When we achieve, we usually do so because others have helped. Your speech of appreciation is the gift or acknowledgment you give in return for what was given you.

When is a thank you speech appropriate?

Any time is good to say thank you! However, a more formal speech of thanks could fit any of these occasions.

  • for coming to my graduation, farewell, birthday, or retirement party
  • for the promotion
  • for the award
  • for coming to our wedding and your gifts, our engagement party, our 50th wedding anniversary

Generally the decision to leap to your feet and give a thank you speech is not spontaneous. You will likely have some forewarning and time to consider exactly what you want to say and who you want to mention.

Deciding on the content

Cover these three content areas and you'll be fine.

  • WHO are you thanking? Note their names in ranking order- the most important first.
  • WHAT are you thanking them for? Be specific rather than general. Naming what you are grateful for gives your thanks more meaning.
  • WHAT did their gift of time, expertise, encouragement, money... mean to you? Again, be specific. This is your chance to publicly give credit where it's due, to compliment, to praise. Take it.

Writing your speech

When you've sorted out who you wish to mention and what for, you are ready to begin writing.

Like any other form of speech you need 3 parts:- an opening, the body or middle where you put all your acknowledgments, and a conclusion.

1. Introduction/opening

In your introduction or opening give the reason for the occasion and why it is you're going to thank everyone. What you say, and how you say it, will set the tone for the remainder of the speech.

Depending on the number of people on your 'thank you/appreciation' list and the amount of time you have, consider including a small story about the lead-up making this event possible. A well-chosen personal anecdote will always go down well because it lets those listening share your experience more deeply.

In the body of your speech, start at the top of your list of people to thank and work your way through it. Take care to give the most important people the most time.

For those whom you want to mention but don't have enough time to make individual acknowledgments consider grouping them according to function.

Example: "To Alex, Mary, Judy and Sam, thank you for making me remember to laugh. You helped me keep my sanity and perspective when the going was tough."

3. Conclusion

In the conclusion, summarize your main points and finish.

Here's a short sample thank you speech for you to see how it could be done. There are many ways covering the required content. This is one.

The person giving this speech is thanking an organization for giving him an award. 

It is 374 words long. When spoken it will take approximately 2 minutes + to deliver. That's about the right length. It's brief and covers everything needed.

As you read it through imagine hearing it out loud.

"Who's considered the incredible power of thank you?  Those two words express gratitude, humility, understanding, as well as acknowledgement.

I am here with you: my family, many of my friends and colleagues because I need to say all of that, and then some more.

Thank you for coming to share my being given the Fred Smith Award for Community Service. It's very humbling.

There's a phrase I'm sure you know: it takes a village to raise a child. In this case it's not a child that's been raised but awareness and a long needed community resource -  the  Parksville Community Literacy Center.  The village behind it and me, is you.

In particular thank you to my wife Marlene who has always understood and shared my conviction that communities are healthiest when its resources are equally shared, and that the ability to read underpins long term social and economic well being.

I know the hours I spent after work helping to establish our new Center tested her, especially when I was home late, again.

Remarkably she continues to support, and love me.  For that I will always be grateful.

Many people make the assumption that once they've got the words of their speech sorted, they're set to go.

That's not true! Practice completes the process.

Giving yourself several  rehearsals, firstly by yourself and then in front of  friends or family, will help enormously. Click the link for detailed information about  how to rehearse effectively .

1. Content check

Before investing too much time and energy into rehearsing your speech say it through in front of a few trusted friends or colleagues.  It is much, much easier to change text prior to practicing it than after you've begun working with it. Ask them to listen:

  • to make sure you've included everyone you should, in the right order and thanked them for the right things.
  • for tone. Does the vocabulary fit the occasion? Are the stories right? Is the speech positive? Is it inclusive?

Edit as needed, and then have your test audience listen again. 

Getting the timing right is an essential part of making it a success. Go on too long and people stop listening. Be too brief and there's a danger you've missed things out.

The only way to find out how long your speech is, is to time yourself as you say it out loud at a normal speaking rate. If it's too long, look for areas you can cut. Maybe you need to group a few  more people together or perhaps you need to shorten some of the specific examples about why it is you're thanking someone.  If it's too short, add more detail.  Repeat until you get the length right.

3. Use cue cards

If you're at all worried about forgetting things, losing your place or muddling what you want to say, use cue cards. They'll take the anxiety away.

Write the main points of your thank you speech on cue cards. Good notes will keep you on track while ensuring you cover everything you want to like, for instance, the name of every person you want to thank and why.

Appreciation is the sincerest form of flattery. It makes people feel seen, and their efforts feel recognized.

Any leader worth their salt knows that the key to winning the loyalties of their team is regular appreciation.

Giving a thank you speech is not just good manners but gives an insight into your character. The acknowledgement only works if it comes from the heart and rings genuine. 

So, how do you give a thank you speech?

When is it appropriate to give a thank you speech?

In a company, at an award function, for friends and family, structure of the opening statement, thanking the speakers after the event, thanking the organization, thanking the organization team, have you missed anyone, concluding your thank you speech, mention people by name, positive ending, get it over with.

You don’t really need an occasion to thank somebody. However, in a more formal setting, there may be occasions that specifically call for it. The following are the times when it is most appropriate to give a thank you speech:

  • After getting a promotion
  • After celebrating an achievement
  • Appreciating your team after tackling a tough project
  • When receiving an award or recognition
  • When establishing a new venture

The list can go on endlessly as your field might have different occasions to give a vote of thanks. Make sure not to miss any opportunity to acknowledge the reasonable efforts of the people around you!

Things to keep in mind

When you’ve decided to give a thank you speech, you need to keep a couple of things in mind. This advice differs according to why you are giving a thank you speech and who is in your audience.

If your company is celebrating you for a milestone or recognition of hard work, make sure you don’t only talk about yourself.

Be generous with your words when talking about the company itself and the great work it does.

Elaborate on how much you enjoy working here and what exactly the company does the right to make it happen.

This will make sure your higher-ups feel appreciated for the work environment they’ve created.

If you are receiving an award by a third party for your work, make sure you adequately express how honored you will be selected.

It is always a good idea to highlight what a recognized organization it is and how you are happy to be a part of it.

If you’re giving a speech to thank friends and family, the setting is much more intimate. You can drop the formalities and talk about how special these people are to you.

As they have gone the extra mile to appreciate you, make sure you return the favor by talking about how lucky you are to have them and their support.

How to write a thank-you speech?

There is no need to beat around the bush with a thank you speech. You can simply start off by expressing gratitude.

An award or recognition means that you can simply open by thanking the company or organization for the honor.

You don’t need to come armed with quotes. In fact, that might actually seem much more disingenuous. Your opening statement also sets the tone for the rest of your speech.

Some factors might determine how formal or informal you need to be with your opening:

In a formal setting, it is best to keep it cordial. Assuming it is a suit and tie event, most people are dressed up and expecting you to keep it classy as well.

As such, we recommend you go for something along the lines of, “I’m so honored to be taking up this renowned stage. Words cannot express how grateful I feel to be the recipient of this award.”

An informal event can be anything from an intimate gathering of loved ones to anniversary parties of a broader range of friends.

In such an event, you can express yourself more freely and don’t have to hold back.

We suggest opening with something along the lines of, “I can’t believe my luck on being able to be surrounded by such wonderful people. I’m immensely 

grateful for each and every one of you and honored to be taking up the stage tonight.”

We have drafted a script for your opening statement. Feel free to customize it as per your needs.

Good evening, Distinguished [name], Honorable [name], Mr. Chairman, Respect Host/Hostess, and all our beloved guests.

It is my honor and privilege to have been given the opportunity to present a vote of thanks on this momentous occasion.

I am honored to represent [Company/Organization] on this prestigious [Event] stage.

I’d like to give a respectful nod to the entire [other supporting/sponsoring organization, team, crew, special guests present in the audience] that have stood behind me to make this possible.

My gratitude extends to all the speakers as well as organizers and hosts due to whom we’ve all come together on this eventful night.

Another possible scenario as a host is that you might have to thank the line of speakers that took up the stage during an event. Please find and customize the script for this as follows:

Let’s hear a big round of applause for [name speaker], His/her incredible delivery on [speech topic] leaves us all leaving this Event a little more aware. 

Pick up on the central theme and reiterate it as a reminder to the audience and to show the speaker that you were paying attention.

If there are more speakers, then follow suit and consider using these thank you examples:

I’d like to thank our second speaker [name speaker] for her take on [speech topic]. Her view on [central theme] was poignant and worthy of a big round of applause.

Furthermore, let’s also express a sincere appreciation for [name speaker] for gracing our stage with her strong opinions on [speech topic]. [Refer to central theme]

Following up, I’d like to thank [name speaker] for providing such an in-depth analysis of [speech topic]. [Reference]

We are grateful to [name speaker] for having the audience in stitches with her insightful yet light-hearted presentation. [Reference].

I would like to hear a resounding round of applause for [name speaker] for his/her inspirational speech that has surely revved up our drive to achieve more.

We are lucky to have the opportunity to listen to your craft and are leaving here today, all inspired by your beautiful words!

This script is for when you need to express appreciation for the organization that is holding this event. It is usually added to the end of a speech. Feel free to edit it as required.

And last but not least, I would like to take this opportunity to express our sincere gratitude to [organization] for allowing us to use their beautiful venue.

Our utmost thanks to the logistic support that made this Event the smooth success that it has been. Our appreciation further extends to the technical team and organizers who’ve worked tirelessly for this [fun] evening. 

In the case of sponsors: I would also like to extend my thanks to [brand name] as well as [brand name] for their enormous cooperation in making this Event possible.

Mix and match these various styles so that it doesn’t get repetitive as you speak. 

As they say, “Rome wasn’t built in a day.” Such is the case with this Event as well. There have been many people working for weeks across multiple group chats and meetings to make this possible.

Getting every detail right and lining up one after other fantastic speakers. Our biggest thank you to the dedicated organizing team for working on every tiny detail and helping create this amazing Event.

I cannot thank everyone enough for their involvement. Each and every one of you is to be credited for your dedication and the willingness to take on the completion outside the realm of their comfort zones! 

Read the room and decide the degree of the flair of formality that needs to be adjusted. People will be happy that their efforts are being recognized. Just make sure not to be too ostentatious about it.

The only thing that is worse than not being appreciated for your work is being singled out or left out.

Make sure you think hard about all the people that have put in their time and effort. Are you sure you haven’t missed anybody? How about anybody from the following list?

  • People who sent out invitations
  • Special guests who made time for the Event
  • People behind the technical arrangements
  • The team responsible for location hunting, stage setting and lighting
  • Any musicians or other performing entertainers
  • People in the catering team
  • People from the press and media who are covering the Event

Now all your thank you speech needs is a neat bow to tie it up cleanly. Try this on for size:

Mr. Chairman, ladies, and gentlemen, I would like to thank all of you for being a wonderful audience.

It has been an absolute pleasure to have such a delightful crowd presence. Once again, I’d like to give a big round of applause to all of the speakers for gracing our stage with their well-refined speeches. One last round of applause for all of us here, thank you very much!

Extra Tips to Keep in Mind

While we’ve covered most of our tips, sometimes the simple things can get away from us. And you know what they say, “Better safe than sorry.” So here they are:

A handy tip for appreciation versus criticism is this: When acknowledging people for their good work, always use their name, however, when handing out criticism in front of a crowd, try to generalize as otherwise, you will end up embarrassing people. 

Instead of simply thanking your team, use their names if possible in the given time limit. This will make your appreciation seem much more personalized.

Make a list of all the people you’d genuinely like to thank. If you have time, briefly talk about how they’ve helped you in your journey.

Emphasize how important they’ve been and how. Speak from the heart, and it will definitely ring true.

For phrasing, try something along the lines of:

“From the bottom of my heart, I’d like to give a special thanks to some of the amazing people without whom I cannot imagine standing up here on this stage. Name your supporters and give out your sincere thanks.

If you have extra time, you might want to add in a few lines to thank your supervisor or boss as well. It is customary to make sure they don’t feel left out.

It can be challenging to achieve this as we’re sure any crowd consists of so many people that someone is bound to feel left out.

Your goal is, don’t leave out any of the higher-ups and the important people. But don’t start listing just about everybody just because they are in the crowd. This can reduce the impact of your gratitude for people who have actually helped you.

You’ve given your thanks to so many people who’ve made you who you are. The stage has gotten quite emotional at this point, and your audience is looking at you.

You need to end on a high note. If you simply say your thanks and leave, it can feel incomplete and lacking.

Try to say something inspirational and uplifting. Suppose you’re being recognized for your work.

In that case, you can give your team a motivational boost by saying, “The journey is not yet over, but I can’t imagine being on this ride with any team that is more dedicated or competent than the one at [name].

Let’s wear these tires out and keep this smooth ride going!”

You can also go for dedication to your strongest support or mentor. Something like, “And lastly, I want to leave you with the words of my strongest support, my [name].

When I was full of doubts and insecurities, they’re the ones who said [something inspirational].

This award is for you and your belief in me. I hope I’ve made you proud. Thank you for everything!”

We know, we know, this is your moment on stage. After all, this is such an honor, and there are so many people to thank.

But your audience is eager to get to the catering table! Be considerate, and keep it clear but brief. You don’t want to take the audience through your entire journey.

A good thank you speech is no longer than two and at most three minutes. Use your time well and remember: It is always better to leave them wanting more than getting them to be like, “Get it over with already!”

  • Keep it genuine : The goal of expressing appreciation should be to let someone know how their actions have impacted you and/or others. If you have any other agenda, your message will not be authentic.
  • Share what you appreciate and why : Focus on the impact their actions had on you and explain both  what you appreciate and why . This will help the other person understand the reason you feel the way you do.

One of your key goals when delivering a funeral thank you speech may be to make sure the people listening feel you’re expressing authentic gratitude for the role the deceased played in your life. Perhaps you want to thank them, even if they aren’t necessarily there any longer.

One way to achieve this goal is to include a specific anecdote about a time the person who has passed on was helpful or supportive in some capacity.

Not every member of the audience will be able to relate to the specific details of your story. That said, including a genuine example of a reason you feel grateful for someone will add a degree of true feeling. This makes your overall message resonate more strongly.

Telling a specific story also reminds listeners of the deceased’s unique character and spirit. You can describe plenty of people as “helpful and supportive.” Telling a story conveys the unique way in which someone was helpful and supportive during their life.

2. Thank others

One common purpose of a funeral thank you speech is to express gratitude for someone who has passed on. However, it’s also good funeral etiquette to thank other family members and friends who have been helpful during what is likely a difficult time for many. While this shouldn’t necessarily be the overall focus of your speech, it’s nice to address the helpful roles others have played in the wake of a loved one’s death.

As with the above tip, the more specific you are in your thanks, the more likely people will feel your words are genuinely heartfelt.

Keep in mind that family members and friends may not be the only people who helped out in the days leading up to the funeral. For instance, religious figures, funeral directors, and others might also have been very supportive. Take this opportunity to thank them as well.

3. Thank those in attendance

Not everyone who attends a funeral will play an active role in making arrangements or supporting others after the deceased’s passing. Still, their very presence is likely something for which you should feel grateful. 

That’s why you may consider starting off a funeral thank you speech by thanking everyone for attending. This sets a positive tone and lets all mourners feel appreciated during what is likely a challenging experience for many. It also reminds everyone that family and friends can and should be there for one another when a loved one passes.

4. Practice with loved ones

This is a general tip worth remembering in any instance when you’ll be speaking at a funeral . It isn’t a funny best man or maid of honor speech, which you might want to surprise all members of your audience with. 

Practicing with family members helps you overcome your own emotional hurdles that might otherwise arise if you wait until the day of the funeral to deliver the speech for the first time. It also helps you refine the speech to ensure it conveys exactly what you want to express. Additionally, if you’re going to specifically thank others for the help they’ve offered during a difficult time, your friends and family can let you know if you overlooked someone.

That said, you need to carefully consider which family members and friends you want to practice your speech in front of. For those who were particularly close to the deceased, listening to your speech early might be too emotionally challenging. You’re better off involving those who were close enough to the deceased to offer useful feedback and insights, but not so distraught they won’t be able to comfortably provide advice.

5. Consider those who helped leading up to a loved one’s death

You already know it’s a good idea to use your funeral thank you speech as an opportunity to thank anyone who helped out in the days following a loved one’s passing. Just remember that there might also be people deserving of thanks who played a more significant role when your loved one was alive.

For instance, perhaps you’re mourning an elderly loved one who required regular help from nurses and caregivers during the later years of their life. Or, maybe you’re eulogizing someone who passed from an illness, and you want to acknowledge the medical professionals who made their life easier. Thanking these people during your speech is another way to ensure you fully express your gratitude.

6. Consider including messages from others

Not everyone who wants to express their gratitude at a funeral will have the opportunity to deliver a funeral thank you speech. Other family members and friends might want to thank the deceased for the role they played in their lives. They might also want to thank specific members of the audience for any help they offered in the time leading up to and following your loved one’s death. 

Consider reaching out to these people if you think that’s the case. While you may not be able to include messages from every single person in attendance, you could very likely include a few that are particularly moving.

7. Admit you needed help

Thanking someone in any capacity is a way of saying they helped you at an important point in your life. Thus, your gratitude will seem more genuine if you willingly admit you needed help.

For example, if you’re thanking caregivers who helped make a loved one’s final years more comfortable, you should admit that you couldn’t have handled the situation on your own. If you’re thanking the deceased for offering support when you needed it, explain exactly why you needed it. If you’ve chosen a card with a printed sentiment (more than just “Thank You”), then you don’t have to add very much. Briefly mention the specific gift or kindness you’re thanking the recipient for. Then add a warm thought like one of these…

Here are some questions you could try to answer when writing a thank-you for a birthday , holiday or just-because gift: What was the gift? What do you like about it? Why was it a good choice for you? What do you plan to do with it? How did you feel when you opened it? How did it make you feel about the giver? Below are some message examples that answer one or several of those questions.

Writing tip: Here are a few words to describe gifts: fabulous, perfect, touching, beautiful, unique, appreciated, awesome and much-needed. Some words to describe gift givers: generous, thoughtful, creative, sweet, considerate and caring.

Graduation, wedding, baby and other life events

The challenging thing about these life-event thank-you notes is that you likely have several of them to write. It’s fine to develop a general formula for what you’ll write, but anytime the task starts to become burdensome, put down your pen and come back to it later. You want to sound appreciative and enthusiastic, and you’re more likely to come across that way if you write five thank-you cards a day over 10 days, rather than 50 all at once.

  • “Wow! We are so touched by your generous wedding gift. The place settings will be used and enjoyed often—and we’ll think of you every time.”
  • “Thank you for adding to the joy of our wedding with your warm wishes and thoughtful gift. We love the candlesticks and how they look on our hall table.”
  • “Thank you for the adorable fire engine sleeper and bib for Ben. You put a smile in our hearts. Can’t wait to send you a picture of him wearing it!”
  • “From the bottom of my heart, thank you for organizing the group gift of the car seat and stroller for my baby shower. You shouldn’t have. (But it’s so nice you did!)”

Writing tip: There’s no hard-and-fast rule on whether to mention the specific amount of money you were given in your thank-you message. If it feels tacky or wrong to you, then skip it. But if you feel like it highlights or helps identify the gift, it’s perfectly fine to include.

House or pet sitting, yard work or housework, help during a busy or difficult time, above-and-beyond assistance with a project at work… anytime someone steps in and makes your life a little easier, call it out with a thank-you note.

I am not really good with public speaking so I would like to begin this speech with a story. When I was little, I would always plan the perfect wedding. I would pick up little flowers from our garden, arrange them into the most beautiful bouquet I have ever seen, and run up to my room. I would then grab my blanket and wrap it around my body pretending to be a dress. Put little clips on my hair and tie it with a bow. Oh! Of course, a perfect wedding would not be complete without a partner, right? I’ll pick my favorite stuffed toy and spray it with the sweetest scent I have. Then, I would start the ceremony, giggling throughout what I thought was the most romantic thing I would ever experience once I get older.

Then I got a little older. A lot of things have changed. I have matured but I am still that same little girl who once dreamed of the perfect wedding. Although I have stopped to pretend to kiss my stuffed toys, I still dream of the sweetest and most romantic kiss of my life. I have watched tons of romantic comedies to try to tweak my perfect wedding plan. I just want everything to be perfect and to my liking, because I believe that this should be the best moment of my life. I believe I had everything all planned out except for the man I will share this perfect moment with. Oh how I have prayed and wished so hard to all of the gods, saints, and whatever people believe in to help me find my perfect man. Each day I wake up and whisper to the heavens, “please help me find him today.” I just could not wait any longer to celebrate this joyous event.

Days, months, seasons, and years passed. I am now standing here in front of that man I prayed and wished so hard for. This man turned my world. I believed everything I watched in romcom movies was what would happen to me. But boy was I so wrong. I thought that the hardest part of a wedding was choosing your gown. Spoiler alert: it was writing the vows. I have not prepared for this. In all those silly weddings I had when I was little, the vows were not there. I mean, how could I even put into words everything this man had done for me? Much more to fit into a short speech. So I have been stressing a lot with the vows and I guess I have delivered successfully. I sure hope I did.

My childhood dream of sorts would not be possible without the help of a team of people. I would like to extend my deepest gratitude first to my dear wedding guests who have willingly shared their time with us today to celebrate another milestone in life, thank you. I know you all have busy schedules and whatever things you have planned. This time that you shared with us means so much to me and is more than any gift we could ask for. We hope you still continue to support and pray for us as we embark on this other journey as husband and wife. I also hope you have enjoyed the food we just served.

Second, to our amazing wedding team. The servers, caterers, wedding planners and coordinators, florists, singers, designers, and photographers. We would really like to thank you a lot for helping us make this the perfect wedding. You have really relieved us from a chunk of the stress by lending us your helping hand and making sure this event would run smoothly. You have made this seemingly small and regular event look so grand and beautiful. You guys were the real backbone of this event. You made it so much easier for us. For that, we will always be thankful to you. Thank you also to our presider for making this event a solemn one and sharing with us the grace from the heavens.

Next of course would be our loyal and tireless bridesmaids and groomsmen. You have been with us from the beginning of this wild journey and you have also helped in making this a memorable one. You have always got our backs. You have been extra cooperative in whatever ideas we throw to make this more personalized for us. From picking the right dress to picking the right flowers and to photoshoots and all you guys never complained. Well, you guys are our friends so I think I should add picking the right partner? Kidding aside, I sincerely thank you all for everything you have done for us. You guys are the realest!

Fourth would be for my family, mommy and daddy. My parents who have birthed me into this world. Hey, partner! You should also thank my parents because, without them, you would not be standing here with the most beautiful person you have ever met who also happens to be the one you're going to spend your future with. Going back to my parents who have nothing but love for me. Who has always been so supportive of me. The people who I run to first. The two people who have provided every single need that I have. Thank you. I may not have said this often to you guys but I really do thank you for everything. You have taught me a lot of valuable lessons that I will surely bring with me for life. You raised me to be the best version of myself. Yes, I have made mistakes but you were the first ones to correct me without feeling that that mistake would forever define me. Thank you for guiding me.

To my new parents, the parents of my loving partner. I am really excited to join your family. I am looking forward to the new memories I would create with you. I am positive that these will be happy ones. Just like my partner, I would really like to thank you for raising this person to be a good one. Thank you for blessing us with this wonderful person. Of course, I would also like to thank you for being very supportive of our love. I know I can always count on you for whatever things I would need. Thank you for welcoming me with warm and open arms to your family.

Lastly, to my dear husband. I have been dreaming of this day since I was a child and here I am today in front of you, my perfect man. Thank you for being so patient with me. Yes, the wifezilla thing at weddings is real and yes this man had held my hand all throughout and remained calm. The effect of the stress of wedding planning on me did not even bother you. God, I’m so thankful that you are a patient man. I hope you stay that way for a long time. We have been through a lot of challenges and I am sure we would encounter more so I thank you for still choosing to be with me. I have said a lot during our vows and I still have a lot more to say but those will never be enough to describe how thankful I am that you are the one I am marrying.

So, to everyone invited here today as our wedding guests to celebrate this next chapter of our lives, cheers! Thank you for coming and enjoy the wedding reception and let’s all use the dance floor. May you all find your perfect partners.

How to Write a Thank-You Email After a Job Interview: Examples, Dos, and Don’ts

Post-interview thank-you notes are a surprisingly controversial part of job searching .

Some hiring managers are staunch advocates of thank-you notes, to the point of insisting they won’t hire candidates who don’t send them. Others couldn’t care less and will barely glance at thank-you notes that arrive. On the job-seeker end of things, some people write them religiously after every interview, swearing by their efficacy, while others find them an annoying inconvenience. Still others have never heard they’re expected to send them at all.

For the record: Post-interview thank-you notes are a weird convention. Job interviews are business meetings, and you shouldn’t need to send a note thanking your interviewer for their time when they’re not expected to do the same for you. Lord knows there are already enough power dynamics at play during hiring, why create more? However, in many fields, thank-you notes are the convention, and dismissing them out of hand can put you at a disadvantage when you’re interviewing.

The problem is largely in their name: We should never have started calling them “thank-you notes” and should always have called them “follow-up notes,” because that’s really what they’re intended to be. You’re not actually thanking your interviewer; you’re continuing the conversation and strengthening the impression you made.

Because of the misnomer, too many people write notes that read like this:

Thank you for taking the time to meet with me yesterday to discuss the marketing manager position. I’m very interested in the role and look forward to hearing about next steps.

There’s very little point in sending that kind of note. It comes across as perfunctory (because it is) and doesn’t do much to strengthen your candidacy. It conveys little more than that you heard you were supposed to send a thank-you note, and so you did.

A good example of a thank-you email after an interview

Instead, a post-interview note should build on the conversation you had in the interview and show that you’ve (1) gone away and processed the discussion and (2) are still enthusiastic about the position . Here’s an example of a real-life (anonymized) thank-you note I received from a candidate who did this well:

I really enjoyed talking with you yesterday, and hearing more about where your team is headed. Based on our discussion, it sounds like you may be at a critical juncture in your work — simultaneously well-established and growing fast, expanding your new client initiatives and also working internally to strengthen your core.   If that is a fair characterization, it’s a tall order! It also feels very familiar to me over my 15-year arc of launching and expanding a communications team, and I would enjoy nothing more than rolling up my sleeves and helping you succeed — and particularly bringing the educator’s lens we discussed from my time working in schools.   I look forward to talking more with you and your team to see how I might be able to help you and your clients get where you want to go. If we’re a good match, I would be incredibly excited about the prospect of working together.

It demonstrates that the candidate was engaged during the interview (listening and not just waiting to talk about herself), shows that she understands the challenges she’d face in the role, talks a little about how she’d be able to help (without turning the note into a lengthy sales pitch), and conveys excitement about the job and interest in talking further.

That’s the content of the note. Now let’s run through other logistics.

Should you send the note via email or through the post?

Send your note by email. Not only is it much faster, but many people don’t even have physical office in-boxes these remote-work days, so a mailed note may never reach your intended recipient. And really, sending hand-written notes was always a bit of overkill. It’s business correspondence!

How soon after your interview should you send a thank-you email?

Send the note within a day or two of the interview, not immediately following it . You might think you’re being efficient by writing your notes ahead of time and hitting “send” once you’re home from the meeting, but don’t do that. Not only will you lose the chance to personalize the content based on what’s discussed in the interview, but sending it so quickly comes across as perfunctory, like you’re just checking off an item on your to-do list. You want your interviewer to know that you’ve spent time digesting the conversation and that your note reflects genuine thought and interest.

If you meet with multiple interviewers, should you send thank-you emails to all of them?

Ideally, yes! Vary the content a bit so they’re not identical.

What if you don’t have your interviewer’s email address?

Often you can figure it out if you have the email address of someone else at the company, since most use a standard configuration. So if you know that the HR manager’s email address is [email protected], you can probably guess that Matilda Jones’s address is [email protected].

Otherwise, it’s fine to send along your note to the person there who you are in contact with (often HR or a recruiter) and ask them to pass it along to the person you want it to get to.

Should you expect a response to your thank-you email? Does it mean anything if you don’t get one?

Some interviewers will reply, but most won’t. Don’t read anything into it if you don’t receive a response. Some people think of it like replying to a thank-you note for a gift, where no response is necessary, lest it set off an endless cycle of “thank you for the thank you.”

Will a thank-you email really make or break your chances?

Not in most cases, but it will contribute to the overall picture of you as a candidate, just like lots of other little things in the hiring process , like whether you were sloppily groomed and how you interacted with the receptionist.

Of course, if you’re not the best candidate for the job, a thank-you note won’t change that. By the same token, if you’re clearly the strongest candidate, not sending a thank-you note probably won’t kill your chances. But if the decision has come down to you and another candidate, a thoughtfully written, substantive note has been known to tilt the scales.

And of course, there are interviewers who don’t care about thank-you notes at all. But there are still plenty who do, and the content of a note can sway their thinking. As a job candidate, you’re unlikely to know which type of person you’re dealing with, so it makes sense to spend ten minutes writing and sending the note.
