You can quickly remove all speaker notes in a PowerPoint presentation in several ways. The easiest way to delete speaker notes is to use the Inspector (which is available only on Windows PCs). However, since this feature isn't currently available for the Mac version of PowerPoint, Mac users will need to use other strategies to remove notes.

Remove speaker notes using the Inspector

The Inspector is a useful tool that is available in the Windows version of PowerPoint and can remove notes and other elements from a PowerPoint presentation. You can access the Inspector through the File tab in the Ribbon and clicking Check for Issues.

To remove all speaker notes from a PowerPoint presentation using the Inspector:

  • Open the PowerPoint presentation with the notes you want to delete.
  • Save a copy of the presentation so you can keep the original with the notes.
  • In the copy, click the File tab in the Ribbon.
  • Click Info and click Check for Issues. A drop-down menu appears.
  • Select Inspect Document. A dialog box appears.
  • Ensure that Presentation Notes is checked (you may need to scroll down in the dialog box). Check or select other options are needed.
  • Click Inspect. If there are speaker notes in the file, Remove All will appear to the right of notes. If you have selected other options, Remove All may appear to the right of other items.
  • Click Remove All beside Presentation Notes to remove all notes. Note that this cannot be undone.
  • Click Close.

Remove speaker notes by saving a presentation as a PDF

You can also save a presentation as a PDF (portable document format) file and remove notes. This method is available both for PowerPoint for Windows or Mac but the presentation will lose specific PowerPoint functionality (such as animations and transitions).

To save a PowerPoint presentation as a PDF and remove speaker notes:

  • Click the File tab in the Ribbon.
  • Click Print.
  • Ensure that Print All Slides and Full Page Slides are selected below Settings.
  • Click Save As.
  • Navigate to the location where you want to save the PDF file.
  • If necessary, click More Options.
  • From the Save As Type drop-down menu, select PDF.
  • Click Save.

Remove speaker notes using a macro in PowerPoint for Windows

Another option is to create and run a VBA (Visual Basic for Applications) macro to delete speaker notes. You can create macros in both the Windows and Mac versions of PowerPoint.

You'll need to insert VBA code first in the Visual Basic Editor and then run it in PowerPoint. You can indent code for readability by pressing tab at the beginning of a line of code. The indenting does not affect the code when you run it.

Be sure to run the macro in a copy of the presentation because you can't undo a macro.

For Windows users, you should display the Developer tab in the Ribbon if you want to create macros.

To display the Developer tab in PowerPoint for Windows:

  • Click Options. A dialog box appears.
  • Click Customize Ribbon in the categories on the left.
  • In the area on the right, check or select Developer.

To create a macro to delete speaker notes in PowerPoint for Windows:

  • Create a copy of the presentation with the notes you want to delete.
  • Open the copy of the presentation.
  • Click the Developer tab in the Ribbon.
  • Click Visual Basic. The Visual Basic Editor appears.
  • Click Insert in the menu and select Module. A module window will appear.
  • Copy and paste the following code into the module window (you can use Ctrl + C to copy and Ctrl + V to paste).

Copy the VBA code below into the Code window (from Sub to End Sub):

Once you have copied the code into the Code window, exit the Visual Basic Editor by clicking the PowerPoint icon on the top left.

To run the macro in PowerPoint for Windows:

  • In PowerPoint, click the Developer tab.
  • Click Macros. A dialog box appears.
  • Click the macro and click Run or double-click the macro to run it and delete the speaker notes.

To create a macro to delete speaker notes in PowerPoint for Mac:

  • Click Tools in the menu.
  • Select Macro and then Visual Basic Editor. The Visual Basic Editor appears.
  • In the toolbar at the top, click Add Module. A module window will appear. Alternatively, right-click a workbook in the list on the left and select Insert and then Module.
  • Copy and paste the following code into the module window (you can use Command + C to copy and Command + V to paste).

Once you have copied the code into the Code window, close the Visual Basic Editor by clicking the PowerPoint icon or the red Close button on the top left.

To run the macro in PowerPoint for Mac:

  • In PowerPoint, click Tools in the menu.
  • Click Macro and select Macros. A dialog box appears.

If you want to save a macro with the PowerPoint file, you will need to save it as a macro-enabled file type (in the Save as Type drop-down menu).

You can also save a separate PowerPoint presentation with the macro and then run it when needed. You can run macros from other open presentations so this strategy can work well.

If you open a PowerPoint file that contains a macro, you will typically need to enable content to run the macro.

How to Clear Notes from PowerPoint Before Sharing

If you plan on sharing your PowerPoint Slideshows, its best to leave out your added notes that you wrote while constructing the presentation since there might be information you might not want disclosed.

Before Sharing, make a copy of the presentation so you can retain your original copy if you need to access your notes again. To do this, click File > Save As.

Give the presentation a new name and click Save :

After saving the presentation, click File again then click Info.

Under Prepare for Sharing, click the Check for Issue button then click Inspect Document.

This will launch the Document Inspector dialog.

Click the Inspect button at the bottom of the window. This will run a quick scan and check for information within the notes area.

As you can see in the above screenshot, we do have some Presentation notes, click the Remove All button to clear out this information, the click Close. You can go ahead and share your presentation now.

If you encounter an issue where you cannot save your file after removing speaker notes, see if you can save it in a different location if you have sufficient disk space or if the file needs repair. Below are a few solutions to this common issue.

Check File Permissions: There can be issues with file permissions. For example, the file might be used by a cloud storage app, saving a copy online, or another program might be using it, not allowing you to change it. Try closing these programs to avoid the issue. There can also be other file permission-related issues, such as the locked file or restricted user privileges. To check the latter, right-click the file and see permissions via Properties -> Security . If the author has specified the file, request a file without limitations to edit it.

Check Disk Space: Sometimes, you might be unable to save a file because there isn’t sufficient disk space.

Save File Separately: If a file is causing issues without any apparent reason and you cannot save changes, consider saving it as a separate file and making a copy in a different location to resolve the issue.

Repair PowerPoint File: Sometimes, the PowerPoint file can become corrupt. You can try repairing the file using file repair software or opening it in Safe Mode to inspect it further.

Use Concise Information

Use concise information to keep your notes short and to the point. Consider using just a few words to remind you of vital topics or a single line of text to keep you on track.

Use Visual Cues

I suggest adding animations to reveal parts of your slide on click. This can help you focus on one topic at a time and also make your speaker notes more straightforward to read through.

Practice with Notes

It might be best to practice your entire presentation, including using speaker notes in Presenter View, to ensure smooth delivery at the time of the presentation. This might also help you refine your notes. 

Practice Active Listening

PowerPoint presentations often contain speaker notes – extra information and reminders that you add for your own reference when giving a presentation. While useful for the presenter, you usually don’t want the audience to see these notes.

When sharing a PowerPoint file with others, you may accidentally reveal all the notes. Fortunately, PowerPoint makes it easy to share a “clean” presentation that hides notes, comments, and other extras you don’t want everyone to see.

Remove Notes Before Sharing

The simplest approach is to delete notes and comments before sending or uploading your PowerPoint file:

  • Delete speaker notes: In Normal view, right-click the slide thumbnail and choose “Delete Speaker Notes” to remove notes from an individual slide. To delete all notes at once, go to the View tab and click “Hide Speaker Notes” in the Show group.
  • Delete comments: Go to the Review tab and click the dropdown arrow under “Delete”. Choose “Delete All Comments in Presentation” to erase comments.
  • Check for hidden slides: Click the Slide Sorter view button to check for any hidden slides you may have forgotten about. Delete as needed.

Once you’ve cleaned up the file, notes and other extras will stay hidden when sharing the PowerPoint.

Export a Notes-Free Version

Instead of editing your original, you can export a clean copy of the presentation:

  • Go to the File tab and choose “Export” > “Create Handouts”
  • In the Create Handouts window, choose to export slides with 1 slide per page
  • Uncheck the box for “Keep slide notes” and click “Create Handouts”
  • Save the new notes-free presentation file and share that version instead

Set Up Slide Show to Omit Notes

To share a presentation you’ll be displaying live over video chat or screen sharing, configure the slide show to hide notes:

  • Go to Slide Show tab > Set Up group > Set Up Slide Show
  • Under “Show type” choose “Browsed by an individual (window)”
  • Uncheck the box for “Show presenter view”

When you present the slide show, notes will not be visible to the audience.

Share View-Only Access via Office 365

If your presentation is stored on OneDrive or SharePoint in Office 365, you can share a view-only link. Recipients can see the slides but not download or edit the file:

  • Upload the PowerPoint file or save it directly to OneDrive or a SharePoint document library
  • Click the “Share” button in the upper right and choose “Get a link”
  • From the dropdown next to the link, choose “View only”
  • Copy and send the view-only link to recipients

Use PowerPoint Online to Hide Notes

You can upload a PowerPoint file to PowerPoint Online and present it live to an audience without ever showing your notes:

  • Upload your file to OneDrive
  • Open PowerPoint Online and select your presentation
  • Click “Present” > “Present Online” to start a session
  • Use the tools in Presenter view to control the slide show while the audience only sees slides

Print Without Notes Using PDF Option

To share a presentation as a PDF handout without notes or comments:

  • Go to File > Export > Create PDF/XPS Document
  • In the options dialog, uncheck “Document properties” and “Comments”
  • Click Options to open the Publish as PDF or XPS window
  • Under “Include non-printing information” uncheck “Speaker notes”
  • Click OK, choose a save location, and click Publish

The exported PDF will contain only slide content, omitting notes and comments.

Set Permissions Before Sharing

Using Microsoft 365, you can password protect files or limit editing so recipients can only view or comment – not change slides:

  • From the File tab, choose Info > Protect Presentation > Encrypt with Password
  • Or instead, under “Permissions”, choose to restrict formatting and editing before sharing

By limiting permissions ahead of time, you avoid having to follow up or worry about other people modifying your work.

Remember the Audience When Adding Notes

What seems like an insignificant note to you could be embarrassing, offensive, or confusing to others if accidentally shared. Before adding notes:

  • Consider your audience – Don’t write notes you wouldn’t want strangers or colleagues reading.
  • Reread notes before sending – Scan notes even in presentations you’ve used before in case you added something private or unprofessional.
  • Use initials instead of names – Vague references protect privacy better than specifics.

Following these best practices will allow you to freely take notes without worrying about accidentally revealing them.

With a few simple precautions, you can confidently share PowerPoint presentations without accidentally baring your behind-the-scenes notes and comments:

  • Delete or hide notes before sharing your file
  • Export a clean copy or PDF that omits non-slide content
  • Configure slide show settings to keep notes private

Sharing PowerPoint slides without sharing the text of notes

I use PowerPoint to support my graduate school lectures.  I embed my lecture notes the "Notes" section under each slide, which I can see in "presenter format" when using PowerPoint.  I would like to post my slides to the course website, so after class the students can access the slides when studying, but I do not want to post the text of my lecture notes.  How can I share/post a PowerPoint presentation (set of slides) without posting the notes?

You can run a bit of VBA on a *COPY* of your "keeper" presentation to remove the speaker notes.

This will blank the speaker notes (but leave the placeholders there in case the students want to add their own notes).

Saving a PowerPoint presentation is one of the most important things that you need to do when you are creating a presentation using PowerPoint. Unlike some of the modern web-based presentation applications, you need to make sure that you save a PowerPoint presentation when you are using an offline version!

To save a PowerPoint presentation, click on the “File” tab. Then, from the backstage view, click on the “Save” option from the left panel. Choose the location or the folder where you want to save the presentation on your computer, and click on “Save”.

In this article, we shall not only understand how to save a standard PPT or PPTx file, but we shall also take a look at how to save a PowerPoint presentation in different file formats such as a PDF, video or an image!

So, let’s get started!

1. How to Save a PowerPoint Presentation?

Once you have saved a PowerPoint presentation, you can easily save it again with just one click. Furthermore, you can also save a PowerPoint presentation in other formats. However, the process of saving a PowerPoint presentation is slightly different on Windows and on Mac.

Let’s understand the process in further detail.

1a. Saving a PowerPoint Presentation on Windows

To save a PowerPoint Presentation on Windows PC, you can follow either of the 2 simple methods.

Method-1: Using the “Save” button on Quick Access Toolbar

In the Quick Access Toolbar located at the very top of the screen, click on the “Save” icon.

The “Save” icon is located on the left side in the Quick Access Toolbar and looks like a floppy disk. Clicking on the “Save” button will immediately save the PowerPoint presentation in its current location as a “.pptx” file.

If you have opened a new presentation and you are saving it for the first time, clicking on the “Save” button will open a new explorer window. Simply navigate to the folder where you wish to save the new presentation on your computer, and click on “ Save “.

Method-2: Using the “File” tab

Another, more common method is to use the “File” tab in PowerPoint to save your PowerPoint presentation.

Here’s what you need to do –

Step 1 – Click on the “File” Tab

Another way to save a PowerPoint presentation is to use the “File” menu. You have to first click on the “File” tab located at the left corner of the menu ribbon at the top of the screen.

Step 2 – Click on the “Save” option

This will open the backstage view in PowerPoint. Now, click on the “Save” option from the sidebar on the left side of the screen. This will save the Microsoft PowerPoint as a “.pptx” file in the current location.

1b. Saving a PowerPoint Presentation on Mac

On a Mac computer, you can use the “File” menu as well to save the PowerPoint presentation.

The first step is to click on the “File” menu in the menu bar located at the top of the screen (above the PowerPoint window). This will open a dropdown menu. Click on the “Save” option from the dropdown menu to save the presentation as a “.pptx” file which is the standard format for presentations.

Microsoft PowerPoint also allows you to save a presentation with keyboard shortcuts. All you have to do is press the “Ctrl+S” keys on your keyboard in an open PowerPoint file. This will save the PowerPoint presentation.

1d. Best Format to Save a PowerPoint Presentation?

PowerPoint allows you to save a presentation in various different file formats! For instance, you can use the .ppt format if you wish to open the presentation file using PowerPoint 2007 or earlier. You can use .ppsx to open presentation directly as a PowerPoint Show file that opens it in the presentation mode.

In fact, there are several other formats you can save a presentation in. We shall explore how to save a PowerPoint presentation in several different formats later in the article.

However, the best format to save a PowerPoint Presentation is a “.pptx” file. This type can support all the latest as well as the older features of the PowerPoint presentation.

If you will be opening the presentation using a different software other than Microsoft PowerPoint, “.odp” is the best format. For printing, make sure to save the PowerPoint presentation as a PDF. That said, .pptx file format can help serve these purposes too.

2. How to Save a PowerPoint Presentation as PDF

Saving a PowerPoint presentation in PDF format is the suitable method for printing out your presentation. To save the PowerPoint presentation as a PDF file, follow the 4 easy steps.

Step-1: Click on the “File” Tab

First, click on the “ File ” tab in PowerPoint to open the back stage view of PowerPoint.

Step 2 – Click on the “Save As” option

In the menu ribbon located at the top of the screen, click on the “File” tab. In the “File” menu, click on the “Save As” option from the sidebar on the left side of the screen.

Step-3: Click on the “PDF (*.pdf)” option

In the “Save As” screen, click on the box that shows “PowerPoint Presentation (*.pptx)” . This will open a dropdown menu. Click on the “PDF (*.pdf)” option from the dropdown menu.

Step-4: Click on the “Save” button

Now all you have to do is click on the “Save” button beside the box to save the PowerPoint presentation as a PDF file (as shown in the image in step 2).

3. How to Save a PowerPoint Presentation as a Video?

In Microsoft PowerPoint, you can also save a presentation as a video. This allows you to play the presentation slides as a video rather than a slide show.

3a. On Windows

To save a PowerPoint presentation as a video on a Windows PC, follow the 3 easy steps.

Step-1: Click on the “File” tab

The first step is to open the “Save As” screen. To do so, click on the “File” tab in the menu ribbon. In the “File” menu, click on the “Save As” option.

Step-2: Choose the “.mp4” file format from the “Save As” tab

The next step is to click on the “Save As Options” box. It is the second box on the right side of the “Save As” screen. In the dropdown menu, click on either the “MPEG-4 Video (*.mp4)” option or the “Windows Media Video (*.wmv)” option.

Step-3: Click on the “Save” button

The final step is to click on the “Save” button (as indicated in step 2 above). It is located on the right side of the “Save As Options” box. This will save your PowerPoint presentation as a video.

To save a PowerPoint presentation as a video on a Mac device, follow the 3 simple steps.

Step-1: Click on the “Export” option

In the menu bar at the top of the screen, click on the “File” option. In the “File” dropdown menu, click on the “Export” option. This will open a dialog box.

Step-2: Click on the “File Format” box

Step-3: Click on the “Export” button

In the dialog box, you can also click on the “Quality” option to select the quality of the video. Once you are satisfied with the selections in the dialog box, click on the “Export” button at the bottom (as shown in the image in the previous step). This will save the presentation as a video.

4. How to Save a PowerPoint Presentation to Open in Slideshow Mode?

Microsoft PowerPoint allows you to save the PowerPoint presentation as a “PowerPoint Show” file. This opens directly as a slideshow. To save a PowerPoint presentation to open in slideshow mode, follow the 2 easy steps.

In the open PowerPoint file, click on the “File” tab from the menu ribbon which is located at the top of the screen. In the “File” menu, click on the “Save As” option.

Step-2: Click on the “PowerPoint Show (*.ppsx)” option

In the “Save As” screen, click on the “Save As Options” box which shows “PowerPoint Presentation (*.pptx)” . This will open a dropdown menu. Click on the “PowerPoint Show (*.ppsx)” option.

5. How to Save a PowerPoint Presentation as an Image?

In Microsoft PowerPoint, you can save the presentation as an image in five different formats: “Animated GIF Format (*.gif)” , “JPEG File Interchange Format (*.jpeg)” , “PNG Portable Network Graphics Format (*.png)” , “TIFF Tag Image File Format (*.tif)”, and “Scalable Vector Graphics Format (*.svg)” .

To save your presentation as an image, follow the 3 simple steps.

Step-1: Click on the “Save As” option from the “File” tab

The first step is to click on the “File” tab in the menu ribbon. Then click on the “Save As” option from the “File” menu.

Step-2: Select your preferred image format

In the “Save As” screen, click on the “Save As Type” box which is the second box in the right column. From the dropdown menu, click on your preferred image format from the five available formats.

Now all you have to do is click on the “Save” button (as shown in the image in step 2) beside the “Save As Type” box. This will save your presentation in a folder containing each slide as a separate image file.

6. How to Save a PowerPoint Presentation as a Template?

A PowerPoint template is a predesigned presentation that you can edit to add your own content. To save a presentation as a template, follow the 3 easy steps.

The first step is to click on the “File” tab in the menu ribbon. Then click on the “Export” option from the sidebar in the “File” menu.

Step-2: Click on “Change File Type”

Now you have to click on the “Change File Type” option. Under the “Presentation File Types” group in the right column, click on the “Templates” option. Then click on the “Save As” button at the bottom of the screen.

7. How to Save PowerPoint Presentation as Google Slides?

Microsoft PowerPoint does not offer any feature to upload a presentation to Google Slides directly. However, Google Slides does offer you an option to upload your PowerPoint presentation and save it in Google Slides!

Step-1: Save Your PowerPoint Presentation

The first step is to save your PowerPoint presentation using any method described in the section 1 of this article.

Make sure that you note down the location of the folder in which you have save the PowerPoint file.

Step-2: Click on the “Open file picker” option in Google Slides

Now, the next thing you need to do is open your Google Slides account by visiting slides.google.com . If you aren’t logged in, make sure you sign in with your account credentials.

Next, you will be presented with Google Slides home screen (as shown in the image above). In Google Slides, click on the “Open file picker” icon which looks like a folder. This will open the “Open a file” dialog box.

Step-2: Click on “Upload”

From your “File Explorer” window, drag and drop the PowerPoint presentation in the dialog box. Now the presentation will automatically open in Google Slides.

You can also click on the “ Select a file from your device ” button (blue button in the center of the screen). This will open the file explorer window. Navigate to the folder in which you have saved your PowerPoint presentation, and click on “OK”. This will open and save the presentation file in Google Slides.

8. How to Save a PowerPoint Presentation to a Flash Drive?

To save a PowerPoint presentation on a flash drive or any external device, follow the 3 simple steps.

In the menu ribbon located at the top of the screen, click on the “File” tab. In the “File” menu, click on the “Save As” option.

Step-2: Click on “Browse”

9. How to Save a Copy of a PowerPoint Presentation?

The “Save A Copy” feature of Microsoft PowerPoint allows you to save changes in your presentation in a copied file without changing the original file.

We've all been to a presentation where the speaker bores you to death with a mundane PowerPoint presentation. Actually, the speaker could have kept you much more engaged by adding some interactive features to their slideshow. Let's look into some of these options.

1. Add a QR code

Adding a QR code can be particularly useful if you want to direct your audience to an online form, website, or video.

Some websites have in-built ways to create a QR code. For example, on Microsoft Forms , when you click "Collect Responses," you'll see the QR code option via the icon highlighted in the screenshot below. You can either right-click the QR code to copy and paste it into your presentation, or click "Download" to add it to your device gallery to insert the QR code as a picture.

In fact, you can easily add a QR code to take your viewer to any website. On Microsoft Edge, right-click anywhere on a web page where there isn't already a link, and left-click "Create QR Code For This Page."

You can also create QR codes in other browsers, such as Chrome.

You can then copy or download the QR code to use wherever you like in your presentation.

2. Embed Microsoft Forms (Education or Business Only)

If you plan to send your PPT presentation to others—for example, if you're a trainer sending step-by-step instruction presentation, a teacher sending an independent learning task to your students, or a campaigner for your local councilor sending a persuasive PPT to constituents—you might want to embed a quiz, questionnaire, pole, or feedback survey in your presentation.

In PowerPoint, open the "Insert" tab on the ribbon, and in the Forms group, click "Forms". If you cannot see this option, you can add new buttons to the ribbon .

As at April 2024, this feature is only available for those using their work or school account. We're using a Microsoft 365 Personal account in the screenshot below, which is why the Forms icon is grayed out.

Then, a sidebar will appear on the right-hand side of your screen, where you can either choose a form you have already created or opt to craft a new form.

Now, you can share your PPT presentation with others , who can click the fields and submit their responses when they view the presentation.

3. Embed a Live Web Page

You could always screenshot a web page and paste that into your PPT, but that's not a very interactive addition to your presentation. Instead, you can embed a live web page into your PPT so that people with access to your presentation can interact actively with its contents.

To do this, we will need to add an add-in to our PPT account .

Add-ins are not always reliable or secure. Before installing an add-in to your Microsoft account, check that the author is a reputable company, and type the add-in's name into a search engine to read reviews and other users' experiences.

To embed a web page, add the Web Viewer add-in ( this is an add-in created by Microsoft ).

Go to the relevant slide and open the Web Viewer add-in. Then, copy and paste the secure URL into the field box, and remove https:// from the start of the address. In our example, we will add a selector wheel to our slide. Click "Preview" to see a sample of the web page's appearance in your presentation.

This is how ours will look.

When you or someone with access to your presentation views the slideshow, this web page will be live and interactive.

4. Add Links and Menus

As well as moving from one slide to the next through a keyboard action or mouse click, you can create links within your presentation to direct the audience to specific locations.

To create a link, right-click the outline of the clickable object, and click "Link."

In the Insert Hyperlink dialog box, click "Place In This Document," choose the landing destination, and click "OK."

What's more, to make it clear that an object is clickable, you can use action buttons. Open the "Insert" tab on the ribbon, click "Shape," and then choose an appropriate action button. Usefully, PPT will automatically prompt you to add a link to these shapes.

You might also want a menu that displays on every slide. Once you have created the menu, add the links using the method outlined above. Then, select all the items, press Ctrl+C (copy), and then use Ctrl+V to paste them in your other slides.

5. Add Clickable Images to Give More Info

Through PowerPoint's animations, you can give your viewer the power to choose what they see and when they see it. This works nicely whether you're planning to send your presentation to others to run through independently or whether you're presenting in front of a group and want your audience to decide which action they want to take.

Start by creating the objects that will be clickable (trigger) and the items that will appear (pop-up).

Then, select all the pop-ups together. When you click "Animations" on the ribbon and choose an appropriate animation for the effect you want to achieve, this will be applied to all objects you have selected.

The next step is to rename the triggers in your presentation. To do this, open the "Home" tab, and in the Editing group, click "Select", and then "Selection Pane."

With the Selection Pane open, select each trigger on your slide individually, and rename them in the Selection Pane, so that they can be easily linked to in the next step.

Finally, go back to the first pop-up. Open the "Animations" tab, and in the Advanced Animation group, click the "Trigger" drop-down arrow. Then, you can set the item to appear when a trigger is clicked in your presentation.

If you want your item to disappear when the trigger is clicked again, select the pop-up, click "Add Animation" in the Advanced Animation group, choose an Exit animation, and follow the same step to link that animation to the trigger button.

6. Add a Countdown Timer

A great way to get your audience to engage with your PPT presentation is to keep them on edge by adding a countdown timer. Whether you're leading a presentation and want to let your audience stop to discuss a topic, or running an online quiz with time-limit questions, having a countdown timer means your audience will keep their eye on your slide throughout.

To do this, you need to animate text boxes or shapes containing your countdown numbers. Choose and format a shape and type the highest number that your countdown clock will need. In our case, we're creating a 10-second timer.

Now, with your shape selected, open the "Animations" tab on the ribbon and click the animation drop-down arrow. Then, in the Exit menu, click "Disappear."

Open the Animation Pane, and click the drop-down arrow next to the animation you've just added. From there, choose "Timing."

Make sure "On Click" is selected in the Start menu, and change the Delay option to "1 second," before clicking "OK."

Then, with this shape still selected, press Ctrl+C (copy), and then Ctrl+V (paste). In the second box, type 9 . With the Animation Pane still open and this second shape selected, click the drop-down arrow and choose "Timing" again. Change the Start option to "After Previous," and make sure the Delay option is 1 second. Then, click "OK."

We can now use this second shape as our template, as when we copy and paste it again, the animations will also duplicate. With this second shape selected, press Ctrl+C and Ctrl+V, type 8 into the box, and continue to do the same until you get to 0 .

Next, remove the animations from the "0" box, as you don't want this to disappear. To do this, click the shape, and in the Animation Pane drop-down, click "Remove."

You now need to layer them in order. Right-click the box containing number 1, and click "Bring To Front." You will now see that box on the top. Do the same with the other numbers in ascending order.

Finally, you need to align the objects together. Click anywhere on your slide and press Ctrl+A. Then, in the Home tab on the ribbon, click "Arrange." First click "Align Center," and then bring the menu up again, so that you can click "Align Middle."

Press Ctrl+A again to select your timer, and you can then move your timer or copy and paste it elsewhere.

Press F5 to see the presentation in action, and when you get to the slide containing the timer, click anywhere on the slide to see your countdown timer in action!

Add speaker notes to your slides

When you're creating a presentation, you can add speaker notes to refer to later while delivering the slide show in front of an audience.

During your presentation, the speaker notes are visible on your monitor, but aren't visible to the audience. So the Notes pane is the place to store talking points that you want to mention when you give your presentation.

Add notes while creating your presentation

The Notes pane is a box that appears below each slide. (It is outlined in magenta in the picture below.) An empty Notes pane will prompt you with text that says, Click to add notes . Type your speaker notes there. If you don’t see the Notes pane or it is completely minimized, click Notes on the task bar across the bottom of the PowerPoint window (also marked in magenta in the picture below).

If your notes exceed the allotted length of the Notes pane, a vertical scroll bar appears on the side of the pane. You can also enlarge the Notes pane by pointing your mouse at the top line of the pane and then dragging upward after the pointer turns into a double-headed arrow.

The notes appear in a pane on the right. If you need to add or delete something, simply click in the text box to edit it. The text wraps automatically, and a vertical scroll bar appears if necessary. You can also change the size of the text in the Notes pane by using the two buttons at the lower left corner of the Notes pane:

Presenter view isn't something you have to create. PowerPoint assembles it for you by gathering the notes you've typed for each slide and pairing them with a set of controls for navigating through your presentation.

By default, PowerPoint is set to use Presenter view when you run a slide show. You can change this setting on the Slide Show tab of the PowerPoint ribbon:

View your notes while you present

If you want to view your notes while you're presenting but make sure your audience only sees what you've put on the slide itself, use presenter view. Here's how:

On the View menu, click Presenter View .

You'll see the main slide that you're presenting, a preview of the next slide, and any notes you've added for the current slide below the preview of the next slide.

Print your slides and handouts

PowerPoint for the web lets you create speaker notes, but it doesn't have the ability to show you the notes while you're presenting your slide show.

How To Get Free Access To Microsoft PowerPoint

E very time you need to present an overview of a plan or a report to a whole room of people, chances are you turn to Microsoft PowerPoint. And who doesn't? It's popular for its wide array of features that make creating effective presentations a walk in the park. PowerPoint comes with a host of keyboard shortcuts for easy navigation, subtitles and video recordings for your audience's benefit, and a variety of transitions, animations, and designs for better engagement.

But with these nifty features comes a hefty price tag. At the moment, the personal plan — which includes other Office apps — is at $69.99 a year. This might be the most budget-friendly option, especially if you plan to use the other Microsoft Office apps, too. Unfortunately, you can't buy PowerPoint alone, but there are a few workarounds you can use to get access to PowerPoint at no cost to you at all.

Method #1: Sign Up For A Free Microsoft Account On The Office Website

Microsoft offers a web-based version of PowerPoint completely free of charge to all users. Here's how you can access it:

  • Visit the Microsoft 365 page .
  • If you already have a free account with Microsoft, click Sign in. Otherwise, press "Sign up for the free version of Microsoft 365" to create a new account at no cost.
  • On the Office home page, select PowerPoint from the side panel on the left.
  • Click on "Blank presentation" to create your presentation from scratch, or pick your preferred free PowerPoint template from the options at the top (there's also a host of editable templates you can find on the Microsoft 365 Create site ).
  • Create your presentation as normal. Your edits will be saved automatically to your Microsoft OneDrive as long as you're connected to the internet.

It's important to keep in mind, though, that while you're free to use this web version of PowerPoint to create your slides and edit templates, there are certain features it doesn't have that you can find on the paid version. For instance, you can access only a handful of font styles and stock elements like images, videos, icons, and stickers. Designer is also available for use on up to three presentations per month only (it's unlimited for premium subscribers). When presenting, you won't find the Present Live and Always Use Subtitles options present in the paid plans. The biggest caveat of the free version is that it won't get any newly released features, unlike its premium counterparts.

Method #2: Install Microsoft 365 (Office) To Your Windows

Don't fancy working on your presentation in a browser? If you have a Windows computer with the Office 365 apps pre-installed or downloaded from a previous Office 365 trial, you can use the Microsoft 365 (Office) app instead. Unlike the individual Microsoft apps that you need to buy from the Microsoft Store, this one is free to download and use. Here's how to get free PowerPoint on the Microsoft 365 (Office) app:

  • Search for Microsoft 365 (Office) on the Microsoft Store app.
  • Install and open it.
  • Sign in with your Microsoft account. Alternatively, press "Create free account" if you don't have one yet.
  • Click on Create on the left side panel.
  • Select Presentation.
  • In the PowerPoint window that opens, log in using your account.
  • Press Accept on the "Free 5-day pass" section. This lets you use PowerPoint (and Word and Excel) for five days — free of charge and without having to input any payment information.
  • Create your presentation as usual. As you're using the desktop version, you can access the full features of PowerPoint, including the ability to present in Teams, export the presentation as a video file, translate the slides' content to a different language, and even work offline.

The only downside of this method is the time limit. Once the five days are up, you can no longer open the PowerPoint desktop app. However, all your files will still be accessible to you. If you saved them to OneDrive, you can continue editing them on the web app. If you saved them to your computer, you can upload them to OneDrive and edit them from there.

Method #3: Download The Microsoft PowerPoint App On Your Android Or iOS Device

If you're always on the move and need the flexibility of creating and editing presentations on your Android or iOS device, you'll be glad to know that PowerPoint is free and available for offline use on your mobile phones. But — of course, there's a but — you can only access the free version if your device is under 10.1 inches. Anything bigger than that requires a premium subscription. If your phone fits the bill, then follow these steps to get free PowerPoint on your device:

  • Install Microsoft PowerPoint from the App Store or Google Play Store .
  • Log in using your existing Microsoft email or enter a new email address to create one if you don't already have an account.
  • On the "Get Microsoft 365 Personal Plan" screen, press Skip For Now.
  • If you're offered a free trial, select Try later (or enjoy the free 30-day trial if you're interested).
  • To make a new presentation, tap the plus sign in the upper right corner.
  • Change the "Create in" option from OneDrive - Personal to a folder on your device. This allows you to save the presentation to your local storage and make offline edits.
  • Press "Set as default" to set your local folder as the default file storage location.
  • Choose your template from the selection or use a blank presentation.
  • Edit your presentation as needed.

Do note that PowerPoint mobile comes with some restrictions. There's no option to insert stock elements, change the slide size to a custom size, use the Designer feature, or display the presentation in Immersive Reader mode. However, you can use font styles considered premium on the web app.

Method #4: Use Your School Email Address

Office 365 Education is free for students and teachers, provided they have an email address from an eligible school. To check for your eligibility, here's what you need to do:

  • Go to the Office 365 Education page .
  • Type in your school email address in the empty text field.
  • Press "Get Started."
  • On the next screen, verify your eligibility. If you're eligible, you'll be asked to select whether you're a student or a teacher. If your school isn't recognized, however, you'll get a message telling you so.
  • For those who are eligible, proceed with creating your Office 365 Education account. Make sure your school email can receive external mail, as Microsoft will send you a verification code for your account.
  • Once you're done filling out the form, press "Start." This will open your Office 365 account page.

You can then start making your PowerPoint presentation using the web app. If your school's plan supports it, you can also install the Office 365 apps to your computer by clicking the "Install Office" button on your Office 365 account page and running the downloaded installation file. What sets the Office 365 Education account apart from the regular free account is that you have unlimited personal cloud storage and access to other Office apps like Word, Excel, and Outlook.
