Same problem. Just started suddenly last Friday, 9/29/23. Previously worked just fine, now suddenly I cannot get the file go into slideshow mode, no matter what I do. Proper displays are chosen, including setting the primary monitor. But nothing.

Maybe you could also try to unplug the power cord if your machine is one laptop, to check whether this issue is related to the working mode of your graphics cards.

Issue with Slide Movement by: Presentation Process Expert I am assuming you are having multiple slides and the slides won’t move when you are in Full Screen or Slideshow mode.This may happen in 2 cases

Issue 1. if you have set up a Custom Slide Show with just the first slide.

You would set up Custom Slide Show if you wanted to exclude certain slides or reorder existing slides for a particular presentation. If you have multiple custom slideshows, you can select which one you want to run. Sometimes, when playing with this option, presenters tend to select 1 slide and then leave the menu. This ends up causing this issue of slides not moving ahead as they are using the setup a custom show.

You would usually uncheck the Advance on Mouse Click option, if you wanted to have a presentation navigation only with Hyperlinks. It makes the presentation look more like a website rather than a presentation.

Problem: PowerPoint Slideshow Freezes on a Slide

In some conditions, a PowerPoint slideshow that is set up as a kiosk slideshow, and thus intended to run continuously without user interactions, might freeze on a given slide. After running normal for hours or even days, sometimes the slideshow freezes, apparently without any reason.

This is a nightmare for the administrator. Most of the times that we investigated this, is that the slideshow is halted, or frozen, or paused, whatever you want to call it. But you have to know that a PowerPoint slideshow stops advancing whenever it looses the focus of the application. So, in other words, another application is started and takes away the focus from the slideshow.

You might raise the remark that nobody was launching anything on that computer. But there are automated tools and notifications that pop up sometimes. Think about an anti-virus program, or a firewall notification, or a scheduled task. Those processes launch a new program or message on top of your running slideshow. And they cause that the slideshow looses it focus and stop advancing the slideshow automatically. Maybe they just popped up for a few milliseconds and there is no evidence after the startup of it, but still, they took away the focus of the slideshow. And after that, your slideshow is still visible on your screen, but it is hanging now and not advancing to the next slide. At this stage, the only option is to click the slideshow with your mouse, to give the focus back, and then the slideshow continues to run.

This doesn’t appear to work. The slideshow still is stopping, despite ticking “keep slideshow running”. A pity as I thought I’d found the solution. If there is something else I don’t know please advise!

Top 7 Fixes for Animations Not Working in PowerPoint on Windows

The artful integration of animations can help you transform a mundane slideshow into a captivating visual treat. Microsoft PowerPoint offers a variety of animations that you can apply to text, images, and other objects to make your presentation dynamic . But what if these animations stop working in PowerPoint for Windows?

Whether animations are playing incorrectly or refuse to play at all, this guide can help. It includes a few useful tips to get PowerPoint animations working again on your Windows 10 or 11 PC.

1. Check Animation Order and Triggers

Before you try anything else, it’s a good idea to check the set animation effects and triggers in your PowerPoint presentation . Here’s how you can go about it.

Step 1: Open your PowerPoint presentation, switch to the Animations tab at the top, and select the Animation Pane option from the Advanced Animation group.

Step 2: From the Animation Pane settings, you’ll see a list of all animations on the right side. Make sure all the animations are listed in the desired order. If not, use the up and down arrows to reorder them.

Step 3: Right-click on animations to change their trigger. Then, click the Play button to check your animations.

Repeat the above steps to check the animation effects and triggers for all your slides. If the animations don’t play even after that, continue with the fixes below.

2. Check Slideshow Settings

Microsoft PowerPoint may not play any animations during slide shows if you have accidentally enabled the ‘Show without animations’ option. Here’s how to turn it off.

Step 1: Open your PowerPoint presentation, switch to the Slide Show tab, and click the Set Up Slide Show button.

Step 2: Under Show options, clear the ‘Show without animation’ checkbox. Then, click OK.

After that, press F5 to start the slideshow and check if your animations work.

3. Click the Record Button

Is PowerPoint not playing animations when you try to record your presentation ? That could happen if you scroll through your slides and haven’t clicked the Record button. Here’s what you need to do.

Step 1: Open your presentation in Microsoft PowerPoint. Switch to the Record tab and click the From Beginning or From Current Slide button.

Step 2: Click the Record button at the top. After that, PowerPoint will play and record your presentation with animations.

4. Toggle Off Hardware Acceleration

Such issues with animations can also occur if the hardware graphics acceleration feature malfunctions in PowerPoint. You can try turning this feature off momentarily to see if that fixes problems with PowerPoint animations.

Step 1: Open PowerPoint on your PC and click the File menu at the top-left corner.

Step 2: Select Options from the left sidebar.

Step 3: Select the Advanced tab. In the right pane, scroll down to the Display section and clear the checkbox that reads ‘Disable Slide Show hardware graphics acceleration.’ Then, click OK.

After completing the above steps, check if the issue is still there.

5. Open PowerPoint in Safe Mode

At times, third-party add-ins can conflict with Microsoft PowerPoint, causing the animation pane to not show up. If you suspect that to be the case, you can open PowerPoint in safe mode. For that, press the Windows + R keyboard shortcut to open the Run dialog box. Type powerpnt /safe in the Open field and press Enter.

After opening PowerPoint in safe mode, check if your animations work. If they do, it’s likely that one of your add-ins is causing the problem. To identify it, you will need to disable all add-ins and then re-enable them one by one.

Step 1: Open PowerPoint and click the File menu at the top-left corner.

Step 2: Select Options from the left pane.

Step 3: In the PowerPoint Options window, switch to the Add-ins tab. Click the drop-down menu next to Manage and select COM Add-ins. Then, click the Go button next to it.

Step 4: Uncheck all the boxes to disable your add-ins and click OK.

Restart Microsoft PowerPoint and enable your add-ins one at a time. You will need to check the animations after enabling each add-in. When you find the problematic add-in, consider removing it for good.

6. Repair Your Presentation

If animations are not working only on a specific PowerPoint presentation, you can try repairing it. To do so, use these steps:

Step 1: Open Microsoft PowerPoint and click the File menu at the top-left corner.

Step 2: Select Open from the left sidebar and click the Browse option.

Step 3: Browse and select your file. Click the downward arrow next to Open to select Open and Repair.

Wait for PowerPoint to repair your presentation and open it. After that, check if the issue still occurs.

7. Run the Office Repair Tool

If nothing works, there may be an issue with some of the core files associated with Microsoft PowerPoint . In that case, your best option is to run the Office repair tool, which can automatically find and fix issues with Office apps like PowerPoint.

Step 1: Press the Windows + R keyboard shortcut to open the Run dialog box. Type appwiz.cpl in the box and press Enter.

Step 2: Select the Microsoft Office suite and click the Change button.

Step 3: Select the Online Repair option and click Repair.

Although there are various reasons why music or other audio might not play correctly in a PowerPoint presentation , compatibility is the most common cause. Learn how to troubleshoot and resolve audio playback issues in PowerPoint.

Instructions in this article apply to PowerPoint 2019, PowerPoint 2016, PowerPoint 2013, PowerPoint 2010, and PowerPoint for Microsoft 365.

Make Sure the File Format Is Supported

If you are not using one of the following supported audio file formats, consider converting it to a recommended format and then reinserting it in the presentation.

The following audio file formats are supported in PowerPoint:

• AIFF Audio file, .aiff
• AU Audio file, .au
• MIDI file, .mid or .midi
• MP3 Audio file, .mp3
• Advanced Audio Coding—MPEG-4 Audio file, . m4a, .mp4
• Windows Audio file, .wav
• Windows Media Audio file, .wma

Optimize Media

Optimizing your audio media for compatibility is the best way to resolve audio playback issues when you share your PowerPoint presentation.

Go to File .

Select Info .

Select Optimize Compatibility .

If Optimize Compatibility appears, your media format may have compatibility issues on another device. If it doesn't appear, there are no compatibility issues and the presentation is ready to be shared.

Wait while PowerPoint optimizes your audio. Once it's done, select Close .

Compress Audio Files

Embedding audio files rather than linking to them will guarantee playback. This increases the size of your presentation, but compressing your audio files helps save space.

Choose Info .

Select Compress Media .

Choose the audio quality option you want to apply and wait while PowerPoint compresses your media files .

Select Close when the process is complete.

Slide links turned into not working hyperlinks. How to turn the hyperlinks back to slide links or make the hyperlinks work?

A Powerpoint presentation from 2009 that has working slide links was saved as a new file, in the same format "Microsoft PowerPoint 97-2003-Präsentation (.ppt)", and the slide links have turned into not working hyperlinks. Therefore, it was not just a change of the PowerPoint Version that triggered this.

The problem remains if it is saved as a "Microsoft PowerPoint-Präsentation (.pptx)".

• I don't know WHY it's happened but the link has somehow gotten a # character in front of it. That tells PowerPoint to look for the slide in a different file rather than in the current file, but there's nothing in the link to tell it WHAT file. Sometimes this kind of thing can be caused by unexpected characters in the slide TITLE placeholder. What's in the title placeholders on your slides? –  Steve Rindsberg Jul 7, 2023 at 13:45

PowerPoint Video Not Playing? Here’s How to Fix it Fast!

It is annoying when you want to play a video during your presentation speech but PowerPoint just refuses to play the video! The video may either fail to work or display just the audio/video. There are actually several reasons why this could happen!

So, in this article, we will take a closer look at the various issues related to playing video in PowerPoint, and I will also provide you with a few quick solutions to each of the issues.

So, without further adieu, let’s get started!

1. Video Not Playing in Presentation Mode 

Although Microsoft PowerPoint is one of the powerful presentation tools out there, it is not perfect. There may be more than a few reasons why video is not playing in the presentation mode of your PowerPoint.

The most common problem that users face is that the format of the media file is either not supported by PowerPoint, or the media file might have missing fragments, or the file may have a syncing issue, or the media file may just be corrupted.

In the following subsection, I will explain the possible solutions to a corrupted media file in your PowerPoint presentation.

1a. PowerPoint Video Cannot Play Media Error 

There are two possible solutions to a corrupted file. You can either optimize the media compatibility or clear the temporary data on your Windows operating system. Both of the solutions are described below.

Optimizing media compatibility

Follow the simple steps given below to optimize the compatibility of the video file with your PowerPoint presentation. 

Step-1: Go to “Info”

The first step of the process is to go to the “Info” section located in the “ File ” tab, which is the first tab in the ribbon of your PowerPoint window.

Step-2: Click on ‘Check Compatibility’

The next step is to click on the “ Check for issues ” button and select the “ Check compatibility ” option from the drop-down menu.

Step-3: Click on the “Ok” button

After you have selected the “ Check compatibility ” option, Microsoft PowerPoint will automatically detect the media files, report to you the issue with your video file, and try to fix it.

To finish optimizing the media file, click on the “ Ok ” button and the issue should be resolved.

Clearing the temporary files

Microsoft PowerPoint may fail to play your video files if there are too many temporary files on your Windows operating system. To clear these temporary files, follow the easy steps described below.

Step-1: Launch the “Run Prompt”

To being, go to the “ Start ” menu of your computer and launch the “ Run Prompt ”

Step-2: Type in the “%temp%” command

After you have launched the “ Run Prompt ”, type “%temp%” in the search box and hit the “ Ok ” button.

Step-3: Delete all the files

Once you have clicked on the “ Ok ” button, a new folder will open on your screen. This folder contains all the temporary files that are present on your computer.

Select all the files and delete them. Skip the files that are still in use and the video should be good to go.

2. YouTube Video Not Playing in PowerPoint 

There are several reasons why a YouTube video may not play in your PowerPoint presentation. Some of the reasons why this may happen and possible solutions to them are given below.

1. The link used to embed the YouTube video was a shared link and not an embedded link. If you have entered the link that is used to share the video, then the video will not play in your PowerPoint presentation. To fix this issue, insert the embedded link of the YouTube video instead of the shared link.

2. The YouTube video that you embedded in your Presentation may not be available anymore. In order to avoid this issue, do not use videos that are in “ Private viewing only ” settings.

3. The embedded file may be in an unsupported format. Most versions of Microsoft PowerPoint supports “.wmv” files. Hence, videos that are in a different format may not play in your PowerPoint presentation. Make sure the video file is in the right format.   

3. Video Only Plays Audio in PowerPoint 

Sometimes, the video file only plays the audio of the video file in Microsoft PowerPoint.

This may happen either because the inserted video file is not supported by the PowerPoint software, or the file is too large. Another reason might be that the file is corrupted, or the Windows operating system is missing some necessary codecs.

Following are 3 possible solutions to these problems.

Solution 1 – Convert the video file

To convert the video file, follow the simple steps given below.

Step-1: Go to the “Info” section

The first step is to go to the “ Info ” section of the “ File ” tab which is located at the right-most corner of the ribbon of your PowerPoint presentation.

Step-2: Click on the “Media Size and Performance” option

The second step is to click on the “ Media Size and Performance ” option which is the first option in the “ Info ” section

Step-3: Click on the “HD (720)” button

After clicking on the “ Media size and performance ” option, a drop-down menu will appear. From that drop-down menu, click on the “ HD (720) ” option.

This will compress the size of the video and convert it to a supported format. 

Solution 2 – Clear temporary files

Like the previous issue, sometimes your computer may be working on too many temporary files, due to which the video file in your PowerPoint presentation may not be functioning properly.

Simply follow the steps described earlier in this article and delete all the temporary files operating in your Windows operating system.

Solution 3 – Install missing codecs

Right out of the box, Windows does not support every media codecs. It is possible that the video file in your PowerPoint presentation is only playing audio because some of the codecs in your Windows are missing.

To fix this issue, you can download a codec pack from the internet. Some of the best Codec packs are,

1. K-Lite Codec Pack

2. Media Player Codec Pack

3. X- Codec pack

4. Audio of the Video Doesn’t Work in PowerPoint  

If the audio of the video in your PowerPoint presentation is not working, try all the solutions mentioned in the above section. If it still doesn’t work, then maybe the PowerPoint software is muted in your computer.

To make sure the audio of your PowerPoint is not muted, turn on the video in your presentation and follow the simple steps described below.

Step-1: “Right-click” on the “speaker/headphone” button

At first, you have to “ Right-click ” on the “ Speaker/Headphone ” volume button in the taskbar of your computer. It is the right-most button on the taskbar and its icon looks like a handheld speakerphone (as showcased in the image below)

Step-2: Select the “Open Volume Mixer” option

After you have opened the “ Speaker/Headphone ” menu from your taskbar, click on the “ Open Volume Mixer ” option which is the second option in the menu.

Step-3: Click on the volume icon under the PowerPoint section

Once you have selected the “ Open Volume Mixer ” option, a pop-up window will appear on the bottom right corner of your screen.

Click on the small volume icon with a red cross over it, which will unmute the PowerPoint software on your computer.

5. Video Doesn’t Play Automatically 

To play a video file in your PowerPoint presentation automatically, you have to change the playback settings of the video file.

This might sound a little difficult but the whole process is described in 2 simple steps below.

Step-1: Go to the “Playback” tab

At first, turn on the video in your PowerPoint presentation. This will allow you to access the “ Playback ” tab which appears on the ribbon when a media file is played.

Step-2: Select the “Automatically” option

Now, select the “ Automatically ” option which is located in the “ Start ” drop-down menu of the “ Video Options ” section in the “ Playback ” tab.

The video should now play automatically when the slide is opened.

6. PowerPoint Export to Video Not Working 

To fix videos not exporting in your PowerPoint presentation, you may have to optimize the media file using the method mentioned earlier in this article.

I will discuss the process of repairing PowerPoint below:

Step-1: Go to “Add or remove programs”

The first step is to go to the “ Start ” menu of your computer and launch the “ Add or remove programs ” tool.

Step-2: Click on the “Advanced Options” button

The second step is to find your Microsoft Office program and select the “ Advanced options ” button.

Step-3: Select the “Repair” option

After you click on the “ Advanced Options ” button, you will be taken to a new window. From that window, under “ Reset ” select the “ Repair ” option.

Once the scanning and repairing are complete a tick mark will appear beside the “ Repair ” option, which will indicate that the repairing is complete.

7. How to Change Video Source in PowerPoint?

Unfortunately, there is no direct way to change the path of the source of a video in your PowerPoint presentation.

You can use a macro to fix this problem but honestly, it is easiest to simply re-attach the video to your PowerPoint presentation.

To change the video source in your PowerPoint presentation, delete the initial video, move the video file to the same folder as the PowerPoint presentation and insert the video again and the source of the video will change accordingly.

To avoid audio or video playback issues in PowerPoint, you can optimize media files you've inserted into your presentation for compatibility on other devices. For a list of supported file types, visit Video and audio file formats supported in PowerPoint .

Optimize media in your presentation for compatibility

When you're ready to share your presentation, do the following:

On the File tab of the Ribbon, select Info .

If the media in your presentation was inserted in a format that might have compatibility issues when played on another device, the Optimize Compatibility option will appear. If it doesn’t appear, you don’t have compatibility issues and are ready to share.

* Embedded subtitles and alternate audio tracks are removed in this optimization process.

When the Optimize Compatibility button appears, it provides a summary of resolutions of potential playback issues. It also provides a list of the number of occurrences of media in the presentation. The following are common scenarios that can cause playback issues:

If you have linked videos, Optimize for Compatibility reports that you need to embed them. Select View Links to proceed. The dialog box that opens allows you to embed the videos by selecting Break Link for each link you want to embed from a device and user with access to the linked video.

If you have videos that were inserted using an earlier version of PowerPoint, you'll need to upgrade your media file format so that these files will play. Upgrading automatically updates and embeds the files in the newest format. Once you have upgraded, you should run Optimize for Compatibility again.

To upgrade your media files from an earlier version, on the File tab, select Info , and then select Convert .

Having trouble inserting or playing media because of a codec problem?

If you are having trouble inserting or playing media, it could be that you don't have the proper codec installed. For example, someone could send you a PowerPoint presentation with media based on a codec that your PC doesn't have. The best solution is for the author of the presentation to run Optimize Compatibility before sending the file to anyone else.

When attempting to insert a video file, you might receive an error message like this if you don't have the right codec file installed:

Try one of the following to help resolve any lingering issues:

Determine which codec you need to run the media. Read What is a codec and why do I need it? to find out how Windows Media Player can help you do that. Or install a third-party tool that can examine a media file and determine which codec it needs . Then install the codec required to run the media. You can find many codecs on the fourcc.org website.

Download a third-party media decoder and encoder filter, such as ffdshow or DivX , which will allow you to decode and encode a variety of formats.

If you created a presentation on a PC and decide to deliver it on an Apple Macintosh, use media with the .mp4 file format extension.

Bar charts can be horizontal or vertical, although the vertical format is commonly known as a column chart. They display categorical, discrete, or continuous variables grouped in class intervals [1] . They include an axis and a set of labeled bars horizontally or vertically. These bars represent the frequencies of variable values or the values themselves. Numbers on the y-axis of a vertical bar chart or the x-axis of a horizontal bar chart are called the scale.

Real-Life Application of Bar Charts

Let’s say a sales manager is presenting sales to their audience. Using a bar chart, he follows these steps.

Step 1: Selecting Data

The first step is to identify the specific data you will present to your audience.

The sales manager has highlighted these products for the presentation.

• Product A: Men’s Shoes
• Product B: Women’s Apparel
• Product C: Electronics
• Product D: Home Decor

Step 2: Choosing Orientation

Opt for a vertical layout for simplicity. Vertical bar charts help compare different categories in case there are not too many categories [1] . They can also help show different trends. A vertical bar chart is used where each bar represents one of the four chosen products. After plotting the data, it is seen that the height of each bar directly represents the sales performance of the respective product.

It is visible that the tallest bar (Electronics – Product C) is showing the highest sales. However, the shorter bars (Women’s Apparel – Product B and Home Decor – Product D) need attention. It indicates areas that require further analysis or strategies for improvement.

Line graphs help illustrate data trends, progressions, or fluctuations by connecting a series of data points called ‘markers’ with straight line segments. This provides a straightforward representation of how values change [5] . Their versatility makes them invaluable for scenarios requiring a visual understanding of continuous data. In addition, line graphs are also useful for comparing multiple datasets over the same timeline. Using multiple line graphs allows us to compare more than one data set. They simplify complex information so the audience can quickly grasp the ups and downs of values. From tracking stock prices to analyzing experimental results, you can use line graphs to show how data changes over a continuous timeline. They show trends with simplicity and clarity.

Real-life Application of Line Graphs

To understand line graphs thoroughly, we will use a real case. Imagine you’re a financial analyst presenting a tech company’s monthly sales for a licensed product over the past year. Investors want insights into sales behavior by month, how market trends may have influenced sales performance and reception to the new pricing strategy. To present data via a line graph, you will complete these steps.

First, you need to gather the data. In this case, your data will be the sales numbers. For example:

After choosing the data, the next step is to select the orientation. Like bar charts, you can use vertical or horizontal line graphs. However, we want to keep this simple, so we will keep the timeline (x-axis) horizontal while the sales numbers (y-axis) vertical.

Step 3: Connecting Trends

After adding the data to your preferred software, you will plot a line graph. In the graph, each month’s sales are represented by data points connected by a line.

Step 4: Adding Clarity with Color

If there are multiple lines, you can also add colors to highlight each one, making it easier to follow.

A data dashboard is a visual tool for analyzing information. Different graphs, charts, and tables are consolidated in a layout to showcase the information required to achieve one or more objectives. Dashboards help quickly see Key Performance Indicators (KPIs). You don’t make new visuals in the dashboard; instead, you use it to display visuals you’ve already made in worksheets [3] .

Keeping the number of visuals on a dashboard to three or four is recommended. Adding too many can make it hard to see the main points [4]. Dashboards can be used for business analytics to analyze sales, revenue, and marketing metrics at a time. Treemap charts represent hierarchical data structured in a series of nested rectangles [6] . As each branch of the ‘tree’ is given a rectangle, smaller tiles can be seen representing sub-branches, meaning elements on a lower hierarchical level than the parent rectangle. Each one of those rectangular nodes is built by representing an area proportional to the specified data dimension.

Treemaps are useful for visualizing large datasets in compact space. It is easy to identify patterns, such as which categories are dominant. Common applications of the treemap chart are seen in the IT industry, such as resource allocation, disk space management, website analytics, etc. Also, they can be used in multiple industries like healthcare data analysis, market share across different product categories, or even in finance to visualize portfolios.

Real-Life Application of a Treemap Chart

Let’s consider a financial scenario where a financial team wants to represent the budget allocation of a company. There is a hierarchy in the process, so it is helpful to use a treemap chart. In the chart, the top-level rectangle could represent the total budget, and it would be subdivided into smaller rectangles, each denoting a specific department. Further subdivisions within these smaller rectangles might represent individual projects or cost categories.

Step 1: Define Your Data Hierarchy

While presenting data on the budget allocation, start by outlining the hierarchical structure. The sequence will be like the overall budget at the top, followed by departments, projects within each department, and finally, individual cost categories for each project.

• Top-level rectangle: Total Budget
• Second-level rectangles: Departments (Engineering, Marketing, Sales)
• Third-level rectangles: Projects within each department
• Fourth-level rectangles: Cost categories for each project (Personnel, Marketing Expenses, Equipment)

Step 2: Choose a Suitable Tool

It’s time to select a data visualization tool supporting Treemaps. Popular choices include Tableau, Microsoft Power BI, PowerPoint, or even coding with libraries like D3.js. It is vital to ensure that the chosen tool provides customization options for colors, labels, and hierarchical structures.

Here, the team uses PowerPoint for this guide because of its user-friendly interface and robust Treemap capabilities.

Step 3: Make a Treemap Chart with PowerPoint

After opening the PowerPoint presentation, they chose “SmartArt” to form the chart. The SmartArt Graphic window has a “Hierarchy” category on the left.  Here, you will see multiple options. You can choose any layout that resembles a Treemap. The “Table Hierarchy” or “Organization Chart” options can be adapted. The team selects the Table Hierarchy as it looks close to a Treemap.

Step 5: Input Your Data

After that, a new window will open with a basic structure. They add the data one by one by clicking on the text boxes. They start with the top-level rectangle, representing the total budget.  

Step 6: Customize the Treemap

By clicking on each shape, they customize its color, size, and label. At the same time, they can adjust the font size, style, and color of labels by using the options in the “Format” tab in PowerPoint. Using different colors for each level enhances the visual difference.

Treemaps excel at illustrating hierarchical structures. These charts make it easy to understand relationships and dependencies. They efficiently use space, compactly displaying a large amount of data, reducing the need for excessive scrolling or navigation. Additionally, using colors enhances the understanding of data by representing different variables or categories.

In some cases, treemaps might become complex, especially with deep hierarchies.  It becomes challenging for some users to interpret the chart. At the same time, displaying detailed information within each rectangle might be constrained by space. It potentially limits the amount of data that can be shown clearly. Without proper labeling and color coding, there’s a risk of misinterpretation.

A heatmap is a data visualization tool that uses color coding to represent values across a two-dimensional surface. In these, colors replace numbers to indicate the magnitude of each cell. This color-shaded matrix display is valuable for summarizing and understanding data sets with a glance [7] . The intensity of the color corresponds to the value it represents, making it easy to identify patterns, trends, and variations in the data.

As a tool, heatmaps help businesses analyze website interactions, revealing user behavior patterns and preferences to enhance overall user experience. In addition, companies use heatmaps to assess content engagement, identifying popular sections and areas of improvement for more effective communication. They excel at highlighting patterns and trends in large datasets, making it easy to identify areas of interest.

We can implement heatmaps to express multiple data types, such as numerical values, percentages, or even categorical data. Heatmaps help us easily spot areas with lots of activity, making them helpful in figuring out clusters [8] . When making these maps, it is important to pick colors carefully. The colors need to show the differences between groups or levels of something. And it is good to use colors that people with colorblindness can easily see.

Pie charts are circular statistical graphics divided into slices to illustrate numerical proportions. Each slice represents a proportionate part of the whole, making it easy to visualize the contribution of each component to the total.

The size of the pie charts is influenced by the value of data points within each pie. The total of all data points in a pie determines its size. The pie with the highest data points appears as the largest, whereas the others are proportionally smaller. However, you can present all pies of the same size if proportional representation is not required [9] . Sometimes, pie charts are difficult to read, or additional information is required. A variation of this tool can be used instead, known as the donut chart , which has the same structure but a blank center, creating a ring shape. Presenters can add extra information, and the ring shape helps to declutter the graph.

Pie charts are used in business to show percentage distribution, compare relative sizes of categories, or present straightforward data sets where visualizing ratios is essential.

Real-Life Application of Pie Charts

Consider a scenario where you want to represent the distribution of the data. Each slice of the pie chart would represent a different category, and the size of each slice would indicate the percentage of the total portion allocated to that category.

Step 1: Define Your Data Structure

Imagine you are presenting the distribution of a project budget among different expense categories.

• Column A: Expense Categories (Personnel, Equipment, Marketing, Miscellaneous)
• Column B: Budget Amounts ($40,000, $30,000, $20,000, $10,000) Column B represents the values of your categories in Column A.

Step 2: Insert a Pie Chart

Using any of the accessible tools, you can create a pie chart. The most convenient tools for forming a pie chart in a presentation are presentation tools such as PowerPoint or Google Slides.  You will notice that the pie chart assigns each expense category a percentage of the total budget by dividing it by the total budget.

For instance:

• Personnel: $40,000 / ($40,000 + $30,000 + $20,000 + $10,000) = 40%
• Equipment: $30,000 / ($40,000 + $30,000 + $20,000 + $10,000) = 30%
• Marketing: $20,000 / ($40,000 + $30,000 + $20,000 + $10,000) = 20%
• Miscellaneous: $10,000 / ($40,000 + $30,000 + $20,000 + $10,000) = 10%

You can make a chart out of this or just pull out the pie chart from the data.

3D pie charts and 3D donut charts are quite popular among the audience. They stand out as visual elements in any presentation slide, so let’s take a look at how our pie chart example would look in 3D pie chart format.

Step 03: Results Interpretation

The pie chart visually illustrates the distribution of the project budget among different expense categories. Personnel constitutes the largest portion at 40%, followed by equipment at 30%, marketing at 20%, and miscellaneous at 10%. This breakdown provides a clear overview of where the project funds are allocated, which helps in informed decision-making and resource management. It is evident that personnel are a significant investment, emphasizing their importance in the overall project budget.

Pie charts provide a straightforward way to represent proportions and percentages. They are easy to understand, even for individuals with limited data analysis experience. These charts work well for small datasets with a limited number of categories.

However, a pie chart can become cluttered and less effective in situations with many categories. Accurate interpretation may be challenging, especially when dealing with slight differences in slice sizes. In addition, these charts are static and do not effectively convey trends over time.

Histograms present the distribution of numerical variables. Unlike a bar chart that records each unique response separately, histograms organize numeric responses into bins and show the frequency of reactions within each bin [10] . The x-axis of a histogram shows the range of values for a numeric variable. At the same time, the y-axis indicates the relative frequencies (percentage of the total counts) for that range of values.

Whenever you want to understand the distribution of your data, check which values are more common, or identify outliers, histograms are your go-to. Think of them as a spotlight on the story your data is telling. A histogram can provide a quick and insightful overview if you’re curious about exam scores, sales figures, or any numerical data distribution.

Real-Life Application of a Histogram

In the histogram data analysis presentation example, imagine an instructor analyzing a class’s grades to identify the most common score range. A histogram could effectively display the distribution. It will show whether most students scored in the average range or if there are significant outliers.

Step 1: Gather Data

He begins by gathering the data. The scores of each student in class are gathered to analyze exam scores.

After arranging the scores in ascending order, bin ranges are set.

Step 2: Define Bins

Bins are like categories that group similar values. Think of them as buckets that organize your data. The presenter decides how wide each bin should be based on the range of the values. For instance, the instructor sets the bin ranges based on score intervals: 60-69, 70-79, 80-89, and 90-100.

Step 3: Count Frequency

Now, he counts how many data points fall into each bin. This step is crucial because it tells you how often specific ranges of values occur. The result is the frequency distribution, showing the occurrences of each group.

Here, the instructor counts the number of students in each category.

• 60-69: 1 student (Kate)
• 70-79: 4 students (David, Emma, Grace, Jack)
• 80-89: 7 students (Alice, Bob, Frank, Isabel, Liam, Mia, Noah)
• 90-100: 3 students (Clara, Henry, Olivia)

Step 4: Create the Histogram

It’s time to turn the data into a visual representation. Draw a bar for each bin on a graph. The width of the bar should correspond to the range of the bin, and the height should correspond to the frequency.  To make your histogram understandable, label the X and Y axes.

In this case, the X-axis should represent the bins (e.g., test score ranges), and the Y-axis represents the frequency.

The histogram of the class grades reveals insightful patterns in the distribution. Most students, with seven students, fall within the 80-89 score range. The histogram provides a clear visualization of the class’s performance. It showcases a concentration of grades in the upper-middle range with few outliers at both ends. This analysis helps in understanding the overall academic standing of the class. It also identifies the areas for potential improvement or recognition.

Thus, histograms provide a clear visual representation of data distribution. They are easy to interpret, even for those without a statistical background. They apply to various types of data, including continuous and discrete variables. One weak point is that histograms do not capture detailed patterns in students’ data, with seven compared to other visualization methods.

A scatter plot is a graphical representation of the relationship between two variables. It consists of individual data points on a two-dimensional plane. This plane plots one variable on the x-axis and the other on the y-axis. Each point represents a unique observation. It visualizes patterns, trends, or correlations between the two variables.

Scatter plots are also effective in revealing the strength and direction of relationships. They identify outliers and assess the overall distribution of data points. The points’ dispersion and clustering reflect the relationship’s nature, whether it is positive, negative, or lacks a discernible pattern. In business, scatter plots assess relationships between variables such as marketing cost and sales revenue. They help present data correlations and decision-making.

Real-Life Application of Scatter Plot

A group of scientists is conducting a study on the relationship between daily hours of screen time and sleep quality. After reviewing the data, they managed to create this table to help them build a scatter plot graph:

In the provided example, the x-axis represents Daily Hours of Screen Time, and the y-axis represents the Sleep Quality Rating.

The scientists observe a negative correlation between the amount of screen time and the quality of sleep. This is consistent with their hypothesis that blue light, especially before bedtime, has a significant impact on sleep quality and metabolic processes.

There are a few things to remember when using a scatter plot. Even when a scatter diagram indicates a relationship, it doesn’t mean one variable affects the other. A third factor can influence both variables. The more the plot resembles a straight line, the stronger the relationship is perceived [11] . If it suggests no ties, the observed pattern might be due to random fluctuations in data. When the scatter diagram depicts no correlation, whether the data might be stratified is worth considering.

Choosing the appropriate data presentation type is crucial when making a presentation . Understanding the nature of your data and the message you intend to convey will guide this selection process. For instance, when showcasing quantitative relationships, scatter plots become instrumental in revealing correlations between variables. If the focus is on emphasizing parts of a whole, pie charts offer a concise display of proportions. Histograms, on the other hand, prove valuable for illustrating distributions and frequency patterns. 

Bar charts provide a clear visual comparison of different categories. Likewise, line charts excel in showcasing trends over time, while tables are ideal for detailed data examination. Starting a presentation on data presentation types involves evaluating the specific information you want to communicate and selecting the format that aligns with your message. Hi, this doesn't solve any of the issues I'm experiencing. I have a powerpoint that has sequenced audio files as part of the animations in a powerpoint. When I upload this to the online powerpoint service, all of the audio files play at the same time.

It's astounding that one of the largest companies in the world can be so inept.
