Rwanda Visa Guide

There’s a lot to experience in Rwanda. From gorilla trekking  and lakeside relaxation, to cultural experiences, and so much more. It’s no surprise so many would love to visit, work, and live here.

But before you embark on your Rwandan adventure, you need to get a Rwanda visa. It’s a simple process; Rwanda allows for visa applications on arrival or online.

In this guide, we provide all the information you need to figure out which Rwanda visa or residence permit is best for you.

Applying for a Rwandan Visa

You can apply for a Rwandan visa when you get into the country, or you can apply online before you get here.

For both applications, the basic requirements are a copy of your passport with at least six months of validity remaining and supporting information on your visits, such as an application form, details of hotel booking or address, and contact details of your host, and a return or onward ticket.

Citizens of countries that are members of the African Union, Commonwealth, and La Francophonie, can get free visas upon arrival for visits of up to 30 days. If you are from an East African Community country, you can receive a pass or an entry visa free of charge, valid for a six-month stay.

If you are from a country that is not visa exempt, read on below on how to apply for one online before traveling, or get one upon arrival.

Applying for a Rwanda Visa on Arrival (VoA)

You can apply for a visa on arrival at land borders and the Kigali International Airport. This option is available to citizens of every country.

The Rwanda VoA is only valid for up to 30 days.

The visas you can apply for upon arrival include tourism visa, transit visa, and East Africa Tourist Visa.

It is a great option if your travel plans to Rwanda are abrupt and you don’t have enough time to apply beforehand.

The challenge is that you will more than likely have to queue in long lines, and the entire process can be slow.

Applying for a Rwanda Visa Online (e-Visa)

You can apply for an e-visa if you want to apply for a Rwanda visa in advance.

With an e-visa you can stay in Rwanda for as long as 90 days.

You will need to log on to Irembo , an online portal where you can access government public services, including visa and permit applications from the immigration department. 

Once you’ve registered on the visa application:

  • Click on either APPLY AND PAY ONLINE or APPLY AND PAY ON ARRIVAL.
  • Input your identifying information.
  • Enter your trip information, including travel dates, information on where you will be staying, and your proposed entry point. You are also required to provide details about the purpose of visiting Rwanda.
  • Upload a copy of your passport, photo, invitation letter (details of your trip), and supporting documents. Confirmation will be emailed to you.

Types of Rwandan Visas

There are several types of Rwandan visas you can apply for, depending on why and for how long you intend to travel to Rwanda. These include:

Tourist Visa

Single entry 30 day visa, 90 day multiple entry visa, 72 hour transit visa, conference visa, business visa, 6-month visa for eac citizens .

  •  East Africa Tourist Visa (EATV)
  • Work Visas 

Student Visas

This visa is issued to you if you are visiting Rwanda for holiday, sightseeing, social or recreational, or other short-term reasons other than work purposes. 

You can apply for this visa on arrival at the border post, online, at the immigration and emigration office, or at the office of a diplomatic mission of Rwanda in your resident country.

You can apply for a single entry or multiple entry tourist visa.

The tourist visa costs USD 50 for single entry and free of charge for nationals of countries with which Rwanda has a visa waiver arrangement. Multiple entry tourist visa costs USD 70.

It is valid for 30 days for a single entry or 90 days for multiple entries.

You can apply for this visa if you are visiting Rwanda for any purpose other than work. The visa is valid for 30 days.

You can also apply for this visa if you want to enter Rwanda to find work and obtain the appropriate visa.

A single-entry visa costs USD 50.

You will need to apply for an extension should you wish to stay longer than 30 days.

Extending Your 30 Day Visa

You can apply for an extension of your 30 Day Visa while the initial visas remain valid.

However, there’s a five-day grace period allowed after your visa has expired where you can depart or renew your visa without a penalty. Longer than that, you will be penalised, and your visa extension may be denied.

All visa extension applications are made at the Rwanda Directorate General of Immigration and Emigration in Kacyiru district in Kigali.

For extensions, you’ll need to bring the appropriate form – which you can download online – a passport-sized photo, your passport, and a letter addressed to the Director of Immigration explaining why you require an extension.

Extensions take five days to issue, and costs vary

Visa Fee Waived

In 2020, the government waived Rwandan visa fees for some visitors entering the country for any valid reason other than employment.

If you are African, or a citizen of Commonwealth nations or the Organization Internationale de la Francophonie (OIF), you can enter Rwanda without paying visa fees.

You can apply for the 90 Day Multiple Entry Visa if you are travelling for tourism or visiting family members.

Apply for this visa upon arrival at the border post, online, at the immigration and emigration office, or the office of a diplomatic mission of Rwanda in your country of residence.

You are not authorised to work in the country with this visa.

While applying, you must have enough funds to support yourself during your stay, and you may be required to show proof of sufficient funds when you arrive.

This visa costs USD 70.

If you are coming through Rwanda for 72 hours or less and are looking to explore Rwanda before departing for a different destination, you should apply for this visa.

A transit visa costs 30 USD.

If you are catching a connecting flight and will stay within the airport, you don’t need to apply for this visa.

You will need to provide a valid passport and an onward ticket when applying for this visa.

This visa is issued to you if you enter Rwanda for a conference, meeting, workshop, or any other related activity.

You can apply for the visa upon arrival at the border post, online, at the Directorate General, at the office of a diplomatic mission of Rwanda in your home country.

A single-entry conference visa costs 30 USD and is valid for 30 days.

There are two types of business visas you can apply for:

Business Survey

 itinerant business.

This visa is issued to you if you are a foreign prospective investor, entrepreneur, or trader visiting Rwanda to explore available business opportunities.

You can apply for it at the office of a diplomatic mission of Rwanda in your home country or at the immigration and emigration office.

It is valid for 90 days and is renewable only once.

It costs USD 50 for a single entry and USD 70 for multiple entries.

Suppose you’re a foreign investor, board member, or representative of a multinational company that does not reside in Rwanda but has significant business activities in the country and regularly visits your business activities. In that case, this is the visa for you.

This visa can be obtained at the directorate general of Immigration and Emigration headquarters.

You can apply for multiple entries on this visa.

It costs USD 200 and is valid for two to ten years. It’s also renewable, and you can apply for an extension if you need to.

If you are a citizen of East African Community Partner States Burundi, Uganda, Kenya, Tanzania, and South Sudan, you can get a visa on arrival that allows you to stay in the country for up to six months.

The visa is free of charge.

However, you’re not allowed to work or conduct business on this visa. You need to apply for a different visa or permits for these activities.

East Africa Tourist Visa (EATV)

If you plan to visit Uganda, Kenya, and Rwanda, it’s advisable to get the East African Tourist Visa.

This is a joint tourist visa that entitles holders to travel to and within Kenya, Rwanda, and Uganda for tourism.

If your first entry is in Rwanda, you can apply for it online, but your East African Visa should be applied upon your arrival in either port of entry if you are entering from Kenya or Uganda.

You can apply for a multiple entry EATV, and it can be extended in exceptional circumstances.

This visa costs 100 USD.

A student visa is a permit that allows an eligible non-citizen to enter and stay in a country to study full-time or part-time in a tertiary educational institution.

Rwanda requires students to obtain an N1 Student Pass issued by the Rwanda Directorate General of Immigration and Emigration (RDGIE).

You will need to have a passport with a minimum validity of one year from the date of arrival and sufficient funds to meet the cost of your stay in Rwanda before you can ask for a student visa at the immigration of Rwanda.

You do not need to request a visa before coming to Rwanda, but you will need to do so as soon as you get into the country.

Processing takes 3-4 days. Once approved, you will receive a stamp on your passport as proof.

It is valid for one year and renewable until the last year of your studies.

Applying for Rwanda Residency and Work Permits

The Rwanda Directorate General of Immigration and Emigration issues two residence permits: Temporary residence permits and permanent residence permits.

Once you arrive in the country, a grace period of 15 days is given to you before you need to apply for a residence permit. Staying in the country without the required permit will attract penalties as stipulated by the law.

 You will need Diploma certificates, Police Clearance, Marriage certificate, and Birth Certificate depending on the permit you’re applying for. All these documents need to be translated into English or French.

Where required, the police clearance certificate should be the original copy.

East African Citizens do not pay for resident permits.

Rwanda Permanent Resident Permits

If you have stayed in Rwanda for a considerable amount of time and would like to live here permanently, you can apply for permanent residency. Applications are made online on the Irembo platform.

Resident Exceeding 10 Years

This is for you if you have been legally residing in Rwanda for an aggregate of ten years.

This is a permanent permit.

Your dependents can also apply for residency when you have this permit.

Requirements are:

  • Any genuine acceptable travel document valid not less than 6 months
  • Photo with white background
  • Visa/permit application form
  • Application letter
  • Payment of 300.000 Frw
  •  Non-clearance of government dues as may be requested by the Directorate General of Immigration and Emigration.
  • Bank statement from any bank in Rwanda

You can apply for this permit if you are married to a permanent residence permit holder.

  •  Visa/permit application form
  •  Application letter
  • Copy of marriage certificate
  • Copy of the principal applicant’s permanent residence permit
  •  Half of the fee of the principal applicant

If you wish to work with this permit, you need to seek approval from the Director General of Immigration and Emigration.

This permit is issued to an offspring of a permanent residence permit holder, who has reached twenty-five years of age.

  •  Any genuine acceptable travel document valid not less than 6 months
  • Copy of birth certificate
  • Half of the fee of the principal applicant ·

Rwanda Work Permits

Work permits fall under temporary resident permits. You can apply for several work permits depending on the nature of the work.

Once you have a work permit, you can change employers during the validity of your work permit. You are, however, required to inform the office of the Directorate General of Immigration and Emigration in writing.

You will also be required to present a resignation letter or termination letter from the previous employer while renewing the permit you already have.

Applications for work permits are made online on the Irembo platform.

Examples of work permits you can apply for include:

Prescribed Professionals

Government or parastatal employee, international organization staff.

  • Employees of International NGOs

Approved Religious Activities

  •  Persons with Assured Income

You can apply for this permit if you are self-employed with a prescribed profession.

Once approved, the permit is valid for two years and is renewable upon application.

Requirements for the application are:

  • Visa/Permit form
  •  Photo with white background
  • Certificate of membership to a registered professional body
  •  Police clearance certificate from the country of residence for the previous six months
  • Detailed Curriculum Vitae
  • Payment of 150.000 Frw

This permit is issued to you if you are employed on a contract basis by the Government of Rwanda. This includes those serving in tertiary institutions of learning, parastatal, or providing technical assistance under a bilateral agreement between Rwanda and another country or an international organization.

Under this permit, your dependents can apply for residency as well.

  • Contract with the government or parastatal institution
  • Certified academic certificates
  • Application letter from employer
  • Payment of 150.000 Frw or free depending on the agreement
  • Police clearance certificate from the country of residence for the previous six months
  • Curriculum Vitae.

The permit is valid for two years with a possibility of extensions

This permit is issued to a foreign staff working in an international or regional organization.

Under this permit, dependents can apply for residency as well.

  • Recommendation letter from the ministry of foreign affairs and international cooperation

 Validity for the permit is determined upon application. The permit can be renewed upon application.

Employee of International NGO

 This permit is issued to a foreigner who works in an International Non-Governmental Organization (NGO) in Rwanda.

  • Application letter from the organization
  •  Copy of employment contract
  • Copy of NGO registration certificate issued by Rwanda Governance Board (RGB)
  •  Certified academic certificates 
  • Detailed curriculum vitae 

The permit is valid for two years and is renewable upon application.

Journalist or Media Representative

This permit is issued to a foreign journalist or foreign media representative who holds an accreditation from the competent Rwandan authorities.

  • Any genuine acceptable travel document valid not less than 6 months. 
  • Accreditation from the competent Rwandan Authorities
  • Copy of employment contract
  •  Detailed curriculum vitae

The permit is valid for two years and is renewable upon application. 

This permit is issued to a foreigner ordained and engaged in approved religious activities in Rwanda.

  •  Any genuine acceptable travel document valid not less than 6 months 
  • Recommendation letter from the legal representative of the organization
  • Organization/church registration certificate issued by Rwanda Governance Board (RGB)
  • Mission order
  • Ordination certificate

The permit is valid for two years and is renewable.

Persons with Assured Income

This permit is issued to a person with an assured income, including a retired person who does not intend to be employed in Rwanda. The Directorate General determines if you are eligible.

You are not allowed to work with this permit.

  •  Bank statement from any bank in Rwanda
  • Proof of source of income

Visa Application

VISA APPLICATION 

Citizens of all countries will be granted a 30-Days single entry visa on arrival without prior application. Please see Visa Fee Waivers in the ‘Visa Exemption’ section below for the list of countries exempt from paying visa fees.

Apply for visas by completing an application form and submitting it to the High Commission in person or by post. East African Tourist Visa       Mulriplw     90 Days     £77.00 The maximum and minimum period of validity of a visa, and number of entries are set out in the Information for Applicants for each visa class above.

VISA REQUIREMENTS •    An applicant MUST submit a valid passport or other acceptable travel documents. •    The document must have a validity of at least 6 months on the day of entry in Rwanda. •    Applicants must provide a photocopy of the passport or travel document. •    Applicants must submit duly completed one (1) visa application form in his/her own handwriting or in type. •    Applicants are required to provide two passport photographs with white background and both ears in view. •    Signed accompanying letter explaining the purpose for traveling to Rwanda. •    An invitation letter with a copy of passport/ID of the inviting party (if your host is Rwandan), or copy of residence permit (if your host is not Rwandan). If you will not have a host in Rwanda, you need to provide a confirmation of hotel accommodation booking. •    Proof of payment (Non-Refundable/Non-Transferable) into High Commission Bank Account (see details below). •    Return flight confirmation/copy of return itinerary. •    A prepaid, recorded and self-addressed envelope must be included with an application submitted by post. Alternatively, an applicant may arrange for the collection of their passport by a courier. •    An applicant must have sufficient funds to cover the costs of their stay in Rwanda. Evidence for such funds may be requested at the High Commission or at the entry point. •    UK Travel Document (UN Convention of 1951) holders are requested to provide the above along with proof of address in the form of a current bank statement or current utility bill. •    A vaccination certificate may be required at the border post. In the event of a major disease outbreak, specific requirements could be set and put to the knowledge of the public. •    The visa process takes 7 working days for a complete file. •    NOTE: Because of the increased number of applicants, we advise applicants to allow themselves enough time between the date of application and the date of travel.

VISA-EXEMPTION

Visa Fee Waivers 1.    Citizens of countries members to the following international organizations; African Union, Commonwealth and La Francophonie – Albania, Algeria, Andorra, Antigua and Barbuda, Armenia, Australia, Bangladesh, Barbados, Belize, Belgium, Botswana, Brunei Darussalam, Burkina Faso, Bulgaria, Cameroon, Canada, Cape Verde, Cambodia, Comoros, Congo, Cyprus, Dominica, Djibouti, Egypt, Eswatini, Equatorial Guinea, Eritrea, Ethiopia, Fiji, France, Gabon, Grenada, Greece, Guinea-Bissau, Guyana, India, Kiribati, Jamaica, Laos, Lebanon, Lesotho, Liberia, Libya, Luxembourg, Macedonia, Madagascar, Malawi, Mali, Malaysia, Malta, Mauritania, Maldives, Monaco, Morocco, Mozambique, Namibia, Nauru, New Zealand, Niger, Nigeria, Pakistan, Papua New Guinea, Romania, Saharawi republic, Somalia, South Africa, Sudan, Switzerland, Togo, Tunisia, The Bahamas, The Gambia, Tonga, Tuvalu, Trinidad and Tobago, Saint Lucia, St Vincent and the Grenadines, Samoa, Solomon Islands, Sri Lanka, United Kingdom, Vietnam, Vanuatu, Zambia and Zimbabwe – get visa upon arrival and are waived visa fees for a stay of 30 days.

2.    Citizens of countries that do not pay entry visa fees while traveling on Ordinary Passports – The following countries to be granted 90 days valid visa free of charge: Angola, Benin, Central African Republic, Chad, Côte d’Ivoire, Democratic republic of Congo, The Federation of Saint Christopher and Nevis, Ghana, Guinea, Indonesia, Haiti, Mauritius, Philippines, Senegal, Seychelles, Sierra Leone, Sao Tome and Principe, Singapore and the State of Qatar.

3.    Citizens of countries that do not pay entry visa fees while traveling on diplomatic and service/official passports – The following countries have entered into Visa Waiver Agreement or made unilateral decision to allow holders of Diplomatic and Service/Official Passports to enter without visa requirements – including to pay for visa fees: Angola, Benin, People’s Republic of China (including Public Affairs passport), Côte d’Ivoire, Central African Republic, Chad, Democratic Republic of Congo, Djibouti, Ethiopia, The Federation of Saint Christopher and Nevis, Gabon, Ghana, Guinea Indonesia, India, Israel, Haiti, Mauritius, Mozambique, Morocco, Namibia, Philippines, Sao Tome and Principe, Senegal, Seychelles, Singapore, South Africa, Turkey and the United Arab Emirates. The visa will be valid for 90 days.

4.    Rwandans living abroad with dual nationality are allowed to use national IDs on entry – Rwandans living abroad are waived with the visa fees while traveling on foreign passports in possession of Rwandan Identity Card.

5.    Foreign residents to use their resident ID cards for entry – returning residents holding valid residence permits with corresponding resident cards will continue to be allowed to use them on entry, including using electronic gates (Automated Passenger Clearance System) at Kigali International Airport.

6.    Children below the age of 16 years old traveling with their parents – Children below the age of 16 years traveling on foreign passports with their parents traveling on foreign passports in possession of a Rwandan identity Card will not be required to pay for an entry visa.

East African Community Countries Holders of EAC Partner states passports (Burundi, Kenya, Uganda, United Republic of Tanzania and South Sudan) shall be issued with 6 months (renewable) pass/entry visa upon arrival at no fee. Visa Issued on Arrival for the following

Effective 1st January 2018, Citizens of all countries will be granted 30-Days single entry visas on arrival without prior application. Citizens of countries not listed above can still get a visa upon arrival without prior application and will pay a prescribed visa fee. Fee = 50USD.

Extension of a Visa or Changing Visa Class Once in Rwanda: 

Some visa classes may be extended. Details are set out in the Information for applicants for each class.

Extension of a visa should be applied for whilst initial visas remain valid.

A grace period of 5 days after a visa has expired is allowed for a person to either depart or renew their visa without a penalty, otherwise the person will be subjected to a penalty and may be refused a visa extension.

Change of status for some classes:

Once in Rwanda, a visitor may apply to the Directorate General of Migration and Immigration for another class of visa whilst their current visa remains valid.

For the group tourist visa change of status is not permitted. Information for applicants for the particular visa class will state if change of status is permitted or not.

PAYMENT FOR VISA APPLICATION

The High Commission DOES NOT accept/process payment by cash, postal orders or cheques for visa applications. All payments must be made by bank transfer, online transfer or direct deposit to the Rwanda High Commission Consular Account using the details below:

This visa is intended for those travelling to Rwanda and Kenya for the purpose of tourism, leisure, charity or humanitarian work, visiting friends or relatives, or health treatment. This visa allows mulitple entries to Rwanda, and a single entry to Kenya.

Tourist E-visa

Multiple Entry eVisa

Transit E-visa

This visa is intended for the purpose of transiting through to another destination outside the Republic of Rwanda for a period not exceeding three days.

  • Valid for 3 Days
  • Max trip length 3 Days

Please provide a letter stating the reason for transit and the destination country.

East Africa Visa

This Multiple Entry visa is intended for those travelling to Rwanda, Uganda, and Kenya.

Conference E-visa

This visa is intended for those travelling to Rwanda for the purpose of attending a meeting or a conferences provided that they have an invitation to the meeting, conference, seminar or workshop.

Business visa

This visa is intended for those travelling to Rwanda for the purpose of business, tourism, leisure, charity or humanitarian work, visiting friends or relatives, or health treatment.

Please provide an invitation letter written by the host company (locally registered company in Rwanda). The letter should be addressed to you and contain the following information:

  • The host company's name and contact details;
  • Your full name and passport number;
  • Your reason of travel to Rwanda;
  • Your planned duration of stay in Rwanda.

In January 2018, The Republic of Rwanda introduced the eVisa system to allow citizens of certain nationalities to apply online for a visa to enter the country.

Travellers are required to fill in the form and make a payment online. The application is internally reviewed and processed. The approved visa is sent by email to the traveller as soon as it is approved.

Visa Information and Applications

Whoever is interested in traveling into Rwanda, you should have a valid passport or any other internationally acceptable travel documents, that, in theory, include a visa equivalent to his or her intent behind entering into this country acquired ahead of time from the closest embassy of Rwanda abroad.

A Visa is needed by all visitors traveling into Rwanda excluding nationals of South Africa, the United States of America, Uganda, Canada, Democratic Republic of Congo, United Kingdom, Mauritius, Germany, Burundi, Sweden, Tanzania, Hong Kong as well as Kenya.

The Consular office is always opened for visa applications as well as collections from 9:30 a.m. – 1 p.m. Monday to Friday.

Visa Requirements

All Applicants should present a passport valid for at least 6 months.

Applicants have to present appropriately completed one (1) visa application form (pdf) in your own hand writing or one that is in type.

The Applicant has to present two passport photos with a white background showing both ears clearly.

Present a Signed associated letter detailing the reason for your entering Rwanda.

Present An invitation letter together with / or confirmation of your hotel accommodation reservation.

Proof of payment (which is Non-Refundable or Non-Transferable) to the High Commission Bank Account.

A stamped or prepaid, registered as well as self addressed envelope should be included together with an application that was submitted through mail. On the other hand, an applicant could organize to collect their passport through a courier.

Holders of UK Travel Document – UN Convention of 1951 are advised to present the above together with proofs of the address in form of a present bank statement or a current utility bill.

Processing of a visa takes 24 hours (while processing of Travel Documents takes 48 Hours) for a complete file.

Please Keep in Mind that due to the escalating number of applicants, you are advised to offer the authorities adequate time between your date of application and the travel date.

Visa Exempt Countries

Listed Below are the countries that don’t need visas to enter Rwanda. However they must have passports valid at least for 6 months.

Burundi,   Maritius, Democratic Republic of Congo, Tanzania, United States of America, Germany, United Kingdom, Hong Kong, Uganda, Kenya, Singapore, South Africa and Sweden.

Payments for Visa Applications

The High Commission no longer accepts money, postal orders or even cheques for the visa applications.

Whoever is applying for a visa must pay or transfer online the money into the account of the Rwanda High Commission Consular and personally submit or post the documents showing proof of payment.

For Multiple Entry valid for three months: Visa Fee £35.00

For Single Entry valid for one month Visa Fee £20.00

Multiple Entry -V-1(m)/Transit visa – Visa Fee £40.00

Group Tourism, six to ten people entering together who plan to enter and leave on same date: Visa Fee £65.00 This works for Rwanda safari tours.

East Africa Tourist Visa, Multiple Entry into Rwanda, Uganda plus Kenya which is Valid for three months: Visa Fee £65.00

How to apply for a Rwanda Visa

There are two ways you can apply for a visa

Option One: download a Visa application form – PDF to personally present to the mission or through post

Option Two. You may apply for a single entry visa over the internet.

In order to obtain a Visa to Rwanda, you are required to submit your applications to the Embassy of Rwanda or Diplomatic missions in your country of residence so that processing starts straight away.

In the case of those coming from countries where Rwanda has an Embassy or Diplomatic Mission, they should request for an entry facility on line which will be used to obtain a visa on any official point of entry in Rwanda. Our website is www.migration.gov.rw

In view of the bilateral agreements, the Nationals of the following Countries may visit Rwanda without visa for a period up to 90 days: USA, Germany, Canada, Tanzania, Democratic Republic of Congo (DRC), Uganda, Mauritius, South Africa, Kenya, Great Britain, Sweden, Hong Kong and Burundi.

  • When is the best time to apply for my Rwanda visa? The best time to apply for your Rwanda visa is 1-2 months before your travel date.
  • Do I have to send you my passport to get a Rwanda visa? Is it safe to send a passport? You will need to send your actual passport, not a copy of it. The Rwanda visa is stamped on your passport and will become one of your passport pages. Visa requests cannot be processed without your original passport. Because of the importance of your passport, we strongly suggest that you send your application and passport to Travisa in a secure way, using a traceable courier such as FedEx, UPS, Express Mail or Certified Mail.

Business Visa Application Requirements for a Rwanda Visa

You must provide your actual signed passport, including one copy of the personal information page of your passport. Photographs

You must provide two color, passport-type photographs that meets the following criteria: Be taken within the last three months and printed on high-quality photo paper Be taken against an all white background Be two inches by two inches Provide the full frontal view of your head with your face centered in the middle and displaying a neutral (non-smiling) expression You may wear neither eyeglasses nor headwear except for religious purposes Your photos should not be affixed to your application and it may not display evidence of adhesive tape or staples

Business Cover Letter

You are required to provide a Business Cover Letter from your U.S.-based company. All letters must be printed on company letterhead that displays a U.S. mailing address. Use the included sample Business Cover Letter to complete your letter.

Tourist Application Requirements for a Rwanda Visa

Letter of Invitation or Hotel Confirmation

You must provide a confirmation of your hotel accommodations in Rwanda. Your confirmation must:

  • Display your name as it appears in your passport
  • Include the dates of stay

If you are visiting/staying with friends or family, you must submit a signed letter invitation from your host in Rwanda. In addition to the letter of invitation, you are also required to provide the following documents:

  • A copy of the host's passport/IR; and
  • A copy of the host's residence permit (if your host is not Rwandan)

East African Tourist Visa

Tourists to Kenya, Rwanda and Uganda should consider applying for an East African Tourist Visa instead of separate visas to your destinations. The East African Tourist Visa allows you multiple entries to Kenya, Rwanda, and Uganda for up to 90 days. The fee for this visa is $100.00 USD.

Yellow Fever Vaccination Certificate

NeurIPS 2024 will be held in Vancouver Canada from December 9th to 15th, 2024 .

If you do need a visa to enter Canada follow the steps below, Please read this page carefully because there are updates to the visa process for 2024

  • Generate your visa Invitation letter
  • Submit your Canadian Visa Application. See the details below.
  • Return to the  visa invitation letter  page and enter your legal name, the country that issued your passport, and your Canadian visa application number. Failure to complete this step may impact your ability to enter Canada.

If you require a visa to travel to the Canada, we recommend starting the application process as soon as you know that you will attend NeurIPS, as the wait time for the mandatory in-person visa appointment can be highly variable.

What should I bring to my visa interview?

The IRCC provides guidance on required documentation for a visitor visa interview. Please also check the specific requirements of the embassy or consulate that will conduct your interview.

Beyond required documents, you may be able to provide supplemental supporting documents online and/or in a visa interview, subject to the procedure of the specific embassy or consulate. Supplemental supporting documents should aid in establishing your residence and ties abroad and thus your ability and intent to leave Canada after the visit. Examples of such supporting documents include:

  • Invitation letter: The invitation letter issued to you by NeurIPS, with details of your contributions to NeurIPS.
  • Travel plan: Complete itinerary of your intended travel, including booking confirmation of a return flight and of accommodation during your stay.
  • Financial support: Evidence of ability to pay for the trip or confirmation of funding provided for flights, accommodation, food, and incidental costs.
  • Continuing status: Official documentation to prove you are a student, post-doc, or employee and that you will return to your country/region of residence for continuing studies or employment; evidence of familial ties in your country/region of residence.

If I receive a visa am I guaranteed to be able to enter Canada to attend NeurIPS?

Unfortunately, it is possible that the immigration officer that processes your entry into Canada (usually, at the airport after landing in Canada) may require you to undergo a secondary interview to make an immigration determination. Please travel prepared for this possibility, and carry on your person the same evidence you presented at your visa appointment, including a printed copy of your NeurIPS invitation letter.
