggle through it, they’ll lose interest, which will make it harder for you to earn marks. Just because you’re writing an academic paper doesn’t mean you can ignore the basic principles of engaging writing used by marketers, bloggers, and journalists. At the end of the day, you’re all trying to sell an idea – yours is just a research idea.
So, what goes into this opening section?
Well, while there’s no set formula, it’s a good idea to include the following four foundational sentences in your opening section:
1 – A sentence or two introducing the overall field of your research.
For example:
“Organisational skills development involves identifying current or potential skills gaps within a business and developing programs to resolve these gaps. Management research, including X, Y and Z, has clearly established that organisational skills development is an essential contributor to business growth.”
2 – A sentence introducing your specific research problem.
“However, there are conflicting views and an overall lack of research regarding how best to manage skills development initiatives in highly dynamic environments where subject knowledge is rapidly and continuously evolving – for example, in the website development industry.”
3 – A sentence stating your research aims and objectives.
“This research aims to identify and evaluate skills development approaches and strategies for highly dynamic industries in which subject knowledge is continuously evolving.”.
4 – A sentence outlining the layout of the chapter.
“This chapter will provide an introduction to the study by first discussing the background and context, followed by the research problem, the research aims, objectives and questions, the significance and finally, the limitations.”
As I mentioned, this opening section of your introduction chapter shouldn’t be lengthy . Typically, these four sentences should fit neatly into one or two paragraphs, max. What you’re aiming for here is a clear, concise introduction to your research – not a detailed account.
PS – If some of this terminology sounds unfamiliar, don’t stress – I’ll explain each of the concepts later in this post.
#2 – Background to the study
Now that you’ve provided a high-level overview of your dissertation or thesis, it’s time to go a little deeper and lay a foundation for your research topic. This foundation is what the second ingredient is all about – the background to your study.
So, what is the background section all about?
Well, this section of your introduction chapter should provide a broad overview of the topic area that you’ll be researching, as well as the current contextual factors . This could include, for example, a brief history of the topic, recent developments in the area, key pieces of research in the area and so on. In other words, in this section, you need to provide the relevant background information to give the reader a decent foundational understanding of your research area.
Let’s look at an example to make this a little more concrete.
If we stick with the skills development topic I mentioned earlier, the background to the study section would start by providing an overview of the skills development area and outline the key existing research. Then, it would go on to discuss how the modern-day context has created a new challenge for traditional skills development strategies and approaches. Specifically, that in many industries, technical knowledge is constantly and rapidly evolving, and traditional education providers struggle to keep up with the pace of new technologies.
Importantly, you need to write this section with the assumption that the reader is not an expert in your topic area. So, if there are industry-specific jargon and complex terminology, you should briefly explain that here , so that the reader can understand the rest of your document.
Don’t make assumptions about the reader’s knowledge – in most cases, your markers will not be able to ask you questions if they don’t understand something. So, always err on the safe side and explain anything that’s not common knowledge.
#3 – The research problem
Now that you’ve given your reader an overview of your research area, it’s time to get specific about the research problem that you’ll address in your dissertation or thesis. While the background section would have alluded to a potential research problem (or even multiple research problems), the purpose of this section is to narrow the focus and highlight the specific research problem you’ll focus on.
But, what exactly is a research problem, you ask?
Well, a research problem can be any issue or question for which there isn’t already a well-established and agreed-upon answer in the existing research. In other words, a research problem exists when there’s a need to answer a question (or set of questions), but there’s a gap in the existing literature , or the existing research is conflicting and/or inconsistent.
So, to present your research problem, you need to make it clear what exactly is missing in the current literature and why this is a problem . It’s usually a good idea to structure this discussion into three sections – specifically:
- What’s already well-established in the literature (in other words, the current state of research)
- What’s missing in the literature (in other words, the literature gap)
- Why this is a problem (in other words, why it’s important to fill this gap)
Let’s look at an example of this structure using the skills development topic.
Organisational skills development is critically important for employee satisfaction and company performance (reference). Numerous studies have investigated strategies and approaches to manage skills development programs within organisations (reference).
(this paragraph explains what’s already well-established in the literature)
However, these studies have traditionally focused on relatively slow-paced industries where key skills and knowledge do not change particularly often. This body of theory presents a problem for industries that face a rapidly changing skills landscape – for example, the website development industry – where new platforms, languages and best practices emerge on an extremely frequent basis.
(this paragraph explains what’s missing from the literature)
As a result, the existing research is inadequate for industries in which essential knowledge and skills are constantly and rapidly evolving, as it assumes a slow pace of knowledge development. Industries in such environments, therefore, find themselves ill-equipped in terms of skills development strategies and approaches.
(this paragraph explains why the research gap is problematic)
As you can see in this example, in a few lines, we’ve explained (1) the current state of research, (2) the literature gap and (3) why that gap is problematic. By doing this, the research problem is made crystal clear, which lays the foundation for the next ingredient.
#4 – The research aims, objectives and questions
Now that you’ve clearly identified your research problem, it’s time to identify your research aims and objectives , as well as your research questions . In other words, it’s time to explain what you’re going to do about the research problem.
So, what do you need to do here?
Well, the starting point is to clearly state your research aim (or aims) . The research aim is the main goal or the overarching purpose of your dissertation or thesis. In other words, it’s a high-level statement of what you’re aiming to achieve.
Let’s look at an example, sticking with the skills development topic:
“Given the lack of research regarding organisational skills development in fast-moving industries, this study will aim to identify and evaluate the skills development approaches utilised by web development companies in the UK”.
As you can see in this example, the research aim is clearly outlined, as well as the specific context in which the research will be undertaken (in other words, web development companies in the UK).
Next up is the research objective (or objectives) . While the research aims cover the high-level “what”, the research objectives are a bit more practically oriented, looking at specific things you’ll be doing to achieve those research aims.
Let’s take a look at an example of some research objectives (ROs) to fit the research aim.
- RO1 – To identify common skills development strategies and approaches utilised by web development companies in the UK.
- RO2 – To evaluate the effectiveness of these strategies and approaches.
- RO3 – To compare and contrast these strategies and approaches in terms of their strengths and weaknesses.
As you can see from this example, these objectives describe the actions you’ll take and the specific things you’ll investigate in order to achieve your research aims. They break down the research aims into more specific, actionable objectives.
The final step is to state your research questions . Your research questions bring the aims and objectives another level “down to earth”. These are the specific questions that your dissertation or theses will seek to answer. They’re not fluffy, ambiguous or conceptual – they’re very specific and you’ll need to directly answer them in your conclusions chapter .
The research questions typically relate directly to the research objectives and sometimes can look a bit obvious, but they are still extremely important. Let’s take a look at an example of the research questions (RQs) that would flow from the research objectives I mentioned earlier.
- RQ1 – What skills development strategies and approaches are currently being used by web development companies in the UK?
- RQ2 – How effective are each of these strategies and approaches?
- RQ3 – What are the strengths and weaknesses of each of these strategies and approaches?
As you can see, the research questions mimic the research objectives , but they are presented in question format. These questions will act as the driving force throughout your dissertation or thesis – from the literature review to the methodology and onward – so they’re really important.
A final note about this section – it’s really important to be clear about the scope of your study (more technically, the delimitations ). In other words, what you WILL cover and what you WON’T cover. If your research aims, objectives and questions are too broad, you’ll risk losing focus or investigating a problem that is too big to solve within a single dissertation.
Simply put, you need to establish clear boundaries in your research. You can do this, for example, by limiting it to a specific industry, country or time period. That way, you’ll ringfence your research, which will allow you to investigate your topic deeply and thoroughly – which is what earns marks!
Need a helping hand?
#5 – Significance
Now that you’ve made it clear what you’ll be researching, it’s time to make a strong argument regarding your study’s importance and significance . In other words, now that you’ve covered the what, it’s time to cover the why – enter essential ingredient number 5 – significance.
Of course, by this stage, you’ve already briefly alluded to the importance of your study in your background and research problem sections, but you haven’t explicitly stated how your research findings will benefit the world . So, now’s your chance to clearly state how your study will benefit either industry , academia , or – ideally – both . In other words, you need to explain how your research will make a difference and what implications it will have .
Let’s take a look at an example.
“This study will contribute to the body of knowledge on skills development by incorporating skills development strategies and approaches for industries in which knowledge and skills are rapidly and constantly changing. This will help address the current shortage of research in this area and provide real-world value to organisations operating in such dynamic environments.”
As you can see in this example, the paragraph clearly explains how the research will help fill a gap in the literature and also provide practical real-world value to organisations.
This section doesn’t need to be particularly lengthy, but it does need to be convincing . You need to “sell” the value of your research here so that the reader understands why it’s worth committing an entire dissertation or thesis to it. This section needs to be the salesman of your research. So, spend some time thinking about the ways in which your research will make a unique contribution to the world and how the knowledge you create could benefit both academia and industry – and then “sell it” in this section.
#6 – The limitations
Now that you’ve “sold” your research to the reader and hopefully got them excited about what’s coming up in the rest of your dissertation, it’s time to briefly discuss the potential limitations of your research.
But you’re probably thinking, hold up – what limitations? My research is well thought out and carefully designed – why would there be limitations?
Well, no piece of research is perfect . This is especially true for a dissertation or thesis – which typically has a very low or zero budget, tight time constraints and limited researcher experience. Generally, your dissertation will be the first or second formal research project you’ve ever undertaken, so it’s unlikely to win any research awards…
Simply put, your research will invariably have limitations. Don’t stress yourself out though – this is completely acceptable (and expected). Even “professional” research has limitations – as I said, no piece of research is perfect. The key is to recognise the limitations upfront and be completely transparent about them, so that future researchers are aware of them and can improve the study’s design to minimise the limitations and strengthen the findings.
Generally, you’ll want to consider at least the following four common limitations. These are:
- Your scope – for example, perhaps your focus is very narrow and doesn’t consider how certain variables interact with each other.
- Your research methodology – for example, a qualitative methodology could be criticised for being overly subjective, or a quantitative methodology could be criticised for oversimplifying the situation (learn more about methodologies here ).
- Your resources – for example, a lack of time, money, equipment and your own research experience.
- The generalisability of your findings – for example, the findings from the study of a specific industry or country can’t necessarily be generalised to other industries or countries.
Don’t be shy here. There’s no use trying to hide the limitations or weaknesses of your research. In fact, the more critical you can be of your study, the better. The markers want to see that you are aware of the limitations as this demonstrates your understanding of research design – so be brutal.
#7 – The structural outline
Now that you’ve clearly communicated what your research is going to be about, why it’s important and what the limitations of your research will be, the final ingredient is the structural outline.The purpose of this section is simply to provide your reader with a roadmap of what to expect in terms of the structure of your dissertation or thesis.
In this section, you’ll need to provide a brief summary of each chapter’s purpose and contents (including the introduction chapter). A sentence or two explaining what you’ll do in each chapter is generally enough to orient the reader. You don’t want to get too detailed here – it’s purely an outline, not a summary of your research.
Let’s look at an example:
In Chapter One, the context of the study has been introduced. The research objectives and questions have been identified, and the value of such research argued. The limitations of the study have also been discussed.
In Chapter Two, the existing literature will be reviewed and a foundation of theory will be laid out to identify key skills development approaches and strategies within the context of fast-moving industries, especially technology-intensive industries.
In Chapter Three, the methodological choices will be explored. Specifically, the adoption of a qualitative, inductive research approach will be justified, and the broader research design will be discussed, including the limitations thereof.
So, as you can see from the example, this section is simply an outline of the chapter structure, allocating a short paragraph to each chapter. Done correctly, the outline will help your reader understand what to expect and reassure them that you’ll address the multiple facets of the study.

Hopefully you feel a bit more prepared for this challenge of crafting your dissertation or thesis introduction chapter now. Take a deep breath and remember that Rome wasn’t built in a day – conquer one ingredient at a time and you’ll be firmly on the path to success.

If you bake these ingredients into your dissertation introduction chapter, you’ll be well on your way to building an engaging introduction chapter that lays a rock-solid foundation for the rest of your document.
Remember, while we’ve covered the essential ingredients here, there may be some additional components that your university requires, so be sure to double-check your project brief!

A thesis or dissertation outline is one of the most critical early steps in your writing process . It helps you to lay out and organize your ideas and can provide you with a roadmap for deciding the specifics of your dissertation topic and showcasing its relevance to your field.
Generally, an outline contains information on the different sections included in your thesis or dissertation , such as:
- Your anticipated title
- Your abstract
- Your chapters (sometimes subdivided into further topics like literature review, research methods, avenues for future research, etc.)
In the final product, you can also provide a chapter outline for your readers. This is a short paragraph at the end of your introduction to inform readers about the organizational structure of your thesis or dissertation. This chapter outline is also known as a reading guide or summary outline.
Table of contents

While there are some inter-institutional differences, many outlines proceed in a fairly similar fashion.
- Working Title
- “Elevator pitch” of your work (often written last).
- Introduce your area of study, sharing details about your research question, problem statement , and hypotheses . Situate your research within an existing paradigm or conceptual or theoretical framework .
- Subdivide as you see fit into main topics and sub-topics.
- Describe your research methods (e.g., your scope , population , and data collection ).
- Present your research findings and share about your data analysis methods.
- Answer the research question in a concise way.
- Interpret your findings, discuss potential limitations of your own research and speculate about future implications or related opportunities.

It can be easy to fall into a pattern of overusing the same words or sentence constructions, which can make your work monotonous and repetitive for your readers. Consider utilizing some of the alternative constructions presented below.
Example 1: Passive construction
The passive voice is a common choice for outlines and overviews because the context makes it clear who is carrying out the action (e.g., you are conducting the research ). However, overuse of the passive voice can make your text vague and imprecise.
Example 2: IS-AV construction
You can also present your information using the “IS-AV” (inanimate subject with an active verb ) construction.
A chapter is an inanimate object, so it is not capable of taking an action itself (e.g., presenting or discussing). However, the meaning of the sentence is still easily understandable, so the IS-AV construction can be a good way to add variety to your text.
Example 3: The “I” construction
Another option is to use the “I” construction, which is often recommended by style manuals (e.g., APA Style and Chicago style ). However, depending on your field of study, this construction is not always considered professional or academic. Ask your supervisor if you’re not sure.
Example 4: Mix-and-match
To truly make the most of these options, consider mixing and matching the passive voice , IS-AV construction , and “I” construction .This can help the flow of your argument and improve the readability of your text.
As you draft the chapter outline, you may also find yourself frequently repeating the same words, such as “discuss,” “present,” “prove,” or “show.” Consider branching out to add richness and nuance to your writing. Here are some examples of synonyms you can use.

A PhD thesis is a work of original research all students are requiured to submit in order to succesfully complete their PhD. The thesis details the research that you carried out during the course of your doctoral degree and highlights the outcomes and conclusions reached.
The PhD thesis is the most important part of a doctoral research degree: the culmination of three or four years of full-time work towards producing an original contribution to your academic field.
Your PhD dissertation can therefore seem like quite a daunting possibility, with a hefty word count, the pressure of writing something new and, of course, the prospect of defending it at a viva once you’ve finished.

Beginning your phd thesis.
The first stage of your PhD thesis will usually be the literature review . We’ve already written a detailed guide to what the PhD literature review involves , but here’s what you need to know about this stage of your PhD:
- The literature review is a chance for you to display your knowledge and understanding of what’s already been written about your research area – this could consist of papers, articles, books, data and more
- Rather than simply summarising what other scholars have said about your subject, you should aim to assess and analyse their arguments
- The literature review is usually the first task of your PhD – and typically forms the first part or chapter of your dissertation
After finishing your literature review, you’ll move onto the bulk of your doctoral thesis. Of course, you’ll eventually return to the lit review to make sure it’s up-to-date and contains any additional material you may have come across during the course of your research.
PhD thesis research
What sets your PhD thesis apart from previous university work you’ve done is the fact that it should represent an original contribution to academic knowledge . The form that this original contribution takes will largely depend on your discipline.
- Arts and Humanities dissertations usually involve investigating different texts, sources and theoretical frameworks
- Social Sciences are more likely to focus on qualitive or quantitative surveys and case studies
- STEM subjects involve designing, recording and analysing experiments, using their data to prove or disprove a set theory
Depending on the nature of your research, you may ‘write up’ your findings as you go, or leave it until the dedicated ‘writing-up’ period, usually in the third year of your PhD. Whatever your approach, it’s vital to keep detailed notes of your sources and methods – it’ll make your life a lot easier when it comes to using references in your dissertation further down the line.
PhD thesis vs dissertation
It’s common to use the terms ‘thesis’ and ‘dissertation’ interchangeably, but strictly speaking there is a difference in meaning between them:
- Your thesis is your argument. It’s the conclusions you’ve arrived at through surveying existing scholarship in your literature review and combining this with the results of your own original research.
- Your dissertation is the written statement of your thesis. This is where you lay out your findings in a way that systematically demonstrates and proves your conclusion.
Put simply, you submit a dissertation, but it’s the thesis it attempts to prove that will form the basis of your PhD.
What this also means is that the writing up of your dissertation generally follows the formulation of your doctoral thesis (it’s fairly difficult to write up a PhD before you know what you want to say!).
However, it’s normal for universities and academics to use either (or both) terms when describing PhD research – indeed, we use both ‘thesis’ and ‘dissertation’ across our website.

PhD thesis structure
Having completed your initial literature review and conducted your original research, you’ll move onto the next phase of your doctoral dissertation, beginning to sketch out a plan that your thesis will follow.
The exact structure and make-up of your doctoral thesis will vary between fields, but this is the general template that many dissertations follow:
- Introduction – This sets out the key objectives of your project, why the work is significant and what its original contribution to knowledge is. At this point you may also summarise the remaining chapters, offering an abstract of the argument you will go on to develop.
- Literature review – The introduction will generally lead into a write-up of your literature review. Here you’ll outline the scholarly context for your project. You’ll acknowledge where existing research has shaped your PhD, but emphasise the unique nature of your work.
- Chapters – After you’ve finished introducing your research, you’ll begin the bulk of the dissertation. This will summarise your results and begin explaining the argument you have based on them. Some PhDs will also include specific chapters on methodology and / or a recreation of the data you have developed. Others will develop your argument over a series of stages, drawing on sources and results as relevant.
- Conclusion – The dissertation will end with a final chapter that pulls together the different elements of your argument and the evidence you have provided for it. You’ll restate the significance of your project (and its all-important original contribution to knowledge). You may also take the opportunity to acknowledge the potential for further work or opportunities to apply your findings outside academia.
- Bibliography and appendices – At the end of your thesis, you’ll need to include a full list of the books, articles and data you’ve referenced in a bibliography. You may also need to provide additional information in the form of an appendix.
How long is a PhD thesis?
The length of a PhD thesis varies from subject to subject, but all are far longer than those for undergraduate or Masters degrees. Your university will usually set an upper limit – typically between 70,000 and 100,000 words, with most dissertations coming in at around 80,000 words.
Generally speaking, STEM-based theses will be a little shorter than those in the Arts, Humanities and Social Sciences.
Different universities (and departments) will have different policies regarding what counts towards the PhD thesis word count, so make sure you’re aware what is expected of you. Check with your supervisor whether references, the bibliography or appendices are included in the word count for your dissertation.
How many chapters should a PhD thesis have?
There’s no hard and fast rule for the numbers of chapters in a PhD thesis, but most will have four or five chapters (in addition to the introduction and conclusion). This is the sort of thing you’ll discuss with your supervisor when planning out your research.
Writing up your PhD thesis
Once you’ve conducted your research and settled upon your thesis, there’s only one thing left to do: get it down on paper. Appropriately enough, this final part of a PhD is often referred to as the ‘ writing up period ’.
This is when you produce the final dissertation, which will be submitted as the basis for your viva voce exam. The nature of this task can vary from PhD to PhD.
In some cases you may already have a large amount of chapter drafts and other material. ‘Writing up’ therefore becomes a process of re-drafting and assembling this work into a final dissertation. This approach is common in Arts and Humanities subjects where PhD students tend to work through stages of a project, writing as they go.
Alternatively, you may have spent most of your PhD collecting and analysing data. If so, you’ll now ‘write up’ your findings and conclusions in order to produce your final dissertation. This approach is more common in STEM subjects, where experiment design and data collection are much more resource intensive.
Whatever process you adopt, you’ll now produce a persuasive and coherent statement of your argument, ready to submit for examination.
PhD thesis feedback
Your supervisor will usually give you feedback on each chapter draft, and then feedback on the overall completed dissertation draft before you submit it for examination. When the thesis is a work-in-progress, their comments will be a chance for them to make sure your research is going in the right direction and for you to ask their advice on anything you’re concerned about. This feedback will normally be given in the form of a supervisory meeting.
Although your PhD supervisor will be happy to give you advice on your work, you shouldn’t expect them to be an editor – it’s not their responsibility to correct grammatical or spelling mistakes, and you should make sure any drafts you submit to them are as error-free as possible. Similarly, they won’t be willing to edit your work down to fit a particular word count.
Finishing your PhD thesis
When you’ve finished the final draft of your doctoral thesis and it’s been approved by your supervisor, you’ll submit it for examination. This is when it’s sent to the examiners who will conduct your viva.
Submitting your thesis involves printing enough copies for your examiners and the university’s repository. Don’t leave this until the last minute – printing multiple copies of a 300-page document is a substantial undertaking and you should always allow enough time to account for any possible glitches or issues with the printing process.
Your viva will usually take place within three months of submitting your thesis. You can find out more in our dedicated guide to the PhD viva . After your viva, your examiners will give you a report that confirms whether or not you need to make any changes to your thesis, with several different potential outcomes:
- Pass – You’ve received your doctoral qualification!
- Minor corrections – These are usually fairly small edits, tweaks and improvements to your thesis, which you’ll be given three months to implement
- Major corrections – For these substantial changes, you may have to rewrite part of your dissertation or complete extra research, with a six-month deadline
Most PhD students will need to fix some corrections with their thesis (hopefully not major ones). It’s very rare for a dissertation to be failed.
Once you’ve made any necessary changes to your thesis, you’ll submit it one last time (usually electronically).
If you have plans to publish all or part of your work, you may want to request an embargo so that it won’t be visible to the public for a certain time. 12 months is a fairly standard time period for this, although you may want to ask for a longer embargo if you know that you want to turn your thesis into a book or monograph.

How To Write Chapter 1 Of A PhD Thesis Proposal (A Practical Guide)
After submitting a concept paper and your supervisor gives you the go-ahead, then it is time to start writing the proposal for your PhD thesis or dissertation.
The format of a thesis proposal varies from one institution to another but generally has three main chapters: chapter 1 (introduction), chapter 2 (literature review), and chapter 3 (research methodology).

While in some institutions PhD students may be required to write more chapters, these three chapters are the meat of any thesis proposal. This article focuses on how to write chapter 1 of a PhD thesis proposal.
Chapter 1 of a thesis proposal has about 10 sections discussed below:
Introduction to the chapter
Background to the study, statement of the problem, justification of the study, significance of the study, objectives of the study and/or research questions, scope of the study, limitations and delimitations of the study, definition of terms, chapter summary, final thoughts on how to write chapter 1 of a phd thesis proposal, related posts.
This is the first section of chapter 1 of a thesis proposal. It is normally short about a paragraph in length. Its purpose is to inform the readers what the chapter is all about.
This section is the longest in chapter 1 of a thesis proposal.
It provides the context within which the study will be undertaken.
It gives a historical explanation of the issue under investigation.
It is important to use existing data and statistics to show the magnitude of the issue. Grey literature (for instance, reports from the government, non-governmental organisations, local institutions and international organisations among others) play an important role when providing the background to the study.
The background is often given starting from a general perspective and narrows down to a specific perspective.
For example, if the proposal is on maternal health in South Africa, then the background of the study will discuss maternal health from the global perspective, then maternal health in Africa, and then it will narrow down to maternal health in South Africa. It will provide data and statistics provided by reports from the Millennium Development Goals (MDGs), Sustainable Development Goals (SDGs), and demographic and health surveys (DHS) of various countries and specifically South Africa, among other reports. Such information paints a clear picture of the problem under investigation and sets the stage for the discussion of the problem statement.
The background to the study should be clear and comprehensive enough such that your readers will be on the same page after reading the section, irrespective of their prior knowledge in your research topic.
While reviewing literature for this section, a good practice is to build mind maps that highlight the important concepts for the study topic and how those concepts relate to each other.
It is also referred to as problem statement or issue under investigation.
The statement of the problem is the elephant in the “chapter 1” room. It is what most students struggle with and the area that can make or break a proposal defense.
It is very common to hear supervisors or defense panelists make comments such as:
“I don’t see any problem here.”
“This problem is not a problem.”
“This problem does not warrant a PhD-level study.”
When writing the statement of the problem, start the section with the problem, as in… The problem (or issue) under investigation is ….
After stating the problem then follow it up with an explanation of why it is a problem.
For PhD students, the problem under investigation should be complex enough to warrant a doctoral-level study and at the same time it should add to the body of knowledge in your chosen field of study. The latter – addition to knowledge – is what distinguishes a PhD-level thesis from a Masters-level thesis.
While crafting the problem statement it is also important to remember that the problem will influence the research objectives and the research methodology as well. The student should therefore think through these aspects carefully.
The justification is used to address the need for conducting the study and addressing the problem. It therefore follows the problem statement.
It is also referred to as the rationale for the study and addresses the “why” of the study: Why does this problem warrant an investigation? What is the purpose for carrying out the study?
In the example of maternal health in South Africa, the rationale or justification for the study would be the high maternal mortality ratios in South Africa and their undesirable effects on children and family. Therefore the study would help bring to light the major causes of maternal mortality in the country and how they can best be mitigated.
Whereas the justification of the study addresses the need for the study, the significance of the study highlights the benefits that would accrue after the study is completed.
The significance can be looked at from two perspectives:
- Academic perspective
- Practical perspective
For the academic perspective , the significance entails how the study would contribute to the existing body of knowledge in the chosen topic. Will it add to the methodology? Theory? New data? Will it study a population or phenomenon that has been neglected?
For PhD students, the addition to the body of knowledge is key, and should always be at the back of the student’s mind.
For the practical perspective , the significance of the study would be the impact and benefits that different stakeholders would derive from the findings of the study.
Depending on the study, the stakeholders may include: the Government, policymakers, different ministries and their agencies, different institutions, individuals, a community etc. This will vary from one study to another.
The significance of the study is best presented from a general to specific manner, like an inverted pyramid.
Each beneficiary is discussed separately.
Research questions are the question form of the research objectives. Depending on your institution and/or department where you are doing your PhD you may have both objectives and research questions or either.
There are two types of objectives: the general objective and the specific objectives. The general objective is a reflection of the study topic while the specific objectives are a breakdown of the general objective.
Coming up with good research objectives is an important step of any PhD thesis proposal. This is because the research objectives will determine whether the research problem will be adequately addressed and at the same time it will influence the research methodology that the study will adopt.
Research objectives should therefore emanate from the research problem.
While crafting the objectives, think about all those things that you would like to accomplish for your study and if by doing them they will address the research problem in totality.
Once you’ve noted all those activities that you would like to undertake, group the like ones together so as to narrow them down to 4 or 5 strong objectives.
The number of research objectives that PhD students should come up with will be determined by the requirements of their institution. However, the objectives should be adequate enough such that a single paper can be produced from each objective. This is important in ensuring that the PhD student publishes as many papers as is required by their institution.
Objectives are usually stated using action verbs. For instance: to examine, to analyse, to understand, to review, to investigate… etc.
It is important to understand the meaning of the action verbs used in the research objectives because different action verbs imply different methodology approaches. For instance: to analyse implies a quantitative approach, whereas to explore implies a qualitative approach.
Therefore, if a study will use purely quantitative research methodology, then the action verbs for the research objectives should strictly reflect that. Same case applies to qualitative studies. Studies that use a mixed-methods approach can have a mix of the action verbs.
Have a variety of the action verbs in your research objectives. Don’t just use the same action verb throughout.
Useful tip: To have a good idea of the action verbs that scholars use, create an Excel file with three columns: 1) action verb, 2) example of research objective, and 3) research methodology used. Then every time you read a journal paper, note down the objectives stated in that paper and fill in the three columns respectively. Besides journal papers, past PhD theses and dissertations are a good source of how research objectives are stated.
Another important point to remember is that the research objectives will form the basis of the discussion chapter. Each research objective will be discussed separately and will form its own sub-chapter under the discussion chapter. This is why the complexity of the research objectives is important especially for PhD students.
The scope of the study simply means the boundaries or the space within which the study will be undertaken.
Most studies have the potential of covering a wider scope than stated but because of time and budget constraints the scope gets narrowed down.
When defining the scope for a PhD study, it should not be too narrow or too wide but rather it should be adequate enough to meet the requirements of the program.
The scope chosen by the student should always be justified.
Limitations refer to factors that may affect a study which are not under the control of the student.
Delimitations on the other hand are factors that may affect the study for which the student has control.
Limitations are therefore caused by circumstances while delimitations are a matter of choice of the student.
It is therefore important for the student to justify their delimitations and mitigate their study’s limitations.
Examples of study limitations:
– political unrest in a region of interest: this can be mitigated by choosing another region for the study.
– covid-19 restrictions may limit physical collection of data: this can be mitigated by collecting data via telephone interviews or emailing questionnaires to the respondents.
Examples of study delimitations:
– choice of a particular community as the unit of the study: in this case the student should justify why that particular community was chosen over others.
– use of quantitative research methodology only: in this case the student should justify why they chose the research methodology over mixed-methods research.
The definition of key terms used in the study is important because it helps the readers understand the main concepts of the study. Not all readers have the background information or knowledge about the focus of the study.
However, the definitions used should be the denotative definitions, rather than the connotative (dictionary) definitions. Therefore the context within which the terms have been used should be provided.
This is the last section of the introduction chapter and it basically informs the reader what the chapter covered.
Like the introduction to the chapter, the chapter summary should be short: about one paragraph in length.
Chapter 1 of a PhD thesis proposal is an important chapter because it lays the foundation for the rest of the proposal and the thesis itself. Its role is to inspire and motivate the readers to read on. The most challenging task with chapter 1 is learning how to state the problem in a manner that is clear and to the point. For PhD students, the research problem should be complex enough to warrant a doctoral-level study.
Whereas the format of the chapter may vary from one institution to another, the sections presented in this article provide a guide to most of what is required for the chapter to be complete. Learning how to write chapter 1 of a PhD thesis proposal requires constant writing practice as well as reading of many past PhD theses and dissertations.

The PhD Writing Template is a way for you to visualise your PhD on one page. It guides you through creating a synopsis for each chapter and an overall outline of the thesis using simple questions to structure and guide your thinking. If you haven’t already download it for free now .

How do I write a PhD using the template?
It’s simple to use. First, print it out.
Then, answer each of the questions in each section.
Answer on Post-it notes. One for each box. That way you can change your answers over time.
But aren’t Post-it notes too small? No! Small is good here. It means you have to be clear and concise. If you can’t fit your answers onto a Post-it note, you need to refine them.
To save space, use bullet points, but make sure you carefully think about and respond to each point.
Start with the ‘Aims and Objectives’ box, where you will list down the core headlines of the entire thesis. This is the big-picture stuff. You should have this completed and refined before you move on. Without solid answers to these questions, the thesis will be disjointed and unclear.
Then, work through the boxes one by one. You may want to leave the abstract and acknowledgements to last. You may also want to work on the introduction last. That’s fine. Work in the way that suits you.
As you fill the template in, you will start to see the bigger picture. Each Post-it note will contain a synopsis for that particular element. Together, they can be combined to form an executive summary of the thesis as a whole.
