References are people you can rely on to provide positive recommendations for you when applying for jobs or higher education opportunities. The people you list as references should know your abilities, previous experience and skills you possess, and be willing to recommend you as a viable candidate for the positions for which you apply. Follow these steps to learn how to properly create a reference list.

Selecting Your References

Step 1 Select the people you think would make good references.

  • You could also select colleagues, peers or co-workers who can provide insight to your work ethic, skill levels and abilities. People who can provide examples detailing your positive qualities because of your work relationships are effective references.
  • Consider people with whom you've volunteered or worked with through a non-profit organization. Despite not being paid for your work, you may have shown leadership or other skills that can be valuable as a candidate for a job or higher education. People with whom you've volunteered may be able to share details about your skills.

Step 2 Ask the people you would like to use as references if it is ok to do so.

  • When asking someone to be your reference, make sure that they plan on giving you a positive recommendation. You should try to select people you know will give you an excellent recommendation.

Step 3 List your references...

  • You should not mention references unless you are asked to do so by the company or program you are applying to.

Writing Your Reference List

Step 1 Format your references in the same way as your resume.

  • If you would like to make a clear break between your header and the content of your page, add a line below your contact information.

Step 3 Create a title for your page.

  • Write down your first reference. His or her name should be in bold. Underneath his/her name, write his/her relationship to you (ie. Professor, or Boss) and the company or program that you both worked for.
  • Write down the company’s address if your reference still works at that company. If he/she does not, do not list any address.
  • List your reference’s contact information a line below your relationship to your reference. This should be the contact information they provided you--either a telephone number, email, or both.

Step 5 Write down the rest of your references.

When to include a reference letter in an application?

I'm currently entering my senior year of college and am beginning to apply for full time positions after graduation.

For the past 1.5 years I've worked part time during the school year and full time during the summers for a mid-large size firm. One of the supervisors who I worked closely with wrote my a one page letter of reference at my request. This supervisor used to be a high up department head for a major government regulatory agency (he has a Wikipedia page and is extremely well known by those within the industry). The reference letter he wrote me is extremely positive and highlights much of the specific work we have done together over the past 1.5 years. It's about a page long.

I obviously want to highlight that relationship and present future employers with the letter as I feel that it would certainly help me in my application. The issue that i'm having is that the majority of applications don't ask for a reference letter. Should I send this reference letter to employers even if it has not been asked for?

For example I am actually applying to work in the government agency he used to head. Obviously I feel that his recommendation would carry a lot of weight but the application for that position doesn't ask for a reference letter and doesn't seem to expect it. How can I include the letter in these types of applications or should I simply leave it out unless asked?

I've already highlighted that we had a close working relationship in my resume and talked about some of the work we did together but would like to showcase his perspective if possible.

Most job applications in industry (rather than academia) do not use reference letters at all. I would never attach a reference letter unless asked for one specifically. However, most jobs do ask for references , which is a list of people (around 3) that they can contact to ask about you. This list should most certainly include your supervisor, as well as a couple others who know you (professor, adviser, manager, etc). I would usually recommend waiting to give an interviewer a reference list until they ask for it, which they may not even do.

You say that you've already highlighted your relationship with your supervisor in your resume, which is an okay place to put it. Usually though a resume should focus on your own skills and accomplishments and less on the people you know. An even better place to talk about your work with this person is in your cover letter. This way you can highlight exactly what you learned from him and how that affects your career goals. This is especially true when applying to your supervisor's agency. You can explain that he is the reason you became interested in applying for the job.

So to summarize, you probably won't need the reference letter itself, but he is certainly still a good person to have as a reference.

Based on your statement "I am actually applying to work in the government agency he used to head. " , Most companies have a way for employees to refer external candidates. Your supervisor can possibly refer you to the job, then you dont need to provide a letter and that explains it all to the Company as well.

Also in this specific scenario, there is no problem in providing your reference letter up front with your CV and cover letter as the supervisor will not a stranger to the Company. So it will only help your case. They might even verify with him and in return you might end up getting more words of praise from him (this time personally).

In general circumstances, as @David said, normally you would just put names in your CV and then they are contacted when necessary.

So, write about all the things that prove you’re qualified for the role. Whether that’s because of your technical expertise or long-term goals and interests, focus on what makes you a good fit for the company’s needs.

What Should a Cover Letter Include? 5 Essential Sections for All Cover Letters

Here’s what to include on a cover letter: 

  • Background details. Name, location (city, country), phone number, email address, date, company name. 
  • Formal greeting. Address the hiring manager or head of department using their last name. 
  • Opening paragraph. Introduce yourself by leading with your track record, enthusiasm, or mutual connections. 
  • Main body. Detail relevant skills and experiences. Link them to specific company needs and directly explain why you’re the right fit. 
  • Closing paragraph and sign-off. Show enthusiasm once more and reiterate why you believe you’re the right person for the company. Then, include a short thank-you note to the reader followed by a formal sign-off.

This is also the standard cover letter format .

1. The Header Section

All cover letters include a header section. This is where your contact details are such as: 

  • Phone number
  • Email address
  • Company name

Use this format for your cover letter header. If it helps, start with an outline before you start slinging ink. 

2. Salutation & Greeting

The first line after writing your contact details is the salutation. Greet the hiring manager by their last name, honorifics, or job title. Here’s a few examples: 

  • Dear Mr Smith
  • Dear Ms Smith
  • Dear Hiring Manager

Ideally, you’d include the hiring manager’s name in your greeting. But if you’re unsure, either greet them by their honorifics or job position. 

Here’s another piece of advice for writing cover letters : don’t address the reader through the infamous phrase “to whom it may concern.” It’s impersonal and suggests that you didn’t do your research. 

3. The Opening Paragraph 

This covers two things:

  • The job position you’re applying for 
  • An introduction to your professional background

After reading the opening paragraph, the reader should know the job vacancy you’re interested in as well as your professional strengths or career highlights.

4. Main Body

The main body is made up of 1-3 paragraphs. Each paragraph of the main body focuses on a few of the following:

  • Achievements
  • Relevant experience
  • Hard skills
  • Soft skills

This takes up most space in your cover letter. The purpose here is to prove that you’re a strong candidate by showcasing how your work history aligns with the job responsibilities. 

Here’s an example of what each paragraph in the main body can focus on:

However, three paragraphs aren’t always necessary. What you write about is more important than how much you write about. 

5. Closing Paragraph & Sign Off

The closing paragraph is where you sum up your application, drop a call to action, and include a professional sign off.

I believe my strong education and employment experience make me an ideal candidate for this position. I look forward to discussing this position further. Sincerely, Charles Bloomberg

Why You’re Interested in the Job

The first sentence of your cover letter should tell the reader the job position you’re applying for, which is often followed up by why you’re interested in the role. This step is crucial for letters of interest . 

The opening paragraph can end after stating the job opportunity you’re interested in and why. Or, you can expand by writing a short introduction about your professional background. 

Career Objectives

Sharing your career goals is effective for all types of cover letters whether it’s for an internship role or for a manager position. Even for seasoned professionals or seniors, sharing your objectives is good for giving your potential employer confidence that you have a genuine interest in the field. 

Job Description Keywords

Without using any of the keywords from the job description, your application may not get past the initial hiring phase because of the applicant tracking system .

However, keywords must be used in the context of your skills, work experience, and achievements. This tailors your application and shows that you have a good understanding of the job requirements.

Reference to the Company’s Core Values

Show that you align with the company culture and mission. For instance, share your own personal values and motivations. 

Being qualified for the role in terms of hard skills is one important factor. But another important factor is showing that you have the ideal qualities and personality for the job which enables you to perform better. This can help you stand out, especially when you have no work experience . 

Anything Else That a Cover Letter Should Include?

In most cases, no. You should not waste space on your resume by including references. The exception is when the job listing specifically asks that you include references on your resume. Typically, job applications have form fields designated for listing references if the employer wants them. Instead of listing references on a resume, use that space for accomplishments, additional skills, or a creative introduction.

When employers request references, they typically do so because they want to confirm that candidates have included honest information in their applications and have answered interview questions truthfully. Reference checks also provide employers with the chance to learn more about a candidate’s skills and past job performance. If employers are checking your references, there’s a good chance that you’re one of the final candidates. This doesn’t mean that you’ve got the job. It just means that you’ve made a strong impression and may soon be hired.

2. Second, ask permission to include their information on your resume

3. Third, thank them for letting you include their information

Here are some guidelines to follow when setting up your resume references page.

1. First, list your name, address, phone and email at the very top

It doesn’t matter if this information appears on the right, left, or center of the document. Just make sure that it follows the same style as your cover letter and resume. 

2. Second, follow with the date, recruiter’s name, and company address

Left align the current date and the recruiter’s name if you know it. Then list the company’s full name and address.

3. Finally, list your references

Title this section Professional References before listing your three to five references. Leave a space between each reference for easier readability. Remember to include the reference’s full name, title, company information, phone, and email address.

Full details for a reference

If an employer asks for a list of references, they will usually expect a list of details that include contact information and how you know the individual.

Example of full details to include:

  • Your reference’s first and last name
  • Their current job title
  • Name of their current company

  • Your reference’s preferred phone number
  • Your reference’s email address
  • Brief statement to clarify how this reference knows you

Basic details for a reference

In the event that you’re short on space or to simplify the details, you can just include the basic contact information of your reference.

Example of basic details:

If you can’t decide, then understand that it is not required to include references with your resume. Most resumes don’t have them, and employers don’t typically need them. Save some space and wait for the employer to request your references later in the interview process.

When including references on a resume, you should have at least three but no more than five. Remember that you only want to include these references if the job listing or hiring manager specifically requests them. Otherwise, it is not necessary to include references on a resume. 

Here are some contacts you may consider using as a reference:

  • Previous employer(s)
  • Former managers
  • Supervisors
  • Mentors (professors or teachers)
  • Academic advisors
  • Business partners
  • Work friends

Whether you’ve had a long work history or a short one, there are specific individuals who make better references than others. Include people who are working professionals in your industry, if possible. When considering your choices, think about who would provide the best information about you. Only include people who know you well and who can speak highly of you.

Personal references include people like your friends and family members. Professional references are working professionals you’ve met in a formal setting, like at school or work. Generally, you’ll want to choose professional references over personal references on a resume for two reasons. First, professional references give you credibility because they have seen how you perform at work or school. Second, they are less likely to be biased. Only include personal references if you have no work experience and have no other options. Even then, you should choose your references wisely.
