The Pomodoro Technique: How To Write 5,000 Words Every Day

One of the most common questions I’m asked is how I manage to write so much whilst seemingly also having, y’know, a life.

Usually, I find this question quite funny, because I never really considered myself a prolific writer, not until recently, anyway. I used to write one-thousand to two-thousand words every day, which usually took me two or three hours. To me, that wasn’t really a lot. If anything, I felt guilty for not spending more time writing than I did.  ‘If I could spend five hours writing, I’d get five-thousand words written per day…’

But two things made me resist my target.

Firstly, it’s because I was doing what I was told by other writers too much.

Allow me to elaborate: every corner of the web you visit (bar a few. How many corners does the web have, actually?), you’ll find advice on what a ‘respectable’ amount of words per day is. I think the most common upper word limit, we can safely agree, is one-thousand words. For some reason, one-thousand words per day appears to be some sort of holy grail for writers. Anything higher, and the writer is either a.) rushing, or b.) writing crap.

By digesting all of this advice, we kind of start to believe it a little, which is what was highly frustrating to me. I was finishing my 1k per day in just over an hour and, because of the cauldron of rights and wrongs on the internet, actually felt a little  guilty  for writing any longer. I was, quite simply, a little bored.

The second reason I resisted my pursuit for 5k per day is because five solid hours at a desk sounds like a hell of a long time. There’s no way my creative juices could solidly run for that long, I believed.

I was wrong. Well, kind of.

I could give you a list of ‘this is what you should dos’, but I won’t because I think that when ingested, that kind of advice can be bad for your health. Instead, I just want to introduce you to a few productivity methods that can see you hitting the thousands  by lunchtime.

That’s right. A whole afternoon off to catch up on whatever crap’s on Netflix these days.

Bear in mind I’m talking about first draft words here. Not rewriting. That’s a different matter for another post. However, these techniques can be used everywhere. But anyway…

1.)  The Pomodoro Technique

You may or may not have heard of the Pomodoro Technique. I hadn’t up until a couple of weeks ago, but since I’ve started implementing it, my daily wordcount has doubled, and I feel refreshed and a sense of achievement because of it.

Basically, the Pomodoro Technique is this: you set a timer for twenty-five minutes and you do whatever task it is you want to do (in our case, writing). You work solidly on that task for twenty-five minutes, and then when the time is up, you take a five minute break, no matter what. Nip to the loo, refill your glass of water — Pomo’ don’t discriminate.

Then, you repeat the cycle again. After four full cycles, you take a longer break.

Can you see how beneficial this is to writing? I usually start writing somewhere around ten-thirty in the morning. I complete a few cycles and then take a lunch break. On a good day, I’ll have a couple thousand words written by the time I take lunch. On a great (read: early start) day, I’ll have hit 5k already.

The best thing about it is, because it breaks your work up into smaller chunks, you don’t feel as drained as you would do if you’d spent several solid hours. My productivity method used to be this: wait for the clock to hit the hour and then write until that hour is up. But it was a poor method, in hindsight — I regularly got distracted and my words per hour were nowhere near as high as I know they can be.

Another bonus? Maybe you do only have twenty-five minutes per day, but with the Pomodoro Technique, you can turn those twenty-five minutes into a goldmine of productivity. Do you have twenty-five minutes per day? Then you can finish a novel in eighty days. How’s that sound?

You can purchase various apps or visit websites for the Pomodoro Technique. I use an app called Focus Time . The official website is well worth visiting too. I mean, those little tomatoes look awesome, and I’d definitely have one if I wasn’t such a digital geek.

The Pomodoro Technique has helped me realise my potential. It really is as simple as that.

2.) White Noise

I used to write with no music, and then I went to university and realised I was kidding myself in thinking I’d get a moment of peace there. My experience of writing with music has always been hit and miss. Sometimes, it really suits the project (Trent Reznor and Atticus Ross’ soundtrack work was perfect for my creepy novella,  The Painting ), but often, I just find myself distracted.

Enter: white noise. There isn’t really much exciting to say about white noise, to be honest, other than it’s great for blocking the outside world out. Now, I use it all the time, whether it’s quiet outside (it usually is — I live in the countryside nowadays) or not. It’s become a part of my productivity regime, and for that, I salute it.

I usually listen to this clip on my iPad. It’s free, and it’s pretty much endless, so it fits the bill.

3.) A Writing Tracker

I’m a sucker for keeping track of myself. I used to have so many of those days where I don’t feel like I’ve done as much as I actually have, so I realised I needed to create something to keep myself in check.

Now, I have a spreadsheet. I know, I know — I hate spreadsheets too, or at least I did. Now, I kind of love the things. All I have is columns for the date, hours written, word count for that session, and then two extra columns for the daily total hours and words.

It’s a great way of keeping track of things you might not  initially be aware of. For example, I used to be convinced I was a late night writer, but my 10pm to 10.25pm total was short of my earlier average. I was wrong about my own habits.

I’d really recommend setting up a spreadsheet as basic as mine. It’s heartening to see a novel’s wordcount grow, and provides you with plenty of motivation to continue.

4.) Freedom App

I’ve discussed Freedom in the past. Sick of being distracted by social media? Is researching your novel getting in the way of the actual writing of your novel? Then Freedom App could be for you.

Again, nothing overly exciting here: you key in a time and it blocks your internet for that number of time. The only way you can access the net is if you restart your computer, which for a lazy slob like me, isn’t worth the effort.

Freedom is available for Mac, and I believe there is a Windows version these days, too.

5.) A Folded Up Bolton Wanderers Ticket

‘Cause Apple’s Pages in full screen mode  still  doesn’t give the option to hide wordcount whilst writing, I have to do it that manual way. Damn them!

Yeah, I don’t like seeing my wordcount. If I’m checking my wordcount, I’m not focused. Don’t fall victim to the wordcount. Buy a Bolton Wanderers ticket. We could do with the extra fans.

Great points, Ryan. I think the key here is experimenting until you find what works for YOU, then go with it. Personally, I could never write with a timer going, that would make my anxiety levels go through the roof. LOL

Will, I couldn’t agree more! That’s why I’m always keen to say, ‘this is just ONE way of doing it’. I always find it somewhat discouraging when advice seems to suggest there’s only one way. Great tip.

As for the timer, my anxiety beats the hell out of me for twenty-five minutes, but it’s usually worth it at the end. 😉

William Wallace Cook, who published at the turn of the last century, wrote two 33K stories a week over several months. The advice in his book “The Fiction Factory,” was adopted lock, stock and barrel by another writer, Erle Stanley Gardner, the creator of Perry Mason.

(You are correct, of course. I just came across a book on Gardner’s methods, “Secrets of the World’s Best-Selling Writer,” and had to share.)

Two 33K stories a week! Wow, I think I might have to challenge Cook some day. 😉

I’ll have to check out Gardner’s book — I’m always keen to check out new reference books.

Great tips, Ryan. I have a full-time day job, so sometimes finding time to write is tough. I generally come in a half-hour before work so I can do some writing. And I eat my lunch at my desk and write during that time. Of course, it’s hard not to be distracted by phone calls and emails when I’m on my lunch break but I still average about 1,200 words per day with this schedule.

I haven’t tried breaking it down into shorter increments of time. I’ll give that a shot and see how it works.

Thanks, Merrill. I absolutely know where you are coming from in balancing the day job with the writing time. It’s tough! I think the important thing (and something Pomodoro proves) is to try and find those half hour spots scattered throughout the day. They really do add up.

Call it synchronicity, but I just heard about the Pomodoro Technique–from my hubby, an IT guy, no less–a couple days ago. I thought about using it for my day job, but not for writing. I will have to try it.

I haven’t had much luck writing to music; I find it too distracting. I love writing outside, though. Since so many of my stories are inspired by nature, it makes sense to be surrounded by the great outdoors while I write. It provides a great soundtrack. Now you’ve got me thinking about having some nature sounds in the background on days when I have to write inside. 🙂

And yeah, nature sounds will no doubt be effective. I agree regarding music — sometimes it works for me, but more often than not, it just gets in the way. If I am to listen to music, it has to be soundtrack work.

You’ve provided some awesome tips here, Ryan. Writing style is one factor that determines how fast you can write. Since my style tends to be more literary, I write slower than most authors and sometimes envy the speed of a conversational style.

Ryan, I agree 100%. I’m very prolific, writing on average 12k per day when I’m working on new projects, and have long since set my worries about speed to the wayside.

When I trained to be a journalist, speed was essential, as was writing quickly as a screenwriter. So why do we think books are different? With proper planning, focus and organization (not to mention trust in your ability), speed is just another tool in a writer’s arsenal.

I, too, listen to white noise, though I do write in one hour bouts–they just seem to work best for me. The key, I think, is ignoring convention and finding what flows for you, as an individual, tweaking the process until it fits like a glove.

12k per day! That’s seriously impressive — great job.

Speed should definitely be considered a writing tool. Really, it’s absurd to think that the longer spent writing a first draft, the better a novel should be. If anything, a first draft will be much tighter in voice and tone when written over a shorter period of time!

One hour bouts are something I wish I could do, but I’m just too distractible. Glad it works for you, though. Good luck right back at you!

Interesting! I’m going to have to try this, but the white noise would end up with something broken! I’m sharing with a friend who I think would greatly benefit from this from a health point of view! She forgets to eat while writing or editing and she’s always doing one or the other.

Ha, the white noise isn’t for everyone! I hope your friend enjoys the piece. Five minutes here and there (as well as longer half hour break after four pomodoro cycles) can really with organisation, eating, etc.

Hey Ryan, great post, I’ve been slipping productivity wise and dealing with the vicious guilt cycle that accompanies that! Im off to get freedom etc, about time I think. By the by, have you heard of Scrivener? It changed my life as a writer. Plus it creates its own epub versions as well. I would hands down say that it was the best 30 quid i ever spent.

Thanks, Kit! I have heard of Scrivener (I have a copy of it in my hard drive, in fact), and plan to start using it with my current WIP. It looks like something that will take a lot of time to get used to, but every writer I know who does use it say they wouldn’t even consider MS Word/Pages after using it. Thank you! I will try the The Pomodoro Technique. I like Dr. Wicked’s Write or Die! I am aiming for 2,000 a day (to re-write & edit my novel). I love using bristol boards on my wall and cue/index cards – I like to have a bird’s eye view on things. I have been considering getting Writer’s Blocks software. I write more when I have less stress about organization. And thank you Kit for suggesting Scrivener, it looks interesting!

Ryan – thanks for sharing your ideas. The Pomodoro Technique sounds like an excellent writing tool. I might have to use a silent timer though. Anything that ticks would drive me to distraction! I wonder if there’s an app for that… I am restricted to evenings for my writing, but I will be trying this technique tonight. Forcing oneself to sit down for the next available hour-and-a-half is very offputting. But twenty-five to thirty minutes at a time? Definitely do-able.

I would recommend Scrivener to anyone who is considering it. Sure, the tutorial takes a little time, but that applies to learning anything new. And it walks you through the process, holding your hand all the way – not like an instruction manual at all.

I tried this last night, downloading a free countdown timer onto my desktop and setting it for 29 minutes. Instead of procrastinating, I got three bursts of writing / editing completed…almost 90 minutes of work! On two occasions, I just kept going because I didn’t want to stop. Thanks Ryan!

You have saved my life! A urgent project was dropped in my lap more or less out of nowhere. 30,000 words, four days. Thanks to your post (I’d never heard of the Pomodoro Technique before, either) I was able to write 10,000 words every day, in a workday’s time (so about 7 hours): that means free nights, which equals the chance to unwind and wake up refreshed for more writing in the morning. And, I had one extra day to review the whole thing! Thank you so much for posting this one!

Great post! I used to get too distracted by music while writing, but I switched to Mozart and it’s been huge. The so-called Mozart Effect is controversial (i.e., the idea that listening to Mozart improves focus and turns you into a sort of genius), but I swear by it. At the very least, it’s trained me like a dog to write whenever I hear those notes.

How to Write 5000 Words a Day: 3 Irrefutable Rules

I am not doing NaNoWriMo , the brilliant writing challenge of November in which thousands partake. I should be though. But this November, I am writing 5000 words a day into my own non-fiction ‘novel’.

I am writing my next book and digital product, How to Crack the Code to Get Promoted (at your corporate job) and apparently, I have a lot to say on this topic. Lucky you, if you want the little-known secrets that no employer tells you but badly wishes you knew so you stop making the obvious mistakes and start closing the gap between what you need to do and what you think you need to do to get that darn promotion and move up the ladder already, but I digress.

This blog post is about writing. It is about writing with the kind of consistency that makes the prolific Stephen King go “Hey! Not bad at all!” although I am sure Mr. King would be far more eloquent but you know what I mean.

This blog post is about ditching your own excuses, getting out of your own way, and start writing. Write your overdue novel, your project plan, your 2013 goals in excruciating detail, your first book or fourth, your blog posts, your magazine article submissions, your newsletter, your proposals, your research paper, your journal publication, whatever it is you need to write. Writing is the essence of all wealth and knowledge and it is the most therapeutic way to get in touch with your soul. Writing is the basis of your life’s work.

How else are you documenting your thoughts, your dreams, your plans, your gifts, if you are not writing them?

Well, I could go on about why writing is essential to your very survival as a professional in any field, but you can read On Writing or a million other books and articles on that. I want to talk about how to get in the habit of writing 5000 words a day. Even if you don’t call yourself a writer.

If you feel yourself building a wall of resistance as you read those words, welcome to the Writing Resistance Syndrome club: You Are Not Alone! You probably have at least a dozen excuses on the tip of your tongue as to why 5k words a day is a ludicrous thing to attempt, even if you are convinced about the power and the benefits of writing. You have responsibilities. You have to take care of kids and dogs and cats and your house. You have a job. You have to make dinner or watch an episode of something important. You have to browse Facebook and check Twitter.

I know. And just because I don’t have kids or dogs (and boy am I dying to get a pooch but must hold off) or a job that wastes my time (not anymore, thank God), doesn’t mean I use every hour of my day productively. I admit, I don’t. I waste time as brilliantly as you, and no matter how many times I beat myself up for it, I continue to waste time. And this is why I am shocked and thrilled that I have discovered a way to write 5000 words a day nonetheless, while I still manage to waste time, and I am about to tell you how you can do the same thing.

It’s a funny irony how high you tend to rank your own productivity in a vacuum.

You may believe that you will produce books upon books and a suite of products on top when you quit your job and go solo or when your child is off to daycare or college or when your husband leaves town or when the holidays are over or when … [fill in the blanks].

You create this amazingly productive robot in your mind’s eye and when those things come to be, when you are finally sitting at the keyboard in your favorite part of the house, all quiet and happy, you will still be itching to do something else after 10 minutes or 20 at most. You will still get up and get another cup of coffee, or get a snack, or use the restroom – again – or remember that you need to call about the car or the fridge or check on a friend or go see if the mail has come by yet. You will be at your most creative, thinking of everything else that you should do really quickly before you really start writing . And this is how most of that first quiet “perfect” day of writing will go for most of us.

On subsequent days, you may hate what you write and scratch it. You may start reading about ways to write more efficiently and get lost in the world wide web for a few hours, telling yourself that you are doing research and getting ready to write “seriously” and to produce “great content” very soon. And low and behold, when you have exhausted your search and are finally ready to write more, you are bound to get interrupted by something that I guarantee will seem more “urgent” than writing.

And so the days and the weeks will go by, your other distractions will weave themselves back into your life and writing will sadly take the same old dusty backseat of “someday” syndrome that it has always reserved, and you will brush it off by saying, “I’ll need to develop a great writing habit one of these days, as soon as I get such and such done and over with in my life.”

Sound familiar? Or is that just me?

So how then do you write 5000 words a day when your mind and every fiber of your body loves to resist writing?

Here’s some stuff you don’t have to worry about as much as you may think:

You don’t need to kill all your distractions. Not by a long shot. You don’t need to go into a cabin in the woods. You don’t need to cut off the internet. Are you crazy? You don’t need to have someone hide your iPhone in an undisclosed location.

But here are 3 irrefutable rules that you cannot break:

1. Do not interrupt the writing flow. You know that inner voice whence your writing originates, that sacred little place inside your mind, that faint voice that you hear when you start writing. When it’s in full motion, and when you are in the flow, do not interrupt it. Wait until it has finished its say and take a break before the next cycle begins. The more you hear this inner voice, the more you tune into it and the more you believe in it. And the more you will write. So take your breaks, indulge in your distractions, and take time off for dinner too, but do not do it when the writing voice is in its flow.

2. Do not give in to the myth of “writer’s block”. There’s no such thing. It’s a myth. It’s in your head. It doesn’t exist. So that inner voice I talked about, it can get weak, it can get tired, and it can make your writing difficult. But it’s not a block. If you don’t have anything to say on this topic, try another. If you write garbage, write anyway. If you can’t think of a single word, think harder, more creatively, less restrained, more open, because you have not exhausted your full brain power by any stretch of imagination, or take time to read – you must read a ton of books as a writer, I hope you know that one – or meditate or take a walk but please don’t go around saying “Oh I have writer’s block!” When you give this myth power, you will have destroyed your ability to write consistently.

3. Do not go to bed without writing your 5000 words. This rules gives you all the freedom in your day as long as you manage to get your 5k in! So if you want to watch your episode of …. (Sorry, I don’t even know what’s been playing in the last 10 years on American TV.) then do it, but you still have 5000 words to write. If you want to take care of everything else first then write, then so be it, or if you want to get up 2 hours earlier to write, then that’s fine too. But tell yourself that you will get in those 5k words in every single day, and don’t take no for an answer.

Since November 5th, I have written 41,700 words into Crack the Code to Get Promoted using only these irrefutable rules, plus daily Ashtanga practice and a great many walks with hubby, not to mention one too many hops over to Facebook . I started out with 3000 words a day and then bumped it up to 4k and then 5k+. How many words can you write in one day?

Writing is not easy, of course not, but who cares about easy? Easy is irrelevant. Easy is uninteresting. Easy is for losers because easy doesn’t get you far. You are a winner. Winners work. Winners crush it. Winners put their priorities to the test, winners don’t take no for an answer, winners are not fond of excuses, and winners do things their way but still win, and I bet you anything, winners write . A lot.

So start writing already. That book won’t write itself now, will it?

How to Write 5000 Words a Day

Writing and creative work is hard.

Sometimes you sit there, pumped up and ready to get to it… and nothing happens.

Pen does not meet paper. Words do not appear.

And after what seems like a small eternity, when you finally start to write… it’s gibberish. Garbage. Unusable.

But it doesn’t have to be that way.

What if there was a way — a system — where you could consistently produce quality output, day, after day, after day?

Well, there is.

And I’m going to give it to you right now.

This is the exact system that I’ve used over the past year to publish two long-form articles every week, without fail.

On my best days I write 5,000 words. On my worst days, at least 1,000 words.

And the great thing about this is that it’s a system. This means that anyone can do it, and that you can always fall back on the principles of the system to help get your writing done.

No matter if you write for yourself, on Medium or anywhere else, you can use the same system to consistently produce quality output.

Most articles about writing discuss how to improve expression or how to get more views for your articles. Some even discuss inspiration and creativity. But very few cover an actual process for how writers can consistently produce good work over time.

So here it is — how to write 5,000 words a day.

Your inner game or mindset is the most important thing when it comes to consistently writing.

Here are some beliefs that I believe are useful for consistently producing good work in quantity.

Belief 1: Writing is a system and anyone can do it

Writing is a system.

Yes, we all have different levels of natural talent and acquired skill.

But at the end of the day, with a basic level of writing talent or skill, anyone can operate a system that still results in consistently good output.

Some people may object to the idea that a creative endeavour like writing can be systemised and turned into a routine.

This is silly.

By having a system or framework within which we can consistently produce creative expression, we are far more likely to actually produce work than without it.

This is the approach that Steven Pressfield of The War of Art takes — you have a system for showing up and practicing the war of art.

“Going to war” with your creativity means that you use routine and discipline, show up on time, put pen to paper and trust in your system for writing to get it done.

As is commonly said, routine sets you free.

Belief 2: Inspiration is perishable

I learnt this from Jason Fried and DHH of Basecamp .

They say that inspiration is perishable, so use it when you can .

I believe this is true — if you have a great idea in mind, you should use the momentum of that idea and ride the chaos and get your writing done during that time.

Whenever you feel creativity arise, just go for it.

And when you lack inspiration, you can fall back on belief #1, which is that writing is a system.

Belief 3: Quantity vs quality

Writing is a skill just like anything else. The more you practice it, the better you get at it.

In the beginning, it is likely that quantity will be more important than quality for you.

You just need to write many, many things and get in the practice. As James Clear puts it , when he started writing he would aim for producing two articles a week, so about eight a month. Of these eight, he expected two to be great, two to be bad, and four to be average.

Not everything you write has to be Pulitzer or Booker -worthy.

As your writing improves though, quality becomes more important than quantity.

This is when you understand the form of your writing, and your routine, systems and habits around writing are established and strong, and you can take the time to step back and hone your craft and words.

The truth that many writers don’t want to hear is that it is hard to produce quality material at the pace of more than two long-form articles per week.

If you want an example of this, check out writers who publish 5-10 articles a day on Medium. Occasionally they’ll produce an amazing piece, but most of it is frankly, poorly written and the ideas have not been well thought-through.

Some of these writers are in their “quantity” phase and that is respectable and admirable. But at some point, we all have to slow it down to produce higher quality work.

Belief 4: The best writing is not the most read

The uncomfortable truth of all arts (and business) is that the best works (and products) are not the most appreciated or used.

Just because you’ve created something amazing… it doesn’t mean that everyone else will recognise its value right away.

This is doubly true in today’s day and age given the amount of information and stimuli that people are bombarded with daily.

What this means is that while you may think your writing has amazing value (and it may very well have), you still need to sell it .

As an artist this flat-out SUCKS because you believe that the work you produce should be able to stand on its own.

But that just isn’t the way that the world works.

Don’t take it from me — both Peter Thiel in Zero to One and Ryan Holiday in Perennial Seller clearly and unequivocally state: Just because you build it, doesn’t mean they will come.

You not only need to produce great work… you also need to market it for it to be read.

Belief 5: You can’t please everyone

No matter how amazing, neutral or wholesome your work is, you will have haters.

Some people out there are just broken in some way or another and want to make their opinions known, usually in a nasty way.

Everyone who produces creative work, from the journeyman writer to best-selling authors, will come across haters during their writing career.

The best way to handle them is to just accept that you can’t please everyone and to move on. Some people will love what you have to offer and some won’t, and that’s OK. There are no awards for arguing with haters, especially on the Internet.

Belief 6: Writing is a small part of an overall process

Most people think that writing is this amazing moment of inspiration where you sit down in front of a typewriter and thoughts suddenly flow from your mind to your hands to the keys and hundreds of pages of manuscript appear.

The truth is the actual sit-down-and-write part is maybe 20% of the process. The rest of the “writing system” consists of planning, editing, polishing, proofreading and more. 1 Hat tip Dr Clare Lynch of Dorris and Bertie .

Tools for Writing

Some people are of the impression that a specific type of notebook, pen or writing app will make them an amazing writer.

This could not be further from the truth.

Nice notebooks, ergonomic pens and well-designed writing applications will make your writing experience more pleasant, but that’s about it.

My general advice is to pick whatever tools you like and are comfortable with and use them, as that will motivate you to write more.

Let’s look into some specifics.

Tools for planning

We’ll talk about the different stages of the writing process in the next section, but these are the tools I like for planning.

1. Mind maps

Mind maps look like this:

They are my preferred tool for research and planning articles as I can quickly rearrange ideas, writing flow and add/remove concepts as I need to.

I like Mindjet MindManager , others like Mindnode . There are many, many other alternatives available as well.

2. Outlines

Some people prefer outlines to mind maps and that’s perfectly fine.

They are literally a linear text document with some bullet points about the different concepts explored in a piece of writing.

This can be done in any word-processing application like Microsoft Word or Google Docs.

3. Collections

A collection is a compilation of papers, notes, post-its or ideas that you put together during your planning phase.

These add up to the overall theme of the piece you are writing.

For shorter-form pieces like articles or guides you probably don’t need a collection, but for something longer like a book or article series you will.

Some applications like Scrivener have a collection feature built-in, but a folder on your computer or a paper folder works just as well.

Writing apps and tools

There are many different apps and tools available for writers nowadays — and that’s a good thing.

I personally like and use Ulysses (which I’m writing in right now) as it has a typewriter mode, markdown support and publication features for WordPress.

I’ve also heard good things about Scrivener but haven’t used it for a number of years.

Pen and paper or a typewriter also work if you want to go old-school.

And of course, there’s nothing wrong with writing in Microsoft Word or Google Docs.

Editing tools

Editing tools are a more recent invention, and they essentially use algorithms to help you improve your grammatical and linguistic expression.

Grammarly is the most heavily promoted editing tool online. I personally don’t use it as I think my grammar is pretty good, but I’ve seen it to be incredibly useful for non-native English speakers.

Hemingway is a tool that helps you clean up expressions, complicated sentences and adverb usage, supposedly as Hemingway would have done. I do run all my writing through the app — and then proceed to ignore most of the suggestions 🙂.

Ulysses now has a built-in style editor powered by LanguageTool Plus . I haven’t used it extensively but it seems complementary to Hemingway and I’ll be running my writing through it as well.

Standard operating procedures for writing

The last set of “tools” I consider useful for writing are standard operating procedures (SOPs) .

SOPs are written documents that outline how to complete a certain process, in this case the stages of the writing process.

In practical terms this means that I have SOPs for research, writing, editing and all the other stages of my writing system.

These SOPs have checklists so that I don’t miss anything at each stage, and so that I know what to do next to push each piece of writing forward.

They also make writing easier on the days when I have little inspiration — as mentioned before, routine sets you free.

The Writing Process

Here is the full writing process and system that I use to produce consistent output every single day.

  • Writing, editing and planning are not the same.
  • Routine is important, but just sitting down and putting pen to paper does not produce greatness. Unless you’re Seth Godin .
  • Writing is only about 20% of the process.

This system is geared towards producing blog and online content but can be easily modified for writing other genres and forms — simply remove the “graphics” and “publication” stages and replace them with “typesetting” or what you require.

The Writing Process

1. Inspiration and ideas

Your inspiration and ideas come from everywhere.

Any conversation you have had. Anything you have read. Anything you have watched. Anything you have experienced.

As a writer, everything you eat, live, breathe and do can be sourced to create ideas for something to write.

It doesn’t matter where you get your ideas and inspiration from, but you must have a process for capturing and then developing them.

I recommend a quick capture/inbox system for quickly jotting down ideas when they arise.

Get them down first, and then work through them later.

I get most of my article ideas when at the gym, reading books, having lunches/dinners/coffees with others and working with clients.

2. Research and development

Once you have your list of ideas, you need to select one and start developing it.

Selection is dependent on what you are writing for (blog, Medium, magazine, book, otherwise) and I’ll cover my process for that in the How I Write section.

But for now, you can take a selected idea and start developing it.

This can be as simple as creating a folder on your computer to collect material related to the idea, and starting your choice of a mind map or outline.

I recommend starting with a brain dump .

This is where you sit down and get down all your thoughts related to the idea. It doesn’t need to be organised, edited or refined at this point, just get it all down.

Once you have done this, one of two things will be clear. Either:

  • Everything’s already there and you just need to organise it a bit. Or,
  • You need to do more research.

If you need to do more research , then do it. Look up your citations, research papers, perform fact checks and craft stories.

Note: Some pieces of writing require a lot of research, some will require none.

Once this research is done, go back to the brain dump step.

And continue alternating between brain dumping and researching until you’re happy with the initial outline/plan.

When you feel (yes, feel) that there is nothing more to research or get down on paper, then organise your outline or mind map so that’s it coherent and flows linearly.

Because it is always easier to write something if you know what the end is before you start.

Remember, research and development is 40% of our writing process and you should be spending the most time on it. If you get it right, then the rest is easy!

You will know that you are “done” with research and development when you can read through your plan, and see or hear the entire article unfold in your mind… before you’ve even written a word.

Finally — the actual writing process!

I strongly suggest leaving at least a day between when you complete your research and when you sit down to write. This is to let your brain consolidate your ideas and thoughts while you sleep, which makes for better writing.

You will want to use a deep work setup for writing. This means:

  • Your favourite beverage on hand (tea, coffee, water).
  • Some good music, with noise-cancelling headphones if you need them. I personally prefer instrumental/soundtrack music for writing.
  • Adequate time set aside. This really depends on the length of your piece and its difficulty level. A good estimate is one hour per every 2,000 words you want to write.
  • No interruptions. Close the door if you have to.
  • Put your phone in another room or a desk drawer, out of sight.
  • If you have a smartwatch, silence the notifications.
  • If you have a writing app with a focus or typewriter mode, turn it on.

Once you’ve set up your deep work conditions, it’s time to sit down and write.

I have my plan/mind map open on one screen, and type on my centre screen.

When I’m not at my desk I’ll use my laptop and a tablet as a second screen.

It is possible to alt-tab between an outline and your writing app, but it’s difficult, and second monitors are surprisingly inexpensive nowadays.

If your piece is 5,000 words (or even 10,000 words) or less, I would try to complete it one sitting.

And by that I mean one continuous “chunk” of your day, taking the necessary breaks for water, to use the bathroom, timeslice breaks and so on.

It doesn’t matter if it takes you 3-4 hours to complete — wherever possible, it’s better to get it all down in one go to preserve continuity in tone and tempo.

A couple of extra tips:

  • Try not to backtrack or edit as you write. Just get it all down first. You will have PLENTY of time for editing later.
  • If you are really unsure about something, add an annotation/note within the text and come back to it during editing. For example, I never link in full URLs while writing.
  • Learn to write in Markdown if you are writing for the web. This lets you add bold, italics, headings and more as you write, making your editing and publishing job much easier later on.

Ah editing. This is where the “real work” of writing happens.

Like writing and research, leave a day between when you finished writing and editing to let your brain consolidate what you have created.

If you have a research assistant, proofreader or someone helping you with your writing… this is the stage where they can help you, at any time.

Here are the specific sub-stages that I use for editing.

4.1 First edit

The first edit is simply you sitting down, and reading through the piece as a reader would.

Ask yourself:

  • What do you like?
  • What don’t you like?

And make changes as you go along.

Be liberal in adding things, cutting things and rearranging things.

Fix any stylistic, grammatical or expression issues as well.

If you get to the end and your gut feeling is that you don’t like what you’ve written — throw it out and move onto the next piece. There’s absolutely nothing wrong with that.

4.2 Tool edits

The second sub-stage of editing is to use the various stylistic tools available to you.

Hemingway App

I mentioned 3 earlier:

  • Ulysses’ in-built style suggestions .
  • Grammarly .
  • Hemingway .

This is completely optional and you simply run your text through the tool and edit as you see fit.

Remember that these tools are built on imperfect algorithms, meaning that you don’t need to take on all their suggestions. If in doubt, use your own judgement, not that of the tool.

4.3 Checklist edit

A checklist edit is exactly what it sounds like:

Using a checklist of sorts to edit your written piece.

This falls under the standard operating procedures that I recommended you create for your own writing process.

Depending on what you are writing for, this could be:

  • Proper citation formats.
  • SEO considerations.

It could also be stylistic items, such as:

  • Is your lede clear?
  • Is it clear who the article is for?
  • Is it simple to understand?
  • Could people skim this on their phone on the subway?
  • Does the writing deliver on its promise?

4.4 Edits to infinity

I like to do a second read-through of completed pieces after all the above steps.

This is very much like the first edit except your piece will be much more polished now.

At this point you can continue reading and editing pretty much forever until you are happy with the piece, and for longer pieces of writing, many rounds of editing may be necessary.

This is also a great time to have others help read over the piece for you.

At some point though you need to decide that it’s “good enough” and move onto the next stage in the writing process.

5. Graphics

If your writing needs graphics, diagrams or illustrations, this is the time to create them and insert them.

A tip I learnt from Mark Manson is to pick a general theme for your piece, gather lots of images related to that theme and then eliminate the ones you don’t want.

6. Proofreading

Proofreading is not the same as editing.

Whereas editing is about style and expression, proofreading is about grammar, typos and other errors.

The best way to proofread is to have someone else do it for you.

If you can’t do that, then you can do it yourself by reading your piece aloud, word-by-word.

By this point in the process, there should be no major changes.

By the end of proofreading, your writing is considered “done” and shareable with others — the rest is really just formatting and distribution.

7. Publication/Typesetting/Marketing

Technically, publication and marketing aren’t part of the writing process.

Whatever your plan is to package and distribute your writing, this is the stage for it.

Publishing could be uploading it to Medium, typesetting it as a book or posting it on your blog.

Marketing is simply what you will do to distribute and have others read what you have written.

How I Write

The system above can be taken, modified and used to produce any kind of writing that you want.

Everything that follows from here are idiosyncrasies that I’ve adopted to fit how I like to work and write.

You don’t need to adopt any of these to produce consistent, quality output on a daily basis, and I simply provide them as a reference point or inspiration for how you can implement your own writing system.

Write in batches

I mostly write essays, guides and articles for my website and these vary in length from 700-5,000+ words.

Because of this I like to work in batches of articles.

About once a month, I’ll sit down and look over the content ideas that I’ve captured and pick ten articles to start researching.

I have personally never understood the common concern of “running out of things to write about” because well… if you really understand and are passionate about a subject area, then you should be able to write about it pretty much forever.

This means that at any given time, I have at least 10 articles that are in the various stages of planning, writing, editing, proofreading or publication.

This is a form of batching tasks for efficiency .

If inspiration strikes however, I will often add an extra idea to my pipeline and just start working on it. This is the idea that inspiration is perishable and that you should use momentum to your advantage.

That’s how this guide came about actually — I was speaking with my friend Tom and mentioned that I had just finished a 5,000-word article that morning, and he said “I’d read a guide on how to do that”. And so, here it is!

Track using a Kanban board

Kanban boards are a project and workflow management technique originally developed by Toyota for car manufacturing.

In their modern form for knowledge work they look like this:

I use a Kanban board to track all of my writing.

As you can see, there are different articles at different stages at any given time.

The advantage of this is that I always know what is next for a given article: That editing comes after writing, that proofreading comes after editing and so on.

Each of these articles has a corresponding folder on my computer where I store the mind map, images and collected information.

Because I write primarily for my website, each article also has a category, an article type and even a unique identifier. The reason for this is that it’s much easier to say “tomorrow I’m going to write ART-101” than “tomorrow I’m going to write my article about writing”.

The screenshot above is from Asana which is what I use to manage all my work projects.

Each article task in Asana doesn’t have much in it. There may be an outline of the general article idea, and there are subtasks per each stage of the writing process.

There is also a due date which corresponds to the publication date.

Asana has a neat calendar view that lets me plan publication dates like this:

I have become quite efficient and effective with my writing which means that I am usually ahead on articles by 2-3 months.

In terms of management I literally just move articles through each stage of the writing process until they’re done.

Writing automation

I am a big fan of workflow automation and I use this to help me write more efficiently too.

In this case, I use Zapier alongside Asana so that when a writing task is added to my writing Kanban board:

  • It automatically receives a unique identifying number.
  • It has a folder created on my computer.
  • A templated mind map outline is copied into that folder, ready for me to start putting ideas into.

Note: This is completely optional and NOT necessary to consistently produce quality writing.

Content as #1

There’s the old internet marketing maxim which is that “content is king”.

What marketers refer to is that a brand or company’s content is the most important thing in its long-term success and promotion online.

I have a different take on this idea.

As a writer, writing is the most important thing that I do.

Without fail, every single day I will work on something related to my writing.

It will not always be writing. Sometimes it is research. Sometimes it is editing. Sometimes it is publication and formatting.

But there will always be something every day, and I make it a point to make it my most important task of the day .

This means it is the first thing I do every day, usually when I sit down to start work at 6am.

With some deep focus and this writing system, I can write 5,000 words a day because my systems, structure and routines are set up for it.

(For reference, this article is at ~4,000 words and I’ve been at it for about 1.5 hours.)

What To Do Next

Writing doesn’t have to be difficult.

With a proper system, I believe that anyone can train themselves to consistently produce quality writing and output, every single day.

Relax then, take deep breaths and begin writing after spending much less time thinking about your writing. You have to make sure that when you have left time, you devote yourself to writing.

Not starting to panic is very necessary, but many procrastinators are awaiting the final burst of anxiety and tension to enhance their effectiveness.

If you’re generally not a procrastinator, don’t let that ruin the essay for you. You still have a chance; you require to get the most out of every minute leftover.

3 Assemble your material in one spot

Take anything from snacks and drinks to pencils and papers, everything you may need to get through 5 hours of intensive writing. It would benefit if you considered your favorite workplace or your workstation for your 5000 words essay.

A positive work environment is crucial at this point, and all in one position should keep you focused on avoiding deviating.

It also ensures that all the knowledge and work you’ve done in one place will be compiled so that you don’t have to go around and forth between various activities.

4 Reduce distractions

Our smartphones are perhaps the most time-consuming inefficient devices for us, so make sure to put your phone in another room or fully turn it off, and maybe use it as a treat for yourself.

To maintain security, shut off the internet, or delete the software from your computer if you need to. But if you want to do research, then do one thing, firstly you should complete all the research work.

After that, you can start writing without any disturbance.

You can’t take risks at present, and wasting valuable time isn’t something you can bear. So, drop all your disturbances in some other place and isolate yourself from the world for those five hours.

5 Set a routine and manage your time efficiently

Managing time is pretty critical when you have a deadline of 24 hours for completing a 5000 words essay . Give some time to yourself to meet those goals.

Let’s assume it’s 9 am, and tomorrow morning, your essay is due first thing. If you’re thinking about how to write an essay quickly, you can follow a viable fourteen-hour schedule which we explained below: 

9 am – 9:30 am: Choose your topic for the essay and determine your ultimate aim.

9.30 am-11 am: write your essay plan and outline.

11 am – 11.45 am: Complete the introduction

11.45 am – 1 pm: mention quotations and references for analysis to back up the claims

1 pm-1.45 pm: break for lunch

1.45 pm-6 pm: write the essay body

6 pm-6.45 pm: break for dinner
