From as early as primary school, most  Zambians learning institutions will always include a component of letter-writing in the curriculum.  Letter-writing may seem a boring subject, but it plays an important role in the workplace. There are several types of letters one may need to write, during the course of one’s career. These include application letters, resignation letters, appointment letters, thank you letters, offer letters and much more.

Since these types of letters carry different content, they are written in different ways. However, the difference in their content does not mean that they do not share some key components. Layout and appearance, for example, are universal components that are found in every letter one writes.

What is a Cover Letter?

When applying for a job, a cover letter should always accompany your CV. The ideal cover letter describes your qualifications, motivation and shows your interest in the job. It should show your best side! This way, you allow the employer to get a brief and positive idea about you.  

In the cover letter, do not repeat the information already listed in your CV but instead, include details such as your experience, ability, skills honed, knowledge gained and information related to a particular job.

The general rule is that an application letter must have three parts namely first, second and closing paragraphs.

The first paragraph elaborates what job you are applying for and why you are interested in that particular job.

The second paragraph highlights your qualifications for the job and your interest in that particular organisation. In this paragraph, applicants may use one or two accomplishments to illustrate the skills and experience they might bring to the company. It is initially a brief personal motivation. Also try to communicate your interest in the job, and express your enthusiasm for their product line or services as well.

A covering letter is the document that accompanies your CV when you apply for a job.  It is an essential part of any job application which needs to be attention grabbing whilst being concise.  It acts as a personal introduction and gives you the opportunity to explain to an employer why you are the best candidate for the job.

Unlike a CV, which is an overview of your skills, work experience and accomplishments, a covering letter highlights your relevant skills and job experiences and is tailored to the job you are applying for.

A covering letter follows similar structure to a normal letter.

Place your contact information at the top, include a salutation, date and subject – the name of the position (and reference number if applicable).

First paragraph – the introduction should set out why you are applying for the job, state the position you are applying for and where you saw the job advertised.

Second paragraph – show why you are suitable for the job, why you would like to work for this particular company and what you can offer.

Who Is Eligible?

  • Must be a Zambian and must possess a green national registration card

  • Applicants must not have any criminal record or have an unresolved criminal case in court
  • Female candidates should not be pregnant at the time of application

Certification

Zambia Bureau of Standards (ZABS) is the sole service provider for Standards Certification to the industry in Zambia.

Certification refers to confirmation or an attestation that products, processes, or systems of an organization meet the requirements of a standard or specification. ZABS provides assurance that products, services, and processes meet national or international standards/specifications. This is done through a review, assessment, or audit. ZABS offers two types of certification schemes namely Product Certification and Systems Certification.

Under Product certification we ensure that a product that has passed a performance and quality assurance tests and meets the requirements of the set standard is issued with a quality mark.  Product certification is one of the quality assurances services that the Zambia Bureau of Standards (ZABS) provides to Industry. Through product certification, ZABS as a third party, attests that a product has met the requirements of a standard and is safe and fit for purpose.

ZABS Certified Products

ZABS has certified over 150 different products ranging from food and beverages to construction materials and Petroleum products. ZABS certifies a wide range of products including.

  • Food and Beverages - Peanut Butter, Cooking Oil, Drinks &Bottled Water,
  • Soaps and Detergents  – Laundry Soaps, Washing powders, Hand Sanitizers & Cleaning Chemicals
  • Construction Materials  – Deformed Bars, Cement, Concrete Products & Electrical Cables
  • Textile & Paints –  Packaging Materials, Footwear, Paints, Varnishes and Inks
  • Petroleum Products –  Lubricants and fuels
  • Agriculture Products –  Animal feeds and many more!

How does one identify that a particular product is certified by ZABS?

There are different marks that can be found on a product however, the ZABS product certification scheme has its unique and distinctive certification mark that is placed on all products that are certified by the Bureau.   This quality mark (as depicted below) describes the standard number on which the product has been certified.

  What does the process involve for a company to have its product certified?

The process is simple!

  • Contact the ZABS training and certification section on the contact details provided. You will then be handed with a product enquiry form on which you will be required to fill in the details of the company and the product/s.
  • Upon submission of the enquiry form a quotation will be issued describing the fees to be paid.
  • Once the applicable fees are paid, factory inspections and product testing will be conducted, and a report generated for decision making.

A Management System is a company’s structure for managing its processes and activities that transform inputs of resources into a product or service which meets the company’s objectives while satisfying the customers’ quality requirements, complying with regulations meeting environmental and public health objectives

ZABS offers training and certification in the following management systems;

  • Occupational Health and Safety Management System (45001)
  • Hazard Analysis Critical Control Points System (HACCP)
  • Food Safety Management System (ISO 22000)

The system will ensure that there is continuous improvement of processes, product quality, product packaging, management commitment and employee training. The certified local suppliers scheme will give confidence to large buyers and consumers on the safety and hygiene of local suppliers

The scheme will provide local suppliers with an opportunity to have their products tested and certified at an affordable cost, in order for them to remain competitive.

In order to obtain an Employment permit, it is necessary to possess a corresponding entry Visa, that will assure the possibility to enter in Zambia in order to collect the employment permit.

To apply for an e-Visa , the applicant must provide, together with the corresponding Application, the following Supporting Documents:

  • Covering letter (from the applicant) to the Director-General of Zambia Department of Immigration (ZDI)

To apply for the Employment Permit itself, the applicant must provide, together with the corresponding Application, the following mandatory or optional Supporting Documents:

  • Certified Copy of Valid Passport
  • Certified photocopies of the Certificate of Incorporation
  • Certified photocopies of qualifications (academic, professional)
  • Copy of succession plan (if not applicable - provide a written explanation)
  • Covering letter to the Director-General of Immigration, from the employer, indicating the nature of work the applicant intends to undertake in Zambia
