Introduction

This project is entitled Online Thesis Archiving System and was developed using PHP and MySQL Database . This is a web-based application that provides an online platform for storing the students' thesis or capstone projects. The main purpose of this application is to give the students of a certain university or College Schools online access to store their final year projects and allow lower year students to find some references and ideas for their future or upcoming final year project. The system was written in  PHP/OOP (Object-Oriented Programming) and has multiple features and functionalities that are related to this kind of system. This has user-friendly functionalities and a pleasant user interface using the Bootstrap Framework and AdminLTE Template.

About the Online Thesis Archiving System

I developed this project using the following:

• XAMPP v3.3.0 as my local webserver that has a PHP Version 8.0.7
• PHP Language
• MySQL Database
• and some other plugins/libraries.

This Online Thesis Archiving System has 2 modules which are the Management Module and the Student Module :

The Management Module is the part of the system where the school management can manage the system information and important list on the system. The said module can be accessed by 2 types of user roles which are the Administrator and Staff user. The Admin Users has full access to all features and functionalities of the system Admin Panel and that includes the list of Staff users . The Staff Users  only have limited access to the said system side. They can only manage the submitted projects of the students and manage the registered student list.

The Student Module is the side of the system where the students can explore, find references, read the archive's contents, and more. The students can simply register their system credentials. After they register their system account, the management will verify his/her account and if the admin has successfully verified the student account, the student will have permission to submit the project but still be upon approval of the management. He/She can also update the project he/she submitted. They can also list his/her own submitted projects whether it was published to the public or not.

The system also has some features that can help or can give the end-users a better experience while using the system. The project list has a pagination feature and a search feature.

How to Run ??

Requirements

• Download and Install any local web server such as XAMPP/WAMP.
• Download the provided source code zip file. ( download button is located below )

Installation/Setup

• Open your XAMPP/WAMP's Control Panel and start  Apache and MySQL .
• Extract the downloaded source code zip file .
• If you are using XAMPP , copy the extracted source code folder and paste it into the XAMPP's "htdocs" directory . And If you are using WAMP , paste it into the "www" directory.
• Browse the PHPMyAdmin in a browser . i.e. http://localhost/phpmyadmin
• Create a new database naming otas_db .
• Import the provided SQL file. The file is known as  otas_db.sql located inside the database folder.
• Browse the Online Thesis Archiving System in a browser . i.e. http://localhost/otas/

Default Admin Access Information

Username: admin Password: admin123

While utilizing the system, end users may benefit from or have a more enjoyable experience thanks to certain features that are included in the system. The list of projects includes both a search function and a pagination function for easier navigation.

How To Run??

Online Access: Unless you elect either or both of the options described below, your thesis will be automatically deposited in the digital archive and accessible online to authorized users of the Princeton University computing network (as described above).

Walk-in Access Only: If you feel that your thesis should not be made accessible online via our computing network, you may elect to limit access to those who visit Mudd Library in person.  These “walk-in” patrons, who may include members of the general public, will be able to access the archive at a designated computer terminal in Mudd Library and, subject to the limitations of copyright law, permitted to make copies of individual theses.  Please note that a list of all theses in the University Archives is publicly available online.

This system has been developed to provide a management in records. The system gave help to maintain, preserve undergraduate and graduate thesis and remain retrieval for as long as they are required. The focus of this particular system concerns electronic record keeping concepts that need to be understood in the larger context of record information management, electronic record management, and other aspects of information technology. In addition this system is design for managing and maintaining the records.

Purpose and Description

The proposed archive management system is responsible to improve the consistency of the document process electronic based system. It can also minimize the accuracy of time in scanning the documents.

This project is also known Record Information Management system or RIM is professional practice or discipline of controlling and governing what are considered to be the most important records of an organization throughout the records life cycle, which includes from the time such records are conceived through to their eventual disposal. This work includes identifying, classifying, prioritizing, storing, securing, archiving, retrieving tracking of records.

Objectives of the study

This study is to develop a convenient Electronic based thesis archive management system. Specifically it aimed to:

• Provide security for the records.
• Life cycle of documents
• It can easily search the thesis record of the students if they are already submits or not.
• Provide easy access of information such as the title, name of the group and the date of submission.

Scope and Limitation

The system can:

• Easy to use and manage.
• Stores all the records of the thesis.
• Provide backup in case of loss of records.
• Track the record that has been submitted by undergraduates as well as the master degree.
• Generate lesser time in scanning their records.

DESIGN OF SOFTWARE WITH PROCESSES

The researchers created a design based on the result of the requirements procedure to be developed. Figure shows the Decomposition of Thesis Archiving Management System.

The Thesis Archiving Management System consists of two pages, one for the admin and the other for the students/users. The admin consists of three categories, manage thesis document of the students in order to provide inventory list, update and add new records. In the transaction, it includes the borrowing and returning of the thesis books. And the last is the database that can also provide back- up and restore all the records. On the other hand, the students or users can view and search their document if they want. The admin will take in charge for the system’s operation maintenance.

Thesis Archiving Management System is a management system that archives thesis documents and remain retrievable for as long as they are required. This system has been developed to provide a management in records.

##What does this do? It is a PHP/MySQL web application written in Laravel framework that records and maintains thesis files.

The users can search and view thesis documents.

##Features:

• Laravel v5.3

##Requirements:

• git (optional)
• WAMP/XAMPP/LAMP

Quick Start and Installation:

To get started and start making something of your own using this repository as a base: clone or download this repository, create an empty database that this application will use, configure a few settings in the config folder.

Configuration

• Open up config/database.php and configure connection settings for your database.
• Edit the .env.example file to match your database and rename it to .env

Installation

CD into the directory of this project and run the following commands:

• composer install
• php artisan migrate
• php artisan serve

Note: Open your .env file and check if your APP_KEY has a value. If it does't have a value, run this in your cmd: php artisan key:generate

This will install all Composer dependencies, create the database structure, and run the application. Open up your browser and navigate to localhost:8000 to see it in action. Enjoy!
