Next, address your cover letter to the hiring manager — by name if possible.

A standard cover letter salutation includes the hiring manager’s last name, and begins with “Mr.”, “Ms.”, or another relevant professional title.

Just remember that greetings like “ To Whom It May Concern ” and “ Dear Sir or Madam ” are old-fashioned and make your cover letter feel generic, so avoid using them.

If you can’t find the hiring manager’s name, you can address your cover letter without a name by using their job title or something like Dear [Department Name] Director.

While it’s OK to recycle a few strong sentences and phrases from one cover letter to the next, don’t even think about sending out a 100% generic letter. “Dear Hiring Manager, I am excited to apply to the open position at your company” is an immediate signal to recruiters and hiring managers that you’re mass-applying to every job listing that pops up on LinkedIn.

Step 2: Add your contact info

At the top of your cover letter, you should list out your basic info. You can even copy the same heading from your resume if you’d like. Some contact info you might include (and the order to include it in):

  • Go easy on the enthusiasm: We can’t tell you how many cover letters we’ve seen from people who are “absolutely thrilled for the opportunity” or “very excitedly applying!” Yes, you want to show personality, creativity, and excitement. But downplay the adverbs a bit, and keep the level of enthusiasm for the opportunity genuine and believable.

3. Next, make your opening paragraph stand out

To make your opening paragraph appeal to the reader, you can explain why you are interested in the company and why you would be a good fit for the role.

Example:  

I have been passionate about ABC Marketing’s campaigns and initiatives since I saw the commercial that featured singing goats in the back of a truck. I was thrilled to see the position of Digital Marketing Director open up at this company, and I am confident in my ability to contribute to this innovative and vibrant marketing team. My experience has included managing national marketing campaigns through both online and print mediums with budgets of more than $250,000. I have also successfully increased my current company’s client base by 14% in the last 18 months.

4. Then, explain your abilities and achievements

Your resume will outline your past responsibilities and roles, so use the next paragraphs of your cover letter to expand on your professional achievements in a unique, engaging way. 

I worked on 10 websites for various clients in a six-month period. Of those 10 websites, I was able to optimize eight of them to secure them in the top five hits on a Google search. I am continuing to work on the other two to further optimize them and increase their ranking in an online search.

5. Next, outline your research

When you apply for a job, it shows initiative if you’re willing to research the company and talk more about how your goals and vision align with the company values and growth strategy. 

The position describes the plan to expand ABC Marketing’s online portal focused on health care marketing. This project matches well with my abilities and past experience as I previously built an online portal for a client who was looking to expand their marketing efforts. My knowledge of SEO and digital marketing campaigns will certainly benefit ABC Marketing, which is why I feel I would be an excellent fit for this role.

6. Last, write a strong closing statement

In the final paragraph, express appreciation to the person who has taken the time to read your cover letter. You may also choose to highlight any additional skills that apply to the position you are applying for. Include a call to action, such as contacting you or following up with additional information. Finally, close with a friendly word or phrase, such as ‘Thank you,’ ‘Sincerely,’ or ‘Regards.’

How to choose a cover letter greeting

Also known as a salutation, the cover letter greeting is the single line under the header that usually starts with the word “Dear,” followed by “Mr.,” “Ms.” or “Dr.” and the hiring manager’s last name. 

Some cover letter writers choose alternatives to the word “Dear,” such as “Greetings” or even “Hello,” followed by the name of the person. These more casual salutations may be acceptable, depending on the company’s formality or lack thereof in the way it addresses the public. But beware of being too informal, and remember that “Dear” is never a bad choice.

It’s important to try to address your letter by name to the actual person who is processing applications for the job you’re seeking. If this person’s name is not mentioned in the job listing, it’s worth doing some research, or even making a phone call, to find out. 

However, in some cases hiring managers may prefer not to release their names, in which case you’ll have to resort to a more generic greeting, like “Dear Acme Corp. Hiring Team.”

If you do know the name of the recruiter, lean toward using that person’s last name, unless you happen to know the person well enough that this formality seems unnecessary.

In formal business correspondence, the greeting should generally be followed by a colon (“Dear Dr. Johnson:”). However, it’s also common to follow the greeting by a comma (“Dear Dr. Johnson,”).

Your cover letter introduction (the first paragraph, or sometimes two) should immediately capture the hiring manager’s attention, and not for the wrong reasons. You need to hook the fish before you start trying to reel it in.

The introduction should identify the job you’re seeking and provide a compelling preview of the reasons you’re a great candidate for this job. Typically, this will involve mentioning your years of experience in the field. Or if you don’t have much experience because you’ve just graduated from college, then mentioning the degree you just received may be your hook.

No hiring manager can resist that sort of job search pitch, let alone in the introduction of a cover letter. Including a pain point demonstrates that you understand the job and it also shows that you have the confidence in yourself to provide a solution. Confidence is everything in a job search - back yourself.

In some cases, it may be appropriate to mention how you heard of the job, or occasionally even to explain why you’re seeking a new job. And if you know someone who works at the company whom the hiring manager would also know, mentioning that person’s name might be useful. 

Use compelling, provocative language, and choose your words with care. Avoid clichés and common phrases the recruiter has seen a thousand times before, like “Please consider this letter my application for….” or “I am writing this letter to….”

The cover letter middle part or body (the central two to four paragraphs) should contain the “meat and potatoes” of your pitch.  Here you must make your case that you are the right person for the job. So, what to put in a cover letter body?

Include bullet points to make your best examples really stand out. If you have an achievement or three that you really want to feature prominently (ideally with a percentage improvement or impressive amount of money next to them), then bullet points are a perfect mechanism to break up the flow of text and draw the reader's eye.

Experience is key, so if you’ve got it, flaunt it. Your resume will list your past employers, but your cover letter should also stress your job-related experience. Don’t just mention where you’ve worked or for how long, but emphasize what you actually accomplished at these jobs. Use facts and figures where possible, like new revenue you generated, percent growth you achieved, number of customers you handled. 

Include accomplishments that are illustrated by action verbs. You can only prove that you have what it takes to smash your future role if you share examples of what you have achieved in the past. Including descriptive action verbs within these accomplishments will make them jump off the page. Offer context and quantify the accomplishment where possible - only then can an employer make an informed estimation of potential.

Try to include at least one anecdote, a short little story, about a challenge you faced at a past job and how you resolved it successfully. 

It’s always desirable to mention the company you’re writing to, and to explain why you admire this company and how you think you can help make it stronger, more efficient and more profitable. At the very least, this shows that you aren’t just sending out a mass mailing to 50 potential employers, but that you want to work for this employer.

Cover letter example: The body

What goes into a cover letter ending?

You’ve hooked the fish and reeled it in; now it’s time to pull it into the boat. Your cover letter ending (conclusion), the final paragraph, should wrap up and summarize your pitch. But it should also include a call to action that encourages your correspondent to do something as a result of this letter. 

Include a call-to-action that indicates a certain amount of urgency. While you should never be too arrogant with the last few words of your cover letter, saying that you are looking forward to the potential of an interview soon also hints at the fact that you will have other opportunities. You obviously want to be sitting there with a few offers in your inbox, so why be non-committal and coy about your chances? If you don't ask, you don't get.

At the very least, you could say that you are eagerly waiting for a reply. You might mention that you are always reachable at the contact info provided. You could say that you would be delighted to schedule an interview, whether in person or remotely. You may even want to ask if it would be all right for you to call the recruiter within the next week or two to follow up. Without being demanding or presumptuous, let this person know that you really expect a reply of some kind and you’re really looking forward to it.

Cover letter content: The conclusion.

Cover letter sign-off and signature: ‘Sincerely….’

The cover letter sign-off, or closing salutation, is the single line that says “Sincerely” or some equivalent phrase, like “Best regards” or “Thank you for your time.” Sort of like the greeting “Dear,” the closing “Sincerely” is never inappropriate and makes a good default. But there are a few acceptable alternatives — just avoid anything too casual, or anything that might sound odd.

Whatever phrase you choose, put a comma after it, add a space, and type your full name below that. If you’re preparing a hard copy of your cover letter, you need to sign it in the space between the sign-off and your typed name. This isn’t necessary in electronic correspondence, although you can add a digital signature here if you like.

A cover letter is an attempt to establish a personal connection with a hiring manager — a human being whose help you desperately need if you hope to get a job. Hiring decisions aren’t made by computers or robots, they’re made by human beings. And you need to write your cover letter like you’re also a human being — warm, interesting, passionate, talented and likeable. 

Nobody wants to hire someone they don’t like. So be very careful that the tone of your letter never makes you sound arrogant, presumptuous or egotistical. Confident, yes, but not overconfident. It’s important to find the right “voice” for your letter.

It is likely that you will apply for 10s or even 100s of roles, so make cosmetic changes for the roles that you are less keen on, while adopting a forensic approach to editing for the potential dream jobs.

Pay particular attention to the details of the experiences that you are sharing. Are these the sorts of things that you will be expected to do in the job in question? Check each sentence off against the job description and do not be afraid to make wholesale changes if required. Cutting out your "best" achievements is fine if they will not impress the hiring manager. You can mention them during an interview, by all means, but you need to get there first.

If you’re a “self-starter” who “thinks outside the box,” leave these clichés out of your resume. Also, avoid “fluff,” which is language that sounds fancy but really says nothing. Hone your prose so that every word serves a purpose, and delete every word that doesn’t.

They say that writing a cover letter can be gruelling. Well, it can. But not if you know exactly what to do, and how to do it right.

Here’s a handy checklist you can fall back on when writing your cover letter:

  • Make a professional cover letter header . See to it that it includes your full name, job title, and current contact information, as well as the addressee’s contact details.
  • Use appropriate salutation. Start with Dear , and follow it with either the hiring manager’s first name or Mr./Ms. and their last name, depending on company culture. If you have no idea who you’re writing to, you can use Dear Hiring Manager for example.
  • Divide the main body into three sections: start your cover letter with showing your biggest achievement, then explain how your skills will benefit the company, finally explain your motivations.

4. How to Format a Cover Letter

The best cover letter format is one that’s universal enough to be easily tailored to just about any position. Here are the basic rules of formatting a job-winning cover letter:

  • Put the addressee’s contact information
  • Date the letter

5. Do I need a Cover Letter?

Writing cover letters is no one’s favorite part of the job search process, and the body of the letter is the hardest part. This is where you try to capture the hiring manager’s attention and emphasize your unique qualifications for the job, without repeating the same exact information you’ve included on your resume.

The body of your cover letter is the section which tells the hiring manager what position you're applying for and why the employer should select you for an interview. You're selling your candidacy to the reader, so it's important to be specific about your qualifications as they relate to the position.

The body of your cover letter should include an explanation of why you're interested in and qualified for the job for which you're applying. These persuasive paragraphs are intended to convince the reader that you're the perfect person for the position.

A successful cover letter will win you an interview, so it's important to be compelling and show the hiring manager that you're a strong candidate. The hiring manager will spend seconds reviewing your letter or email message , which means you don't have much time to connect with the employer and make a positive impact.

The first paragraph of your letter should include information on why you're writing. Mention the position you're applying for and where you saw the listing. Include the name of a contact or reference, if you have one.

The next section of your cover letter should describe what you have to offer the employer. Make strong connections between your qualifications and the position requirements. Mention specifically how your skills and experience match the job you're applying for. Use several shorter paragraphs or a bulleted list of your qualifications rather than one large block of text. This will make it easy for the reader to quickly scan and absorb this important information.

Conclude your cover letter by thanking the employer for considering you for the position. Include information on how you will follow up if you have the contact information for the hiring manager to do so.

The rest of letter is important, too. You will need to include your contact information, which is listed at the top of a written letter or below your signature in an email cover letter.

Your letter also needs to include a professional greeting, a professional closing, and your signature. You will sign your name on a printed cover letter. If you upload or email your cover letter, your signature will be your typed name.

This is especially important if you’re submitting your cover letter and resume to an online listing. To get past the applicant tracking system and to a real human being, your cover letter will need to contain the right keywords. To find these, scan the job listing for keywords related to the skills and qualifications required.

If you're emailing a cover letter , list your contact information after your typed name instead of at the top of the letter.

Don’t feel the need to go on and on. Three well-written paragraphs that highlight your experience and make your case are better than a lengthy letter that no one will read.

Although you might have written a resume before, cover letters can be a bigger mystery. The good news is: by following a simple, three-paragraph process, you can quickly write a cover letter that will get attention and likely lead to a job interview!

What Is a Cover Letter?

Imagine you’re handing your resume to someone in person. Maybe you’re at a job or career fair, going into an employer’s office, or even handing it to an acquaintance so that they can get it to the hiring manager. You wouldn’t just give that person your resume, turn, and walk away without saying a word. You would probably take the time to  introduce yourself  and explain why you’re giving that person your resume, how you found out about the job, and why you think you’re qualified for it.

That’s the  purpose of a cover letter .

The cover letter is a more personalized introduction than your resume. It’s a message that represents what you would otherwise say in person, face-to-face. It should be uniquely written for each company and position, follow a standard; one-page business letter format, and consist of three to four paragraphs. If possible, it should also include the hiring manager’s name.

The cover letter usually accompanies a resume. It allows you to expand on the  information in the resume  or explain something that might appear as a red flag or barrier to employment. However, just as important is that the cover letter allows the recruiter to assess your written communication skills!

Why Do I Need a Cover Letter?

Cover letters aren’t always required for a job application. Often, they’re listed as an optional document. Most applicants  won’t  submit a cover letter because of this (let’s face it, job applications can take a lot of time!). However, this also means that submitting a cover letter is an extra step that will help you to stand out from the other applicants — and show how interested you are in the position!

How Do I Write a Cover Letter?

Here’s how to write a cover letter in three easy paragraphs:

Paragraph 1 (About You)

This is where you briefly introduce yourself, what position you’re interested in, and how you discovered it (i.e., job posting site, flyer, social media). If someone recommended you for the position, drop their name in the very first sentence and include their title and affiliation.

Also be enthusiastic! List three of your most important or impressive qualifications from your resume to explain why you’re applying for the position. You may also wish to include the degree or program you’re currently studying.

Example: I’m applying for your Human Resource Specialist position found on LinkedIn, as recommended by John Smith, your Office of Human Resource Manager. I would be a valuable addition to your team, with my five years of administrative experience, BAS in Organizational Management, and Microsoft Office certification.

Paragraph 2 (About the Company)

Answer the question “Why do you want to work here?” by researching the company and writing about at least one way that you resonate with its culture, values, or mission. You can get great information by visiting the company’s website (check the About Us or Mission/Vision pages) or by looking them up in the news category of your favorite search engine. Emphasize how your experience meets the company’s needs and why it would be a privilege to work for them.

Example: Congratulations on your team participating in a local Habitat for Humanity build. I would love to work for an organization that is so committed to improving our local communities. I’ve personally participated in four Habitat for Humanity builds; the skills I’ve learned, coupled with the knowledge I gained, have inspired me to seek out other, similar volunteer opportunities within our community.

Paragraph 3 (Thank You and Closing)

Be sure to thank the employer/hiring manager, provide contact information, and mention that you look forward to hearing from them. Express enthusiasm about an upcoming interview!

Example: Thank you for your time and consideration. I look forward to discussing my professional experience in greater detail in an upcoming interview. You can reach me at [phone number] or [email address].

It's a myth that high quality job openings are few and far between thanks to Covid. The truth is, despite the economic uncertainty created by the pandemic, there are many great openings out there. And to get them—or, at least, have a chance at getting them—you first need to capture the attention of hiring managers. And the best way to do that is to write compelling cover letters. So here are the three keys to writing cover letters that stand out.

1. Convey your personality, quirks and all.

Showcasing your uniqueness and allowing your personality to shine through in your cover letters can magnetize hiring managers, sending instant messages that you might be the candidate they're looking for. The secret to achieving this is to use specific details, rather than vague ones.

For example, the following was recently used by an applicant when applying for a Head of Marketing position (shortly after sending this, the candidate was interviewed and then hired):

“I have a passion for data and analytics. I enjoy spending (a little too much time) geeking out in Google analytics, advertising platforms, and BI tools (Tableau and Looker), digging deep into data to identify opportunities that can be leveraged to drive growth and inform testing strategies for campaigns, websites, and products.”

Now compare the above to the below (which has less personality and fewer details, and thus would likely not stand out):

“I am well versed in data analytics, and I am experienced with Google analytics, BI Tools, and other advertising platforms. I have a proven ability to inform testing strategies for campaigns for websites and products.”

Here's another example of cover letter phrasing that captures the attention of hiring managers:

“I'm rather obsessed with personal organization. I read three organizational blogs on my own time, and I've organized my desktop folders into color-coded sub-categories. My friends laugh at me for saying things like, ‘An organized space equals an organized mind,' but I don't like wasting time looking for things.” 

Now compare that to this less specific phrasing:

“I have a proven track record of being organized, and I have a passion for it. I have a proven knack for keeping files organized on an ongoing basis, and I have put organizational processes and procedures in place for my department. The bottom line is organization is always my highest priority.” 

2. Prove your level of dedication to your profession.

Another way to stand out is to illustrate specific things about your dedication to your field. In the following example, a candidate showcases her dedication to her profession, proves that she spends a lot of time thinking about driving results in her field, and shows that she takes concrete steps in order to be a high quality contributor in her field. All of which goes a long way when it comes time for hiring managers to decide which candidates to interview. 

“I believe that a good marketing strategy requires seeking out the latest trends and staying one step ahead of the competition. I've attended the Traction conference two years in a row and completed the 2018 Reforge Growth Series, a highly credible and exclusive course that only accepts 10 percent of applicants and is built by leaders from Hubspot, Uber, and other firms. Through these professional developments, I've opened my mind to uncommon marketing methods, and I pride myself on thinking outside the box to develop strategies that create sustainable, low-cost customer acquisition loops that lead to long-term positive ROI.” 

Now compare the above to the below, which is less detailed and includes less specific phrasing:

“I have the skills and requirements for this position, and I believe I would complete every task asked of me to the highest standard expected. My background and experience make me an excellent fit for this position for many reasons. I am very interested in marketing, and I think I would be a great asset to the team.”

3. Include concrete, quantitative results that show your value.

In any written application, you'll need to showcase some form of quantitative results to stand out. Note that even if you don't have a lot of shiny results in your career yet (or even any relevant experience—which is okay!), you can still use words to capture someone's attention with what you have done. And if you do have a record of achieving quantifiable results, then by all means include them, like in the below:

“I developed several Google ad campaigns that were worth more than $500,000 and that resulted in high-level customers. Also, through testing and optimization, I increased newsletter sign-ups by more than 200 percent.”

Now compare that to this bland sentence:

“I have experience in Google ad campaigns, as well as experience in testing and optimization.”

A final note

When trying to convey your personality, get across your dedication, or communicate your value, there's a big difference between saying you're a good fit for the job and actually showing it.

So, when writing your cover letters, try to hold these words in mind: I know you (the hiring managers) don't know me, so let me show you exactly why I'm completely invested, committed, and passionate about doing this specific type of work. And let me show you the specific reasons why hiring me, over all other candidates, would be beneficial to you.

If you hold all this in mind, the right details and words will flow right out of you—and into your cover letters.

You’re sitting down for your interview and the interviewer says, “Tell me about yourself.”  What’s the first thing you think of when you hear those words? It’s a question about who you are, so it’s bound to be easy. Right? “Tell me about yourself” is often the very first thing you’ll hear during your interview. After all, you and the interviewer are both new to each other. What they do know about you so far consists of details on your resume, cover letter , or possibly, already, recommendations. They’re posing this question to get to know you as a person, and you’ll most likely be asked this for every new interviewer you have, from the first introductory screening up until the very last interview with the head of the department. Let’s dive into the very nature of this question and explore how to answer “Tell me about yourself” (examples below) successfully.

Why do they need to hear my answer when they already have my resume and cover letter?

Just as you’re figuring out who your interviewer is, your interviewer is doing the same. The interview will begin with friendly small talk to get you both situated. “Tell me about yourself” then becomes a way to ease into the rest of the interview. It can help inform the interviewer on how to steer the next questions.

What you say can catch enough of their interest to ask a relevant question. Or they’ll move on from it. The details and the story you choose to share will help them assess what types of questions they should ask you. Throughout the entire time, they are noticing what makes you different from other candidates.

Other ways they’ll ask “Tell me about yourself”

During the interview, you could hear those exact words, or the interviewer can say:

  • “Tell me a bit more about your background.”
  • “Could you summarize your most important achievements?”
  • “I’m going through your resume, but would love for you to walk us through it.”
  • “I already looked at your resume and cover letter, and it’d be great to know more about who you are.”
  • “Describe your journey so far.”
  • “Is there something unique you’d like to share about who you are?”

It’s challenging to decide how to answer “Tell me about yourself” because you need to be confident about the examples you’re choosing. Much like a personal statement, you’re giving them a snapshot into your life. You’re in control of what you choose to say.

Know how to answer “Tell me about yourself”

Choosing the right parts of your life to talk about can pave the way for a successful interview. Let’s dive into the key points you should cover:

1)Talk about the experiences, achievements and skills you have that are relevant to the job. This then leads into how you would be the best candidate for the position.

2) Explain the previous jobs you’ve held and how that led you to your current one. Then go into how your current job has brought you to this new role you are applying for. This can also be a good opportunity for you to mention what your goals are in the future.

3) Show your personality while you’re speaking, making sure you’re communicating clearly and positively, while giving examples of how you’ve connected with people throughout this time. Presenting this proactive side of you will only strengthen your profile.

4) Demonstrate what you’ve researched about the company by explaining how you see yourself in the job. Share about what you’re most looking forward to in the job and the company.

“Tell me about yourself” in the past, present and future

Finding the right flow in relaying your own narrative can be a tricky task. It’s helpful to have a general format of which times of your life you’re pulling your examples from.

Two recommended ways of how to “tell me about yourself” in an organized format are:

1) Present – Past – Future

  • You can begin by describing what your current job entails and what your responsibilities and accomplishments are. Then you can share how you got to where you are with your current job, which will lead you to describe more of your professional background. To conclude, you’ll then talk about what your goals are and why you’re so interested in this new position.

2) Past – Present – Future

This format would have you begin with how you arrived at your current job, giving you a chance to explain your professional history right away. You can also mention what has always inspired you to become who you are today. This leads right into what you do in your current role, what responsibilities you have and what achievements you’ve accomplished. Then you’ll finish off, just like the “tell me about yourself” format above, with why you’re the right person for this new job.

Tell me about Yourself Examples (Continued) 

There’s no “fixed” order for how to tell this to your interviewer, but it’s important to choose the examples that highlight your best skills and attributes relevant to the new job. What’s most crucial is to always tie it back to the new job and the new company you’re applying to. This means that if your past work experience ties more directly to the new job, then it makes sense to begin there. Similarly, if your most recent work experience is more related to the new role, then you can start with that example.

The interviewer is there to assess whether or not you’re the ultimate fit for their team. In that sense, it’s always helpful to end your “tell me about yourself” story with why you’re the right person for the job.

Key advice for “Tell me about yourself” answers

Now you’ve got a general timeline structure set in place. But before we dive into “tell me about yourself” examples, let’s look at some quick ways to strengthen your response:

1) Your first impression will make a difference.

2) You are your own curator.

3) Understand who your interviewer is.

4) Remember this is a professional interview.

5) Tone can influence the entire conversation.

6) Stay focused: everything should point towards the new job.

7) Be authentic but prepared.

8) Speak with positivity and enthusiasm, but don’t overdo it.

“Tell me about yourself” examples

Every “tell me about yourself” answer will be different depending on the person, but having some examples on hand can help. Take a look at these examples below that make for a strong answer.

1) You are applying to a completely new industry:

For over seven years, I’ve worked in business development and have focused on building longstanding relationships with clients. My most recent role was as the senior manager for a startup tech company that ran a database platform for journalists around the world. I helped connect the right partners to our company and promoted our mission on global trips across Africa, Asia and Europe. Now I’m interested in branching outside of business development and stepping into fundraising to broaden my scope. Fundraising is a field I’ve worked very closely alongside throughout my career and have always found fascinating. I’ve been wanting to join a team where I could apply my business development skills into a fundraising leadership position, and this is why I’m so interested in this role at your company.

2) If you are searching for a similar job to the one you have now:

Since I was in college at the University of Michigan, I’ve been absolutely passionate about journalism and media . As you can see on my resume, I was the editor-in-chief of our student newspaper and I helped to create an incubator on campus for students who wished to become investigative journalists. This only spurred my love for journalism, and upon graduating, I began working as an intern at the Los Angeles Times, assisting some of the lead journalists covering politics across the Southern Californian region and eventually being able to help write and edit copy for newsletters.

I worked my way up to become an assistant editor, which made me fall in love with the editorial process and editing for a large newspaper. After working as an assistant editor for the past three years, I knew I wanted to start finding work as an editor. With what I’ve learned as an intern and assistant editor at the Los Angeles Times over the past several years, I always imagined myself covering news back home in Michigan. When I saw this opening for the editor position, I knew I had to apply because it’s been a dream of mine to work with your company.

 3) Maybe you are going from an agency to an in-house position:

I’ve been an account manager at Paris Parties for five years now, and I’ve been responsible for overseeing our top client accounts. I’ve established long-lasting relationships with each of Paris Parties’ biggest clients, as going above and beyond for our client has always been my first priority. Prior to Paris Parties, I worked at Hollywood Events, where I managed over 50 of their largest clients across the creative sector. I always loved the work I did as an account manager at both agencies. But I’ve been looking for a new challenge, to step into more of a leadership role, so as soon as I saw the opening at your company, I knew I had to go for it.

4) You’ve just graduated and you’re applying to your first job

I graduated from New York University in May, and I majored in English and American literature and minored in Spanish. I always knew that I wanted to work in a nonprofit organization that helped promote literature around the world. Throughout my time at NYU, I volunteered and interned at several nonprofits such as UNICEF, where I helped organize events for donors in New York City to help raise funding for girls’ education. One of the greatest experiences I had while interning was when my team and I were able to increase our donations from last year by 35%, compared to the 12% the previous year.

We were able to send more books and educational materials to girls around the world who otherwise would have not had access to these resources. It made me wonder what else I could do with my English literature degree, my foreign language skills and my passion for education. I wanted to truly make a difference. Since then, I became passionate about fundraising for children’s rights and access to education, which is what led me to apply for the associate fundraiser role at your organization.

 5) Searching for a new role in the healthcare sector:

My work experience in customer service had unexpectedly led me to pursue a career in the healthcare sector . Working as a waitress for three years made me understand how to listen to the needs of people. When I was serving a table of pediatric nurses one day, I heard them talk about their work and I knew I had to explore this field. I’ve always been someone interested in improving the lives of others, whether it’s through providing perfect customer service. After three years at the restaurant, I was promoted to restaurant manager because my supervisor noted my dedication and passion for serving others.

Every night after work, I studied on my own to see how I could enter the healthcare industry as an administrator. And that’s how I went back to school. Upon graduating, I began to build my career in health administration, working my way up to get to where I am today at Mountainview Hospital. I’ve been overseeing the office and managing staff and patient relations for nine years now.

This past April, I worked with the interns and senior management to create a “career day” to bring our office closer together. It has been an immense pleasure to hold our weekly meetings and regularly involve the IT team to ensure our computer systems are all up to date. As it’s now the end of my ninth year at Mountainview Hospital, I’ve been searching for new ways to branch out, grow and contribute. And I was incredibly interested when I learned about this position at your hospital.

 6) If you’re looking to change careers:

For over a decade, I’ve worked in marketing as a marketing director, leading campaigns and amplifying my current company’s messaging through high-level engagement. Throughout the past five years, I’ve been leading a team of fifty in our marketing department to reach and surpass our monthly, quarterly and yearly goals in ROI. It has been one of my greatest joys to watch the employees under my care grow into the professionals they are today, and it’s always fulfilling to see such professional and personal development. I’ve thoroughly enjoyed watching my team work across departments to ensure that we meet our goals, and especially, working closely with the public relations department.

Since I first came to my company as a marketing associate, I learned quickly how intertwined the marketing and public relations teams are, and I’m incredibly grateful to have had the career in marketing that I’ve managed to build. The more I worked with our public relations director, the more I also realized that I’ve gravitated towards developing more creative, media-facing solutions to campaigns for the company. Together, we were able to create significant events and turnarounds for our entire team, and I found myself eager to focus on media strategies and improving our company’s public image. After much consideration, and with our public relations director’s recommendation, I know that making this switch into public relations is the path I’m now meant to pursue. Show them who you are

So where do you even start? How much should you actually say about yourself in an interview? Prepping for the inevitable “Tell me about yourself” can be a stress-inducer, especially for a job with a heavy workload. But it doesn’t have to be, even if you’re applying for one of the happiest jobs in America . Hopefully, with the information shared above, you’ll now have a better idea of where to begin.

Remember, you don’t want to share with the interviewer every single detail from your professional life. However, you do want them to know about certain experiences that have shaped you to be the professional you are today. Striking the right balance is key.

How to Address a Cover Letter

Learn how to address a cover letter under different circumstances and how to find a contact to send the letter to when you don’t have a name.

When you're applying for a job or contacting an employer speculatively, the format of your cover letter will vary depending on whether you have a named contact and the reason for your letter. It's important that you address a cover letter correctly, as it's the first thing the reader will see. It needs to be professional and create a good impression.

What is a cover letter, and why is it important?

A cover letter is a document sent with your CV or application for a job opening. A great cover letter shows your reason for applying. It also pulls together all the main evidence supporting why you're the best person for the job, as outlined in your CV, application, and other supporting documents.

Each cover letter you write is highly tailored to the position you’re applying for and the hiring company. It should address essential criteria and elaborate on important points in your CV. Consider your cover letter to be your sales pitch. A great cover letter invites a recruiter to read your CV or application.

Who do you address a cover letter to?

Your cover letter should be addressed to the person responsible for recruitment. If you don’t know the person's name, there are ways to find out. Finding the name can be the difference between your letter being read or lost in the pile, so follow the guidelines below to make sure you address your cover letter most effectively.

Addressing a cover letter with a name

This is the best start if you have a name for your recipient. This means the letter will likely be delivered to the right person rather than lost or sent to someone without the power you need.

A cover letter is a formal document that should be addressed as such. The most professional way to do this is with "Dear." For example:

Dear Mr. Miller

Dear Ms. Jones

Dear Dr. Sullivan

If you don’t know the person’s gender or preferred pronouns, you can use their first name. For example: "Dear James Miller." Don’t include a comma or colon after the greeting.

Addressing a cover letter to a recipient with a professional title

If the recipient of your cover letter has a professional title, always include it. Someone with a PhD will be a doctor rather than a Mr/Ms. This also makes things easier if you need help deciding which personal pronoun to use.

Addressing a cover letter without a named recipient

It's worth finding one when deciding who to address a cover letter to when you don’t have a name. This is covered in more detail in our ‘First steps in determining a recipient’ section below.

If you absolutely can’t find a name, address your cover letter to the appropriate department within the company or organisation. For example, "Dear [Department] Hiring Team". You can use that if you know the job title of the person you need to send your letter to, and it’s just their actual name that eludes you. For example: "Dear Head of [Department]" or "Dear Director of [Department]".

Addressing a speculative cover letter

When writing a speculative cover letter that isn't in response to a job posting, the principles are much like the above. You may or may not know the name of the person you're trying to reach. If you do, so much the better. Include the name.

The difference with a speculative letter is that a mutual connection may have given you the name of the appropriate recipient. If this is the case, mention that connection in your introduction. For example:

Dear Mr Morris

My former employer, Jenny Lee of Brandenburg and Associates, gave me your details after your new customer service department was developed.

Addressing a cover letter sent by email

Addressing a cover letter to send via email slightly differs from a printed one. A printed letter would include the recipient's address and the date, which is unnecessary in an email, as the letter will be the body of the email.

However, your email still needs to be as professional as a traditional cover letter. Formally address the letter, as you would in a printed cover letter. 

The subject line and an email cover letter are important to notice amid the hundreds of emails a recruiter might receive. Include your name, the job title you’re applying for, the reason for contact, and what is included in the documents you're sending. An example would be:

Helen Williams – Marketing Manager Position – CV and cover letter

If you have a recipient’s name but you're sending your email to an "info" address, you can include "FAO" (for the attention of) in your title:

FAO Mark Booth—Helen Williams—Marketing Manager Position

How to find the right recipient

If you don’t have a recipient for your cover letter, you'll need to do some research. You might even have a name but not an email address. Here are some tips for hunting down elusive contacts and their addresses.

Research websites

Check out the company website and social media sites. Use Google to piece together what you know and find details on lesser-known websites such as About pages. For example, if you know the desired department to contact, you can search for "Head of Marketing for [Department]" and see what it brings up.

If you have a name but no contact address, you can search for your contact: "Mr. Jones, Head of Marketing at [Company]." If you need a contact email address, you may find a social media page.

Call the company

The good old-fashioned telephone is an excellent way to find a contact for your cover letter. Call the company, explain why you are calling, and ask them to whom best to send your cover letter and CV.

Check LinkedIn

LinkedIn is a great tool for finding people thanks to its built-in and highly effective search function. You can search by the person's name if you have one, and for a more advanced search, you can add the company and location. If you find the person you’re looking for, you will see a "Contact info" link on their profile under their name, so you can attempt to message them and ask. 

If you don’t have a name, you can search the company and see who is listed as an employee. If the person you want isn’t listed, you may be able to contact someone in a related department, such as HR, and ask for assistance. You may even be able to get an introduction from a mutual connection.

Formatting your cover letter

The format of your letter is as important as who you send it to. Once you’ve tracked down the most appropriate recipient, you will want the rest of the letter to stand out, too.

Address and date

Your letter should be professionally formatted with your name, address, phone number, and email address in the top left. On the next line down, add the date. Then, on the left, add the name and address of the recipient. Under that, address the recipient with "Dear [Name]" on the left of the page as well.

If you send your letter digitally, which is far more common nowadays, it should be in the body of the text. At the top, you need to include the date, your city or town, country or province, phone number, and email address, but not the recipient's name and address.

Using a cover letter template can be very helpful. Generally, cover letters follow the same format (aside from the address at the top) and should ideally be no longer than a page, whether printed or emailed. Feel free to download this cover letter template for your use.
