They can be used with relatively small-scale research projects, and research questionnaires can be designed and delivered quite quickly and cheaply. It is not surprising, therefore, that when it comes to conducting research for a master’s dissertation, questionnaire surveys feature prominently as the research method of choice.

Occasionally such thesis surveys will be sent out by post, and sometimes the questionnaires will be distributed by hand. But the popularity of questionnaire surveys in the context of master’s dissertations is principally due to the benefits of using online web-based questionnaires. There are two main aspects to this.

First, the software for producing and delivering web questionnaires, with their features such as drop-down menus and tick-box answers, is user-friendly and inexpensive.

Second, online surveys make it possible to contact people across the globe without travelling anywhere which, given the time and resource constraints faced when producing a dissertation, makes online surveys all the more enticing. (And, for the more adventurous students, there are also developing possibilities for the use of social media such as Facebook and SMS texts for contacting people to participate in the survey.)

In the context of a master’s dissertation, however, the quality of the survey data is a vital issue. The grade for the dissertation will depend on being able to defend the use of the data from the survey as the basis for advanced, master’s level academic enquiry. Which means it is not good enough to simply rely on getting 100 or so people to complete your questionnaire. Students are expected to be aware of the pros and cons of questionnaire surveys and to be able to justify the value of the data they have collected in the face of probing questions such as:

  • Who are the respondents and how they were selected?
  • How representative are the respondents of the whole group being studied?
  • What response rate was achieved by the survey?
  • Are the questions suitable in relation to the topic and the particular respondents?
  • What likelihood is there that respondents gave honest answers to the questions?

For PhD students - how to formulate a research question

Different students enter the PhD program with different backgrounds. Some students take research-oriented modules (courses in US) at undergraduate level. Some other do a research masters before doing a PhD. However, the kind of research questions we address in a PhD are very new and requires a long period of deeper investigation. Therefore, it is important to know how to find a good question that gets you excited.

Direct encounter : Usually, a good question comes from an experience. In my case, I experienced how hard it is to derive the dynamics of a robot with high degrees of freedom (DoF). I actually tried to manually derive dynamics of a 4-DoF manipulator called Mark-II from Yasakawa Corporation, and then ran a Mathematica program to do a symbolic derivation for a 7-DoF robot manipulator called PA-10. I experienced how long the equations grew and thought how the brain might be dealing with a body of about 37 DoFs for model based predictive control. This direct encounter with the problem is very important, because it gives you a cause to work towards.

Look around : After finding a problem worthy of addressing, look around to see how others have approached to solve it. This is where you will see different schools of thought. Be careful. There are glaring band-waggons out there. It is so tempting to get in one of them. Don’t blindly follow them unless you have a good reason. Usually following is tiring. Think carefully trying out simple derivations and doing simulations or even doing simple physical experiments to see what kind of approaches get you excited. Some approaches appear very exciting, but direct usage will prove to be not so effective. At this point, it is very important to consult your supervisor. The supervisor may have a favorite approach. Most experienced supervisors are open for change and a good reasoned discussion will help you to benefit from their experience to polish up your research question and the method you want to address it. You should always check if there are quantifiable methods to address your research question. For instance, if you want to test whether there is a particular class of mechanisms available to minimise the size of collision force when a robot is dropped from a height, you should think about testing methods, candidate mechanisms, and the range of design paramaters to assess the scope of analysis. Sometimes, your laboratory may not have the full capacity to help you. This is where you can look for collaborations. Try to reach this level of planning logistics within the first 4-6 months in your PhD.

First experiment is important : Once you know your cause for the PhD and once the approach and collaborations are established, break your approach down to smaller steps. Don’t worry too much about how the last experiment will be done. Worry about your first experiment. Distill out a refined research question that needs a novel answer that you can reach in about 6 months. This is important to boost confidence. Temptations will be high to find the ultimate answer to bring your field to a conclusion, but even in that case, it is important to make a first firm step. In this first step, master the tools and techniques involved in your field. In my lab, students take this time to master robot design and fabrication skills, coding skills, data analysis skills, and cool math you can use to solve difficult problems. Develop the habit of reading at least one paper a week that empowers you with powerful tools to solve problems.

Documentation : It is important to develop the habit of keeping things in a well sorted file structure. Open a folder for each project. Have sub-folders for data, reports, codes, papers you read (using a repository like Madeley is also great), designs, and other resources. This is going to save time when you write a paper at some point. Now you have cloud resources like Box and Onedrive. Back up everything securely.

Writing the first paper : If everything works out, after about one year into the PhD, you will have some new results worthy of publishing. Sometimes, the first attempt doesn’t work out. But all failed attempts teach us lessons. Don’t get discouraged if the first experiment doesn’t work out. Develop the resilience to come back with a different approach or to formulate the question in a different way. Then when you write the first paper, you will have comparative results. The importance of reading papers at least one per week is that in 6 months, you would have read at least 25 papers. This is enough to write your first paper. Start writing why the question you addressed is new and important, and back it up with papers you read. Write down your methods very clearly keeping in mind that somebody should be able to read your paper and be able to replicate it for independent verification. Results and interpretations need to be as sharp and consistent as possible. Plan to go through several rounds of revisions with your supervisor and lab mates before any submission deadlines. I ask my PhD students to have the paper in a reasonable level for revision at least one month before the deadline. Have this as a ballpark period for revision in your first paper. This is the time where you develop the skills of articulating a concept clearly, present it to an audience, receive criticisms, and develop good habits of critical reflection.

Completing the cycle : You will of course get review feedback. Some suggestions I have  given in this note can be useful to go the rest of the journey. Once you get your first paper published, you will have your next research questions coming up easily. The advantage of taking an approach you are passionate about to serve the cause you selected is that it will naturally line up the next set of questions and methods you should be pursuing. My advise is to go through this full cycle of raising a question to publishing results at least 3 times during your PhD. It will give you a seasoned experience of the art of formulating good research questions.

How to Develop a Questionnaire for Research

A questionnaire is a technique for collecting data in which a respondent provides answers to a series of questions. However, by taking a step-by-step approach to questionnaire development, you can come up with an effective means to collect data that will answer your unique research question.

Designing Your Questionnaire

Step 1 Identify the goal of your questionnaire.

  • Come up with a research question. It can be one question or several, but this should be the focal point of your questionnaire.
  • Develop one or several hypotheses that you want to test. The questions that you include on your questionnaire should be aimed at systematically testing these hypotheses.

Step 2 Choose your question type or types.

  • Dichotomous question: this is a question that will generally be a “yes/no” question, but may also be an “agree/disagree” question. It is the quickest and simplest question to analyze, but is not a highly sensitive measure.
  • Open-ended questions: these questions allow the respondent to respond in their own words. They can be useful for gaining insight into the feelings of the respondent, but can be a challenge when it comes to analysis of data. It is recommended to use open-ended questions to address the issue of “why.” [2] X Research source
  • Multiple choice questions: these questions consist of three or more mutually-exclusive categories and ask for a single answer or several answers. [3] X Research source Multiple choice questions allow for easy analysis of results, but may not give the respondent the answer they want.
  • Rank-order (or ordinal) scale questions: this type of question asks your respondent to rank items or choose items in a particular order from a set. For example, it might ask your respondents to order five things from least to most important.   • Rating scale questions: these questions allow the respondent to assess a particular issue based on a given dimension. You can provide a scale that gives an equal number of positive and negative choices, for example, ranging from “strongly agree” to “strongly disagree.” [5] X Research source These questions are very flexible, but also do not answer the question “why.”

Step 3 Develop questions for your questionnaire.

  • Write questions that are succinct and simple. You should not be writing complex statements or using technical jargon, as it will only confuse your respondents and lead to incorrect responses.
  • Ask only one question at a time. This will help avoid confusion
  • Asking questions such as these usually require you to anonymize or encrypt the demographic data you collect.
  • Determine if you will include an answer such as “I don’t know” or “Not applicable to me.” While these can give your respondents a way of not answering certain questions, providing these options can also lead to missing data, which can be problematic during data analysis.

Step 4 Restrict the length of your questionnaire.

  • Only include questions that are directly useful to your research question.   • Avoid asking redundant questions. This will frustrate those who are taking your questionnaire.

Step 5 Identify your target demographic.

  • Consider if you want your questionnaire to collect information from both men and women. Some studies will only survey one sex.
  • Consider including a range of ages in your target demographic. For example, you can consider young adult to be 18-29 years old, adults to be 30-54 years old, and mature adults to be 55+. Providing the an age range will help you get more respondents than limiting yourself to a specific age.
  • Consider what else would make a person a target for your questionnaire. Do they need to drive a car? Do they need to have health insurance? Do they need to have a child under 3? Make sure you are very clear about this before you distribute your questionnaire.

Step 6 Ensure you can protect privacy.

  • Consider an anonymous questionnaire. You may not want to ask for names on your questionnaire. This is one step you can take to prevent privacy, however it is often possible to figure out a respondent’s identity using other demographic information (such as age, physical features, or zipcode).
  • Consider de-identifying the identity of your respondents. Give each questionnaire (and thus, each respondent) a unique number or word, and only refer to them using that new identifier. Shred any personal information that can be used to determine identity.
  • Remember that you do not need to collect much demographic information to be able to identify someone. People may be wary to provide this information, so you may get more respondents by asking less demographic questions (if it is possible for your questionnaire).
  • Make sure you destroy all identifying information after your study is complete.

Writing your questionnaire

Step 1 Introduce yourself.

  • My name is Jack Smith and I am one of the creators of this questionnaire. I am part of the Department of Psychology at the University of Michigan, where I am focusing in developing cognition in infants.
  • I’m Kelly Smith, a 3rd year undergraduate student at the University of New Mexico. This questionnaire is part of my final exam in statistics.
  • My name is Steve Johnson, and I’m a marketing analyst for The Best Company. I’ve been working on questionnaire development to determine attitudes surrounding drug use in Canada for several years.

Step 2 Explain the purpose of the questionnaire.

  • I am collecting data regarding the attitudes surrounding gun control. This information is being collected for my Anthropology 101 class at the University of Maryland.
  • This questionnaire will ask you 15 questions about your eating and exercise habits. We are attempting to make a correlation between healthy eating, frequency of exercise, and incidence of cancer in mature adults.
  • This questionnaire will ask you about your recent experiences with international air travel. There will be three sections of questions that will ask you to recount your recent trips and your feelings surrounding these trips, as well as your travel plans for the future. We are looking to understand how a person’s feelings surrounding air travel impact their future plans.

Step 3 Reveal what will happen with the data you collect.

  • Beware that if you are collecting information for a university or for publication, you may need to check in with your institution’s Institutional Review Board (IRB) for permission before beginning. Most research universities have a dedicated IRB staff, and their information can usually be found on the school’s website.
  • Remember that transparency is best. It is important to be honest about what will happen with the data you collect.
  • Include an informed consent for if necessary. Note that you cannot guarantee confidentiality, but you will make all reasonable attempts to ensure that you protect their information. [12] X Research source

Step 4 Estimate how long the questionnaire will take.

  • Time yourself taking the survey. Then consider that it will take some people longer than you, and some people less time than you.
  • Provide a time range instead of a specific time. For example, it’s better to say that a survey will take between 15 and 30 minutes than to say it will take 15 minutes and have some respondents quit halfway through.
  • Use this as a reason to keep your survey concise! You will feel much better asking people to take a 20 minute survey than you will asking them to take a 3 hour one.

Step 5 Describe any incentives that may be involved.

  • Incentives can attract the wrong kind of respondent. You don’t want to incorporate responses from people who rush through your questionnaire just to get the reward at the end. This is a danger of offering an incentive. [13] X Research source
  • Incentives can encourage people to respond to your survey who might not have responded without a reward. This is a situation in which incentives can help you reach your target number of respondents. [14] X Research source
  • Consider the strategy used by SurveyMonkey. Instead of directly paying respondents to take their surveys, they offer 50 cents to the charity of their choice when a respondent fills out a survey. They feel that this lessens the chances that a respondent will fill out a questionnaire out of pure self-interest. [15] X Research source
  • Consider entering each respondent in to a drawing for a prize if they complete the questionnaire. You can offer a 25$ gift card to a restaurant, or a new iPod, or a ticket to a movie. This makes it less tempting just to respond to your questionnaire for the incentive alone, but still offers the chance of a pleasant reward.

Step 6 Make sure your questionnaire looks professional.

  • Always proof read. Check for spelling, grammar, and punctuation errors.
  • Include a title. This is a good way for your respondents to understand the focus of the survey as quickly as possible.
  • Thank your respondents. Thank them for taking the time and effort to complete your survey.

Distributing Your Questionnaire

Step 1 Do a pilot study.

  • Was the questionnaire easy to understand? Were there any questions that confused you?
  • Was the questionnaire easy to access? (Especially important if your questionnaire is online).
  • Do you feel the questionnaire was worth your time?
  • Were you comfortable answering the questions asked?
  • Are there any improvements you would make to the questionnaire?

Step 2 Disseminate your questionnaire.

  • Use an online site, such as SurveyMonkey.com. This site allows you to write your own questionnaire with their survey builder, and provides additional options such as the option to buy a target audience and use their analytics to analyze your data. [19] X Research source
  • Consider using the mail. If you mail your survey, always make sure you include a self-addressed stamped envelope so that the respondent can easily mail their responses back. Make sure that your questionnaire will fit inside a standard business envelope.
  • Conduct face-to-face interviews. This can be a good way to ensure that you are reaching your target demographic and can reduce missing information in your questionnaires, as it is more difficult for a respondent to avoid answering a question when you ask it directly.
  • Try using the telephone. While this can be a more time-effective way to collect your data, it can be difficult to get people to respond to telephone questionnaires.

Step 3 Include a deadline.

  • Make your deadline reasonable. Giving respondents up to 2 weeks to answer should be more than sufficient. Anything longer and you risk your respondents forgetting about your questionnaire.
  • Consider providing a reminder. A week before the deadline is a good time to provide a gentle reminder about returning the questionnaire. Include a replacement of the questionnaire in case it has been misplaced by your respondent. [20] X Research source

The research question is one of the most important parts of your research paper , thesis or dissertation . It’s important to spend some time assessing and refining your question before you get started.

The exact form of your question will depend on a few things, such as the length of your project, the type of research you’re conducting, the topic , and the research problem . However, all research questions should be focused, specific, and relevant to a timely social or scholarly issue.

Research question Explanation

Starting with “why” often means that your question is not enough: there are too many possible answers. By targeting just one aspect of the problem, the second question offers a clear path for research.

2. What is the reason for selecting this research question?

The response to this question is often generalized by saying that you are interested in the topic. However, examiners want to hear the specifications of your interest in the topic. You must plan your answer stating the most interesting aspect of your research and why did you choose the research question over another topic from the same or allied domain. Furthermore, cite certain instances that helped you in selecting the research topic and the particular field for your project.

3. What is the key focus of your research?

Remember that the answer to this question is not about summarizing your research. It involves talking about the area of primary focus of research. Most importantly, in order to demonstrate the viability of your research, it is essential to identify some of the key questions it addresses.

4. Did the research process go as per your plan or were there any unexpected circumstances that you had to deal with?

The purpose of this question is not only to see whether you can work as per your structured plan, but also to understand your readiness with backup plans in case of unforeseen situations. An ideal way to answer this is by clearly stating if the project went as per your predefined plan. Remember that the examiners know about a PhD student’s stressful journey . Therefore, do not elaborate on the hardships that you went through during your research, unless asked otherwise. Emphasize on the aspects of the research project that you enjoyed and looked forward to every time you stepped in your laboratory. Describe how you developed interest in newer approaches to conduct research.

6. As a researcher, what change has this research brought in you?

This question demands a strong, progressive, and positive response. Remember your first day in the research laboratory and compare it to today. Identify the differences in your traits as a researcher. Mention how following, reading, and analyzing other researchers’ works have brought a positive change in you. Furthermore, address how you overcame your shortcomings as a researcher and upskilled yourself.

7. Summarize your thesis.

Be well versed with the entire project. Start by explaining why you selected the topic of your thesis and close your explanation by providing an optimum solution to the problem. You must prepare for 3 types of answers for this question. Prepare a 1-minute, 3-5 minutes, and 10-minute summary and use the correct one based on your audience at the viva.

8. What developments have you witnessed in this field since you began your doctorate? How did these developments change your research context?

Familiarize yourself with the advances in your field throughout your PhD. Mention works of researchers you have referred to while working on your project. Additionally, elaborate on how other researchers’ work influenced your research and directed you to finding results.

9. What original contribution has your thesis made to this field of study?

Answer this question by keeping in mind what was known before in published literature and what you have added as part of being awarded your PhD. Firstly, you must present a major piece of new information during your research project. Secondly, elaborate on how your research expands the existing literature. Thirdly, mention how your work is different from other researchers’ works that you referred. Finally, discuss how you developed a new product or improved an existing one.

10. How well did the study design work?

While answering this question, you must focus on how your planned methods and methodologies were executed. Furthermore, mention how you tackled difficulties in study design and concluded your research.

11. Elaborate on your main findings and how do they relate to literature in your field?

While answering this question, elaborate on how you evaluated the key findings in your research. Mention the key factors involved and the reason for choosing a particular process of evaluation. Furthermore, explain how your findings are related with the literature review of your project. Mention its significant contributions in your field of research. In addition, discuss how your research findings connect with your hypothesis as well as the conclusion of your research.

12. What is the strength and weakness of your research?

While you may want to impress the examiner by emphasizing on the strengths of your research, being aware of the weaknesses and planning a directional move to overcome them is also equally important. Hence, mention the strengths first and elaborate on how they connect with the key findings. Additionally, underline the limitations and the factors that could be transformed into strengths in future research.

Know How to Structure Your PhD Thesis

In your academic career, few projects are more important than your PhD thesis. Unfortunately, many university professors and advisors assume that their students know how to structure a PhD. Books have literally been written on the subject, but there’s no need to read a book in order to know about PhD thesis paper format and structure. With that said, however, it’s important to understand that your PhD thesis format requirement may not be the same as another student’s. The bottom line is that how to structure a PhD thesis often depends on your university and department guidelines.

But, let’s take a look at a general PhD thesis format. We’ll look at the main sections, and how to connect them to each other. We’ll also examine different hints and tips for each of the sections. As you read through this toolkit, compare it to published PhD theses in your area of study to see how a real-life example looks.

Main Sections of a PhD Thesis

In almost every PhD thesis or dissertation, there are standard sections. Of course, some of these may differ, depending on your university or department requirements, as well as your topic of study, but this will give you a good idea of the basic components of a PhD thesis format.

  • Abstract : The abstract is a brief summary that quickly outlines your research, touches on each of the main sections of your thesis, and clearly outlines your contribution to the field by way of your PhD thesis. Even though the abstract is very short, similar to what you’ve seen in published research articles, its impact shouldn’t be underestimated. The abstract is there to answer the most important question to the reviewer. “Why is this important?”
  • Introduction : In this section, you help the reviewer understand your entire dissertation, including what your paper is about, why it’s important to the field, a brief description of your methodology, and how your research and the thesis are laid out. Think of your introduction as an expansion of your abstract.
  • Literature Review : Within the literature review, you are making a case for your new research by telling the story of the work that’s already been done. You’ll cover a bit about the history of the topic at hand, and how your study fits into the present and future.
  • Theory Framework : Here, you explain assumptions related to your study. Here you’re explaining to the review what theoretical concepts you might have used in your research, how it relates to existing knowledge and ideas.
  • Methods : This section of a PhD thesis is typically the most detailed and descriptive, depending of course on your research design. Here you’ll discuss the specific techniques you used to get the information you were looking for, in addition to how those methods are relevant and appropriate, as well as how you specifically used each method described.
  • Results : Here you present your empirical findings. This section is sometimes also called the “empiracles” chapter. This section is usually pretty straightforward and technical, and full of details. Don’t shortcut this chapter.
  • Discussion : This can be a tricky chapter, because it’s where you want to show the reviewer that you know what you’re talking about. You need to speak as a PhD versus a student. The discussion chapter is similar to the empirical/results chapter, but you’re building on those results to push the new information that you learned, prior to making your conclusion.
  • Conclusion : Here, you take a step back and reflect on what your original goals and intentions for the research were. You’ll outline them in context of your new findings and expertise.

Tips for your PhD Thesis Format

As you put together your PhD thesis, it’s easy to get a little overwhelmed. Here are some tips that might keep you on track.

  • Don’t try to write your PhD as a first-draft. Every great masterwork has typically been edited, and edited, and…edited.
  • Work with your thesis supervisor to plan the structure and format of your PhD thesis. Be prepared to rewrite each section, as you work out rough drafts. Don’t get discouraged by this process. It’s typical.
  • Make your writing interesting. Academic writing has a reputation of being very dry.
  • You don’t have to necessarily work on the chapters and sections outlined above in chronological order. Work on each section as things come up, and while your work on that section is relevant to what you’re doing.
  • Don’t rush things. Write a first draft, and leave it for a few days, so you can come back to it with a more critical take. Look at it objectively and carefully grammatical errors, clarity, logic and flow.
  • Know what style your references need to be in, and utilize tools out there to organize them in the required format.
  • It’s easier to accidentally plagiarize than you think. Make sure you’re referencing appropriately, and check your document for inadvertent plagiarism throughout your writing process.

How To Structure A PhD Thesis

Introduction

Universities and supervisors often assume that PhD students know how to structure their PhD theses. But often this assumption is false, which can cause considerable headache and uncertainty.  It can also waste a lot of time and money as you engage in a process of trial and error working out what goes where.

If you go to your university’s library, you’ll find whole shelves of   books on how to structure or write your PhD . Many of these are great, and I highly recommend you check them out, but here I want to present to you a thesis structure 101 lesson.

I’ve read those books,   proofread hundreds of PhDs   and   coached   dozens of students and want to take what I know and run you through a basic introduction to structuring your PhD   thesis .

In what follows, I’ll talk you through the basic outline of a typical thesis. This mirrors and expands upon the   PhD Writing Template   I’ve created. If you haven’t already downloaded it, you can find it   here .  

Now, I want to make an important observation: what I present below is an outline of the   typical   thesis. Yours may differ, whether considerably or just a little. That’s fine. The purpose is to give you an overarching summary so that when you do approach the books and guides that exist, you’ve already got a basic understanding of what goes where and why.

So, in what follows, I’ll walk you through each of the main sections and talk about what the purpose of each is, offer some tips for planning and writing them, and show you how they relate to one another.

At the end, I’ll tell you about an   email based course   I’ve put together that will teach you how to plan, structure and write your thesis. It goes into a lot more detail than I’ve presented here, so check it out if you’d like to learn more. 

How to Structure an Abstract

Your abstract should be a short summary at the beginning of the thesis that sums up the research, summarises the separate sections of the thesis and outlines the contribution.

Above all, your PhD abstract should answer the question: ‘So what?’ In other words, what is the contribution of your thesis to the field?

  • What is the reason for writing the thesis?
  • What are the current approaches and gaps in the literature?
  • What are your research question(s) and aims?
  • Which methodology have you used?
  • What are the main findings?
  • What are the main conclusions and implications?

One thing that should be obvious is that you can’t write your abstract until the study itself has been written. It’ll typically be the last thing you write (alongside the acknowledgements).

The tricky thing about writing a great PhD abstract is that you haven’t got much space to answer the six questions above. There are a few things to consider though that will help to elevate your writing and make your abstract as efficient as possible:

  • Give a good first impression by writing in short clear sentences.
  • Don’t repeat the title in the abstract.
  • Don’t cite references.
  • Use keywords from the document.
  • Respect the word limit.
  • Don’t be vague – the abstract should be a self-contained summary of the research, so don’t introduce ambiguous words or complex terms.
  • Focus on just four or five essential points, concepts, or findings. Don’t, for example, try to explain your entire theoretical framework.
  • Edit it carefully. Make sure every word is relevant (you haven’t got room for wasted words) and that each sentence has maximum impact.
  • Avoid lengthy background information.
  • Don’t mention anything that isn’t discussed in the thesis.
  • Avoid overstatements.
  • Don’t spin your findings, contribution or significance to make your research sound grander or more influential that it actually is.

How to Structure an Introduction

The introduction serves three purposes:

  • Establish your territory.
  • Establish and justify your niche.
  • Explain the significance of your research.

The reader should be able to understand the whole thesis just by reading the introduction. It should tell them all they need to know about:

  • What your thesis is about
  • Why it is important
  • How it was conducted
  • How it is laid out

How to Structure a Literature Review

Imagine you’re making a new model of mobile phone. You’d need to look at old models to see how other people are designing them (and so you know how yours will differ) and to see how they are made. You’ll need to look for their flaws, and get an idea of where they can be improved.

That’s because you can’t make something new if you don’t know what the old one looks like.

The literature review is the same. You use it to make the case for your research by surveying the work that’s already been done in your discipline (and sometimes beyond). It’s a bit like a family tree. You use it to trace the lineage of your study. Putting it in its place.

A literature review has three objectives:

  • Summarise what has already been discussed in your field, both to demonstrate that you understand your field and to show how your study relates to it.
  • Highlight gaps, problems or shortcomings in existing research to show the original contribution that your thesis makes.
  • Identify important studies, theories, methods or theoretical frameworks that can be applied in your research.
  • Pick a broad topic
  • Find the way in
  • Who’s saying what and when
  • Narrow down the field
  • Narrow does the sources
  • Think about questions that haven’t been asked
  • Write early, write quickly and write relevantly

How to Structure a Theory Framework Chapter

The theory framework is the scaffolding upon which your thesis is built. When you’re done writing your theory framework chapter or section, your reader should be able to answer these questions:

  • What theoretical concepts are used in the research? What hypotheses, if any, are you using?
  • Why have you chosen this theory?
  • What are the implications of using this theory?
  • How does the theory relate to the existing literature, your problem statement and your epistemological and ontological positions? How has this theory has been applied by others in similar contexts? What can you learn from them and how do you differ?
  • How do you apply the theory and measure the concepts (with reference to the literature review/problem statement)?
  • What is the relationship between the various elements and concepts within the model? Can you depict this visually?

That means that a theory framework can take different forms: 

It can state the theoretical assumptions underpinning the study.

  • It can connect the empirical data to existing knowledge.
  • It can allow you to come up with propositions, concepts or hypotheses that you can use to answer ‘how’ and ‘why’ questions.

Broadly speaking, a theory framework can be used to either derive certain testable assumptions or as a way of making sense of your data. In both cases, it structures your data collection by focusing your attention on a small subset of concepts.

You can, therefore, think of it as a toolbox. In your literature review, you outlined the problem that needs ‘fixing’. The theory framework is a toolbox stuffed full of concepts, variables, or hypotheses (your tools) that you’ll then use to address the problem and do the fixing.

When you discuss theory, you are seeking to provide a background examination of what other researchers think about a phenomenon and how they have conceptualised it. You should discuss the relevance of particular theoretical approaches for your study, and you should take care to consider the dominant theoretical schools in your field. This shows the examiner you have understood the state of the art.

But, you should do so critically, and question the suitability of any theories that exist or that you are creating to your particular study. That means that you should discuss previous applications of theory in order to discuss what implications they have for your own research.

The reason you do this is that your discipline likely has accepted and ’tried and tested’ ways of doing things. In many cases, this is an advantage, because it can serve as inspiration for your choice of concepts, hypotheses or variables, and can influence your choice of methods.

In other cases, it may be that the existing theory is ill-equipped to account for your particular phenomenon. In either case, you need to demonstrate a good understanding of what that theory is discussing, both to demonstrate your skills as a researcher and scholar, but also to justify your own theoretical and methodological position. 

How to Structure a Methods Chapter

The job of a methods chapter is:

  • To summarise, explain and recount how you answered your research questions and to explain how this relates to the methods used by other scholars in similar contexts and similar studies
  • To discuss – in detail – the techniques you used to collect the data used to answer your research questions 
  • To discuss why the techniques are relevant to the study’s aims and objectives
  • To explain how you used them

Your reader should be able to answer the following questions when they’re done reading it:

  • What did you did do to achieve the research aims?
  • Why did you choose this particular approach over others?
  • How does it relate to your epistemological and ontological positions?
  • What tools did you use to collect data and why? What are the implications?
  • When did you collect data, and from whom?
  • What tools have you used to analyze the data and why? What are the implications? Are there ethical considerations to take into account?

How to Structure an Empirical Chapter

  • What are the results of your investigations?  
  • How do the findings relate to previous studies?  
  • Was there anything surprising or that didn’t work out as planned?  
  • Are there any themes or categories that emerge from the data?   
  • Have you explained to the reader why you have reached particular conclusions?
  • Have you explained the results?

How to Structure a Discussion Chapter 

The discussion chapter is the place in which you discuss your empirics. Many people find it the hardest chapter, primarily because it’s the stage at which you start to flex your academic muscles and speak like a doctor. It is here that you start to push the boundaries of knowledge.

That’s a hard thing to do, largely because you’ve probably never had to do it before. All through your masters and undergraduate work you’ve learnt what other people have found. Now you’re finding out things that no-one else knows.

The difference between a discussion and an empirical chapter is subtle, but I’ve written   a detailed guide   that will clear up any confusion you’ve got.

How to Structure a Conclusion

The job of the conclusion is to:

  • Fully and clearly articulate the answer to your research questions
  • Discuss how the research is related to your aims and objectives
  • Explain the significance of the work
  • Outline its shortcomings
  • Suggest avenues for future research

It is not the place to introduce new ideas and concepts, or to present new findings.

Your job is to reflect back on your original aims and intentions and discuss them in terms of your findings and new expertise.

Three things to do in a conclusion:

  • Own your research by speaking with authority! You’ve earned the right to do that by the time you reach your conclusion 
  • See the thesis and not the detail. Drive home the contribution that the thesis has made. Whatever it is, you need to shout about it. Loudly. Like an expert.
  • Each chapter is a piece of the puzzle and only when they are all slotted together do you have an entire thesis. That means that a great conclusion is one that shows that the thesis is bigger than the sum of its individual chapters. 
  • By the time the reader has finished reading the conclusion, they should be able to answer the following questions:
  • Have you briefly recapped the research questions and objectives?
  • Have you provided a brief recount of the answer to those questions?
  • Have you clearly discussed the significance and implications of those findings?
  • Have you discussed the contribution that the study has made?
  • Do the claims you are making align with the content of the results and discussion chapters?

Wrapping Up 

There’s clearly a lot more that can be said about how to structure each of these sections. Go to your university library and you’ll find dozens of books on how to write a PhD. Google it and you’ll find thousands of posts. It’s hard to know where to start.

Hi Maureen – it really depends on so many factors, including how much familiarity you already have with research and how quickly you want to finish. It’s hard to say! I devoted around 3/4 of full time to mine per week – so roughly 30 hours. But then I had never conducted research before, didn’t have any caregiving responsibilities, and wanted to complete quickly.
