PowerPoint Notes is a powerful tool that can ensure perfect communication throughout a team. With Notes, you can efficiently convey your messages, concerns, suggestions, and/or creative ideas with your colleagues and boss. There will come times when you need to remove those Notes. But, how exactly do you remove notes from PowerPoint?

To remove Notes from PowerPoint, click on “File” and then “Info”. Next, click on “Check for Issues” and then “Inspect Document”. Finally, select “Annotations”, “Comments” and “Notes” and then click “Remove all” to remove all comments from your PowerPoint presentation.

There is more than one way to remove Notes from PowerPoint, in this article we will take a run-through of all the different methods. I will also be highlighting some important things that you should remember. PowerPoint presentations can take long to produce so the more you know, the more time you can save.

Removing All Notes from PowerPoint on Windows

I can think of a multitude of reasons as to why you would use Notes, and likewise, why you would want to remove them. You will be using the document inspector to do this so once you have gone through the step by step, be sure to check out some important things you need to know about the inspector.

The process for removing notes from PowerPoint is different for Windows and Mac. This is how you remove your Notes from PowerPoint on Windows. Remember to follow each step correctly.

Step 1 – Open the Info option on the File Tab

In the first step, click on the “File” tab on the top left corner of your screen.

You will see a screen like the one showcased in the above image. Make sure you are on the “ Info ” option. Under the Info option, click on “ Check for Issues “. When you click on this button, you will be prompted with a few options in a dropdown. Click on “ Inspect Document “

Step 2 – Inspect Document for Notes

In order to inspect the presentation, you will be first prompted with a pop-up window with several different options.

Make sure you uncheck everything, and scroll down to the bottom of the window and check only “ Presentation Notes “.

Then, click “ Inspect “.

Step 3 – Remove all Notes from PowerPoint

Upon clicking inspect, PowerPoint will basically search for all notes on your presentation file and then prompt you with another pop-up window.

The last step is to click “Remove All” to delete all the notes from your presentation.

It is as easy as that!

Follow the above step by step guide and you should be good to go. Remember, this removes all your Notes.

If you want to remove only certain Notes, you will have to do it individually via your slides. That might take some time but it is unlikely that you would only need to remove “some” notes.

Remove All Notes from PowerPoint on Mac

Sadly, Microsoft PowerPoint doesn’t have a direct option to remove notes from all slides on Mac as the “Inspect Document” option is not provided.

Fortunately, there are ways to work-around this problem!

Firstly, If you do not have too many slides (more than 10-15 slides), I’d just advise you to delete the notes manually by going to each slide one by one and deleting the notes as that would be the fastest. However, if you are stuck with a presentation that has several slides, you can follow one of the following three methods –

Method 1 – Save your Presentation as a PDF

If you want to just get rid of the notes perhaps before you share it with you manager, this method can work great.

The only drawback of this method is that if your presentation has any animations, transitions, or audiovisuals, these won’t work when your PowerPoint presentation is saved as a PDF file.

Nevertheless, let’s look at how you could save your presentation as a PDF –

Step 1 – Click the File option

The first step is to click on “ File “. You’ll see a dropdown menu with several options.

Click on “ Save As “

Step 2 – Change File Format to PDF

When you choose the “Save As” option, a window will pop-up asking you to choose the location.

Make sure you choose the correct location, and name the file appropriately.

Then, on the “ File Format “, click on the dropdown (which will show PowerPoint by default), and select “ PDF “

Lastly, click “ Save “.

You’ll now have a PDF will that will show just the slides without the notes.

Method 2 – Use a Friend’s Windows PC

Well, if you really want to retain the flexibility to edit the file and retain the animations and transitions, then perhaps a good way to solve this problem would be to take some help from your friend or colleague.

If someone around the office has a Windows PC with a Microsoft Office installed on it, you could just ask them to remove all the notes using the process described above within minutes.

This is perhaps one of the easiest of the three methods .

However, if you don’t have access to a Windows PC and you definitely want to delete notes from PowerPoint, then perhaps method 3 well definitely be the most helpful.

Method 3 – Remove All Notes from Mac by Running a Macro (Advanced)

The only sure-shot way of removing all the notes in one go is by running a macro in PowerPoint.

Although this method is an advanced technique, however, if you follow the below steps, it will be a breeze. Thus, I will make sure to explain the steps in great detail so that you can easily follow along.

So, before we go into the process, I just want to highlight what all we shall be doing in order to solve this issue.

First, we shall be inserting a code (which I shall provide to you) in PowerPoint using the Visual Basic Editor. Then, we shall run the Macro. That’s it! Trust me, it is that simple!

So, let’s look at the detailed steps involved in deleting all notes from PowerPoint on Mac using Macro

Step 1 – Open Visual Basic Editor

The first step is to open the visual basic editor on PowerPoint as we shall be adding a few lines of codes to run a macro on PowerPoint.

An important thing to note here – if you are using PowerPoint 2013 or older software versions on Mac, then the visual basic editor will be under the “ Developer ” tab which would be just like any other tab such as Home tab , Insert tab, Design tab etc.

If you are unable to locate the “Developer” tab, then perhaps you will have to enable to make it visible. To do so, simply click on “PowerPoint” next to the apple icon in the top left corner of your screen, then click “Preferences”.

Next, choose “Ribbons & Toolbar”, scroll down on the left part of the window that pops-up, locate and click on “Developer”, and move it under “Customise the Ribbon” section of the window.

If you are using Office 365 or PowerPoint 2016 and above, the Developer ribbon is not available but all the options of this tab are available by default including the visual basic editor for PowerPoint.

To open the visual basic editor, click on “ Tools “. A dropdown menu will open up, click on “ Macro “, and then on “ Visual Basic Editor “.

Step 2 – Add the Code

A new window will pop-up. Don’t be intimidated with this window! There are a few basic and simple steps that we need to follow.

First, add a new “ Module ” by clicking on the button for adding a new module (as indicated in the image above). Then, a new blank window with white screen will pop open on the right.

Copy and paste the following code in this window –

Once you’re done pasting the code, close the module window by clicking on the red dot on the top left corner of your screen.

Finally, close the visual basic editor window as well.

This was the hard part, and if you have managed to follow along so far, then the rest is going to be a cakewalk!

Step 3 – Run the Macro

The last step is to run the Macro that we have newly created.

To run the macro, simply click on “ Tools “. Then, click on “ Macro “, and in the next menu, choose “ Macros “.

For PowerPoint 2013 or older on Mac, you will find the option to run the Macro under the developer tab.

A new window will pop-up. Choose “ Zap “, and lastly click “ Run “.

Voila! You will notice that all the notes have been deleted from your PowerPoint File on Mac!

How to Hide Notes in PowerPoint?

Hiding your PowerPoint notes can be handy if you want to keep the notes in your presentation file, but just don’t want to show it to other colleagues during a meeting.

You might also want to hide notes to prevent people from seeing how and why you did certain things in your presentation.

Hiding notes is pretty simple. All you need to do is just click on “Notes” at the bottom of your PowerPoint Window (as indicated in the image above) and you will be able to toggle between enabling and disabling the notes section.

How to Recover Deleted Notes in PowerPoint?

Ok, so you or one of your colleagues have made a mistake and have done something that they shouldn’t have while using the inspector. Don’t worry, we have a little trick up our sleeves. First, we need to know where AutoSave files go.

Where are the AutoSave files saved?

Microsoft has implemented a recovery system that allows you to go back and look for previous versions of your work. These are autosaved files. Not many people know about this or how to use it.

To recover Notes, the best way is to recover previous versions of your presentation by accessing the AutoSave files. These files are usually saved in this location: C:\Users\<username>\AppData\Local\Microsoft\Office\UnsavedFiles

Method 1 -By using AutoRecovery

This method is the easiest and can be done from within the PowerPoint software itself. It is mainly used if you forget to save your presentation. You must be using PowerPoint 2010 or above in order to use this feature.

Whenever you start a new presentation you should always set AutoRecovery to on and have it save at least every 5 minutes.

  • Go to the “File” tab which can be found on the top left. A Drop-down menu will appear.
  • Go to a tab called “Recent”. This will present another menu.
  • Look for an option called “Recover unsaved presentations”.
  • Find the version of your project that you wish to recover, select it.
  • Open the file.
  • Save the presentation in order to make it the default version of your presentation.

Method 2 – Recover your PowerPoint Presentation Manually

If your version of Office does not have the recovery option, You will need to look for the files manually.

  • Go to “File Explorer” through windows explorer.
  • Go to this location C:\Users\<username>\AppData\Local\Microsoft\Office\UnsavedFiles
  • Find the version you are looking for. PowerPoint Temp files are named as such “pptxxx.tmp” the xxx is the number of the save.
  • Open the file and save the presentation.

Using the Inspector Tool in PowerPoint

The inspector is a powerful PowerPoint document management tool. Some presentations are just a few short slides while others can be hundreds of slides. When our presentation gets too big, managing it can become a little bit daunting and time consuming. This is how you use the PowerPoint Document Inspector:

“File” >> “Info” >> “Check for issues” >> “Inspect Document ”.

You will now have a small pop-up window where you can easily manage your presentation without having to individually comb through each slide in your presentation. The inspector makes PowerPoint just that little bit more powerful and easy to use.

The thing with using the inspector is you need to make sure that you do not make mistakes because most things done using the inspector can not be undone.

Thus, it is recommended that you save a copy of your presentation every time you are about to open the inspector. This will eliminate a lot of stress.

If you do, however, end up making a mistake with the inspector tool, you can recover your lost data using the AutoRecovery method described above. That said, I wouldn’t want to rely completely on AutoRecovery as I don’t have complete control on what all has been saved and what information does PowerPoint recover.

What all can you do with the Document Inspector Tool?

In the PowerPoint inspector, you can search your presentation for a certain type of content and it will find all of those. You can then remove that content from your presentation. The type of content that can be found is as follows.

  • Personal information such as author name and details.
  • Embedded Documents
  • Content add-ins
  • Comments, Notes, and annotations.
  • Macros, Forms, and ActiveX Controls.

I feel like there needs to be easier ways of recovering lost or deleted files. As Microsoft keeps updating its Office products, I am sure that over time they will make it easier. They are constantly working on making their products more efficient and more accessible.

When you are collaborating on a presentation, or even if someone else is designing slides for you, you will want to give feedback without editing the slides themselves. Comments are great for such scenarios. A comment is a note that you can attach to any slide object or to a whole slide.

The ability to add comments into your PowerPoint presentation enables you to write important notes for particular slide objects, or for the slide and it is a great way to provide feedback to others about their presentation. Once you add a comment, you can edit the comment and even get replies for the comment.

Follow these steps to add, edit, or delete comments in PowerPoint 2013 for Windows :

  • Open a presentation and navigate to the slide where you want to add a comment, as shown in Figure 1 , below.

  • Access the Review tab of the Ribbon , and click the New Comment button, as shown highlighted in red within Figure 2 , below.

  • Doing so adds a comment icon on the slide, as shown highlighted in blue within Figure 3 , below. Also, this action may open the Comments Task Pane , as shown highlighted in red within Figure 3 .

  • Now, within the Comments Task Pane, just type in your comment within the box, as shown highlighted in red within Figure 4 , below. Once done, press Enter or click outside the comment box.

  • You can easily change the placement of the comment icon by dragging the icon. In Figure 5 , below you can see the comments icon is repositioned. Compare the comments icon placement, as shown highlighted in blue within Figure 3 , above.

  • To edit, reply, or delete the comment, click the comment icon to bring up the Comments Task pane, as shown in Figure 6 , below. To edit the comment, click within the comment box, as shown highlighted in red within Figure 6 , and make the changes you want. Then, click outside the comment box to complete the changes. You can also reply to a comment by clicking the Reply box, as shown highlighted in blue within Figure 6 . Then type in your reply in the text entry box, then press the Enter key to finish.

  • To delete the comment, select the Review tab of the Ribbon . Then, click the top half of Delete button, as shown highlighted in red within Figure 7 , below. To be provided with more options, click the lower half of the Delete button, as shown highlighted in blue within Figure 7 . Doing so opens a drop-down menu, as shown in Figure 7 .

  • There are three options within the Delete button drop-down menu which are explained below:
  • Deletes the selected comment.

  • Deletes all the comments on the current slide.

  • Deletes all the comments within the open presentation.
  • Alternatively, click the Delete icon within the Comments Task Pane, as shown highlighted in green within Figure 6 , shown previously on this page. Or right-click the comments icon on the slide itself and from the resultant context menu, select the Delete Comment option, as shown in Figure 8 , below.

Cannot Add Comments?

  • Can't see the Comment icon on the slide? Select the Review tab of the Ribbon and click the lower half of the Show Comments button. From the resultant drop-down menu, select the Show Markup option, as shown highlighted in red within Figure 9 , below. This is a toggle option to hide/show the Comments icon. To hide/show the Comments Task Pane, click the upper half of the Show Comments button or select/deselect the Comments Pane option, as shown highlighted in blue within Figure 9 .
  • Also note that when both the Comments icon and the Comments Task Pane are visible. Then, if you click the Show Markup option, both the Comments icon and the Comments Task Pane will disappear. Thereafter, clicking the same Show Markup option again will bring back only the Comments icon.

  • There are more three buttons within the Comments Task Pane which are explained below, as marked in Figure 6 , shown previously on this page:

A. New (Insert Comment)

  • This button enables you to add new comment(s).

You can quickly remove all speaker notes in a PowerPoint presentation in several ways. The easiest way to delete speaker notes is to use the Inspector (which is available only on Windows PCs). However, since this feature isn't currently available for the Mac version of PowerPoint, Mac users will need to use other strategies to remove notes.

In this article, we'll review 3 ways to remove notes in PowerPoint:

Remove speaker notes using the Inspector

The Inspector is a useful tool that is available in the Windows version of PowerPoint and can remove notes and other elements from a PowerPoint presentation. You can access the Inspector through the File tab in the Ribbon and clicking Check for Issues.

To remove all speaker notes from a PowerPoint presentation using the Inspector:

  • Open the PowerPoint presentation with the notes you want to delete.
  • Save a copy of the presentation so you can keep the original with the notes.
  • In the copy, click the File tab in the Ribbon.
  • Click Info and click Check for Issues. A drop-down menu appears.
  • Select Inspect Document. A dialog box appears.
  • Ensure that Presentation Notes is checked (you may need to scroll down in the dialog box). Check or select other options are needed.
  • Click Inspect. If there are speaker notes in the file, Remove All will appear to the right of notes. If you have selected other options, Remove All may appear to the right of other items.
  • Click Remove All beside Presentation Notes to remove all notes. Note that this cannot be undone.
  • Click Close.

Remove speaker notes by saving a presentation as a PDF

You can also save a presentation as a PDF (portable document format) file and remove notes. This method is available both for PowerPoint for Windows or Mac but the presentation will lose specific PowerPoint functionality (such as animations and transitions).

To save a PowerPoint presentation as a PDF and remove speaker notes:

  • Click the File tab in the Ribbon.
  • Click Print.
  • Ensure that Print All Slides and Full Page Slides are selected below Settings.
  • Click Save As.
  • Navigate to the location where you want to save the PDF file.
  • If necessary, click More Options.
  • From the Save As Type drop-down menu, select PDF.
  • Click Save.

Remove speaker notes using a macro in PowerPoint for Windows

Another option is to create and run a VBA (Visual Basic for Applications) macro to delete speaker notes. You can create macros in both the Windows and Mac versions of PowerPoint.

You'll need to insert VBA code first in the Visual Basic Editor and then run it in PowerPoint. You can indent code for readability by pressing tab at the beginning of a line of code. The indenting does not affect the code when you run it.

Be sure to run the macro in a copy of the presentation because you can't undo a macro.

For Windows users, you should display the Developer tab in the Ribbon if you want to create macros.

To display the Developer tab in PowerPoint for Windows:

  • Click Options. A dialog box appears.
  • Click Customize Ribbon in the categories on the left.
  • In the area on the right, check or select Developer.

A Developer tab will appear in the Ribbon.

To create a macro to delete speaker notes in PowerPoint for Windows:

  • Create a copy of the presentation with the notes you want to delete.
  • Open the copy of the presentation.
  • Click the Developer tab in the Ribbon.
  • Click Visual Basic. The Visual Basic Editor appears.
  • Click Insert in the menu and select Module. A module window will appear.
  • Copy and paste the following code into the module window (you can use Ctrl + C to copy and Ctrl + V to paste).

Copy the VBA code below into the Code window (from Sub to End Sub):

Sub DeleteNotes()

'this macro will run through each slide in a presentation and if there are notes, delete them

Dim objSlide As Slide 'declare slide as an object

For Each objSlide In ActivePresentation.Slides

With objSlide.NotesPage.Shapes(2)

If .HasTextFrame Then

Once you have copied the code into the Code window, exit the Visual Basic Editor by clicking the PowerPoint icon on the top left.

To run the macro in PowerPoint for Windows:

  • In PowerPoint, click the Developer tab.
  • Click Macros. A dialog box appears.
  • Click the macro and click Run or double-click the macro to run it and delete the speaker notes.

To create a macro to delete speaker notes in PowerPoint for Mac:

  • Click Tools in the menu.
  • Select Macro and then Visual Basic Editor. The Visual Basic Editor appears.
  • In the toolbar at the top, click Add Module. A module window will appear. Alternatively, right-click a workbook in the list on the left and select Insert and then Module.
  • Copy and paste the following code into the module window (you can use Command + C to copy and Command + V to paste).

Once you have copied the code into the Code window, close the Visual Basic Editor by clicking the PowerPoint icon or the red Close button on the top left.

To run the macro in PowerPoint for Mac:

  • In PowerPoint, click Tools in the menu.
  • Click Macro and select Macros. A dialog box appears.

Save PowerPoint files with macros

If you want to save a macro with the PowerPoint file, you will need to save it as a macro-enabled file type (in the Save as Type drop-down menu).

You can also save a separate PowerPoint presentation with the macro and then run it when needed. You can run macros from other open presentations so this strategy can work well.

If you open a PowerPoint file that contains a macro, you will typically need to enable content to run the macro.

PowerPoint 2010 Tip: Removing Speakers Notes / Comments / Annotations

Here is a quick tip on how to easily remove speakers notes in Powerpoint. This new feature was not available in previous versions (maybe in 2007). Back then, each note had to be removed manually.

Here are the 5 easy steps to removing speakers notes:

  • Open a copy of your presentation in PowerPoint 2010 so that you don't loose your original version that includes the notes.
  • Click on the File tab in the top left corner and then on Info .
  • Click on the Check for Issues button and then on  Inspect Document
  • Make sure the Comments and Annotations  and the Presentation Notes boxes are checked and click Inspect .
  • If there are any comments, annotations or notes, clicking the Remove All buttons will remove them all.

Don't forget to save your presentation under a different name if you want to also keep copy containing your comments, annotations and notes.

To remove the speaker’s notes, it’s not “Comments and Annotations” but “Presentation Notes” that you need to remove.

Is there a way to copy comments/annotations from one PPT to another PPT all at once and they still keep their placement as long as the two documents are the same length, etc?

Thanks for that great questions. Not sure if this will help as it applies to speakers notes, and not comments/annotations as you requested, but you can give this a try…

Step 1: Export notes from a presentation to a text file using the code found on the following page: http://www.pptfaq.com/FAQ00481_Export_the_notes_text_of_a_presentation.htm

Step 2: Import the notes from the text file in pretty much the way you described using the code found on the following page: http://www.pptfaq.com/FAQ00937_Importing_notes_text_from_a_text_file.htm

If you have some experience in programming with VBA, you could probably modify the code to export/import comments/annotations instead. If not, feel free to contact me directly and we can arrange for some custom development service to meet your needs.

Welcome to the forum here.

I do a test and it seems that the previous version of the edited PowerPoint file can be recovered with the deleted comments if you save the file in the OneDrive for Business site or SharePoint Online by using the Version History feature.

So I'd like you to confirm whether the file is saved in the OneDrive for Business site or SharePoint Online. If no, save it there and use the Version History feature to see and let us know the result in your environment.

Victoria Beckham  has revealed that her daughter Harper created a PowerPoint presentation to try and convince her to let her have a perm. 

The fashion designer, 50, shares Harper, 12, - as well as Brooklyn, 25, Cruz, 19 and Romeo, 21, - with her husband David, 49.

And in a new interview with Grazia , she shared how Harper is wanting to start and try some beauty treatments.

She told how she created the presentation on the computer and showed it to her and David in the hopes of letting her take a trip to the hairdressers.

Victoria explained her negative response was born from a bad personal experience of having a perm when she was a teenager.

Back in 2022 Victoria shared a snap of her perm as she  revealed what she considered to be her 'teenage dirtbag moments' as she hopped onto a TikTok trend. 

She shared a reel of some of her more unexpected throwback fashion moments, with the Wheatus song, Teenage Dirtbag, played over the top. 

The trend saw TikTokers showing off their awkward and embarrassing teenage years and among the pictures Victoria shared were her wearing a silver latex boob tube as well as showing off a giant pout with overlined lips.

She was also sporting an oversized shiny bomber jacket, which were all the rage in the 90s, as well as a giant perm, a sharp contrast to her sleek brunette hairdo. 

In the Grazia interview Victoria also revealed that Harper had asked her whether netball was 'strictly necessary' when it would probably 'ruin her nails'. 

She stunned on the Grazia cover as she showed off her toned frame in a lace black bralet.
