How to embed a video in PowerPoint from your PC or Mac

First, of course, you’ll need a video, either one online or from your media library. The next step is to find a way to make it play during your PowerPoint presentation. You could do it manually by bringing up the video from another website or program while you’re speaking, but that process is clunky and you might end up facing technical challenges.

Luckily, there are simpler and easier methods of embedding videos in PowerPoint. You can link to your video file externally or embed it directly in your presentation.

How to embed a video in PowerPoint in Windows

Step 1: select the powerpoint slide.

Launch Microsoft PowerPoint on a Windows computer and open a blank or existing PowerPoint file. 

Then, go to the slide you want to embed a video and select the Insert tab in the toolbar.

Step 2: Click Video > This Device

Select the Video option. Here, you can either embed a video from your computer or from an online source, like a website or YouTube and other supported platforms.

Click This Device from the drop-down menu to embed a video from a folder on your computer.  

PowerPoint supports MP4 files encoded with H.264 video and AAC audio. So, you can upload videos in file formats, such as M4V, MOV, ASF, AVI, MPG, MPEG, or WMV.

If you don't want to play a video full screen, resize it to your preferred dimensions.

For precise height-to-width proportions:

  • Select Format (PowerPoint 2013 or newer) or Options (PowerPoint 2010) in the Size group
  • Click the Dialog Box Launcher Icon image
  • Click Size, then select the Lock aspect ratio checkbox under Scale 
  • Enter your preferred height and width under Size and rotate or enter the percentage of size that you want in the Scale height and width boxes

Then, select Video Format to access formatting options like borders and effects or right-click the video for more options. You can also use the Designer tool to choose from professional slide templates. 

Then, click the Playback tab to trim your video, add captions, choose playback options, like In Click Sequence, Automatically, or When Clicked On.

Note: In PowerPoint for Microsoft Office 365 or PowerPoint 2016 version 1709 or later, you can use the In Click Sequence option. This way, your video can play in sequence with other actions you’ve programmed on the slide, like animations or transitions. 

To insert a web video, select Video > Online Videos . 

Note: PowerPoint supports YouTube, SlideShare, Vimeo, Stream, and Flip video providers.

Step 3: Click Insert

If you choose to embed an online video, copy the link to the video you want to embed and paste it in the blank field. A preview of your video will appear in the Insert video pop-up.

Note: You can’t change when an online video starts. But if you’re embedding a YouTube video, you can copy the video URL at the current time to link from a specific start time. 

Click the Slide Show tab to preview the video with all the formatting changes you made. Then, save your presentation to your computer or click the Share button to move or copy it to the cloud.

To embed a video in PowerPoint for Mac, you’ll need to save the video file in the same folder as your presentation.

Launch PowerPoint and open a blank or existing presentation, then select the slide you’d like to add a video to.

Step 2: Click Video > From File

Click Video to access video embed options from the drop-down menu:

  • Video browser
  • Video from file
  • Stock videos
  • Online film

Select Video from file to insert a video file from your Mac.

In the Choose a Video dialog box, select the video file you want to insert, then click the Insert button to embed the video on the slide.

If you want to put a link to the video on the slide, click Show Options in the lower left corner of the dialog box.

You won’t need to download and upload the video from YouTube and the video will load and play faster regardless of the file size. Plus, you can share video content that’s covered under copyright, so you’re not in danger of crossing any legal lines.

Step 1: click “insert video”.

Open a PowerPoint presentation and select the slide you want to embed your video.

Note: YouTube’s video file formats are similar to those PowerPoint supports, so your video will likely play without issues. However, YouTube supports some formats that PowerPoint doesn’t, including FLV, 3GPP, WebM, DNxHR, ProRes, HEVC (h265), and CineForm. If your video isn’t playing, check to make sure it’s a supported file format.

Step 2: choose “online film”.

Select Online Film . 

A URL pop-up will appear prompting you to enter the link to the YouTube video.

Step 1: take a screenshot of the video.

Find the video you want to link to in PowerPoint and take a screenshot of the clip. 

To take a screenshot in Windows, you can either use the Snipping tool, press the PrtScn (print screen) key and Windows Logo key on your keyboard. 

If you’re using a Mac computer, you can take a screenshot by pressing and holding SHIFT + COMMAND + 3 keys together (for full screenshot) or SHIFT + COMMAND + 4 keys to screenshot a specific area. 

Step 2: Insert the screenshot in your presentation

Alternatively, navigate to the slide you want to add your screenshot to, select Insert > Pictures > Picture from File . Then, find the screenshot you took, select Insert to add it to the slide, then crop, resize, and position it to your liking.

Step 3: Hyperlink the image to your video

Right-click the image and select Link . 

If your video is in Descript, copy the video link from your dashboard.

 Insert the video link in the address field then click OK .

The hyperlink will be connected to the image itself, not other elements on the slide or the entire slide.

Click Slide Show to test your video and ensure it links to the right video. When you click on the image, it will open in a web browser, ready for you to play.

  • The storage folder is corrupt

Your video might not play if the file is too big. To resolve this issue, compress the media file by going to File > Info > Compress Media. Then, select one of these options:

Microsoft PowerPoint presentations are great, but they are not as easily accessible as videos. Luckily, you can convert your presentations to videos with a built-in option. We'll show you how.

There are many reasons to turn a presentation into a video. Maybe you want to send someone a presentation but they don't have PowerPoint installed. Or, maybe you want to upload your presentation to a site that only accepts videos.

PowerPoint has a built-in option to convert presentations to videos. When you perform this conversion, all your original animations, transitions, and media items are preserved. Your resulting video also includes all recorded timings , narrations , ink strokes, and laser pointer gestures (though you can choose not to include these if you want).

To turn a PowerPoint presentation into a video, first, open your presentation with the PowerPoint app on your Windows or Mac computer.

In the top-left corner of PowerPoint, click the "File" option.

Click "File" in PowerPoint.

From the sidebar that opens after clicking the "File" option, select "Export."

Select "Export" from the left sidebar in PowerPoint.

In the "Export" menu, click "Create a Video."

Click "Create a Video" on the "Export" page in PowerPoint.

To the right of the "Export" menu, you will now see a "Create a Video" section. In this section, you will define the options for your video file.

First, choose the quality for your video by clicking the "Full HD" option.

Click "Full HD" on the "Create a Video" page in PowerPoint.

You will see multiple video quality options. Select the one that you think works the best for you. Know that the higher the quality you select, the larger the file size of your video will be.

To include the recorded timings and narrations in your video, then beneath the video quality menu, click the "Don't Use Recorded Timings and Narrations" option.

Click "Don't Use Recorded Timings and Narrations" on the "Create a Video" page in PowerPoint.

Select the "Use Recorded Timings and Narrations" option. If this option is grayed out, that's because you don't have any recorded timings or narrations in your presentation.

You will now specify how long each slide appears in the video. Click the "Seconds Spent on Each Slide" box and enter the duration in seconds. By default, this duration is set to 5 seconds.

Finally, at the bottom of the "Create a Video" section, click "Create Video" to start making your video.

Your computer's standard "save" window will open. Here, select the folder to save your video in, type a name for your video, and click "Save."

All these elements have options to select the number of repetitions of their action and the speed. The higher number of repetitions you choose, the longer it will take to finish its action. The speed will make the action faster or slower. You can toggle both to find the perfect combination.

The completed action of any of these animated elements will override a timed transition. The transition will wait until the animation is finished to go ahead and start. You can adjust the final length of your animated elements by previewing your slide and taking note of its length.

Additionally, you can customize the poses that the characters portray and also the color of their clothes and skin. These deep customization options will help you stay on brand when creating your video presentations.

Stock videos and video backgrounds.

Videos you add from the editor or import from your computer have the option to trim to a desired length, loop or autoplay.

Alternatively, use video as a background. Stretch it to fit the entire slide and position it behind all the other content. The edit settings are the same as a regular video.

These loop on their own and are ruled by the transition settings. Animated backgrounds stand out so make sure you are keeping a balance with the elements in the foreground.

Manual animations.

Animations can be added to everything on your slide, including the videos and animated icons. You can tweak the settings to control when elements enter and exit the slide.

There are lots of options for these animations and you can time them using the animation settings. Try to keep animations on the same slide to a minimum so they're not distracting.

Smooth transitions.

Transitions can be added slide by slide or to the entire presentation at once. If you don’t go into the transitions menu at all, Visme will apply a staggered enter from the side that already looks great for presentations that you have to click on to continue to the next slide.

For video presentations, you’ll need to edit your transitions to happen automatically according to what is going on in your slide.

In general, you can make the transition happen after a specific number of seconds but if you have an animated element or audio clip that lasts longer, the transition won’t happen until the longest one has finished its action.

For slides with added video, make the transition happen either when the video ends or at a calculated time after the video has ended. Both are available options in the transition settings.

Transitions can be set in different styles, slide from the side top or bottom, or a simple fade or zoom. For a balanced composition, use the same style of transition throughout.

But if you want to get creative, use different transitions to design a more creative flow. Just make sure you don’t go overboard.

Now, let’s take a look at how to add audio inside Visme.

To add a background sound clip, click on the top-left hamburger menu and select “Publish Settings”. This is where you can tweak your project's main settings. Click on the third tab "Sound."

Toggle background music on to release a dropdown that shows the options inside the editor or any .mp3 file you’ve added to your library.

Adjust the volume of this clip and choose if it will loop, fade in or fade out. You can also choose if the background audio will play at a specific point in time.

Any background audio will play under all other audio or video you add to the presentation. So make sure these are balanced and make sense together.

Inside the editor, you have the option of adding individual audio clips to each slide.

Choose from any inside the editor or upload your own. You’ll have the option to trim the length of the audio, its volume and if it loops or fades in and out.

Similar to the background audio, you can choose to start at a specific time during that slide’s progression.

When you add a video file that has audio in it, you can choose to keep the audio or turn it off. The option is inside the video settings in the “muted” tab.

You can add voiceovers to your video presentation in three different ways;

  • An imported clip to each slide

Create a presentation in Keynote on Mac

To create a new presentation, you first choose a theme to use as a starting point. Themes use coordinated fonts and colors for a unified look and often include placeholders that you can replace with your own content.

Create a presentation from a theme

To open Keynote, click the Keynote icon in the Dock, Launchpad, or the Applications folder.

If the theme chooser (shown below) doesn’t appear, click New Document in the bottom-left corner of the dialog. You can also choose File > New (from the File menu at the top of your screen).

Note: If you’d like the ability to format table and chart data using the conventions of another language, choose the language in the bottom-left corner before choosing a theme. See Format a presentation for another language .

In the theme chooser, browse the themes by category, then double-click the one that looks closest to what you want to create. To narrow the choices, click a category along the sidebar on the left.

Some themes aren’t downloaded to your computer until you choose them or open a presentation that uses one. If your connection is slow or you’re offline when this happens, placeholder images and slide backgrounds in the presentation may appear at a lower resolution until you’re online again or the theme finishes downloading.

Each slide layout offers a different arrangement of text and images that you use as a starting point for your content.

To add your own content to the presentation, do any of the following:

Add text: Double-click placeholder text and type your own.

Choose File > Save, enter a name, choose a location, then click Save.

Keynote automatically saves your changes as you work, so you don’t need to worry about saving your presentation manually. However, it’s a good idea to rename your presentation so you can easily find it the next time you want to work on it. You can change the name of the presentation or change where it’s saved at any time.

If iCloud Drive is set up on your Mac, Keynote saves the presentation to iCloud Drive by default.

To close the presentation, click the red close button in the top-left corner of the window.

Select a default theme for new presentations

You can set Keynote to always open a new presentation in a particular theme instead of from the theme chooser.

Choose Keynote > Settings (from the Keynote menu at the top of your screen).

Click General at the top of the window, then select “Use theme” in the For New Presentations controls.

The name that appears after “Use theme” is the currently selected theme.

Click the Change Theme button, select a theme, then click Choose.

To close the window, click the red close button in the upper-left corner.

After you change this setting, you can still open a new presentation with a different theme. Hold down the Option key, then choose File > New from Theme Chooser (from the File menu at the top of your screen).

How Do I Get PowerPoint on Mac?

Getting PowerPoint on your Mac is very easy. Just a few clicks, and you'll be ready to start making slides and building presentations. Here's what to do:

Open the Mac App Store by going to the Apple menu > App Store or the Applications folder > App Store .

You can also download PowerPoint directly from Microsoft , but these instructions focus on the Mac App Store.

Search for PowerPoint .

On the search results screen, click Get .

Click Install .

Enter your Apple ID password when prompted.

When the download is finished, click Open to launch PowerPoint.

Once you've opened PowerPoint, you'll need to sign into your Microsoft account or use a free trial.

Is PowerPoint Free for the Mac?

PowerPoint is not free on the Mac (or on Windows, for that matter). Microsoft offers a free, 30-day trial after you download PowerPoint. What Is the Mac Version of PowerPoint?

While PowerPoint may be the most well-known program for making slides and creating presentations, it's far from the only one. Your Mac probably came with one of the alternatives pre-installed.

Apple makes a program called Keynote which is a direct competitor to PowerPoint. It offers all of the core features of PowerPoint—creating slides and presentations, animations, templates, presenter mode, etc. It integrates tightly with Apple's other software and services like iCloud.

Keynote comes pre-installed for free on all modern Macs. It's likely in your Applications folder as you read this. If it's not, and if your Mac and version of the macOS are compatible with it, you can download it for free from the Mac App Store by searching for "Keynote."

Need to make slides and want to avoid both PowerPoint and Keynote? There are many other PowerPoint alternatives , but one place to start is Google Slides , which is free, web-based, and integrates with your Google account and other Google productivity tools.

To print PowerPoint slides with Notes on a Mac, open your presentation and select Print . In the Print dialog box, select Show Details . In the Layout box, select Notes . Configure the rest of your printing options and select Print .

The easiest way to record a voiceover in PowerPoint on a Mac is to record by slide. Select the slide where you want to add the narration, then select  Insert from the menu bar and click Audio > Record Audio . Enter a name for the narration, select Record , read your script, and select Stop when you're finished recording.

To convert PowerPoint to video on a Mac, open the presentation you want to save and select File > Export . In the export window, next to File Format , select a file format option, such as MP4 or MOV . Share sound from your computer in Microsoft Teams meetings or live events

You can include audio from your device while you're sharing content in a meeting. You'll want to do this if you're playing a video as part of a presentation, for example. Read on to learn how.

Include computer sound

To share sound from your computer:

Turn on the Include sound toggle.

When you share, all audio from your computer, including notifications, will be heard by participants in the meeting.

Note:  Teams and your computer need to be set to the same speaker. Adjust your computer’s audio output in your system settings, and your Teams audio output in your device settings in Teams.

On a Mac, you'll need to install a driver the first time you include computer audio in a Teams meeting. Just follow the simple wizard and select  Install  or Update.  It takes about 10 seconds for the installation to complete.

Include computer sound in a room with a Teams device

Teams devices allow you to share content using cables connected to the room console. Unfortunately, we don't yet support sharing computer sound this way.

If you want to share computer sound when you’re in a meeting room with a Teams device in it:

Join the meeting from your personal device by selecting Audio off when you join the meeting, which will automatically mute not only your microphone but also any audio playing from the Teams meeting to prevent echo.

To avoid echo, remember to keep only one device’s mic and speaker on in a room.

Try to minimize the number of apps you run while you’re sharing your system audio. If your computer is running too many apps, your audio could suffer.

Troubleshooting

Poor audio quality.

If your computer is running a lot of applications, you may experience issues with sound quality, like lagging or cutting out. If this happens, closing other applications can help.

If you’re using Windows, other sounds from your device (like notifications and alerts) are reduced in volume when you join a Teams meeting. Most of the time, that’s probably what you want so you can focus on the meeting. But if you’re sharing computer sound, the same setting that quiets other system sounds will also quiet the audio you’re trying to share.

To fix this, go to your system's sound settings, find your Sound Control Panel , select  Communications and then  Do nothing . Finally, apply the changes so others will be able to hear your shared audio loud and clear.

The Communications tab of the Sound Control Panel has four ways for Windows to handle sounds when you’re using your PC for calls or meetings. "Do nothing" is selected.

Include audio from your mobile device

Turn on the Audio toggle.

Tap  Share screen  > Start Broadcast .

Everyone in the meeting will now hear the audio from your device, and you'll see a notification on your screen confirming it.

Note:  This feature is only available on devices running at least Android 10 or iOS 13.

Share audio from a web browser

To share your audio in a meeting on Teams for web:

If you choose:

Tab , turn on the Also share tab audio toggle. This will share the audio coming from the tab. Only the audio coming from the tab will be shared. Audio from the rest of the computer will not be shared.

Window , you won't be able to share audio. 

Entire Screen , turn on the Also share system audio toggle. All the audio coming from the entire computer will be shared.

Select Share .

Select Stop sharing when you're done sharing.
